The API PRO Job Re-quest Portal allows access

to work orders from any computer with an internet

Web Browser Based ApplicationsA new development is the browser based Job Request Portal allowing you to access the key functions of the work order requesting process from any computer with internet access. This browser based application enables users to view the status of jobs requested by them at any time regardless of whether an API PRO client is installed on their computer.

More Browser Based Applications based on WEB Services relating to the key business pro-cesses of maintenance management are planned to be included in the near future the aim being to support the complete working process for external work force and other occasional users of API PRO.

The use of Web Services will also allow users to develop their own interfaces to the API PRO solution, for example from their intranet or web applications.

ASSET INFORMATION

Plant documentation / information searching The plant documentation is the core of the API PRO system. Its flexibility is unique and it is ca-pable of handling any kind of industry, any size of plant and organization. The information specified in the plant documentation is used system wide, in the information searching system and when analyzing history technically or financially. Com-bined with the other API PRO modules, the plant documentation will benefit the company with an outstanding way of accessing knowledge.

Flexible Plant Structure Documentation API PRO has two ways to describe the plant structure. The position system is used to generate a plant position structure, and the maintenance object system is used to generate a structure of ma-chine individuals. Both systems can be defined with an unlimited tree structure. When combining these two sys-tems a full documentation and history by each plant position or its branch of the tree structure is obtained, and at the same time a full docu-mentation of movements, costs and mainte-nance history of individual maintenance objects.

As a supplement to the tree structures, supply

structures, going across the tree structures, can be defined - to describe the supply of electricity, compressed air etc.

API PRO has no limitations and predefined rules about the plant structure implementation; it can be entered as it is. Plant documentation also in-cludes spare parts and their parts lists connect-ed to individual maintenance objects, or shared among multiple technically identical objects. Parts lists can even be split with some parts individually assigned and others assigned to the type of machine via the technical ID system, for maximum flexibility on almost identical objects.

Parts lists can be created automatically when consuming spare parts on maintenance ob-jects either via the work order system, the stock control or the purchase management system. Articles defined as consumables will not be part of the parts list. This will speed up the plant doc-umentation process.

data can be freely defined in templates, with description, numerical, text or date information as well as a unit designation. The number of technical specifications is unlimited. It is also possible to search for spares, material and/or maintenance objects according to one or multi-ple technical specifications.

Several Plants in the Same DatabaseWith the API PRO Multiple Plant Module it is possible to operate several factories or sites in one central database. This means that the system can be configured in such a way that users from each company, department etc. have differing access rights to information for the other companies. API PRO offers multiple language data handling of selected data related to name fields allowing site specific naming of spare parts, units and so forth. This allows the individual user on a specific site to work with the data in his native tongue while upholding the possibility of making easy and efficient cross-site analysis of data.

Another API PRO solution made for multiple plants is the multi-currency support. The sys-

tem provides the opportunity of having a group currency, a local currency and a secondary currency. This allows local sites to store and analyze costs in their own currency, meanwhile the logging of transactions ensures a precise conversion to group currency when its time to deliver the results. Technology to Meet Your Challenges The Rich Internet Application (RIA) architecture of API PRO makes it an ideal solution for WEB or intranet based access to the central database meaning that the database of all your plants can be situated in a single location and still supply an efficient and fast solution throughout your enterprise.

With all data processing handled at one central server the stress on the network is extremely low. The only information transferred from database to the local client is the individual record which is being edited currently.

By means of the API PRO drawing module drawings and other important documents can be handled in the system and be linked to e.g. maintenance objects, work orders and spare parts. Also web pages can be saved as documents and opened directly.

Information Available from One Source A well-known problem is that drawings, maintenance and operation manuals or other technical doc-uments are located somewhere. But where and which one belongs to which machine or part? Time may be available to find out, but probably not the day it is most needed.

The API PRO Drawings and Documents module is a complete and advanced system for stor-ing information on drawings and any kind of technical documents, including video and other multi-media based material. Via the system even an Internet address can be connected in such a way that up-to-date information from the Inter-net or from the internal intranet can be reached directly from within API PRO.

Unlimited PossibilitiesDrawings and documents can be linked to any data object in API PRO: Positions, maintenance objects, technical ID’s, spare parts, work instruc-

tions, purchase orders, supplier agreements, etc. A full tree structure is available in order to link a document to another document, in an unlimited structure. API PRO links to most external sys-tems like e.g. AutoVue, scanned image systems, word processors, spread sheets, video viewers etc. Supporting database storageAPI PRO supports storing documents directly in the database allowing you to backup vital docu-ments with equipment specifications or work in-structions along with the rest of the data instead of only having documents externally stored and linked to your data objects in API PRO.

The graphical navigator makes it easy to navigate through the plant structure by means of graphical images and gives fast access to all related infor-mation.

Easy access to vital data With the API PRO Graphical Navigator it is pos sible to navigate by means of images e.g. geographical maps, process flow diagrams, dig-ital photographs, drawings etc. With BMP, GIF or JPEG pictures it is easy to navigate through the plant equipment structure with direct access to different functions in the system. On each picture or drawing the sensitive areas are sim-ply defined and highlighted. The sensitive areas can be linked to other pictures or can be linked direct ly to positions, maintenance objects or spare parts.

When the user clicks on the sensitive area the system will automatically jump to the next level picture, position, maintenance object or spare part. Right clicking on a sensitive area related to a position or maintenance object gives direct access to spare part lists, work history, technical data, etc. Besides giving fast and easy access to important maintenance information, it is also possible to create a job order and/or stock re-moval against the object directly from the image.

The graphical navigator can be applied to the user desktop as an alternative means of naviga-tion to the standard smart icons providing the

option of having e.g. work-flow or maintenance object oriented desktop navigation allowing access to related programs and objects.

The graphical navigator in API PRO is mainly intended for inexperienced users to find infor-mation in an easy and fast way, make job orders or stock removals against an object without any need for deeper knowledge of the system.

The Plant Explorer, with Windows look-and-feel and configurable icons, gives a simple survey of the plant and direct access to related infor-mation.

The plant structure is independent of the cho-sen numbering structure. API PRO supports standards like the KKS power plant position identification system. Already used numbers and identification codes can be changed consistently throughout the system.

Unique Information SearchingWith the API PRO Plant Explorer it is possible to build up a complete plant structure in the well-known Windows look-and-feel design. Survey the entire plant and get down to any detail within no time. There is direct access to parts lists, planned work orders, work order history, inspec-tions, drawings and documents, technical data and current calibration status. When surveying parts lists, information about suppliers, stock status information and active purchase orders can also be seen. A filter function in the plant explorer makes it easy to search for maintenance objects, po-sitions or calibrated objects. After successful search and by clicking on the object/position in the right window, the explorer shows the loca-tion of the object in the tree, i.e. the plant. With a right mouse click in the right window it is possi-

ble to add or edit objects or related information directly in the plant explorer.

Multi-dimensional Accounting Structure The API PRO accounting and transaction structure is designed to fit modern accounting requirements and provide data via system inte-gration to financial systems etc.

One central transaction table holds any kind of financially related transaction, including stock removals, worked hours, invoice costs, etc. The accounting structure holds the account or cost center information for both debit and credit accounts. Accounts can be either budget or balance accounts. For budget accounts it is pos-sible to perform budget analysis. The account structure can be linked to the plant position structure. Accounts can be grouped under main and sub accounts. The standard financial reports can be grouped and summarized per main ac-count.

The accounting structure can be used with any amount of details required: From a simple system with a few accounts to the complete multi-dimensional structure.

Maintenance history and reporting toolsTraceability of Changes in Equipment and Maintenance ActivitiesIn the pharmaceutical and the food industry it is a requirement to be able to document changes made to the production equipment. It is also necessary to keep track of maintenance pro-cedures, how often they have been executed – and whether any changes have been made to the procedures over time. These requirements are specified by FDA*) and especially within the pharmaceutical industry validation according to FDA requirements is a crucial factor. Traceability on MaintenanceThe change logging functionality has been developed in close co-operation with API PRO customers in the pharmaceutical industry and fo-cuses on a complete logging of changes to data “close to the process”. With the change logging function it is possible to go back in time and see exactly how a certain record in the database looked, e.g. 2 years ago, what has been changed since then and by whom.

SnapshotThe snapshot function makes a copy of all re-cords in a table and saves them in the change log.

Reduced Paper FilesA major advantage of the electronic logging of changes is that the need for filing paper docu-mentation can be dramatically reduced. This saves a lot of personnel time, but also space in the form of a reduced need for binders and shelves.

The Data Sheet of a maintenance object, the Inspection List and the Purchase Order are three examples of the many Crystal Reports printouts available.

State-of-the-Art Reporting Crystal Reports - one of the world’s leading reporting tools - provides a means of quick cre-ation of flexible and well-designed reports. As a standard part of the API PRO Asset Information Module, Crystal Reports printouts can be run directly from the API PRO system.

API PRO Template PrintoutsPrinted forms in the system, such as Job Cards and Purchase Orders, are based on Crystal Reports templates. They can requirements and needs.

In order to ensure that standard reports can be edited immediately and new reports can be created it is required to purchase one Crystal Reports Designer license which is not included in the Asset Information Module.

Run Crystal Reports Printouts from API PROSelf-made Crystal Reports reports can be ac-cessed and viewed from within API PRO. With a Crystal Reports license, reports can be created and distributed to the users in API PRO. Restricted user/user group access can be con-figured and each report can be printed, saved as a pdf-file and sent as e-mail.

The API PRO messaging is based on events available in the system. The many events can be configured as active or non-active depending on the wants and needs.

Event triggered messages and KPIsMore Effective Workflow and Saving Time Why is time so important? The time to operate a system and even more the time from when one step of the workflow is followed by the next is not only taking people’s time but in many cases also counts directly as downtime in the produc-tion. It has been said before: “Time is money”. When a production plant has stopped, time is in fact very much money. In API PRO the informa-tion flow between the persons using the system and even between the system itself and its users has been speeded up and made more secure by the introduction of internal messaging. Approval MessagesApproval messages are used to forward de-mands for approval from an unauthorized user to

a user with proper rights to approve for example a purchase order to be realized or a work or-der to be started. The system takes care that a request is only sent to users with the appropriate rights.

Alert MessagesAlert messages are sent automatically by the system to make each user aware of events he wants to be informed about. An example of this could be that the maintenance responsible for a specific production line receives a message when a critical break-down has been reported on his production line. If needed, the message can be sent as SMS or as e-mail.

User to User MessagesThe user to user messages allows API PRO users manually to send messages to each other. Very useful for instance for communication be-tween shift foremen.

The Central Message BrowserAll messages are handled from one place: The central message browser. From the message browser it is possible both to see the messages and to take direct action. It is also possible to follow the status of messages sent to other us-ers. The number of unread messages is directly visible in the API PRO menu system at any time.

A Powerful Tool for Measuring and Improving Maintenance Performance The API PRO Dash-board is a flexible tool providing a wide range of pre-defined options for monitoring mainte-nance and stock related data.

The API PRO Dashboard is a means of keeping focus on the right areas. The Dashboard Key Performance Indicators (KPIs) are always kept under supervision and supports drill-down to the data behind the figures - when you need to go deeper down in detail.

WORK ORDER MANAGEMENT

Workflow management optimizes maintenanceThe API PRO Maintenance module is the func-tional core of the API PRO maintenance manage-ment system. With the maintenance module all kinds of maintenance activities can be handled, either initiated directly from the maintenance module or from one of the other API PRO mod-ules. Maintenance activities supported include:

• Unplanned breakdown maintenance• Maintenance requested by operators and

other staff• Planned corrective maintenance• Inspections, condition monitoring, lubrication

rounds• Calendar based preventive maintenance and

overhauls• Meter/event based preventive maintenance

and overhauls• Large scale overhaul projects All the way from work order generation, resource allocation and advanced planning features to easy tracking and analysis of financial infor-mation and a complete sample of technical analysis tools. The user will quickly learn from the system and be able continuously to improve company performance.

Work-flow ManagementAPI PRO gives access to a work-flow manage-ment functionality when handling maintenance activities. The system will log all planning related changes made to a work order, from it is gen-erated until it is finished. All maintenance work orders can follow a status development, from being initiated, to planned, started, waiting for spares, waiting for work resources, stopped, de-layed and waiting for registration. In addition it is possible to add own work order status identifica-tion, modify the predefined ones and even break manually into the flow when required.

Workflow management also includes the flow of responsibility between different parties. Each job is assigned to a responsible person or de-partment. If the responsibility is changed, it will automatically be logged, and it is at any time possible to survey the work orders a department or person is responsible for. Effective handling of work order approval is another decisive part of the workflow. In API PRO the forwarding of requests for approval is handled by means of internal messaging (Messaging module). The sta-tus for approval is also shown by means of color codes at work order accumulation.

Planning as the key to plant efficiencyBy means of a flexible selection filter an accumu-lation of work orders is created. The system au-tomatically considers all the unplanned, planned and/or preventive jobs within the stated inter-val. Even for daily, weekly or monthly planning the accumulation is a powerful tool to find the relevant jobs. The work orders are presented in a list corresponding to the selection. There are no restrictions on the choice of orders to be printed and multiple work orders can be printed in one operation. Different color codes show whether today’s date is before the allowed execution interval, within the interval or after the interval.

The work order accumulation also allows you to perform changes, like for example delaying the planned date of execution or changing the responsible person for a number of work orders in one operation – or to let the system check the availability of material and work force for a large number of work orders in one fast operation.

The work order survey is a GANTT chart of all maintenance work orders according to the selec-tion filter. The work order survey is a powerful graphical planning tool showing the situation in a day, week, month or year resolution. With the

mouse it is possible directly to move work orders around or increase or decrease the duration of the work orders. There is full access to the main-tenance work order details. The online workload of departments and people can be seen directly together with features for re-planning to improve resource utilization.

Effective Communication between Production and MaintenanceAPI PRO also offers tools for optimizing the communication between production and mainte-nance. The Job Ordering functionality is intended for elimination of inefficient communication and paperwork. It provides production with instant access to report problems to be solved direct-ly to the maintenance departments. The work requests can be ordered from terminals or PC’s located in the production area. The job survey gives a clear overview of active work orders which can easily be re-planned with the “drag and drop” func-tionality.

The job can be executed, printed and registered directly or be planned as a work order and fed back after execution. All the functionality avail-able in the API PRO Maintenance module can be used. The job monitor will show the list of currently active work orders in a priority order, according to the machine priority, the date and time of the work request and whether the line or machine was stopped or not.

In order to avoid that the same problem is repor-ted more than once, it is possible to activate a function that gives an overview of all active work orders for a specific part of the equipment structure. The system can also be limited only to create one job order on the same maintenance object.

Utilize Maintenance Window in ProductionThe API PRO Production Calendar functional-ity can at any time provide a quick survey of planned shutdowns anywhere in the production for optimization of repair planning by utilizing shutdown periods better. Easy to See Available ResourcesThe work suppliers can be categorized under different skill levels. The personnel survey shows which persons are presently on site. By double clicking on a color cell there will be direct access to the underlying information. The work catego-ry can be stated directly on the work order to make the personnel planning easier. Then only craftsmen belonging to the actual category will be shown when adding new work resources to the work order. Exceptions in the available

capacity, e.g. absence or overtime are stated per person. When planning on department level the calculation of available hours for the depart-ment takes exceptions for the each person into consideration. In order to find a work resource for a specific work order, a personnel resource browser is included. The default sorting se-quence is based on availability on the specified day. The first person will be the one with the largest amount of hours available.

Feedback and history analysisStoring Valuable Information by Feed- back of Work OrdersIn a company with thousands of completed work orders per year it is critical that the time to feedback work order information is minimized. Information that will become extremely valuable when analyzing the history afterwards. Through API PRO’s screen design, the feedback can be tailored to each organization.

For routine jobs the work order registration can be completed and finished within a few sec-onds. At work order registration it is possible to enter stop and waiting times, error codes, work resources used, spare parts and material used as well as a free text section for additional information for possible future use. When used integrated with the API PRO stock and purchase modules, work order registration will be even easier. Spares withdrawn from stock and materi-al purchased to the work order will automatically be registered as consumption related to the work order and will be directly available in the techni-cal history and cost analysis.

Working hours can also be registered separately via the hour registration function. In this way the

maintenance people can feed back their own hour consumption on different work orders in an easy way. Top Lists and Trend ChartsAll the statistics are presented according to the plant structure for positions and maintenance objects. Access to trend information surveyed by month and top lists either in the plant structure or directly on individual objects is implemented.

API PRO also supports the Reliability Centered Maintenance (RCM) concept by the advanced error code analytical tool. It is possible to define standard error codes for different machine types. Error codes are reported during the work order registration, where up to three different cate-gories of error codes can be entered per work order. The error codes can e.g. be used for a structured reporting of symptom, cause and ac-tion. The result is a powerful basis for indicating weak points and areas of improvement.

Cost tracking and analysis is also available via the accounting structure. This cost ana- lysis covers all transactions in the API PRO system.

From any part of the accounting structure cost centers, cost purposes, cost types and combina-tions of those can be surveyed. When analyzing the cost center, API PRO also provides budget information for direct comparison.

Interface to MS ExcelThe analyses of the plant structure, the error codes and the accounting structure all have direct access to MS Excel for further graphical presentation. Just click on the Excel button and the figures or graphics from the API PRO analy-sis will be directly transferred to MS Excel. With the analysis tools it is possible to drill down into the details behind the figures. Based on this a decision on how to improve can be made.

The graphical history shows all relevant statistics for each level in the equipment structure. The statistics can graphically be presented directly in MS Excel.

Handling inspections and calibrationsLogical RoundsThe Inspection module holds a flexible round controlled system for setting up inspection and lubrication rounds in a logical route. The execu-tion order of each round is controlled by the user – independent of the used numbering systems. Each round can have multiple activities to be handled with individual inspection/lubrication in-tervals. The intervals can be controlled by a date interval and/or a counter based interval.

Easy Generation of Preventive Schedules The built-in template system allows easy creation of inspection and/or lubrication rounds based on existing templates. Setting up complete tem-plates with multiple check or lubrication points for a specific type of machinery is easy, and can be copied easily to generate similar inspection/lubrication rounds for all other machine types via the technical ID number, maintenance object group and/or code.

No Limit to the Amount of Feedback The need for feedback is entirely decided by the user. For simple inspections there will be no detailed feed-back at all. Check codes and or measurement values can be fed back.

Up to two measurements can be specified per inspection activity. This will also appear on the inspection list together with information about the instrument to be used. The instrument table includes calibration information for critical instruments. The inspection history log contains full information on when the inspection/ lubrica-tion was executed, by whom, check codes and measurements.

Inspections Rounds via Mobile Interface by using a Pocket PC or a Palm Pilot printout of lists is eliminated and the feedback is made directly in the portable unit. It is also possible to activate a work order related to the round activity directly from the portable unit if an error should occur.

The mobile interface also offers a simpler way to register counter readings used for the upda ting of counters controlling the counter based preventive maintenance. At registration it is also possible to see the former counter readings in the portable unit. After the synchronization the counter readings and inspection activities are updated in API PRO.

Calibration of Maintenance Objects Typical maintenance objects that need calibra-tion could be measurement equipment used to overview production; different types of weights, thermo meters, flow meters etc. The basic con-cept for calibration is control of an object with fixed intervals, user specified methods and spe-cific measurements. This is to ensure readings in conjunction with standards, e.g. ISO Certificates. If the measurements do not match standards, the maintenance object must be re-calibrated.

In API PRO two sets of measurements can be selected: The “real” calibration and one for con-trol. The control measurement is done the same way as the actual, but should be used as simple internal control. The control should be done on a more frequent basis to overview the most critical parameters.

API PRO supports also the calibration of the instruments that are used to calibrate other in-struments, either internally or externally.

Calibration PlanningFor each calibration it is possible to define how often and by whom it must be done, either inter-nally or externally. The system can at any time tell you which instruments are due for calibration. Calibration HistoryHistory of prior calibrations and controls is available online and time and costs can also be tracked. This enables you at any time to docu-ment the calibration history of any instrument including calibration measurements, reports and certificates.

The result history of a certain measurement can be shown as an Excel graph which gives a detailed overview.

Simple and efficient project managementManagement of Maintenance Project with Work Order StructureWith the API PRO Project module, it is possible to handle multiple work orders as one project. The module is primarily designed to control major interventions like yearly overhauls of sections in the plant, or design, manufacturing and installation of new equipment. The budget, the time scheduling of work orders, availability of spare parts and material either directly from stock or ordered via the Purchase Management module can be controlled for the entire project. The API PRO “Project Explorer”, which works in the same way as the Windows Explorer, gives a clear overview of all projects. Clear Planning and Follow-upThe time scheduling for all work orders in the project can be surveyed with GANTT charts. The execution of a specific work order may be con-ditioned by the status of other work orders in the project. A check function will warn about critical or invalid planning of work orders according to the defined execution conditions.

The budget follow-up function for the entire proj-ect will show the costs for spare parts, material

and work suppliers. The actual costs can be compared directly with the planned costs, the committed costs and the budget.

Interface to MS ProjectWith the MS Project Interface tool, it is pos- sible to utilize the strengths of both API PRO and MS Project in one easy to use interface. Projects can be planned in MS Project and the detailed planning of personnel resource, spare parts, purchase, financial follow-up etc. can be made in API PRO. It is possible to export selected work orders to MS Project where advanced planning tools, such as identification of bottlenecks and critical paths etc. can be used for re-schedul-ing. The re-scheduled work orders can then be re-imported into API PRO. It is even possible to add new activities in MS Project and then import them as new work orders in API PRO.

STOCK CONTROL

Stock control with functionalityThe API PRO Stock Control module is a com-plete stock control system. The system sup-ports multiple stores per stocked item, specific location control, ABC classification, minimum/maximum stock quantities and automatic re-ordering. Status information for stocked items includes current FIFO list, quantity status, on-line purchase and consumption statistics as well as ordered quantity information.

Transaction handling includes withdrawals, returns, adjustments, scrappings, movements between stores and direct deliveries to stock. The module also includes advanced physical inventory routines. All transactions are stored in the central transactions table with detailed infor-mation for easy and efficient history tracking.

The stock transaction utility is designed for efficient handling of multiple transactions by first allowing entry of the cost assignments for work order, account and purpose information and then the additional information about spare parts and quantities. Reporting is easy with the included standard reports for transactions, stock values, inventory turnover, ABC analysis, stock items below minimum quantity etc.

FIFO or Internal Sales Price at Stock RemovalTwo different price calculation methods can be used when supplying spare parts and material from stock. FIFO (First In First Out) is continu-ously updated and will secure that each spare part is issued from stock at its original purchase price. Alternatively, the sales price can be used. It can be entered manually or it can be auto-matically updated from the purchasing system according to last price, simple and full average calculation methods.

Flexible Reservation HandlingAny spare part or piece of material on stock can be reserved for future use in order to prevent others from using a critical part. Reservations can be tracked by the user directly on screen for each stock location or via the reservation sur-vey function. Reservations linked to preventive maintenance work orders will automatically be re-planned for the next work order interval during the work order registration. The “reservation ac-tivation date” can be used to secure just in time purchases for expensive items. Deliveries Handling Individuals on Stock Stocked items can also be handled as individuals – i.e. re-

pairable items. This is very useful for e.g. pumps and large electrical motors moved between production, workshop and stock. Via the Mainte-nance module, repair work orders and preventive maintenance can be carried out on such items, also when they are located in the stock. A move-ment log will allow tracking of movements for each individual repairable item. Repairable items are also handled as individuals when it comes to costs. Rebuilding and modification costs can in-fluence the individual price together with general price reduction due to age and wear.

Stock Handling via Work OrderThe maintenance departments can access stock control functions for direct reservations of spare parts and material for their maintenance work or-der planning. Also stock issues can be registered during the maintenance work order registration if not already done at the stock. In this way API PRO fully supports the ‘open stock’ handling.

Portable data loggersBy adding portable data loggers and bar code labels to the stock control system the stock handling can be rationalized considerably. Using bar codes is providing a faster and more reliable data entry process.

It is time saving and eliminates the risk of mis-typing. The module supports even the simplest solution without a portable PC. A bar code read-er can be connected to the keyboard and will then simply read the bar code at stock removals and returns instead of manual registration. Work order and accounting assignments can also be read with the bar code reading equipment. The module includes printout of stock labels with bar codes and bar codes for the work order number on work orders. Labels and other printouts can be designed freely.

Stock Withdrawals At withdrawal from stock the bar code is registered or scanned for the work order number. Then the stock location ID bar code is scanned for each spare used on the ac-tual work order, the quantity is entered and con-firmed. When finished, the stock withdrawals can be transferred to the API PRO system by placing the portable data logger in the docking station.

All transactions are verified during the transfer and it is possible to check each transaction and make the necessary corrections manually.

Stock TakingThe stock taking lists can be transferred to a portable data logger instead of being printed on paper. The full advantage of this can be obtained if the function free stock taking in optional order is chosen. Without generating a stock taking list stock taking in optional order can be made via the portable data logger at any time.

Other FunctionsThis module also includes functionality for the registration of deliveries related to API PRO purchase orders with the data logger, registration of spares moved from one store to another and registration of tools that are being lent out.

The API PRO Stock Control module includes functionality for Tools Lending Management and controls the physical flow of tools used in the maintenance activities. This flexible functionality can, however, be used for any kind of lending transactions in the company. The idea of con-trolling such transactions is to know who is cur-rently holding each tool and when it is expected to be returned. Furthermore, the location system will be able to tell where the tool can be found and the current quantity available.

The Tools Lending Management function will provide an extended control of tools, eliminate paperwork and save money. API PRO users of the Tools Lending Management functions have obtained significant cost savings on tools, simply because tools are now in the right place at the right time. Improved control of the tools has also meant an improved service level for the daily users of tools.

Based on the tools basic data it is possible to lend tools directly to the API PRO work suppli-ers. For each transaction the expected return date can be defined in order to eliminate ever-

lasting lending. Returns are easily registered on the list of active lending transactions for each work supplier. Historical information of former lending transactions are directly available on screen. It is possible to create reports of over-due lendings per work supplier or even of future returns. Each type of tool can be tracked individ-ually and a more exact service can be provided more easily, just by running the lending survey for the specific type of tool needed.

Complete purchase flowThe Purchase Management module is fully inte-grated with the other API PRO modules and the information searching system. The purchase ma nagement module can of course be used alone, but by integrating the modules fully upda-ted information about stock levels, delivery dates and committed costs on work orders and pro-jects will be available at any time. Furthermore the purchaser will be able to survey and react directly on purchase needs.

Fully Featured Purchase OrderingThe purchase system includes a full feature orde ring system with automatic purchase order number assignment, purchase order prefix, con-tact persons, address information, delivery and invoicing, shipment, delivery and payment con-ditions, purchase ordering in foreign currencies with automatic conversion to local currency and purchase order printout in the selected supplier language. Interactive Purchase Needs AccumulationPurchase needs are stocked items below min-imum quantity and internal purchase requests. The interactive accumulation can be executed with detailed filtering specifications and a list of purchase ordering proposals will show up sorted by the supplier proposed for each part. The pur-chase lines for each supplier can be modified. Alternative suppliers with price and delivery time can be seen and selected instead. The entire pur chase order per supplier can be generated automatically or manually. It can be linked direct-ly to a stock, a maintenance object, a work order, a project or an account.

Purchase in Supplier UnitsPurchase of spare parts or other material can be issued in other units than actually stocked or used in a company. This means that it is possible to buy in packs of 10 and internally handle the part in pieces. The purchase unit is automatically converted into the internal unit with a conversion factor. All statistics and agreements with a sup-plier are kept in the supplier unit.

Delivery and Receipt of GoodsReceipt of goods and delivery is an integrated

function. Deliveries are registered according to the purchase order number and transactions are generated immediately. All purchase order lines can be surveyed continuously until they are fully delivered and goods already delivered can be rejected again. Multiple order lines can be delive-red in one operation. Purchase delivery to stock and work order at the same time will update the stock quantity and at the same time automatical-ly generate a stock reservation to the specified work order. Purchase deliveries to maintenance objects, work orders, projects or accounts will generate the consumption transactions required.

Invoice ControlEnter the invoice information including purchase order number, invoice number, due date, amount, VAT amount etc. and then pair the invoiced items with the ordered and delivered items. Also credit invoices can be handled. The delivered but not yet invoiced order lines can be surveyed contin-uously and the invoice amount is compared with the ordered amount. Multiple order lines can be invoiced in one operation. In this way a strict and yet easy-to-use invoice control is available with the ability to transfer required payment informa-tion to a financial system.

Buying at the right priceAll companies have a number of supplier agree-ments stating the rules for purchasing. The Agreement functionality is a tool to help securing that:

Electronic Handling of RequestsThe Internal Purchase Requests functionality eliminates the cross organizational communi-cation and paper flows dramatically. Users not allowed to generate external purchase orders can on screen create internal requests for spare parts and material, get them approved or reject-ed, follow the status from ordered to confirmed, delivered and at any time survey the delivery date. Internal purchase requests are similar to the purchase order lines with all accounting, work order, proposed supplier, agreed price and required delivery date information. The purchasers can monitor all active internal purchase requests and include them automat-ically when running the interactive purchase accumulation function. Internal requests can be accepted fully, modified or even rejected by the purchaser. Information back to the internal requester is on-line and immediately updated. Standard interfacing for data exchangeAn integrated solution for a maintenance man-agement system requires simplicity and open-ness towards other information systems within the company. API PRO is optimized to easy sys-tem integration due to its open structure and the modern database techniques where information exchange via SQL commands, ODBC and OLE links are directly available. API PRO has been developed with direct integration for condition monitoring, documents and OLE links to MS Ex-cel, MS Word and other programs. The database structure and the special transaction handling with full debit/credit control have furthermore been developed specially for a controlled data exchange towards external systems.

Simple Interface Towards Extern al SystemsAlthough API PRO holds the complete and fully integrated maintenance management each company will have its own priorities with regard to which system to use for which purpose. API PRO is designed to work in an open IT environ-ment. It is among others possible to split mainly the stock and purchasing functions between almost any ERP system and API PRO. API PRO is also open to receive work order requests from for example Shop Floor Data Collectors.

The key word in the development of the Interfa-cing module has been STANDARD. The same set of tools is used no matter what ERP or other system API PRO interfaces to. The configuration can be done by the customer, by local API PRO consultants or by any competent independent IT consultant.

Optimizing Network TrafficThe Automation Timer may be installed to run on a specific client or on a Windows server. When installed on the server the timer can be used not only for interfacing purposes but also for auto-matic execution of the different statistics batches in API PRO. By doing so instead of executing from a client a dramatic load is removed from the local area network.

Cost Effective Tool for Building the Database and Keeping it Updated During the implementation process of a new maintenance management system, a lot of da ta must be entered into the database, such as machines, spares, work suppliers, stocks, preventive work orders, etc. This can be a time consuming process that can take up to several months. In many cases, especially when the maintenance management system is replac-ing an old CMMS, this information is available electronically. The API PRO import module can help importing the data automatically and save a tremendous amount of time and with the exten-sive support of file formats including ASCII, CSV and XML the import module offers support for a great variety of data. Regardless of which kind of

interface you choose for your API PRO system the Interface module is a needed component.

The import module allows import of almost all basic data into the system. The data to be imported must be available in a file. The import configuration files can be changed so that the data is imported exactly the way it is wanted. The import module will at any time check the database consistency; so if for example a spare part is imported with a supplier that does not yet exist in the database, the supplier will be created automatically or the spare part will be rejected, dependent on the import configuration file.

The API PRO import module is particularly useful during the implementation process, but can also be used later on, for example, to keep price lists updated in the system, to import counter read-ings, to keep a supplier table up-to-date with a supplier table in another system, to import stock levels, etc.

The Import Module is included in the Interface Tool Box. Regardless of which database you choose for your API PRO installation the Inter-face Module is mandatory.

The OPC technology allows for an online interface to be used in relation to the condition monitoring of machines and equip-ment. No programming efforts are required to establish the connection thanks to the standardized interface. Condition based maintenanceThe availability of your production lines can be optimized when i.e. the execution of preven-tive maintenance tasks are planned on basis of operation time rather than „calendar“ time. A step further is establishing the direct connection between events in the plant and the resulting maintenance plans.
