Chapter 1

Overview

Documentum D2 is a web-based application that enables users to store, retrieve, and managedocuments in a Documentum repository. It is highly customizable through a configurationapplication that does not require programming knowledge.

Documentum D2 consists of the following components:

D2 Configuration: The configuration application that enables you to configure settings forsecurity, workflows, document classification, and the client user interface.

D2 Client: The main application that is used to interact with documents in the repository.

D2 plug-ins can be used to add interoperability with other Documentum applications. Plug-incompatibility, page 33 contains a list of supported plug-ins.

Installer Updates

Updated Installer

The D2 Installer now automatically runs the added plug-in installer .jar files, activates the plug-insfor D2, and automatically deploys the DAR files. You can also use the plug-ins installer .jar files toautomatically deploy the plug-ins at a later time.

Note: You can also deploy the DAR files manually.

New Configuration Utility

The Configuration utility that is run post installation helps you automate the configuration steps. Thenew configuration program implements an option to configure Lockbox on:

Content Server/ACS

D2/D2-Config Application Server

D2-BOCS Server

Other Application Servers

There is no limit on the number of times you can run the utility. If you deploy D2-BOCS later, youcan run the configurator to set Lockbox but you must ensure that you use the same D2 Methodpassphrase that was used for the creation of Lockbox in Content Server.

If you select a folder that already has a Lockbox, the configurator asks you whether you want toupdate the Lockbox. By default, the Yes option is selected. If you do not choose to update theLockbox, the configurator will exit without making any changes on it.

D2 Specifications

D2 Specs Comparisons Support

Support for specs comparison is included in this release. The D2-Config Specifications plug-inprovides the following benefits:

Allows you to generate PDF report to provide technical specifications of D2 applicationconfigurations.

Allows the comparison of two different D2 specifications reports to find discrepancies andvalidate that the same configurations are being used.

Evaluates the results based on the first configuration selected for the comparison. Differencesbetween the two configurations are listed as tables, organized by types and modules.

D2 Specs with 4.x Configuration

D2 Specs configuration document now includes features for D2 versions 4.0, 4.1, 4.2, and 4.5.

Security Enhancements

HTTP Strict Transport Security Configuration Option

D2 introduces an opt-in security enhancement through the use of a special response header. Thisheader informs the browser that all subsequent requests (within the specified maximum age timewindow) must use HTTPS.

Following parameters allow you to implement this option:

Parameter Description

hsts.maxage Specifies the maximum age time in seconds. For example,hsts.maxage = 31536000.

hsts.redirectUrl Specifies the optional redirect URL used to direct the useragent to the HTTPS request.

Under settings.properties, set hsts.redirectUrl to required HTTPS URL.

Note: D2 does not perform any check on the value whichyou have specified for hsts.redirectUrl. Hence,ensure that you specify a correct value. An example of avalid URL is https://hostname:port/path.

Note: This feature is not supported by Internet Explorer 11 and earlier versions.

Expanded SSO Support

The SSO integration is enhanced with additional support for the following security providers:

Active Directory Kerberos v5 Single domain

Multi-domain

Note: Webshere is not supported.

Upon logout, users are redirected to a custom URL. These enhancements provide the followingbenefits:

Reduces the number of steps to access D2 helps improve user efficiency.

Centralized accounts management with UID and passwords enables corporations to complywith security regulations.

No need to remember more than one login credential. This facility reduces the risk of forgettingpasswords which further helps to reduce IT support costs.

Decreases the risk of password leaks by eliminating the need for users to manage a passwordfor every application.

Enhanced Faceted Navigation Capabilities

Enhanced faceted navigation capabilities and a refreshed user experience now enable easier contentdiscovery and consumption. These capabilities provide the following benefits:

Search results refined in a new, dynamic, and scrollable facet widget allows you to search for andconsume content quickly and easily.

Best search and retrieval practices can be collected, centralized, easily implemented, andimmediately released enabling you to be more productive.

Easy refinement of the result list enables you to easily find all the relevant documents groupedtogether. This facility reduces selection time and speeds up the decision making process.

A breadcrumb trail above the result list widget dynamically displays the facet selection in theorder used for search refinement. Breadcrumbs give you the flexibility to visually overviewinformation retrieval including the relevance and importance of the retrieved information.

The refreshed UI helps you to be more at ease and productive.

Search Functionality Enhancements

Improvements in the search functionality include the following:

A quick search toolbar in the Document List and Thumbnail widgets that enables quick searchcapabilities.

Ability to hide the search tool bar from the Doclist, Docgallery, and SearchWidget widgets.

Query form enhancements that enable you to use the advanced search option with facets.

Refreshed User Experience

The UI is refreshed with the following changes:

The Restore session checkbox has been removed from the Login dialog box. It is now availableas part of the default user settings, providing a centralized and streamlined user managementexperience.

Updates to the layout region enable you to resize, collapse, show, and expand a workspace region.

For D2 Client, option to set the default column preferences.

Ability to provide a user friendly name for the repository.

Workflow Enhancements

Multi-Document Support in Workflows

Increased flexibility of workflows enable you to send multiple documents in the same workflow. Thisfeature significantly reduces the workflow configuration effort by eliminating the single-attachmentpolicy. An intuitive browser dialog helps you add documents that are spread across in a repository.You can also add attachments in a running workflow.

Approval of documents in a single workflow can be done with a single click. Whileapproving/rejecting documents, you can also add reference documents as attachments.

Graphical Workflow Display Widget

The new Graphical Workflow widget provides a graphical view of the workflow. This view enablesyou to:

Quickly determine where in the workflow process a current task is with respect to the entireworkflow.

Visually determine the workflow steps and how they flow.

Quickly determine the current status of a task in a workflow and the upcoming steps.

Customized Workflow Task Label

When configuring a workflow, you can now customize the custom task action labels for the workflowtasks Accept and Reject. The customized labels will replace the default Accept and Reject labels.

Better Collaboration When ReviewingDocuments

The new context menu Annotate with native Annotations enables you to edit a document withnative annotations while viewing annotations from other reviewers. Being able to view previouscomments before adding new comments allows you to collaborate better with other reviewers andalso provides an efficient and streamlined workflow approval process.

Improved Content Transfer Performance

Improved content transfer for local and remote users provides the following benefits:

Re-architecture of D2-BOCS implementation dramatically improves the upload and downloadperformance with C2 and O2 plug-ins.

End users can now explicitly choose their BOCS network location when they log in, which ensuresthat they are accessing the nearest network location.

D2 Parallel streaming download from ACS or BOCS expedites the delivery of very large contentfiles.

Automatic Delegation with Delegations Widget

The new Delegations Widget enables you to create and manage delegation configurations. Thisfeature provides the following benefits:

Allows you to control the absence time, assign, and re-assign duties and responsibilities.

D2 Config settings allow administrators to manage users who may create delegations for otherusers. This flexibility increases the overall security and significantly lowers the administrationcosts.

Improved Information Reuse BetweenRepositories

You can login to multiple repositories and use content by performing actions such as copy/paste,drag/drop, search, and so on. This feature provides the following benefits:

Increases information reuse across repositories.

Minimizes duplication of information across different repositories when linking content.

Simplifies content management because it resides in a single location.

Syncplicity Connector 1.1 Support

You can initiate the review and revision of documents through Syncplicity Connector 1.1 forDocumentum. This feature provides the following benefits:

Extends the user space by allowing you to share a folder directly from the D2 User Interface.

Empowers users and increases the collaboration effectiveness by providing multiple sharingprofiles (publish, publish and revise).

Provides extensive publishing configuration options such as object types, formats, renditions,users, and permissions (editor, reader).

Deep Folder Import

You can now import a folder structure including the folders content and subfolders from your localhard drive into a Docbase. The new configuration option Folder structure import allows you tocreate the folder structure import setting. This feature provides the following benefits:

Reduces the time users spend importing content from a directory with multiple subfolders.

Accelerates the adoption of D2 by organizations that rely on hierarchical information.

Folder Structure Conversion to VirtualDocuments

The option to configure the structured folder import for the creation of a virtual document enablesyou to effortlessly create virtual documents from a folder tree or for any folder structure.

Virtual Document Inheritance

D2 now enables you to create virtual documents from existing Virtual Documents or VirtualDocument templates, providing the following benefits:

Ability to inherit the entire Virtual Document structure/template during creation accelerates theadoption of D2 by organizations that rely on repeatable information structure.

Reuse of information structure by using Virtual Document templates.

Enhanced D2 Intelligent URL Capabilities

D2 Intelligent URL enhancements include the following features:

Displays a dialog prompt if a document has a new version. This feature enables end users toquickly ascertain if the link points to the current content or not.

Access to the latest information which is important for every ISO certified organization.

Direct access to content without the need to go through the D2 UI minimizes training needs forusers who do not need to navigate and use the D2 UI functionality.

Easy control of the action taken on a document via the D2 Intelligent URL action commandssuch as view, edit, and so on.

Centralized Default User Settings

You can now centralize the configuration of the following default settings for users:

Temp location for viewed files

Location for checking out files

Date and time display

Date input format

Language

Default Workspace

Login settings to allow administrators to set the default behavior of the restore session.

Menu position

List items per page

Subscription events and other email notifications

The pre-configuration of the default user settings provides a centralized, streamlined usermanagement and corporate-wide user experience.

Drag and Drop from D2 to Desktop

This feature, based on the ActiveX control, enables you to quickly drag one or more documents fromD2 to your local desktop or into an Outlook message as attachments. The familiar drag and dropaction minimizes the training time.

32-bit and 64-bit IE versions 9, 10, and 11 support this feature.

Note: The D2 ActiveX control is based upon the WDK ActiveX Control and as such requires that theWindows login account have administrative privilege on the client machine in order to be installedand registered by IE.

Improved 508 Support

Improvements made to the 508 compliance around the section Web-based intranet and internetinformation and applications (1194.22) makes D2 more accessible to people with disabilities,allowing them to take advantage of D2 capabilities and making them more effective in their job.

Improvements around the section Functional Performance Criteria (1194.31) provides moreconsistent keyboard support throughout D2, allowing faster navigation and processing ofinformation.

Updated D2DownloadService.checkin() Method

The D2DownloadService.checkin() method signature has been changed to allow its addition to theIDownloadService interface. The D2 Java Doc provides the details.

Right-To-Left Language Support

D2 provides support for right to left languages. D2 switches to the RTL (right-to-left) mode if the textflow for the language specified in the locale is right to left. Dialog boxes, tabs, icons, are all alignedright to left. Widgets are also positioned right to left. The RTL language support helps minimizethe training and language related support costs associated with users who are familiar with onlythe Left-To-Right languages.

You can force D2 into the LTR or the RTL mode regardless of the locale by adding RTL to theURL: http://localhost:8080/D2/?RTL. D2 aligns the text to the right regardless of the language textflow direction.

Authentication Software Compatibility

The web application server can use the following authentication protocols:

Kerberos: Requires Kerberos V5 1.6.3.

In D2 4.5, Microsoft Active Directory 2012 supports Kerberos SSO.

NTLM: Uses Microsoft Active Directory (built into Windows).

To enable this authentication system, the server must have Microsoft Active Directory, and the Clientmust have Microsoft Windows 2003, XP, Vista, or 7 and Internet Explorer 9 or later.

Chapter 4

Installation and Upgrade

The instructions for installing the product are provided in the EMC Documentum D2 Version 4.5Installation Guide. To upgrade D2, install the new D2 version over the previous one.

Caution: If you have custom methods, jobs, or plug-ins that call D2 classes using eu.c6, beforeupgrading you need to update those objects and use com.emc. D2 Release Compatibility,page 64 describes this limitation.

Ensure that your system meets the requirements listed in Chapter 3, System Requirements beforeinstalling the software. EMC recommends updating your software to the latest patch version.

Workspaces Created in D2 4.1

You must update workspaces created in D2 4.1 with widgets in containers without tabbed navigationbecause widget navigation was changed in D2 4.5. Update workspaces in D2 Config to move widgetsyou do not want affected by untabbed containers to tabbed containers.

DTWO-18100 Users may experience delay in auto-generationof the dfc.keystore in a Jboss 6.3 environment ona HyperV installation.

Workaround: Copy the dfc.keystore fromthe Content Server environment to the D2Application server and then restart the Jbossserver.
