DCCCD – IT Upgrades North Lake College Pre-Bid Meeting Minutes
February 28, 2020.
The meeting was called to order at 2:00pm and was held at NLC, Building A, Room A206.
1. Eire Currie/DCCCD opened the Pre-Bid Conference with introduction and following items:
a. Bidders must register online at
https://bids.sciquest.com/apps/Router/PublicEvent?CustomerOrg=DCCCD to access the bid
documents and addendums. All bidders must be registered in Jaggaer.
b. Bid Date is 03/24/2020 at 2 PM. Bids to be submitted online or in person (at the Purchasing office in
Mesquite).
c. Questions may be emailed to Eire and Jeffery; responses will be included in an addendum.
a. Technical questions addressed to Aaron Farmer/Omniplan
b. Project Overview questions addressed to Gentish/DCCCD
c. Access to jobsite questions addressed to John Watson at NLC.
d. All questions need to be asked in writing by March 11, 2020.
e. College is closed for Spring Break, March 16th - March 20th.
f. MWBE Forms in the bid docs with a 30% aspirational goal. Complete forms entirely.
g. DCCCD will assist in locating MWBE suppliers. Contact Darcelle Webb (DCCCD) for additional
information prior to March 16th.
h. 5% Security Bond required.
i. Insurance requirements per Bid documents.
j. No Alternates in the project.
k. DCCCD estimate for construction is $5,264,365.00.
a. Estimated project duration: 220 days.
l. Attendees’ list will be posted to the Purchasing website for viewing.
m. Liquidated Damages are $2000 for first 15 calendar days of delayed construction past Substantial
Completion, $3000 starting with the 16th calendar day and every day after.

2. Design Team introduction and comments:
a. Full scope of work is included in all three volumes; work scope will be clear through understanding
all volumes.
b. Scope of work to be completed in full by GC.
i. Omniplan (Volume I) – Aaron Farmer/Ivy Yang
1. Work in IT Closets and surrounding areas if indicated.
2. Buildings M + N include work beyond IDF; expansion of workshops.
ii. Corgan (Volume II) – Morgan Howell
1. Work focuses on Exterior & Interior Pathways, Interbuilding Connectivity. HUB
spaces.
iii. Novom (Volume III) - Jonathan DeMar
1. Scopes of work as identified in their drawings for IT Cabling and Network.
c. Campus calendar/events need to be taken into consideration.
d. There will be minors on campus; security and staffing to be coordinated accordingly.

e. Sequencing of work is included in the documents.
f. There are four (4) phases which will be coordinated.
g. All communication networks to remain active until the final switch-over occurs at the end of each
phase. Refer to the Construction Phasing and IT Deployment Phasing Schedule in the bid
documents.
h. Existing operations need to continue while work is performed. After-hours work will need to be
considered as part of bids. Loud/noisy scope of work to be performed after 10:00 pm until
approximately 6:00 am.
i. Facilities will be occupied during work hours; GC’s work hours to be coordinated accordingly.
j. Currently DCCCD/team has not provided a suggested schedule.
k. Estimated seven (7) month timeline.
l. Bidders to review existing conditions prior to bid for understanding of scope.
m. Permitting
i. District handles permitting
ii. GC to cover costs and will be reimbursed
n. Bidder tour dates will be shared through Jaggaer.

CAMPUS STANDARDS AND REQUIREMENTS:
1. All work must be coordinated with campus on-site representative.
2. Facilities Services will serve as the communication point of contact in coordinating with College for the construciton phase of the Project.
3. On-Site Work Hours: TBD,
4. The contractor must coordinate with Facilities Services regarding work staging location, timing and notices.
5. All construction personnel must have badge issued by campus at all times.
6. All construction motor vehicles must have parking tag issued by campus at all times.
7. Contractor must coordinate with Facilities Services for moving existing furniture.
8. The Contractor is responsible for temporary power.
9. Maintaining dust control measure is the top priority of the campus. The Contractor must control dust throughout the construction phase of the porject.
10. The Contractor shall not use food establishment in the campus.
11. The Contractor shall contact Facilities Services for recyling dumpster if any.
12. The Facilities Services will appprove aesthetic submittals.
13. The campus maintain standard for inteiror finish material.
14. All work performed by Contractor shall be performed so as to cause no interference with activities and operation of the college.
15. All deliveries shall be coordinated with Facility Services. The Contractor requiring delivery through the common area for larger items must have prior approval from Facilities Services.
16. Salvage all demolished doors and hardware and return to campus facilities department. Frames are to be disposed.
