Symptom Follow Up Workflow

Impacted User: All Users

A report as well as a telephone encounter will be used to assist in documenting the follow up of

reactions to the COVID-19 vaccination. The columns represent dose 1 or 2, and day 2, 5, 10, and 15.

Locate the My Reports Button

1. Click on the My Reports button found at the top of the chart in the Epic row.

Search for the COVID-19 Vaccination Allergic Reaction Report

2. Click on the Library section.

3. In the search field, type covid vaccine and press Enter.

4. Locate the appropriate department for COVID Vaccine CipherOutreach.

Note: Each report is department specific.

5. Click the Star to add to your favorites.

Note: Once a report is added to your favorites, the report can be easily run from the My Reports

section without needing to search for the COVID Vaccine Appointments Report each time.

Run the COVID Vaccine CipherOutreach Follow Up Report

1. Click on the Run button.

2. Click on the Load All button at the right lower corner of the report to have all patients listed.

3. Locate the column header [D1-D2] which stands for Dose 1 – Day 2.

Create Filters for Required status

1. Click on the Filters button.

2. Check the column name you wish to create a filter for.

a. Ex: D1-D5 (abbreviated for dose 1, day 5)

3. Check the Required box.

4. Click Apply.

Save Filters

5. Click on the Star.

6. Click Save View.

7. Type a name of the filter that is easily identifiable for each column.

8. Click Accept.

9. The filter is now saved and will display each time the report is run.

10. Repeat steps to save additional filters. Additional columns will need additional filters.

Create a Telephone Encounter from the Report

11. Click on the down symbol next to Encounters in the report tool bar.

12. Click on Telephone Call.

13. Enter = symbol and press enter. This will enter your name in the provider field.

14. Click Accept.

Navigate the Telephone Encounter

15. Click on Reason for Call.

16. Type COVID-19 Vaccination in the search field.

17. Click Close.

Document Telephone Encounter Note

18. Locate your note pane in the right column.

19. Click on the SmartText search icon.

20. Type 127416 in the search bar.

21. Click the Star to favorite the COVID19 VACCINE TEL ENC FOLLOW UP SmartText.

22. Check the Favorites Only box at the bottom left corner.

23. Click Accept.

24. Left Click at the beginning of the note to place cursor at the start of the note.

25. Press F2 to quickly navigate the note to enter needed information.

Note: UPSH COVID VACCINE CIPHER OUT REACH RESPONSE FOLLOW UP in the note must

be selected to update the Cipher report in Reporting Workbench and to change the status

to “Completed.”

26. Click Accept.

27. Click Sign Encounter.

28. Once the note is documented the status will change to Completed and the patient will be

filtered from the report when the required documentation filter is applied.

Save Reason for Call Speed Button

Note: You will only need to create this speed button once.

1. Click on the wrench.

2. Type in Covid-19 Vaccination in a blank space under the Reason for Visit column.

3. Click Accept.

4. Click on the speed button each time when documenting a telephone encounter for reason for

call to auto-populate.

5. Click on the wrench.
