Databases allow operators to group, store, and re-use transaction information.

A template, formally known as a database, is a feature that allows operators to group, store, and re-use the receiver’s information. A separate template is needed for each batch type (application) that you will be utilizing, or you can create a freeform batch. For more information on freeform batches please refer to the Batches section.

Creating a New Template

When creating a database, the ACH Company (Batch Header), application, and database name is selected. Payment information is then entered within the database.

Your Current ACH… Will Become This… Company Entry Description

Automatically populated by the Legacy ACH system.

New Feature! The Company Entry Description, which holds up to 10 characters, will display when creating a template and/or batch. Depending on the batch type, this field will auto fill and/or allow changes to be made. Operators have the ability to edit this field within a NACHA file or certain batch types. Please Note: Although the Company Entry Description allows for editing, this field does not need to be changed if it is unnecessary. Changes made to this field will display for the receivers.

Template Applications

The application indicates the type of transaction the database will be (ex: Payroll, Vendor Payments, Customer Debits, etc…). The list of Applications can vary depending on your set up.

The applications that you had in the legacy ACH will be compatible with the new ACH.

Template Name Field

A database name is entered for each database. Multiple databases can have the same name.

The Template Name field can hold up to 35 characters. Each template needs to have a unique name. Duplicate template names can not be used.

Template Description

Not Available New Feature! Template Description, which can hold up to 35 characters, can be added to a template to include a brief explanation.

Template Limit Not Available New Feature! A Template Limit is the maximum dollar amount to be assigned to individual template.

Recurring Batches Not Available New Feature! Batches can be set to automatically generate for your authorization on recurring intervals. Please refer to the Recurring ACH section for additional information.

Transaction List The Database Summary lists the payment information saved within a database.

The Transaction List is equivalent to the Database Summary. Operators have the option for adding a receiver already saved in the system or to create a new receiver. A receiver is created to store individual beneficiary information.

View Bank Search Not Available New Feature! Operators can search for a bank transit routing number (bank code) to search or verify within the View Bank function.

Importing into a Template

Payment information can be imported directly into a database to update and maintain the beneficiary’s information.

Payment information can be imported directly into a template, batch, or used to add/update receivers’ information into a template. Please refer to the ACH Import section for additional information.

Bulk Edit Not Available New Feature! Bulk editing is a simple way to zero-fill or change statuses (Active, Prenote, or Hold) for all receivers in the template at one time.

Detail entries within a database can be deleted one at a time.

Multiple receivers can be deleted at the same time from a template.

Editing a Template

Information within a database can be edited.

The enhanced edit features allow operators to edit the ACH Company, Template Name, Company Entry Description, Template limit, Dollar Amount fields, and Receiver’s. For more information regarding Receiver’s please refer to the Receiver’s section. Please note: Changes made to receivers’ information within a template or batch do not automatically update within the Receiver’s section of the module. Changes made within the Receiver’s section do not automatically update within templates or batches. For additional information, please refer to the Receiver’s section within this document. Changes made to templates may require approval. Please refer to the Template Approval section for more information.

Template Approval

Databases are required to be approved by another operator if entries were added/deleted, banking information was changed, or amounts were changed (if applicable). Approval for non-repetitive ACH databases - This module requires an authorized operator to approve all new or modified databases before those databases can be used. An operator cannot approve their own database changes. Any change that affects the routing of a payment will require that another operator approve the database. Optionally, changes to the amount of the payment can also require approval.

Many of your company’s databases will map over to templates within the new ACH, but their status will be Pending Approval. All templates will need to be approved prior to creating a batch. When approving templates, operators have the option to Approve, Decline, or Export the template if necessary. If an operator declines a template, another operator would have to edit the template to put the status back to Pending Approval, thus allowing another operator to approve the template. Please refer to the Authorizations/Approvals section for additional information.

New Feature! Operators have the ability to perform a Basic Search or an Advanced Search option within a template. A template name can be entered within the Basic Search. The advanced search options include: Template Name, Batch Type, Description, ACH Company Name, # Credits, # of Debits, Total Amount of Credits, Total Amount of Debits, and Status. At least one field is required when performing a search.

Addenda Information

Addenda information only available within a certain applications.

Addenda is an optional field and not required. Addenda is typically information that would be sent with a (CCD) payment to corporate, business or government entities to help them apply the payment and the receiving financial institution may assess a fee to those receivers for addenda records. Addenda record sent with (PPD) entries to individuals or consumers are typically not displayed or shown to those receivers by their financial institution. Please note: For the ACH conversion, the Addenda field must be filled with text for Vendor Payments to the Cash Disbursement service. PNC will run a code to populate blank fields or fields containing only a space with an asterisk (*) to ensure a successful import. After conversion, it is recommended that the asterisk be changed by you prior to initiating a payment. The information on the addenda should be compliant with EDI remittance standards.

Not Available New Feature! Domestic ACH (IAT DR/CR) This application allows compliance with the NACHA Rules related to foreign funding or movement of ACH entries cross-border. This allows you to originate an U.S. dollar entry that is released into the ACH network. You must have the receivers address and other information to populate the 7 required IAT addenda records. A valid U.S. ACH receiving financial institution transit routing number is required to create this entry.

Tax Payments Tax Payments are consolidated into one application, which can be used for the various government units and authorities.

Your Current ACH... Will Become This... Tax Addenda Tax addenda are inputted within

the Database Detail page. Tax addenda is equivalent in the new ACH system. However, there will be updates at a later date to the addenda information, which will require your attention. Fields may look different, but it will function the same. There will be messages within the tax template regarding the actions that require your attention prior to creating a batch.

Zero Dollar Transactions

Zero dollar entries are only allowed for Tax Payments and Child Support Payments when the Zero Amount Due box is checked off within a database.

Zero dollar entries are allowed for all applications. However, CCD Applications types will be processed for ONLY Tax Payments and Child Support Payments. If you include a zero dollar entry in a PPD application once the batch is created, the transaction will not be included in the batch.

EFTPS Payments All Federal Tax Type Codes (EFTPS) are found within the EFTPS application.

The option to save a freeform batch as a template is not available.

Freeform batches can be indicated to save as a template for future use.

Confidential Function

Not Available A Confidential option is not available.

New Feature! An operator can indicate a Confidential option within a template or batch. Only those operators with the Confidential entitlement can view, manage, create, modify, and approve these transactions.

Authorizing (Releasing) a Batch

All batches must be Releasedin order to process. Creator cannot release or unrelease a Batch - This is an optional setting to prevent an operator from manually releasing an ACH batch if that user was also the user who created the batch.

Separate Create Batch and Release Batch - This prevents the transfer from being automatically released. For companies with Validator assigned, all batches created must be released by another operator. For companies without Validator assigned, the operator who creates the batch can release their own batch for processing (unless the company has requested that all batches require another operator to release).

All batches must be Authorized in order to process. As a default, all companies are established with a security setting which prohibits an operator from authorizing their own batch. However, companies can set their own tiered authorization levels and/or self-authorization levels within the Authorization Profiles section of the ACH module*. * Freeform batches will always require another operator to Authorize prior to processing, regardless of the self-authorization levels set within the Authorization Profiles section.

Declining a Batch Not Available Batches can be unreleased. However, declining a batch is not an available option.

New Feature! Authorizers can choose to Decline a batch. The decliner can enter a reason for more information.

Editing a Batch Before a batch has been Released: Once a batch is created, it cannot be edited. However, a batch in an Entered status can be deleted and recreated with the correct information.

Before a batch is Authorized: A batch can be edited prior to authorizing. For batches created from a Template, the effective date, status, and/or amount can be edited.

Editing a Batch Your Current ACH… Will Become This… After a batch has been Released: Once a batch is released, it cannot be edited. However, it can be unreleased, as long as it is in a Released status, to revert the status back to Entered. Batches in an Entered status can be deleted and recreated with the correct information. Batches that show Submitted cannot be edited through PINACLE®.

After a batch has been Authorized: Once a batch has been authorized, it can be edited (as long as it is in an Authorized status), by utilizing the Unauthorize function. This will change the status to Pending Authorization. A Pending Authorization batch can be edited with the correct information and Authorized again. Batches in a Processed status cannot be edited through PINACLE®.

Before a batch has been Released: A batch in an Entered status can be deleted prior to releasing.

Before a batch has been Authorized: A batch in a Pending Authorization status can be deleted prior to authorizing.

After a batch has been Released: If a batch is in a Released status, it can be unreleased, which will change the status into Entered. Batches in an Entered status can be deleted. If a batch is in a Submitted status, it cannot be deleted through PINACLE®.

After a batch has been Authorized: If a batch is in an Authorized or Declined status, it can be deleted. Batches in a Processed status, cannot be deleted through PINACLE®.

Deleting a Batch

Operators can delete one batch at a time.

New Feature! Operators can delete multiple batches at the same time.

For those Entered status batches that are deleted, it will be removed from the Batch List.

Deleted batches will not show within the Batches screen. However, deleted batches will appear within the Reports section.

Reversing a Batch Reversals are available for those companies with the Reversal application assigned. A new batch can be created using the Reversal application or an entire batch can be reversed from the ACH Batch List.

New Feature! Reversals can be sent when duplicate or erroneous entries have been released into the ACH network. Reversals are available once a batch is in a Processed status. A reversal can be done, within 5 days from the effective date, to an entire batch or to one or more transactions within a batch. The reversal options are located within the batch details page. A reversal batch creates new entries for the full amount of the original entries, and they would be the opposite type of the original entries. (e.g. an original ACH debit to the receiver would generate an ACH credit) Keep in mind that although a common network entry, reversals are not guaranteed by the receiving banks and may be returned. Also, the ACH Rules require you to notify the receiver that you are reversing the original entry. This must be done no later than the settlement date of the reversal. Tax payments and ACH Bulk Load batches cannot be reversed.

History Activity within a Batch

Not Available There is no History function within a batch. The Audit Report can be used to view operators’ actions within the ACH module.

Viewing the Batch List and Batch Report Batches in a Submitted status will remain on the Batch List for 30 days. The Batch List displays the ACH Company Name, Application, Effective Date, Sequence #, Database Name, Status, Total Credits, # Credits, Total Debits, # Debits, # Prenotes, Date & Time, and File ID. A report displaying detail can be generated by selecting the batch(es) and clicking Batch Report. The Batch Report can be sorted by ID, name, or descending order. There are no search options within the Batch Report.

Receivers Receivers are transactions, within a template or batch, which contain the name, ID, account type, and banking information. They can be manually keyed into a template, batch, or retained within the Receivers section of the module.

New Feature! CTX batches can be uploaded through Bulk Load and all addenda records will be sent on through to the ACH network. Note: On the '6' entry record, there is an edit for the Number of Addenda Records field (positions 55-58). The number or count in that field needs to be the same number as the physical addenda records that follow the entry.

Authorizing a batch from an ACH Bulk Load

Batches require another operator to release. The operator who creates a batch through Validator cannot release their own batch. Another operator must release the batch.

Companies without the Validator function can request batch approval turned on/off. Creator cannot release or unrelease a Batch – This is an optional setting to prevent an Operator from manually releasing an ACH batch if that user was also the user who created the batch. Separate Create Batch and release Batch – This prevents the transfer from being automatically released.

As a default setting, ALL batches created require a different operator to authorize. For batches created from templates, tiered and self authorization options can be set by the Administrators or by operators with the Authorization Profile entitlement assigned. Please Note: Freeform batches will always require another operator to authorize.

Authorization Profiles

New Feature! An Authorization Profile is a collection of Authorization Rules that can be applied to a Batch Type. Each Authorization Rule specifies how many different operators must authorize a batch before it will be processed. These tiered approval options can be set by the administrators or by operators with the entitlement assigned. Tiered authorizations can be set for certain batch types. Whatever level that is set will affect all operators within your company. Tiered Levels:

Fixed - Specifies the number of operators, between one and three, required to fully authorize a batch.

Variable - Specifies the number of operators, between one and three, required to fully authorize a batch based on the value of that batch.

New Feature! The system requires that an operator, other than the one who created or last edited a batch, authorize the batch. However, the system allows you to override this rule in certain circumstances. Each Authorization Rule has an Authorize Own Batch feature that applies to batches created from templates. You may specify that the creator or last editor of a batch that was created from a template authorize the batch in the following scenarios:

- Never - No operators can authorize their

own batch. The “Never” setting is the default upon conversion to the new ACH module.

- Allow when batch is unchanged - Operators can authorize their own batch only if the batch information remains unchanged.

- Allow when the receiver amount, status, addenda and/or entry type are changed - Operators can authorize their own batch if the receiver amount, status, addenda, and/or entry type are the only sets of information changed.

Authorization levels changed within this section will affect all operators within your company. These settings apply to batches created from templates. Some of these settings are not applicable to certain batch types. All batch types are listed, but will be grayed out if it is not applicable.
