ORACLE TIME & LABORAll the tables related to OTL are called Time store tables.

Usually time is tracked for an employee in various methods like swipe cards, time card entry, time sheets etc.

In Oracle OTL is interfaced mainly with two modules Payroll and Projects.

Time and Labor is implemented in 3 ways:

1. OTL Self Service ( In this setup employee is allowed to enter the details)

2. OTLR (Oracle Time and Labor Rules, this is done by the HR Manager or the Application Developer of the Time and Developer Responsibility and all the Time and Labor rules are predefined here)3. OTLR with Self Service.

OTL SELF SERVICE

The required responsibilities to implement and setup OTL Self Service are 1. OTL Application Developer.

2. HRMS Manager.

3. Employee Self Service.

4. Timecard Approver or Mass Timecard Approver (These two responsibilities are used by different users).

Before you setup, first create a responsibility (US OTL Application Developer)Now go to Profiles/ System/ Attach the Business Group here and set the system profiles (using HR Business Group and HR Security Profile).

Now for the Employee Self Service, go to the User/ attach a person to this user (because for setting up ESS it requires a user with a person attached to this user).

General OTL Process.

TIME CARD:

Go to OTL Vision/ Time Entry/ Click on Create Time Card.

In the Time Card template the Hour Types are normally the elements in the Payroll.So, you have to map the elements in the Payroll to OTL Time Card.

To map the elements,

Go to Application Developer/ DFF/ Segments/ Mention the details here,

Title: OTL Information Types

Create an entry here as shown below.

Now in the information types the elements described are displayed with the code as element name _ element_type_id.

Now Query for OTL Alternate Names in the DFF segments

The alternate names give the details of the alternate names used for the Elements described in the Payroll and that are displayed in the Hour Types of the Time Card.The alternate elements described are generally classified as Payroll Elements as shown below.

The two parameters for this context DFF Alternate Names are Payroll_Element and the Identifier as shown in the form below.

Now to describe the elements,

Go to Total Compensation/ Basic/ Element description/ define an Element here as shown

Now click on Input Values and add an input value Hours with unit as hours here (The input value is usually hours because the time entry is measured in hours). Make this input value as a Database Item as shown.

Create another element for Overtime element as shown.

Click on the Input Values and create an input value Hours as shown.

After creating the element, create an Element Link for all the elements that are described as shown.

Now group all the elements defined above by creating an Element Set. The grouping of the elements is done to map them to the OTL.Go to Payroll/ Element Set/ Type: Run Set

Click on Include elements and include the elements that are created, in the element set here.

Create an element set as shown.

Now after creating the element set, create an entry in the OTL information types manually or run the concurrent request from the OTL Application developer.Request Name: Generate Flexfield and Mapping Information.

Parameters are Delete definitions, Element Set, Effective date and all the KFF definitions.Set delete definitions to NO (If you set it to yes

And give the Element Set name and the effective date and if required give the details of the KFFs as required as shown in the form below.

Now we have created the elements and the mapping to the OTL.

DEFINING TIME CARD ON A WEEKLY BASIS

Now, in the first setup we define the Timecard on a weekly basis.To define the Time Card go to US OTL Application Developer Responsibility and define the recurring period as week.

Go to Recurring Periods, mention the Name and define the Period Type as WEEK and mention the start date as shown. If you want to create the Time Card to start form MONDAY you have to mention the start date on MONDAY.

After defining the recurring period and mentioning the Time Card on weekly basis, you have to transfer the time card data for approval.

In the setup you have defined the recurring period as weekly but you want the time card to be approved by the approver (Supervisor or Manager) on a Monthly basis. So for this you have to create the Approval Periods.To define the approval periods,

Go to OTL APPLICATION DEVELOPER RESP/ Define Approval Periods.

When you define the Approval Period, you have to mention the Recurring Period and the Application through which the Approval is done. The approvals could be done by different application like Payroll, HR Manager Etc. So in the approval periods you have to mention the recurring period and the application as shown.

Now we have defined many elements and created the element set and mapped them to the OTL, but you want to display the User only user friendly names on the time card and also different users have different set of elements displayed on their time cards, so different user have different set of elements and displayed names, this could be done by defining the Alternate Names.

Go to US OTL Application Developer/ Go to Alternate Names Definition and mention the details. Give the Name and mention the other details,

Alternate Name Type: OTL ALTERNATE NAME DFF CONTEXT

Type Name: Payroll Elements (In this type list the expenditure elements are for the Projects).

Prompt: Define your own.

After defining these definitions, give the alternate name and then it should be mapped to the corresponding element through values.

The Values is a combination of Element Name. Identifier as shown.

After defining this check the Enabled button.We have already defined the Element sets in the Payroll, so by default OTL creates two alternate name sets with the same element set name one for Enabled and other for Disabled (You can use these sets also and rename them or you can define your own Alternate Names).

The general Time Card looks like the template shown below.
