Design Brief for CSIL Administration Facility

Administration and supervision is a key function in every school. Hence, the school must have a facility that will allow administration, faculty and office staff to perform their duties to ensure the smooth functioning of the school.

The school will need the following administrative facilities:

1. A Director’s Room where he can receive guests and other personnel for friendly or confidential conversations. At times he may have to meet small groups of 5-7 people. He must have a big workspace that will allow him to do both paper and computer work. Shelves are required to hold important documents (that must be kept under lock & key), general documents, and some reference materials). His secretary must be located outside the office but should remain accessible to him. The room must have access to a small pantry that may be used for water breaks or to prepare snacks for guests.

2. Vice Directors’ Room. The room must be able to hold as many as four directors. The room must have easy access both to the director’s room, the coordinators’ room and the faculty room. Each workspace must allow each vice director to comfortably do both paper and computer work. They must also have shelves to hold important documents, general documents and some reference materials. There should be a common space where any of the vice directors can hold small meetings with 3-5 people without causing much disturbance to the other directors. They may use the common consultation rooms for more private and confidential discussion. The room must have access to a small pantry that may be used for water breaks or to prepare snacks for guests.

3. Coordinators’ Room. The room must be able to house as many as 8 coordinators. Each must have a workspace that will allow each coordinator to comfortably do both paper and computer work. They must also have shlves to hold important documents, general documents and some reference materials. There is not need for a meeting space within the room. However, the administrative block must have a meeting room where each coordinator can meet with as many as 12 teachers. The room must have access to a small pantry that may be used for water breaks or to prepare snacks for guests.

4. Faculty Room. This room must be able to house as many as 50 teachers, each having a comfortable work space that will allow them to do computer and paper work. The school may not afford to provide one computer per teacher; thus there must be an area with 15 computers for use by the teachers. There must also be four work spaces where at most 5 people per work space can do cooperative work. Each teacher must have his own shelf and cabinet/locker with key. The room must have a small area for water breaks and where, at the same time, the teachers can read memos and other important announcements and communication.

5. Consultation Rooms. We shall need 4 consultation rooms where administrators and supervisors may hold confidential conversations with their staff or where teachers may converse with parents. This room must be able to hold as many as 4 people.

6. Meeting Rooms. There must be one meeting room where plenary meetings may be held (75 people) and another smaller meeting room that may hold a smaller group of 30 people.

7. Treasurer’s & Registrar’s Offices. This Room must have a private workspace for the Treasurer and Registrar with the same requirements as that of the Vice-Directors. Instead of a meeting area, there must be space for 4 staff members who stay in one common area. There must be a transaction window where these staff members may do business (payments, distribution of documents) with clients. The room must also have a secure room in which to store the safe and important school documents (report cards, transcript of records, etc.) and business forms. There must also be a room for a small server where the school database system shall be housed.

8. Staff Room. This is a place where the staff can spend their breaks (15-minute break in the morning and another in the afternoon and 1-hour lunch break). The room must have a small pantry in which to store sugar, coffee, tea and some biscuits and a place to eat. It must comfortably seat 25 teachers at one time. It would be good to have a lounging area for 12 teachers at one time where they can read the papers or simply sit and chat during the break.

9. Amenities. The usual required amenities should be in place.
