REGISTRATION FEE: 4

The annual registration fee of $50 is due when your application is submitted to the Children’s Center. This fee is due annually each fall. It is non-refundable.

TUITION PAYMENTS:

Tuition Payments must be made on time in order for the Children’s Center to operate efficiently.

Summer Camp tuition must be paid ON MONDAY of the week your child is receiving care. A fee of $2 will be added for each day your payment is late. If payment is not received in full (tuition plus late fees) by Friday, your child will be dismissed from the Children’s Center and may lose his/her place in our summer program and Before/After school program.

During the WS/FC school year, monthly tuition payment must be paid in full by the 1st of each month. A fee of $2 per day will be added for a maximum of 5 days. If payment is not received in full (tuition plus late fees) within 5 days, your child will be dismissed from the Children’s Center and may lose his/her place in our summer program and Before/After school program.

Payments are accepted in the form of checks or money orders. CASH IS NEVER ACCEPTED. If we receive a dishonored check from the bank, you will be responsible for any fees the Children’s Center incurs and all future payments from you must be made by Money Order.

To keep your child’s enrollment in our Children’s Center, your payment is due on time, even if your child is sick or away for any reason. If you withdraw your child from our Children’s Center, A TWO WEEK NOTICE OR TWO WEEKS PAID TUITION IS REQUIRED.

HOURS OF OPERATION/LATE FEES:

The Children’s Center will be open from 7AM to 6PM, Monday through Friday during our Summer Program and Full Care Days. During the WS/FC school year, we will be open 7am to 8am and 2pm to 6pm Monday through Friday. It is inappropriate to expect staff to come in early or leave late to accommodate your schedule.

If you arrive later than 6pm, you will be required to pay a LATE FEE OF $1 FOR EACH MINUTE PAST 6PM. A phone call alerting us to the situation is expected. If late pick-ups continue on a regular basis, your child may be dismissed from the Children’s Center. The Cell Phone used by the teachers in the Children’s Center will be the OFFICIAL CLOCK to determine late pick-up fees.

SIGN-IN AND SIGN-OUT SHEETS:ALWAYS sign your child in and out each day. If you fail to sign your child in or out, you will

receive a warning. Repeated failure will result in being dismissed from the Children’s Center.

SAFE ARRIVAL AND DEPARTURE PROCEDURES: Child must be accompanied into Children’s Center and out of the Children’s Center

by an authorized ADULT. Your file will contain a list of adults authorized to deliver and pick up your child.

Authorized ADULT must use Sign-in and Sign-out sheets. CHILDREN are not allowed to sign themselves in or out.

Staff must be notified of your child’s arrival. The responsibility for your child remains with the parent until the staff has personally received your child.

Staff must be notified of your child’s departure. We will not send a child out to a car. Authorization is required when any adult other than an authorized adult is to sign-

in our sign-out your child. In the event of an emergency, you may call the Director at the Children’s Center to make arrangements.

We do allow the appropriate school buses or church van to pick up and return your child to the Children’s Center from school.

Please call the Children’s Center if your child needs to leave early. This ensures your child will be available for departure. Please advise the Children’s Center if your child is going to be absent or will arrive late.

PARKING LOT RULES: Drive slowly and carefully in the appropriate directions marked in the Church parking lot.

Be sure to watch for children.

ADDITIONAL FEE INFORMATION:

Registration Fees are paid yearly, regardless of how many programs your child participates in, as long as it is continuous care. (If you remove and re-enter your child in our programs, registration fees are due again.)

Activity Fees are in addition to Registration Fees and Tuition Fees and are due 15 days before the program begins. These fees are refundable if your child withdraws from our program BEFORE the program begins. Activity fees are used to pay for activities such as field trips, special shows or events for the children, extra teacher activities, etc. The Activity Fee may not cover all expenses for your child. On occasion, you may be required to send money for a special event.

Tuition fees are determined by the financial needs of the program. Families will be given a 30 day notice of any fee increase.

There are no refunds or deductions from tuition for absences, vacation days, sick days, personal days, holidays, bad weather days, etc.

PERSONAL ITEMS:

If a child brings a personal item from home, it should be clearly marked with your child’s name. Also, ensure it is an item your child is willing to share with other children. Understand we will not assume responsibility for the item. Electronics are allowed at the

teachers discretion. Check your child’s cubby daily for notices and belongings.

HOMEWORK:

The children will be given time to work on homework. Teachers will guide and ask questions and make sure homework is complete (if time allows). Teachers will not give your child answers to homework. If the children make errors on homework, this indicates to the teacher that the child doesn’t understand what is being taught.

EMERGENCY SITUATIONS:

In the event that Old Town Baptist Children’s Center has to evacuate, you will be able to pick up your child at Old Town Fire Department at 4548 Shattalon Dr, Winston-Salem, NC 27106. (1/2 mile from the church)

HOLIDAYS:

OTBCC observes the following holidays:

New Year’s Day Good Friday and Easter Monday Memorial Day Independence Day Labor Day Thanksgiving Day and the following day. Christmas Day and the following and/or preceding day, as determined by the

Director.

If a Holiday falls on a Saturday, we will be closed the Friday prior, and if it falls on a Sunday, we will be closed the following Monday.

On occasion, if a holiday falls on a Thursday, the Director may deem the Thursday AND FRIDAY be closed. If a holiday falls on a Tuesday, the Director may deem the MONDAY AND Tuesday be closed.

INCLEMENT WEATHER:

For the safety of your children and our employees, we will follow the Winston-Salem/Forsyth County School system’s decisions for closings and delays, UNLESS THE DIRECTOR DETERMINES TO THE CONTRARY. No refunds on tuition are made for weather related closures. Announcements will be made on WXII TV 12 and/or FOX8 TV news stations.

FAMILY INFORMATION:

Information regarding your child and family will be held in confidence. We encourage you to share all information that may affect your child’s behavior. Let us know if your family structure changes (marriage, divorce, grandparents moving in/out), changes to parents employment/job losses, birth of siblings, siblings leaving for college, etc. This information enables us to have a better understanding of your child and his/her behaviors. Unless it is necessary for the care of your child or the safety of other children, information will not be shared among teachers or other families.

DISCIPLINE AND BEHAVIOR MANAGEMENT POLICY

 PRAISE AND POSITIVE REINFORCEMENT ARE EFFECTIVE METHODS OF THE BEHAVIOR MANAGEMENT OF CHILDREN. WHEN CHILDREN RECEIVE POSITIVE AND UNDERSTANDING INTERRACTIONS FROM ADULTS AND OTHERS, THEY DEVELOP GOOD SELF-CONCEPTS, PROBLEM SOLVING ABILITIES, AND SELF DISCIPLINE. ILLNESS/SICK CHILD: 9

Please DO NOT send a sick child to the Children’s Center. If your child has fever, vomiting, diarrhea, cold/cough symptoms, an unidentifiable rah, or illness, he/she cannot attend the Children’s Center. In the event that your child becomes ill while at our Children’s Center, we will isolate him/her as much as possible and contact you to pick up your child. If we cannot reach you, we will call the emergency contacts in your child’s file.

If your child is out sick (misses school or children’s center), they MAY NOT PARTICIPATE IN AFTERNOON OR EVENING ACTIVITIES sponsored by OTBCC.

IMMUNIZATIONS:

Immunization records are kept on file for all children. Our records must be kept current. Please provide us with documentation each time your child receives additional immunizations. If a child’s scheduled immunizations are not kept up to date, he/she will be

dismissed from our Children’s Center.

ALLERGIES:

If your child has allergies of ANY kind, it must be noted on the child’s application, as

well as on the doctor’s medical form.

MEDICAL RX:

We will NOT administer any medicines, prescription or over the counter drugs to your child. The ONLY exception for this is for emergency use, such as inhalers or Epi-Pens. It is your responsibility to teach our staff how to administer those emergency devices. If your child needs additional medication, YOU will be responsible to bring and administer it.

EPI-PEN & INHALER PERMISSION (YOU MUST PROVIDE EPI-PEN OR

INHALER)

Epi-Pens or Inhalers are the only medication that can be administered by the staff in the event of an emergency. It is my responsibility to teach the staff how to use such emergency devices. I give my permission for ________(rx name) to be administered to (my child) in the event of an allergic reaction. I have demonstrated the usage of this medical device to my child’s teacher and director.

TRAVEL & ACTIVITY:We will be traveling to various places for fun, play, education, exercise, entertainment, etc. You

MUST sign the following permission slip that allows your child to participate and travel to/from field trips. You will also be asked to sign additional permission forms for EACH trip.

Your child will be REQUIRED TO WEAR A SEATBELT at all times. This is non-negotiable. Any violation of this rule may result in your child not being allowed to travel. We will comply with the NC Child Passenger Safety Law, G.S. 20-137.1 as follows:

Restraint Requirements:A properly used car seat or booster seat is required for children less than age 8 and less than 80 pounds. The law does not specify which type of car seat can be used at any age or weight, only that the seat is used properly in accordance with the manufacturer’s instructions and meets all Federal Safety Standards in place when the seat was manufactured.

When a child reaches age 8 (regardless of weight) or 80 pounds (regardless of age), a properly fitted seat belt can be used in place of a car seat or booster seat.

Booster seats can only be used with lap and shoulder seat belts.  They can NEVER be used with a lap belt only.  A child who weighs at least 40 pounds can legally be restrained using only a properly fitted lap belt if there is no lap and shoulder belt available for use with a booster seat, however this is not considered to be the safest option.

FIELD TRIP PERMISSION BLANKET SLIP:

Director and/or teachers/chaperons are authorized to obtain emergency medical treatment for my child as necessary.

Neither Old Town Baptist Children’s Center, its staff, Old Town Baptist Church or its staff, will be liable for injury to my child.

My child is responsible for any personal belongings and money taken on field trips. I give permission for my child to be transported in the Old Town Baptist Church Bus

and/or Van. If the Children’s Center takes field trips that I do not wish my child to participate in, I

will make other child care arrangements for that day.

OTBCC RULES FOR STAFF, CHILDREN AND ADULTS:

Use quiet voices inside. Keep noise levels appropriate for each room. Show respect for all people and their property. Be polite, considerate and courteous at all times. Listen without interrupting. Walk inside. Run outside or in CLC where appropriate. Take turns. Use furniture for its purpose, such as sitting on a chair. Use “please”, “thank you” and “excuse me”. Work with only one piece of equipment/activity at a time. Place materials in its proper place after you have finished with it. Listen to directions given by parents or teachers. Staff will exhibit Christ-like behavior and will at all times recall that the Children’s

Center is a ministry of Old Town Baptist Church.

CONCERNS? WHO TO CALL?

If your child has a problem, contact the TEACHER. If you are not satisfied with the teacher’s solution, contact the SCHOOL CARE

PROGRAM COORDINATOR. If you have a child care question, contact the SCHOOL CARE PROGRAM

COORDINATOR. If you are not satisfied with the SCHOOL CARE PROGRAM COORDINATOR’S solution,

see the DIRECTOR. If you have concerns or questions about policies, meetings, tuition, fees, late

penalties, etc., contact the DIRECTOR. If you have a problem with the DIRECTOR, first discuss it with the DIRECTOR. If you are not satisfied with the Director’s solution, contact a member of the

CHILDREN’S CENTER COMMITTEE (See Committee members list on page 1).

BIRTHDAYS/SPECIAL DAYS:

Daily snacks are provided for your child. If your child has a special snack to share with all the children he/she may do so. Please let the teacher know when the snack will be provided. We invite you to celebrate your child’s birthday and/or holidays at school.

Please advise the teacher of your plans.

LUNCHES: 13

Our school age program does not prepare lunch for the children. You will need to provide a packed lunch/beverage daily. MANY of our field trips include lunches so be sure to read your child’s calendar daily for instructions. Be sure to pack health foods/beverages for your child. Snacks and beverages are provided mornings and afternoons for your child.

CLOTHING:

Your child should dress in clothing appropriate for physical and messy activities. Your child should be suitably dressed for the weather, including jackets or coats when necessary. Closed toe shoes are preferred for daily activities and some field trips may require them. If your child is to use sunscreen, please mark it clearly with the child’s name and be sure your child can apply it to himself/herself. Children may bring bedroom shoes to wear INSIDE the classroom and should keep them stored in their cubby or basket.

Clothing that depicts violence, sex, weapons, tobacco or alcohol products, illegal drugs, political issues, aggression, demons, inappropriate language or discrimination is not allowed. Your child may not be allowed to sign in if their clothing violates this policy. On certain days, your child may be required to wear their OTBCC t-shirt.

DISMISSAL FROM OUR PROGRAM:

Should the Director determine that your child should be dismissed from the program, you will be notified and will need to pick up your child immediately. Possible reasons for dismissal from our program are:

Immunization and medical records that is not current. Unpaid tuition fees. Repeatedly picking up your child late. Child’s behavior/presence jeopardizes the welfare of the other children or staff. Parents make unreasonable demands on staff or are disrespectful to staff members. Parents who physically or verbally abuse their child or another child at the Center.

I have read this Parent Handbook in its entirety. I acknowledge my obligations to abide by its requirements and understand that this Parent Handbook does not impose any additional legal obligations on the Children’s Center, Old Town Baptist Church, and their respective staffs, other than those that already exist under North Carolina law. I have signed ALL appropriate permission slips for my child.

I will submit ALL required documentation as required in the Parent Handbook.

I give permission for my child to use the facilities of Old Town Baptist Church, including but not limited to the Christian Life Center, the playground, parking lots, Recreation Rooms, church vehicles and classrooms.

I understand that if I leave a balance on my account at OTBCC that my cell phone and home phone numbers and any other information necessary to assist in collecting the outstanding balance WILL be given to the Collections Agency.
