An Overview of Transcripted Credit

Students who earn college credit while in high school have the opportunity to adjust to college learning

expectations in smaller doses. These opportunities can add to the students’ success when they make the

transition to full-time higher education academics.

Transcripted Credit is a method for technical colleges and high schools to partner together to deliver seamless

instruction to high school students, providing them with the opportunity to enroll in and complete associate

degree and technical diploma course work while fulfilling high school graduation requirements. Chippewa Valley

Technical College (CVTC) and high schools enter into formal agreements which are reviewed annually.

The college Transcripted Credit course is delivered at the high school by the high school instructor. All student

learning outcomes, course rigor, resources, and software/equipment (if required) used are agreed upon as

equivalent and must be followed. A Transcripted Credit service agreement is written between the high school and

CVTC. Students enroll in and complete a CVTC college course which is taught by a CVTC certified Transcripted

Credit high school teacher at the high school. For more information on how to become certified to teach a

Transcripted Credit Agreements have a two prong approval (1) individual teacher certification and (2)

verification of the delivery of CVTC course curriculum. Agreements are reviewed annually and do not

automatically roll over from year to year.

Initiating Transcripted Credit Opportunities

CVTC offers Transcripted Credit to public and private high schools. All requests for Transcripted Credit courses are

assessed on an individual basis.

High School Teacher

High school teachers interested in offering new Transcripted Credit courses should attend the annual Trancripted

Credit Workshop for the course(s) they are interested in teaching. High school teachers are required to attend

face-to-face Transcripted Credit Investigation meeting(s) following their request to have their curriculum verified.

Contact the K-12 Relations Coordinator to confirm your interest and for meeting information.

If a CVTC instructor would like to explore the possibility of offering or developing a new Trancripted Credit course,

they should work in conjunction with their K-12 Relations Coordinator.

Courses Offered for Transcripted Credit

CVTC Courses for Transcripted Credit

CVTC transcribes a variety of introductory courses. The Courses Available for Transcripted Credit guide provides

high school teachers with a document that lists current courses for Transcripted Credit, and is organized by

Wisconsin’s 16 career clusters. This guide is updated annually and is always a work in progress. Go to

www.cvtc.edu and click High School Staff, located at the very bottom right of the CVTC homepage and select the

Courses Available for Transcripted Credit for the complete and most up-to-date document.

Course Differences

CVTC’s Transcripted Credit curriculum seldom “fits” perfectly into current high school course offerings and/or

class time. There are instances in which transcripted credits for some college courses require the entire year (two

semesters) and others that require the high school to include “extra” curriculum. Extra curriculum is the

responsibility of the high school.

Grading Scale

CVTC does not have a standard, college-wide grading scale but rather each course follows a specific department

scale.

Grading Criteria

Each course follows specific department criteria, e.g., tests = %; assignments = %

For the college transcript, the college’s grading scale and criteria must be followed with grading based upon the

college-required curriculum only.

High School Teacher Requirements for Transcripted Credit

Transcripted Credit Teacher Eligibility

High school teachers must meet CVTC qualifications as established for specific instructional areas, by the Higher

Learning Commission (HLC) Dual Credit and Qualified Faculty Guidelines. These qualifications include:

Must meet the Higher Learning Commission faculty credentials.

Must obtain CVTC faculty member approval to offer the course in their high school for Transcripted

Credit.

Must attend a one-time CVTC Transcripted Credit Teacher Orientation.

Must attend a yearly curriculum meeting to review any updates or changes to CVTC course curriculum

and Transcripted Credit Certification must be renewed for every teacher for every course every year.

very bottom right of the CVTC homepage.

In cases of long-term subbing for Transcripted Credit courses, the substitute must meet the same qualifications as

the originating high school teacher. This includes the HLC faculty credentials in the appropriate area, as well as

meeting with CVTC faculty and the K-12 Relations Coordinator to ensure that approval has been granted by the

college and the appropriate paperwork is on file.

Transcripted Credit Certification does not automatically roll over from year to year

and is not transferable between teachers.

100% Curriculum Match Requirement

The CVTC course, including its curriculum, objectives, competencies and rigor is taught at the high school.

1. The CVTC course learning outcomes are taught, assessment criteria and grading scale must be followed.

High school teachers are able to keep dual grade books.

2. The textbook, software, and equipment (when applicable) used to teach the course are the same used by

CVTC faculty or agreed upon equivalent.

3. High school teacher must teach 100% of the CVTC course. They are able to add or supplement materials,

but not remove anything.

4. Courses can be taught either in a semester or year-long format, but cannot overlap school years. Transcripted Courses must be face-to-face classroom-based instructor led.

5. CVTC Transcripted Credit grades are due within three business days at the end of the high school class.

They will be entered directly into CVTC’s Student Information System.

Expectations of High School Teachers with Active Sections

In addition to HLC credential and 100% curriculum match requirements, CVTC has several expectations of high

school teachers who are offering a CVTC Transcripted Credit course in their high school. These expectations are:

1. Submit (or currently have on file) a CVTC Transcripted Credit Application to the CVTC Human Resources

office. This application only needs to be submitted once, and will remain on file with the CVTC Human

Resources office.

2. Within the first three weeks of the course a pre-college specialist will visit your classroom to explain

Transcripted Credit and register your students. The high school teacher must register any students who

missed registration and submit drop forms for students who will not receive a C or better no later than

75% of the class duration. Each trimester/semester grade must be a C or better in order to earn

Transcripted Credit.

3. Work with CVTC faculty mentor to ensure that content, rigor and evaluation standards of the CVTC course

are being met. Curriculum must be matched with the mentor Provide a minimum of three updates to

CVTC Faculty Mentor per semester of each class.

4. Submit final CVTC grades to the college, using CVTC grading scale provided by CVTC Faculty Mentor,

within three business days of the high school class ending. Failure to submit grades on time will put

students in jeopardy of not receiving the CVTC credits they may have earned for the course.

5. Meet yearly with CVTC staff to review course curriculum. These meetings are typically held in the spring

semester.

As deliverers of college coursework and credit, high school teachers are required to maintain a connection with

their college instructor partners. High school teachers and college instructors complete an annual review at the

Transcripted Credit Renewal Meeting (held in spring) and maintain a connection to discuss curriculum,

differences, delivery, textbooks, software, etc. CVTC asks that in addition to the yearly Transcripted Credit

curriculum meeting, high school teachers and CVTC instructors communicate in person, by phone or by email a

minimum of three times per semester.

CVTC Expectations of CVTC Transcripted Credit Faculty Mentors

Transcripted Credit agreements depend significantly on the verification of the curriculum and rigor expectations

as well as the professional mentor mentee relationship of the CVTC faculty member and the high school teacher.

CVTC expects the following from our faculty to help ensure the quality of Transcripted Credit agreements. The

expectations are:

1. Attend a one-time CVTC Transcripted Credit Faculty Mentor Orientation and Transcripted Credit Faculty

Mentor Update meetings scheduled throughout the year.

2. Attend the annual Transcripted Credit Workshop (held in the fall), Transcripted Credit Curriculum

Conversation meetings for new agreements, and the annual Transcripted Credit Renewal Workshop (held

in the spring).

3. After teacher credentials are verified, provide information, evaluation, and guidance to interested high

school teachers related to the course curriculum, student learning outcomes, student assessment criteria,

and grading information. Notify the K-12 Relations Coordinator when a curriculum is approved, for every

course and every teacher, every year.

4. Work with assigned high school teachers who are teaching transcripted credit classes to ensure that

content, rigor and evaluation standards of the CVTC course are being met.

____ Contact your assigned high school teachers within the first week of their class to welcome them to the semester and offer your support throughout the course’s duration.

____ Preferably in the spring prior to or within the first three weeks of the course being offered the CVTC faculty mentor must check to make sure that the curriculum and outcomes taught at the high school are still a match to what is taught by the CVTC instructors. This is important due to the fact that curriculum and other resources get updated, instructors change, and we want to continue the 100% curriculum match.

____ Maintain a connection with high school teachers by communicating in person, by phone, or by email three times per semester per teacher. Reaching out to the high school teacher additionally as needed.

____ Answer the high school teachers questions related to curriculum, student assessment guidelines, grading policies, textbooks, software, and equipment.

____ Maintain a quick log of status updates throughout your relationship with each high school teacher, for each course, each year. Keep it as a running journal over the semester. One journal can be used for all your mentees and classes. Submit to the K-12 Relations Coordinator at the end of each semester. The CVTC Faculty Mentor Logbook is attached to this communication.

____ !rrange a visit to your mentee’s school, preferably to present to the class that is Transcripted. This is not required, but highly recommended if possible depending on the number of mentees you have. These high school students may be your future students.

____ Invite your mentee and their students to open houses, career nights, on tours, or any other special events you have that showcase your area.

CVTC asks that high school teachers and CVTC instructors communicate in person, by phone or by email three

times per semester in addition to scheduled meetings.

Related Costs/Expenses of Transcripted Credit

Students receive the credits they earn for free. The only cost to the student is a $6.00 fee if they request an

official CVTC transcript to be sent to another college or university.

High Schools are responsible for expenses related to the teacher’s time and labor required to establish and

maintain the agreement, learn the course, register and grade students and for the district’s purchase of required

textbooks.

CVTC will cover the expenses related to the college instructor’s time and labor to qualify teachers, identify courses

and provide instructional support. The college also covers the expenses related to the coordination of the

Transcripted Credit program, including, but not limited to: high school teacher Transcripted Credit certification for

each high school teacher for every course, every year; to establish, write and maintain the service agreement; to

enter the CVTC high school courses in the Student Information System; to assist high school teachers with

registrations and grading; and to monitor and proofread student records and submit corrections.

Ensuring Student Success

CVTC provides Transcripted Credit opportunities as a means to give high school students the chance to experience college-level academic coursework and rigor. Our goal is focused on student success. We do this by carefully certifying each course and each teacher every year; providing support services to the high school faculty and students, similar to those services provided to other CVTC faculty and students; giving the students the chance to prove their competence under the same guidelines for other CVTC students.

We understand that students may not be successful in their attempts at college-level academic coursework and rigor while in high school. We encourage students to try to take advantage of the opportunity to earn college credits while in high school and we have put measures in place to protect the student’s academic future. In alignment with college registration best practice, students have the opportunity to drop the CVTC credit up until the 75% mark of the class duration if they are not going to earn a final grade of C or better. In addition, we understand that sometimes life happens at the end of a class. If a student’s final grade is a C- or lower, CVTC will convert their grade to a TN (Transcripted Credit Attempted/No Credit). This eliminates the future negative financial aid and good academic standing consequences of an unsuccessful attempt.

How Students Claim Credit Earned

Each summer CVTC sends a letter to students’ homes congratulating them on successfully completing their

Transcripted Credit classes. The letter includes information about how to use the credits at CVTC or how to

request their official transcripts if they choose to use the credits at another college or university. Included with

the letter is an unofficial copy of their transcript so they can see what the transcript includes and share with

family in celebration of their accomplishment.

Students may request an official CVTC transcript by following the instructions on our website, www.cvtc.edu. Log

into myCVTC, go to records & registration/academic records/transcripts. The fee to have official transcripts sent

to another college or university is currently $6.00. Students are also able to view and print additional copies of

their unofficial transcript by following the directions on our website, www.cvtc.edu. Log into myCVTC, go to

Recommended Text for High School Course Description Guides

Many high schools like to advertise courses allowing students to earn Transcripted Credit in their course

description guides or handbooks. Please keep in mind that Transcripted Credit Agreements do not automatically

roll over from year to year. Course description guides should reflect this. CVTC recommends the following text be

included in course description guides for courses that are eligible for Transcripted Credit:

“Transcripted Credit is awarded for this course pending CVTC Transcripted Credit !pproval/!nnual Re-approval

process. In addition to receiving high school credit, students who earn a C or better (each trimester/semester

grade must be a C or better in order to earn Transcripted Credit.) will have grades posted to an official technical

college transcript and tabulated in the student’s technical college GP!.”

Accommodations for Students with Disabilities in Transcripted Credit Courses

Students who receive accommodations or modifications at their high school are also allowed to receive

accommodations from their high school for transcripted credit courses following CVTC’s guidelines.

Accommodations could include:

1. Students are able to receive extended time (up to double), reduced distraction environment, or use of a

calculator or electronic speller. Other testing accommodations could include the use of ear plugs, breaks

during testing, paper/pencil or oral tests.

2. Teachers are not allowed to eliminate answers on a test, or provide a work bank.

3. Test questions can be read, but NOT explained.

4. Students are not allowed to use notes on tests, unless this is something that is being provided to the

entire class.

5. Students are able to receive and study from class notes from a classmate or lecture notes from the

teacher.

!ny accommodations provided are based on the individual student’s IEP with documentation to support the

specific accommodations used. If you have any questions regarding accommodations for transcripted credit,
