Welcome to ÉcoleGuyot Pre-Kindergarten Inc.!

We have been in operation in various forms and locations since the late 1970‟s. Throughout the years this parent run cooperative‟s main goal has been to provide a quality pre-kindergarten program in anticipation of our children entering a French Immersion school. This booklet provides descriptions of our 3 and 4 year old programs, as well as an Organization Overview, the Policies of Operation, the Emergency Procedures, the Constitution, a Fee Schedule, Registration Forms, and Personal Information Consent Form. Please take the time to read this booklet as it has been designed to answer your frequently asked questions. In order to create an easier to read more uncluttered booklet, we have chosen to refer to a child, where necessary, as “he” or “him”. What is said applies equally to both girls and boys.

Our Programs

When your child first comes to us in September, pre-school is new to him. It may be a traumatic experience for him - one filled with conflicting emotion. He is excited over this new step in his life and sad because of the separation. He is actually starting to cut away at the apron strings in order to embark on his own road into the future. This separation gives him a chance to grow, to learn how to live with others and to make use of his time in a different way. His life in the classroom will be enriched but it may include little disappointments. If necessary, a favorite blanket or stuffed toy might ease the first few days in pre-school. The program is structured in an attempt to satisfy the four basic needs common to all human beings:

Physical Children have physical needs for nutrition, rest, exercise and safety.

Emotional Children have emotional needs for a loving, consistent and stable environment.

Social Children have social needs for positive relationships with adults and other children.

Intellectual Children have intellectual needs for interesting, stimulating activities.

In a child care program, the teachers are responsible for ensuring that the child‟s four basic needs are met through careful program design. The goal is to ensure that all children receive sufficient attention to meet their needs. Therefore, the objectives of our program are:

1. To provide an introduction to the organized classroom setting, but stressing enjoyment, socialization and minimum formal academic situations in favour of incidental teaching where opportunities occur.

2. To promote healthy social interaction with the peer group through the use of games and group play.

3. To promote the healthy development of fine motor skills with the use of arts, crafts, etc.

4. To promote the development of gross motor skills and a positive attitude towards physical fitness with a regular daily program of physical activity.

5. To encourage the appreciation and enjoyment of music by its incorporation into other aspects of the day‟s activities.

6. To introduce some basic aspects of the French language as related to all other activities.

We try to give the child the opportunity to develop in various ways. Of course, being an Immersion class, he will be learning a second language. This is introduced slowly so as not to frustrate the child. We want him to love the language, not dislike it. He will learn many words, numbers, colours, etc. in French, but he will never be quizzed or punished because he does not know or understand a word.

Field trips are planned from time to time throughout the year for which volunteer supervisors will be needed. Parents are generally responsible for transportation of their child to events and all parents are expected to participate equally for these events. No siblings are allowed as we rely on the parent volunteers to assist in the supervision. Please see Policies of Operation later in this package for further policies regarding field trips. Craft time is to develop small motor skills - cutting, tracing, dot-to-dot, coloring, gluing, etc. Some children at the beginning of pre-school lack self-confidence, but a little help and a lot of praise can work wonders! Exercise improves coordination, balance, etc. Games stimulate the child‟s imagination and intelligence. It also develops his personality - expressing sentiments of anger, joy, etc. Drama is also part of our gym time and gives the child a chance to lose himself in a tree, a mouse or an elephant. Snack time gives the children a chance to sit together and socialize. We are a nut free facility and therefore require that you send nut free snacks for your child. Some suggestions for good nutritional snacks are raw fruits and vegetables, dried fruits such as raisins or apricots, muffins, dry cereal, cheese, hard-boiled egg, a small sandwich or crackers. Please do not send chocolate bars, candy, potato chips, or items that they may choke on such as popcorn. Two items are sufficient as a snack. Juice or milk is not required, as filtered water is provided for drinking. Please send a labeled cup for water (no lids or sippy cups, please). Story time is resting time at the end of the day.

The 3 Year Old Program

**A parent is required to volunteer as a helper for at least 5 classes. Sign-up will take place at the AGM in September. Teacher: Mme. Debbie Dryden Teacher‟s Aide: Mme. Mimi Saltel Classroom: Room D - South Entrance Drop-off Time: 8:50–9:00 Class Time: 9:00 - 11:15 Supplies needed by each child (please label everything):

1. Slip-on or velcro runners to be left at pre-school. 2. A cup to leave at pre-school for water at snack time 3. School bag large enough to bring home completed crafts, etc. 4. An extra set of clothes to leave at pre-school (or in the school bag) in case of bathroom

accidents or paint spills, etc. 5. Small snack to be brought daily in a non-disposable container such as a lunch kit.

NOTE: Outside clothing and footwear must also be labeled clearly with the child‟s name. Daily Schedule 9:00 – 9:35 Attendance, Circle time, sharing news, French words (colours, shapes,

counting), songs in French 9:35 – 9:45 Exercise, walk, dance, rhythm 9:45 - 9:55 Show and tell first day of the week, theme activity second day of the week 9:55 - 10:15 Washroom, wash hands, snack time 10:15– 11:00 Craft time / Free time 11:00 Clean-up time 11:10 Quiet time / story time 11:15 Dismissal As a volunteer, your task will involve helping individual or small groups of children during activity time. Children are free to choose an activity and are expected to participate constructively, alone or with friends. Because of the large variety of materials and options available to the children, you will assist us to provide guidance, stimulation and conversation with the children. You may be given a specific task when you arrive. However, you are free to move about the room if you feel more comfortable or if your child wishes you to. Some projects are messy and we suggest that you wear suitable, washable clothing. Discipline concerns are best handled by the staff. However, we ask you to step in if a child‟s safety is threatened.

Sometimes when a parent comes into the classroom to help, the child feels uncertain about sharing his parent with other children. If this happens, please do not be concerned as this is a normal reaction. Your relationship with your child is important and we want your visit to be a happy one for both you and your child. Give your child plenty of attention, let him sit beside you and be first, and let him help you as he knows the routine. Please don‟t criticize your child in the classroom or criticize your child or his behavior when you arrive home. Make sure you comment positively. Mention how well he managed at pre-school, played with other children, enjoyed doing puzzles, etc. Find something that your child did well that day and tell the family. Show him how proud you are of him and that you enjoyed sharing his day at pre-school. Parent volunteer responsibilities include helping with arts and crafts, putting names on papers, interacting, having fun, relaxing and participating. You may also help the children with their snacks, get children dressed for outdoor play, clean up after snack and free play, tidy books and put toys on shelves, clean up play dough and wipe tables and chairs if necessary.

The Four Year Old Program

Please remain in the classroom until the teacher has acknowledged your child‟s presence. Please be prompt in picking up your child. Wait between the double doors until the teacher signals to you. The children must be accompanied to and from the pre-school by an adult. Make sure anyone you have picking up your child also understands these procedures.

Behavior Management Policy

Since we live in a community, it is important that our children learn to behave appropriately in a variety of class situations. Great importance is placed on the behavior of the children to reflect the following values:

Self-respect

Respect of others

Respect of property

Order

Safety

Fair play

Dependability The pre-school endeavors to treat the children fairly and to respect their rights and opinions. The notion of Time Out is used as a consequence to improper behavior. It is the responsibility of the pre-school to create a positive learning environment, one where warmth, cooperation, mutual respect, and confidence reign. The pre-school is licensed by the Manitoba Child Care Program and the policies of the pre-school are those as stated in the Licensing Manual for Day Care Centres, Child Day Care Program, Department of Community Services and Corrections. In particular:

A licensee shall not permit, practice, or inflict any form of physical punishment, verbal or emotional abuse, or denial of physical necessities for any child in attendance, (subsection 9.1)

In addition, the staff and Board of the pre-school is bound to comply with regulations in respect to suspected child abuse occurring outside the pre-school‟s operation:

Every case of suspected child abuse shall be reported immediately to the Director of Child Welfare. (subsection 9.4)

It is important to note that the above regulation takes precedence over the confidentiality requirements of the regulation stated below:

Every licensee shall keep information concerning a child or his family as strictly confidential; but parents or guardians shall have access to such information upon request. (subsection 4.3)

Emergency Procedures

The teacher or teacher‟s aide is responsible for notifying the Principal‟s office (where proper channels will be followed) over the intercom immediately in the case of a medical emergency. In case of fire, the alarm outside the class shall be pulled. All staff shall be knowledgeable about the use of fire extinguishers. A first aid kit is available for staff use if necessary. An evacuation procedure is designated by the school. Fire drills are conducted monthly. The removal of daily attendance reports and emergency child information records are the responsibility of the teacher in case of evacuation. The designated place of shelter in the event of an evacuation is:

Organization Overview

Board of Directors

The Board of Directors consists of at least 10 or more persons including the following officers: 2 Coordinators, an Assistant Coordinator, Secretary, Treasurer, Supplies Coordinator, Special Events Coordinator, as well as Class Representatives for each classroom. All these positions are held by parent volunteers. Board meetings are held monthly during the pre-school term and anytime thereafter as may be deemed necessary. Two general meetings per year are held with the parent body, usually in March (registration night) and September (AGM - before classes begin). See also Appendix A, the Constitution for more information.

License

The license is to be displayed on the bulletin board in the 4 year old classroom. It is issued by: Manitoba Family Services Child Day Care Office 114 Garry Street Winnipeg, Manitoba R3C 1G1 Telephone: (204) 945-2197

Classroom Space

Must be applied for annually to the Louis Riel School Division. The use of the school facility on other occasions such as for the purpose of general meetings, registration, etc. must be applied for to the School Division and the date cleared with the Principal.

Insurance

Comprehensive general liability coverage is purchased annually.

Pre-school Term

The pre-school term is from approximately mid-September to May 30, normally a 65 day term. The pre-school may be closed to coincide with School Division wide in-service days. A pre-school calendar will be provided.

Class Cancellation

Pre-school classes are canceled only when it is announced that schools in the Louis Riel School Division are closed due to weather conditions. Classes will continue as usual even if school buses are not running.

Parent-Teacher Meetings

These are made available to parents if so desired. Generally parents are in contact with teachers on a regular basis when bringing children to and from pre-school and they may at that time bring forward or discuss any concerns.

Fees and Withdrawal

Fees are established and parents are advised of same at the Spring registration meeting (see Appendix B, the Fee Schedule).The registration fee isnon-refundable. During the pre-school term the remainder of the fees willbe refundable only if a replacement student is found. In the event of a student entering mid program, the fees will be prorated.

Snacks

Being located in a nut free facility, each child must bring a nut free nutritious snack daily. Please avoid bringing chocolate, candies, etc. for your child‟s snack. Water is provided at the pre-school as a beverage. No hot beverages are to be consumed by adults in the classroom while children are present.

Supplies and Equipment

Supplies and equipment are purchased from general revenue unless obtained from donations.

Salaries

Salaries for teachers and teacher‟s aides are reviewed annually.

Fund Raising

Fund raising projects have been decided upon or against on a yearly basis by the Board.

Financial Assistance (Grants)

Grants are received from different governments such as Day Care and Lotteries but this is not a reliable source of monies as it is dependent on government fiscal policies from year to year.

Subsidies

The Board has developed a policy to address the administrative aspects of subsidies. Parents will be asked to review and sign the policy if they are approved for subsidization.

Financial Records

Financial records are kept and maintained by the Treasurer in keeping with generally accepted accounting principles.

Communicable Diseases

The parent of a child who has contracted a communicable disease must notify the teacher. In turn, the teacher shall notify at least one member of the Board. This Board member will notify the other Board members and, if applicable, the Health authorities. Information will be sent to the parents either by written notification or a notice posted outside the classroom as per public health requirements.

Policies of Operation

Registration All children must be 3 (for the 3 year old program) or 4 (for the 4 year old program) by December 31

st of the current

registration year. All children must be toilet trained. When registering your child in the program, a non-refundable deposit must be paid in order to hold a space. The balance of the fees is payable in full at the September meeting or in installments from October to December (or January for the 4 year old 3 day program). We will require your child's birth certificate (this is the only proof of age acceptable as evidence) no later than the first day of pre-school. We will also require your MHSC number and the child‟s individual medical number, as well as your child‟s doctor‟s name, address and telephone number at the time of registration.

Transportation

It is the responsibility of the parent or guardian to arrange for their child's transportation to and from pre-school. The teacher is responsible for the child during class hours and only after the child's presence has been acknowledged by the teacher inside the classroom. The teacher must be told who will be picking up the child from pre-school and the names of those responsible must be provided in writing for the pre-school. Identification may be requested.

Field Trips

It is the responsibility of the parent or guardian to arrange for their child‟s transportation to and from the field trip location. Should the parent be unable to attend the field trip, transportation arrangements can be made with another parent. While in transit, the child/adult ratio should not exceed three (3). In addition there should be only as many persons in one vehicle as there are seat belts in that vehicle. All children are required to wear seat belts while riding in a parent's vehicle to and from the designated destination. Parents must provide car seats for their children if desired. Parent volunteers are asked to assist the staff in the supervision of the children assigned to them for the duration of the field trip. For this reason, no siblings are allowed on field trips. Children are required to wear the yellow Guyot t-shirts (provided by the program and belongs to the program) while on field trips.

Parking

Parking is allowed on the west side of Willowlake Crescent only, not in École Guyot's parking lot.

Drop-off / Pick-up

It must be remembered that classes are in session when you bring your child to pre-school. We must use the South door only. Please do not walk through the hallways of the school. Please do not drop-off your child any earlier than 10 minutes before the start of class. Bring your child into the classroom and undress them there, hanging up their outerwear before you leave. When picking up your child, please wait between the two sets of doors of the south entrance. The teacher will motion to the parents when it is time to dress your 3 year old child. For 4 year olds, the parents will come to the door of

the classroom to retrieve their already dressed child. Please be on time as the teachers are not paid to wait with your child.

Late Pick-up Policy

One warning will be issued by letter from the Board for late pick up of a child. The second late pick up will result in a $5 fee for 5 to 15 minutes late and an additional $10 for the next 15 minutes. As a non-profit organization, we do not have any additional funds to pay our teacher(s) overtime for this service.

Parent Participation - 3 year old program only

Parents of children enrolled in the 3 year old program are required to assist the teacher for the entire duration of the class at leastfive times during the year. It is policy that siblings do not accompany the parent volunteer while performing this duty.

Parent Participation - 4 year old program only

In accordance with the Day Care Act, a parent volunteer may be required for any classes with less than 15 students registered. Parents will be informed at the Annual General Meeting in September if a volunteer schedule is required for any of the classes. Parents may be required to assist the teacher for the entire duration of the class at leastseven times during the year. It is policy that siblings do not accompany the parent volunteer while performing this duty. Please consider this fair warning and be prepared to sign up on a volunteer schedule provided at the Annual General Meeting in September.

Class Observation

Parents are always welcome at the pre-school. However, we ask that you prearrange the time with the teacher. We also ask that you be discreet and try as much as possible not to disrupt the class.

Class location

Classroom space is rented annually from the Louis Riel School Division and is currently located in ÉcoleGuyot, 400 Willowlake Crescent.

First Aid

Parents are required to sign a First Aid release in the event of an accident. All teachers and aides have completed a recognized First Aid/CPR course.

Toilet Training

All children must be toilet trained. They must not be wearing pull-ups or diapers. A spot may be held for a child that is not fully competent as long as fees are paid as indicated on the payment schedule.

Health Issues

Please do not send your child to pre-school if: 1) they are running a high temperature (above 37.5). 2) they have had diarrhea in the last 18 hours. 3) their cold is severe enough to require constant attention (i.e. runny nose). 4) they have vomited in the last 18 hours. 5) they feel sick.

These are not just our rules. They are guidelines set down by the Day Care Office that governs our programs. Allergies, Asthma, and Other Health Concerns Upon registration, parents will be asked to describe any „physician diagnosed‟ allergies or health conditions that their child may have. This information will be reviewed by Guyot Pre- Kindergarten staff and posted in each classroom. If any child should have a life threatening allergy or any other serious medical condition, the Programs Coordinator II will be responsible for implementing the URIS Policy. This policy includes the notification and facilitation of parents, staff, the

Community

Children of all abilities are accepted into the program. It is encouraged that all children participate in all the regular offered activities and field trips. If additional assistance or support is (or may be) required for your child to complete any of the offered activities, pease ensure to highlight this on the registration form so that the Board and staff can create an environment in which these needs will be satisfied in a positive approach and manner.

Environment

All classroom materials are available at levels designed for children access. The classrooms are set up to enable access for support equipment such as a wheelchair or walker. Our program is usually split into short segments so that all children can participate successfully. Our program offers a variety of activities to stimulate and engage all children. (Music, Dance, Playdough, Rice Table)

2. Participation

Children are encouraged to play with their peers during the free play portions of the program. Staff and volunteers encourage children to learn names and foster friendships. Respect for all members of the group, whether staff, peer or volunteer is developed and promoted. Field trips and out-of-classroom activities are planned to include the abilities of all children in the program.

Individual Early Learning & Child Care

Activities are varied throughout the day so that children can participate in both large group activities and interact in smaller groups. All children are offered choices in activities during the less structured portions of the day. Staff communicate with parents on a regular basis to discuss childrens‟ progress.

3. Support

Families are encouraged to discuss concerns with the teacher or to bring any concerns to the Board. Successes of each individual child are shared with parents. We have an open door policy for parents to witness our programs and their child first-hand.

Collaboration

We offer individual program planning meetings with the parents of any child with additional support needs. The Early Childhood Educator will work with any additional support care-givers to determine how to create a positive group environment in the best manner possible for all students.

Staff Supports

Any additional training for the pre-school staff would be provided for any required medical procedures. The Board would support staff taking additional training in the area of inclusion.

SECTION I - NAME OF CORPORATION, PURPOSES, SITUATION OF OFFICE AND

TERRITORIAL JURISDICTION

Article 1 - Name

The name of the Corporation hereinafter referred to as the Organization is Ecole Guyot Pre-

Kindergarten Incorporated. (formerly Guyot-Howden Pre-Kindergarten Inc.

Article 2 - Purposes

The general purpose for which the Organization is formed is to provide pre-kindergarten experience

for children who will be attending French Immersion and Francais Partiel schools in the St. Boniface

School Division, and specifically for the following reasons:

a. to introduce some basic aspects of the French language as related to all other activities performed

below.

b. to provide an introduction to the organized classroom setting, but stressing enjoyment and

socialization, minimizing formal academic situations in favor of incidental teaching where the

opportunities occur.

c. to promote healthy social interaction with the peer group with the use of games, group play.

d. to promote the development of fine motor skills with the use of arts, crafts, etc.

e. to promote the development of gross motor skills and a positive attitude towards physical fitness

with a regular daily program of physical activity.

f. to encourage the appreciation and enjoyment of music by its incorporation into other aspects of

the day's activities.

Article 3 - Office

The office and chief place of business of the Organization shall be as designated by resolution duly

passed by the Board of Directors (hereinafter referred to as the Board), within the Windsor Park and

Southdale areas.

Article 4 - Territorial Jurisdiction

The territorial jurisdiction of this organization shall include the areas of Windsor Park and Southdale.

All applicants, as required to fill the programs, will be considered.

SECTION II - MEMBERSHIP

Article 1 - Eligibility

A. The membership of the Organization shall consist of all parents or guardians of children

participating in the regular child program of Guyot-Howden Pre-Kindergarten Inc., parents or

guardians who have expressed the intention of having their child Participate in such a program,

and any other person admitted as a member by the Board.

B. All members except those who qualify under paragraph (a) will cease to be members of the

Organization on the First Day of the school year on which children attend regular activities of

the Organization.

C. A member may withdraw by giving notice in writing to the Board. Tuition refunds will not

be given unless a substitute student in found to fill the vacancy created by the withdrawal.

D. A member may be expelled from the Organization by a majority vote of the members at any

general meeting.

E. A member may be expelled from the Organization for failure to adhere to the rules and

regulations established by the Organization.

F. A member with a child registered in the 3 year program must be afforded a space in the 4 year

old program for the subsequent term if they so wish.

G. A member with a child currently registered in the 3 or 4 year old program may pre-register a

younger sibling for the 3 or 4 year old program for the subsequent term if they so wish. Priority

for 4 year old program spaces will be given to returning 3 year olds as described in paragraph F

above.

Article 2 - Voting

Each member shall be entitled to one vote at general meetings; no voting by proxy will be permitted.

The Co-ordinator I shall only vote at such time as is necessary to break a tie vote.

Article 3 - Meetings

A. Registration Meeting - shall be held in April of each year for the purpose of electing a new slate

of officers, registering children for the following term, and to consider, deal with, and dispose of

such other business as may properly come before the meeting.

B. General Meeting - shall be held in September of each year to provide members with necessary

information pre-requisite to the commencement of the fall term, presentation of unaudited

financial statement, annual report, and acceptance of fees.

C. Special General Meetings - of the members may be called at any time by the Coordinators of at

the request of a majority of the Board; upon not less than one week notice of the time and place

of such meetings given to every member of the Organization.

D. Executive Meetings - shall be called at such time and place as designated by the Coordinators.

Such meetings generally to be held monthly.

E. Board of Directors Meetings - shall be called at such time and place as designated by the

Coordinators. Such meetings generally to be held monthly.

F. Quorum - at any annual , general, or special meeting, the presence of not less than two thirds of

the membership shall constitute a quorum. At any Board meeting a quorum shall consist of not

less than six members.

G. Majority Vote - a majority vote of the above quorums will be necessary and sufficient to pass

any motion.

H. Meeting Agenda - every notice of meeting shall state the nature of the business of the meeting.

SECTION III - BOARD OF DIRECTORS

Article 1 - Eligibility

A. The Board shall be members elected from the members elected from the membership of the

Organization and shall include the Past-Co-ordinator as an ex-officio member. This election, if

required, to be made at the information meeting in September..

B. Board members shall not be the husband, wife, brother, sister, brother-in-law, sister-in-law,

parent or child of any other Board member.

Article 2 - Powers

The Board shall be responsible for the overall operation and management of the Organization

There shall be 10 or more (depending on number of classes) persons forming the Board, of which not

more than 25% reside outside the area of the St. Boniface School Division. The following positions

shall be elected or designated to form the Executive Committee thereof:

The remaining persons shall be elected or designated as Directors and serve in the following positions:

Article 4 - Term of Office

A. Executive Committee

i. The term of office for the Coordinators and Assistant Coordinator shall be two years; Secretary

and Treasurer and Supply Person shall be one year from the meeting at which he is elected or

designated or until the designation or election of his successor, unless he should resign or his

office becomes vacant by death or other causes.

An executive officer shall be eligible for re-designation or re-election to the same position for a

maximum of two consecutive years. He may, however, be elected to a different executive officer

position after the expiration of the two year term or at any point within. In the event the officer

retires from the Board completely, after an absence of one year, he will then be eligible for re-

designation or re-election to the Board in any capacity.

However, in the first year, one of the Coordinators shall be elected or designated for a one

year term while one of the Coordinators shall be elected or designated for a two year term. In

every year thereafter one of the Coordinators shall be elected or designated for a period of two

years. A retiring Co-ordinator may not be re-elected or re-designated as Co-ordinator or serve in

that capacity but shall be eligible for re-designation or re-election to another position.

ii. The Immediate Past Co-ordinator shall remain on the Executive Committee until a new Co-

ordinator II is designated or elected.

ii. All terms shall take effect after the fall information meeting and serve until after the following

information meeting.

Article 5 - Removal and Filling of Vacancies

Any Board member may be removed with cause by a majority vote of the Board, provided the Board

member in question is given an opportunity to be heard within 30 days of grievance. Vacancies on the

Board may be filled by designation by the Board with such designation to remain in effect until the

next registration meeting.

Article 6 - Quorum and A Majority Vote

The presence of not less than 2/3 of the members of the Board will be necessary and sufficient to

constitute a quorum for the purpose of transacting business. A majority vote of the quorum will be

necessary and sufficient to pass any motion.

Article 7 - Compensation

The Board will not receive any compensation for their services as officers, but may be reimbursed for

expenses incurred in the performance of duties for the benefit of the organization.

Article 8 - Availability Open to the Membership

Meetings of the Board shall be limited to members of the Board and invitees only. However, any

records of such meeting shall be open to the examination of the membership upon request in writing

of all reasonable times, upon reasonable notice to the Organization

SECTION IV - EXECUTIVE OFFICERS AND STAFF

Article 1 - Executive Officers

The Executive Officers of the Organization will be two-coordinators, assistant coordinator, secretary,

treasurer, and immediate past co-ordinator.

Article 2 - Powers

Article 3 - Co-ordinator #1 - Who is in 2nd Term

The Co-ordinator I shall be the chief Executive Officer of the Organization, and subject to the control

of the Board, shall supervise, administer, and manage the affairs of the Organization generally. The

Co-ordinator I shall preside at all meetings described in Section II, Article 8. The Co-ordinator shall

exercise such other powers and authority and perform such other duties as may from time to time be

prescribed by the Board according to job description provided in the Appendix. The Co-ordinator

shall be an ex-officio member of all committees.

Article 4 - Co-ordinator #2 - Who is in 1st Term

The Co-ordinator 2 shall perform the duties of the Co-ordinator #1 in the case of death, absence or

inability of the Co-ordinator #1 to act for any cause whatsoever. The Co-ordinator #2 shall exercise

such powers and authority and perform such duties as may from time to time be prescribed by the

Board or by the Co-ordinator #1 according to job description.

Article 5 - Assistant Co-ordinator

The Assistant Co-ordinator shall perform the duties of the Co-ordinator II in cause of death, absence,

or inability of the Co-ordinator II to act for any cause whatsoever. The Assistant Coordinator shall

exercise such powers and authority and perform such duties as may, from time to time, be prescribed

by the Board or by the Coordinators I and II according to the job description.

Article 6 - Secretary

The secretary shall attend to the giving and service of all notices of the Organization, and shall keep,

or cause to be kept, the minutes of all meetings of the Board in a book or books to be kept for that

purpose. He shall keep in safe custody the corporate seal of the Organization. He shall have charge of

the records of the Organization, including the books containing the name and addresses of the

members of the Organization and such other books and papers and filing of all books, reports,

certificates and all other documents required by the law to be kept and filed by the Organization. He

shall be subject to the control of the Coordinator and shall exercise such other powers and authority

and perform such other duties as may from time to time be prescribed by the Board according to job

description.

Article 7 - Treasurer

The Treasurer shall have general charge of the finances of the Organization. He shall render other

advice and assistance on finances matters to the Coordinator and other officers of the Organization.

As soon as possible and after each close of the fiscal year, he shall make and submit to the

Coordinators and to the Board an account of the Organization's financial condition for such fiscal

year. He shall be subject to the control of the Coordinators and shall exercise such other powers and

authority and perform such other duties as may from time to time be prescribed by the Board or by the

Coordinators, according to job description.

Article 8 - Supply Person, Special Events, Class Representatives, Past Coordinator

Supply person, special events, class representatives, and past Coordinator shall also perform duties

according to job descriptions.

Article 9 - Staff

The Organization will employ teachers and any other support staff deemed necessary by the Board.

The Board recognizes that the teachers are responsible for implementing the program.

SECTION V - FUND RAISING

Article 1 - General

All methods of fund raising undertaken by the Organization are subject to the approval of the Board

and to the acquisition of the necessary permits required by law.

SECTION VI - FISCAL YEAR

Article 1 - General

The fiscal year of the Organization shall end on the 30th day of June of each year.

SECTION VII - MAKING, REPEALING OR AMENDING THE CONSTITUTION

Article 1 - General

In addition to the present constitution, the Board may from time to time make further By-Laws for the

regulation and management of the business and affairs of the Organization and may likewise from

time to time repeal or amend the present Constitution subject to at least a two-third affirmative vote of

the membership present at registration, general or special meetings called for this purpose, after the

Secretary shall have given fifteen (15) days notice of the proposed change to the membership from the

time such change, alteration or amendment shall have been proposed.

SECTION VIII - LIQUIDATION, DISSOLUTION OR WINDING-UP

Article 1 - General

It is the unalterable provision of this Constitution that members of the Organization shall have no

interest in the property and assets of the Organization; and that in the event of liquidation, dissolution

of winding-up of the Organization whether voluntarily or involuntarily or whether by operation of law,

any assets remaining after the payment and satisfaction of the debts and liabilities of the Organization

shall be distributed to a non-profit organization or organizations having cognate or similar objects or

any other charitable organizations chosen by the Board at dissolution.

SECTION IX - LIABILITY OF BOARD OF DIRECTORS

Article 1 - General

The officers of Ecole Guyot Pre-Kindergarten Inc. for the time being and everyone of them and

everyone of their heirs, executors and administrators shall be indemnified and saved harmless out of

the assets of the Organization from and against all actions, costs, charges, losses, damage and expense

which they or any of them, their or any of their heirs, executors or administrators shall or may incur or

sustain by or by reason or any act done, concurred in or omitted in or about the execution of their duty

in their respective offices except such ( if any) as they shall incur or sustain by or through their own

willful neglect or fault respectively.

SECTION X - INTERPRETATION

Article 1 - General

In all By-Laws and Special Resolutions of the Organization the singular shall include the plural, and

the plural shall include the singular: the word "person" shall include firms and corporations; the

masculine shall include the feminine. Whenever references are made in any bylaws or any special

resolution of the Organization or to any statute of section thereof, such reference shall be deemed to

extend and apply to any amendment or re-enactment of such By-Law, statute or section thereof as the

case may be.

Co-ordinator I

Two-year term – year one as Co-ordinator II, year two as Co-ordinator I.

Shall supervise, administer and manage the affairs of the Organization generally.

Shall call and preside over Board Meetings.

Shall be the contact person between the teachers and the Board.

Shall be the contact person between parents, teachers and Board.

Processes all correspondence received.

Delegates responsibilities to other Board members.

Resolves any problems the teachers are unable to resolve.

Co-ordinator II

Performs the duties of Co-ordinator I in case of death, absence or inability of Co-ordinator I.

Arranges Christmas Hamper including preparing and maintaining the donation list as well as

ensuring that there are boxes to collect items. Collects monetary donations and purchases

appropriate items for the needy family. Obtains name of needy family from the Christmas Cheer

Board and arranges for delivery of hamper.

Treasurer

Collects and deposits all registration fees from parents.

Issues receipts to parents.

Maintains a chequing account for expenses. Term deposits are purchases to earn better rates of

interest.

Collects and retains store receipts for supplies and issues cash floats to teachers and Supply

Person as requested by the Co-ordinator.

Provides necessary funds to various members of the executive body to carry out their duties as

directed by the Co-ordinator.

Contacts Comcheq regarding monthly hours for employees. Comcheq then prepares cheques,

calculates CPP and EI and remits portions to Revenue Canada. Comcheq also prepares all T4

slips for Teachers and Aides and all necessary government forms.

Issues cheques where warranted (e.g. rent, telephone, insurance, Worker’s Compensation,

Incorporation Fees, etc.)

Issues refund cheques to parents who have withdrawn from the program.

Keeps the books and prepares them for audit/review engagement if necessary.

Prepares budget reports and cash flow statements as needed throughout the year.

Prepares financial statements at the end of the school year.

Secretary

Keeps minutes of all meetings and maintains a binder with originals.

Types and distributes a copy of the minutes to all executive members within one week after each

meeting.

Responsible for all typing and photocopying. This includes all material needed for Spring and

Fall Registration meetings, as well as Executive newsletters, teachers’ monthly newsletters and

typing deemed necessary by the teachers.

Assists teachers in preparation of songbook if needed.

Special Events

Arranges field trips, tours, and in-class speakers using guidelines from previous years and

Teacher/Executive suggestions.

Keeps a permanent record of bookings and any problems involved.

Books the photographer for class pictures.

Arranges year-end farm trip for the 4 year olds (date of trip designated by Executive). Books the

bus for transportation.

Prepares Thank-you notes for all speakers and field trips.

All outings must first be approved by the Executive before being confirmed.

Supply Person

Manages money allotted for supplies and provided receipts for same to Treasurer.

Buys craft supplies, and paints, etc. as requested by Co-ordinator or Teachers checking prices

and suppliers for the best buys.

Assists Coordinators, as requested and agreed to by the Executive, to buy permanent equipment,

checking prices and suppliers for the best buys.

Provides receipts to the Treasurer for all purchases.

Maintains and updates a school supply and equipment list. (A complete inventory for both

classrooms and office equipment and supplies.)

Arranges for upkeep of inventory (Eg. Replaces rice in the rice table when necessary, disposes of

obsolete and broken toys in cooperation with Coordinators and Teachers).

Maintains or arranges for a volunteer to clean painting smocks and dress up cloths.

Class Representative

Phones parents at the beginning of September about parent’s meeting, Open House, and first day

of school.

Phones parents at least two days in advance and not more than four days, to remind them of their

turn for Special Helper (for 3-year-old program).

Maintains a list in cooperation with other class reps for making play dough.

Reminds parents of school rules and regulations when deemed necessary and reports to the

Coordinators any infractions of the rules. (Drop-off, pick-up times, parking, etc.)

Directs parent volunteers to appropriate Executive member if someone is willing to help.

Assists teachers, if requested, with outings, pictures, monthly newsletter, etc.

Assists Special Events Person, if requested.

Communicates specific concerns of parents to the Executive body.

2017-2018 Fee Schedule **Please note that all fees are non-refundable. Refunds of the total fee less the non-refundable registration fee of $100 will only be given if another child is found to fill the vacated space. All cheques should be made payable to ÉcoleGuyot Pre-Kindergarten Inc. A $15.00 service charge will be applied to all NSF cheques. A $20.00 late fee will be charged for fees not received by the due date.

The $100 registration fee is due at the March registration meeting and isnon-refundable..

The balance of the fees must be paid by post-dated cheques at the Annual General Meeting held on

Wednesday, September 6th, 2017 at 7:00 p.m. for 3 year olds and 7:30 p.m. for 4 year olds. (A

PERSONAL INFORMATION CONSENT FORM

This Form applies to each of the children named below who will be attending the Facility

and who are herein collectively called the "Child(ren)".

a) collecting:

(i) all of the personal information included in any

Application/Enrollment/Registration Form (a "Registration Form") that I

may complete and give to the Facility about the Child(ren), me and any

other individual whose personal information is included in the

Registration Form, and

(ii) any additional personal information regarding the Child(ren), me and/or

any such other individual that the Facility may reasonably require and

collect by way of additional documents and/or interviews/meetings;

b) collecting all of the personal information included in any Subsidy

Application/Financial Assistance Form (a "Subsidy Form") that I may complete

and/or give to the Facility about the Child(ren), me and any other individual

whose personal information is included in that Subsidy Form, and forwarding that

Subsidy Form to the appropriate government office for review by them;

c) collecting any additional personal information included in any other document

that I may complete and/or give to the Facility about the Child(ren), me and any

other individual whose personal information is included in that document - for

example:

(i) a Child Information Record,

(ii) a Family Information Record,

(ix) any Special Needs Form,

(collectively, the "Other Forms", and with the Registration Form, any Subsidy

Form and all Other Forms being herein collectively called the "Forms");

d) collecting, on an ongoing basis, additional personal information about the

Child(ren), me and any other individual who is referred to in any Form (a "Named

Individual"), as reasonably required at any time by the Facility to provide for:

(i) the physical, emotional, social and intellectual well being and safety of the

Child(ren), or

(ii) the general administration and operation of the Facility (which includes

record keeping, debt collection and fund-raising activities);

e) using all of the personal information included in any Form and all other personal

information previously or subsequently collected by the Facility regarding the

Child(ren), me and/or any other Named Individual, as reasonably required by the

Facility to provide for:

(i) the physical, emotional, social and intellectual well being and safety of the

Child(ren), or

(ii) the general administration and operation of the Facility (which includes

record keeping, debt collection and fund-raising activities);

f) disclosing, on a “need to know” and, where applicable, on a confidential basis,

any personal information about the Child(ren), me and/or any Named Individual:

(i) to the Facility's employees, independent contractors (ie. people who

regularly work at the Facility but who are not paid as employees),

directors, therapists, volunteers (which may include parents and/or legal

guardians of other children attending the Facility), work experience

students and educational or regulatory observers; or

(ii) to any third party who requires such information in order to:

A. provide (or assist the Facility in providing) for the physical,

emotional, social and/or intellectual well being and/or safety of the

Child(ren); or

B. assist the Facility in its general administration and/or operations

(which includes record keeping, debt collection and fund-raising

activities); or

C. assist the Facility in providing products and/or services to the

Child(ren) and/or to me; or

(iii) to a public authority or an agent of a public authority if, in the Facility’s

reasonable judgment, it appears that there is imminent danger to life or

property which could be avoided or minimized by the disclosure of that

information; or

(iv) to any third party who requires such information and who is part of the

Facility's organizational group; or

(v) to any third party with whom the Facility is negotiating for the purpose of

that third party taking over some or all of the Facility's services and/or

other activities; or

(vi) to representatives of other licensed child care facilities if I have not

promptly satisfied my debts to the Facility;

g) disclosing the name of the Child(ren) in any class list produced by the Facility for

the Child(ren)'s class(es) at the Facility and made available to families of children

in each class/time slot;

h) disclosing the Child(ren)’s first name and the first initial of the Child(ren)’s

surname on a name tag (whenever other children in the Facility are given name

tags) on the Child(ren)’s clothing and on various items throughout the Facility –

for example, a sign-in/sign-out sheet, an allergy sheet, a cubical, a locker and a

notebook or scrapbook;

i) disclosing (and celebrating) the Child(ren)’s birthday(s);
