  Creating a New PowerPoint Presentation File

1. Start by opening PowerPoint. Click on the PowerPoint application icon on the dock, or open the Finder, click on the Applications directory, then locate and double click on the PowerPoint application icon

  

 

2. Create a New Presentation by clicking on the file drop down menu and selecting New Presentation

Guidelines for Creating The PowerPoint Presentation

3a. For the slide design, choose   theme with a dark background and ligh  text that is hi

at

gh contrast and easy to read

3.  While adding content to your PowerPoint presentation, follow these guidelines so that the resulting slides will be optimized for viewing on a portable media device, with a small screen, such as an iPod. 

*Add your script for your podcast to the notes pane below each of the slides.

3b. Use a font size that is a minimum of 32 pt and keep the number of bullet points to no more than six per slide

 

3c. Keep images and text at least one inch from the bottom of the slide

 Saving and Printing the PowerPoint Presentation

      

  

4.  Once you are finished creating your presentation, click on the File drop down menu at the top left of the screen.  Click on Save As and save the presentation to your desktop.  Make sure that PowerPoint Presentation is selected in the format drop down menu and that the file extension shown at the top of the window is .pptx

5.  After you have saved your presentation, print a copy of the slides to use as a guide for your narration in Garageband.  To print, click on the File drop down menu and choose Print.    The Print window will appear.  Under the ‘Print What’ drop down menu, choose Notes.  Then click the Print button.  If you write a script ahead of time for each slide in the notes pane (underneath each slide in the PowerPoint application), your recordings will go much smoother.

Converting the PowerPoint Slides to Images

6.  Now you will convert the slides into individual images.  Click on the File drop down menu and choose Save As.  The Save As window will appear.  In the drop down menu next to Format, choose PNG (Portable Network Graphics).  Click Save.  This will create a folder, with the same name as your PowerPoint file that contains images of each of the slides in the presentation

7.  You are ready to start working in Garageband.  To open Garageband, click on the guitar icon on the dock or click on the Finder, then on the Applications directory.  The guitar icon to launch Garageband is located here as well.  Double click to launch

8.   If an existing Garageband project opens, close it by clicking on the red circle on the top left of the window.  The Garageband screen will open, click on New Podcast Episode

9.   You will be prompted give the Garageband project a name. The filename should include your name, an abbreviation of the assignment and the date (Example:  teradoty_createenhancedpodcast070107_exs297).  Do not use capitals or any characters other than an underscore in the filename.  By default, Garageband will prompt you to create the file in the Garageband folder under the Music directory.   If you are working in the mac lab or multimedia room, save to the Storage drive.  Click the create button.  Eventually you will put a copy of this file on your share drive or an external storage device.  DO NOT EVER EVER LAUNCH YOUR GARAGEBAND PROJECT FROM THE NETWORK DRIVE OR FROM A FLASH KEY OR THE FILE WILL BECOME CORRUPTED AND YOU WILL HAVE TO START OVER.

     Recording Your Narration in Garageband

 

11.   Using the script on your print out of your presentation as a guide, you will now start recording audio.  Click on one of the voice tracks and then click the red record button.  At the end of the script for each slide, stop the recording by clicking on the record button again or pressing the space bar on your keyboard. **Save often!** 

10.  The Garageband interface will appear. At this point, you should check the Garageband preferences to make sure that the correct audio input device is activated (Garageband Menu<Preferences<Audio/MIDI ).  Click on the drop down menu to change the Audio Input device if you are using an external usbmic

12.   As you finish recording each audio segment (for each slide) click on the audio region and change the name in the Track Editor pane at the bottom of the screen **Save your file often!!**

13.   Once you have finished recording all the segments, click on the finder window and then browse to the folder on your desktop that contains the images of your PowerPoint slides.  Position the window so you can easily access both Garageband and the images

14.   In Garageband, click on the Podcast Artwork Track 

  

15.   Click and drag the image of your title slide to the episode artwork window in the Track Editor 

   

16.   Double click the episode artwork window to resize and reposition the image.  Use the slider at the bottom of the window to resize, click and drag the image in the window to reposition it.  When you are finished, click the Set button

17.   Now, drag each image of the slides on to the Podcast track so that it lines up with the beginning of each of the corresponding audio regions 

   

18.   Because this is an enhanced podcast, these images will act like chapter marks on a DVD.  Click on each image in the Track Editor and add a Chapter Title.  You can also add a URL Title and a URL (web address) on each image.  You must give each image a chapter title or the chapter marks will not work.  When the file is played back in the iTunes application, users can click on the links in the images and the websites will open in their default browser application (for example, Internet Explorer)

Exporting a Podcast Ready Copy of Your Presentation from Garageband

  

19.   To resize or reposition an image, double click on the image in the track editor.  Resize by using the slider at the button of the window.  Reposition the image by clicking and dragging it into place.  When you are finished, click the Set button

20.   Save your Garageband project again

21.   Now you are ready to produce to the podcast ready file.  Click on the Share drop down menu on the top of the screen and select Export to Disk

22.   Browse to your desktop and save the file.  Exit Garageband.

24.   Your iTunes application will launch and the podcast file will play it back in iTunes.  To test the Chapter Marks click on the Chapters drop down menu at the top of the iTunes application window.  You will see small versions of your images with the corresponding Chapter Titles. Click on an image.  The image should change to the one you selected and the audio playback should start at the corresponding point in the file

    

25.   Your assignment is complete and you are ready to upload it to iTunesU.  Remember to put a copy of your Garageband project and the podcast file on an external storage device, such as a flash drive, or put a copy on your share drive.  When you are ready to work on the Garageband project again, drag it from its storage location to the desktop.  DO NOT OPEN IT FROM THE NETWORK DRIVE OR FROM A FLASH DRIVE.
