Classroom TechnologyThe Digital Classroom Podium ProjectLaunched in 2012 under the guidance of the Classroom Committee, the Digital Class-room Podium Project’s goal is to equip DCS classrooms with a uniform, state-of-the-art classroom system. The project has thus far focused on deploying and developing the Digital Classroom Podium, a presentation portal designed, built, and installed by DCS staff. Now in its third year, the project continues to focus on upgrading more classrooms while modifying the design to accommodate alternative learning spaces, such as seminar and active learning rooms.

Maintenance of Existing Classroom TechnologyWhile updating its classrooms, DCS continued to maintain existing equipment through regular testing, cleaning, and repairs. Equipment is regularly “refreshed” so that older equipment does not become outdated.

Additional Instructional TechnologyTo accommodate the particular needs of instructors and to encourage new technolo-gy-aided teaching methods, instructors are also given access to additional technology not available in every classroom. DCS supports the use of emerging tools such as video-con-ferencing and lecture capture and provides portable equipment such as wireless presenters, web cameras, iClicker bases, and portable projectors.

User SupportDCS Help DeskDCS ensures that anyone using its equip-ment has access to responsive and knowl-edgeable support. Instructors needing immediate in-class assistance can contact the DCS Help Desk whenever classes are in session. The Help Desk staff seeks to assist instructors over the phone or fix issues by remotely logging on to in-class computers. They also dispatch on-cam-pus staff to address issues that need to be resolved in person.

One-on-one assistanceOur users may schedule “assists” during which on-campus staff meet instructors in their classroom to troubleshoot issues they experience.

Classroom UpgradesWhat is the Digital Classroom Podium Project? The Digital Classroom Podium Project is an effort to standardize DCS class-rooms around a uniform, state-of-the-art classroom system. The project, initiated by the Classroom Committee, centers around two goals. The first goal is to provide a consistent teaching experience across all DCS classrooms so that instructors teach-ing in one room will know how to use the equipment in all classrooms. Previ-ously, DCS supported five different types of systems, each of which varied greatly between classrooms. A central design philosophy of the DCP is uniformity, simplicity, and intuitiveness. As the po-dium design evolves as it is used in more classroom settings, DCS seeks to retrofit existing podiums to incorporate changes in new podiums - so that instructors do not notice these changes as they are made. As different models of DCP are created to meet the needs of different learning spaces - such as large auditoriums or small seminar rooms - uniformity in the user experience is made a highest priority.


The second goal of the committee was to provide a cutting edge system that is responsive and adaptable to the needs of Rutgers faculty. DCPs are at the forefront of classroom technology. They are all dig-ital, high-definition, and include comput-ers with high speed network connections. Perhaps most novel to the DCP is the use of a Mac computer as the classroom con-troller. Typical audio/visual systems utilize a control processor that controls each device in the room. DCPs instead use the Rutgers Podium Controller, an application installed on the podium’s Mac computer. In addition to saving the expense of a con-trol processor, using software developed and maintained by Rutgers staff enables DCS to customize, improve, and increase the functionality of our user interface. In 2012, the Classroom Committee steered the creation of the first Digital Classroom Podium (DCP). The pilot version of this podium was installed in twenty-seven classrooms.

During the semester, DCS worked closely with the instructors using DCPs to learn about what worked, what did not, and what features would further enhance the learning experience. After the success of the pilot phase, the Committee committed to developing the podium while introduc-ing them to all DCS classrooms. During 2012 and 2013, DCPs were installed in additional forty nine classrooms - includ-ing auditoriums and screening rooms, in existing classrooms and brand-new learning spaces. Faculty feedback has largely been positive and changes and new functionality suggested by our users have been incorporated into updated designs.

2014 Classroom UpgradesIn the last year, thirty-eight classrooms were upgraded, including four lecture halls. Of these rooms, thirty-seven received brand-new Digital Classroom Podiums. In the remaining two class-rooms, out-dated older systems were replaced with newer Crestron Touchscreen Systems from rooms that received DCPs. At the end of 2014, 120 of DCS’s 251 classrooms were equipped with DCPs.

Development of Other Instructional TechnologiesLecture captureIn 2014, DCS continued to study and experiment with methods of recording class sessions while working with other Rutgers units to seek a shared site license for lecture capture tools.

Video Conference PilotDCS partnered with faculty to make video conferencing (or video chatting) another tool available for instructors. Our staff has been exploring the applicability of multiple approaches, including Skype, Google Hangouts, and Adobe Connect. DCS’s work has pursued two potential

approaches for bringing video conference to classes. The first is a high-end solution that could be used to connect learning spaces built for conferencing. To this end, DCS equipped two rooms – Tillett 118 and Tillett 232 – with video conferencing cameras and encoders. This equipment has been used to broadcast a conference and conduct meetings between the dif-ferent Rutgers campuses. In addition to this high end approach, DCS purchased licenses for Vidyo, a video conference solution similar to Skype in its intuitive user interface but with more features and higher performance. We continue to explore and pilot the use of Vidyo for potential deployment in all Digital Class-room Podium rooms. In 2014, DCS partnered with Prof. Ste-phen Stich and Prof. Francis Barchi to use video conferencing equipment to connect students in DCS classrooms with guest lecturers around the world.

Improvements to the DCPDCS continued developing the Digital Classroom Podium, our new standard classroom podium. In 2014, we solicited feedback from instructors using the podium through in-class visits, email, training sessions, a classroom “Open House” and a DCP Faculty Feedback lunch.

In the spring, DCS introduced several improvements to the DCP 1.2, the second edition of our standard-size podium. Based on faculty feedback, the trackpad was replaced with a mouse, two USB ports were added, setting changes were made to the podium computer, and whiteboard software was installed on the computer and integrated into the Rutgers Podium Controller, the main user interface. The internal wiring and componentry of the podium was improved to increase reliability and performance. We also deployed a new remote support system. This enables DCS staff to monitor the status of all podiums, col-lect important equipment and user data, and remotely access in-class computer to assist faculty.

In the fall, DCS upgraded all 1.2 podiums to 1.3 podiums, an upgrade the consisted of replacing the Blu-ray players with Blu-ray drives that are capable of playing more discs

and are more reliable. These new Blu-ray drives were also used in the DCP 2.0, a re-designed version of our standard-size podium that was introduced into 37 classrooms. The 2.0 also has a document camera lift for easy use, along with several other internal improvements.

The fall semester was also the inaugural semester of the A1.1, our updated large-room podium. This podium included design modification to improve the audio in large rooms.Murray Hall Room 210

Non-Classroom InstallationsDCS also acts as a technology provider in non-classroom settings for various Rutgers units. In 2014, DCS lead an overhaul of the Office of the President’s Conference Room. The space is now equipped with state-of-the-art equipment enabling wire-less presentation, video conferencing be-tween Rutgers and beyond, multiple screen cable television viewing, and more. DCS also consulted on the early design stages of a new Learning Center in Tillett Hall.Tillett Hall Room 224

used, who uses them, computer status, and projector lamp life is all stored online. This aids our ability to consider how our podiums are used when designing enhancements. It also allows our support staff to troubleshoot reported issues by un-derstanding what commands the podium received when the issue occurred. Fur-thermore, it facilities regular maintenance by providing status updates of networked equipment.

WorkshopsIn the Fall of 2012, DCS launched a new workshop series. The original goal of this program was to engage with faculty,

to show them how to operate classroom equipment, expose them to new teaching tools, and help them integrate technology into the curriculum. Over the last two years, the workshop program has expand-ed its target audience. As nearly half of attendees were not Faculty, we broadened our topics to include tools that can be used both in the class and in the work-place. DCS also began holding private workshops for groups of international stu-dents studying to be teachers and graduate students who needed to develop presenta-tions as part of their course requirements.

DCS’s new office space in Tillett Hall includes a new Training Center used to host workshops and meetings. At the same time, DCS procured laptops and iPads to be used in workshops. This allows workshops to become much more hands-on as portable devices were used in new workshops on using Keynote, polling students, using apps, and video chatting.

In 2014, DCS introduced seven new workshop topics. Four hundred reg-istrations were received for sessions. Workshop attendance increased in each semester when compared to last year.

When not used for meetings, 118 has allowed DCS’s Technical Services staff to deploy new technology. This year a wall monitor was added that could be used to view remote video conference participants and serve as a confidence monitor during presentations. The room’s Digital Class-room Podium serves as a prototype where improvements made in other classrooms are first tested out. This new equipment has been utilized during the several faculty training sessions and workshops held in the room as well as impromptu training conducted for faculty needing additional assistance.

Creation of Podium Support NetworkIn 2014, DCS created a web-based plat-form for remotely accessing and tracking the usage of Digital Classroom Podiums.

Remote User SupportIn 2014, DCS introduced remote support of Digital Classroom Podiums. Now, when helping instructors over the phone, our Help Desk staff can remotely access podium computers and assist users by taking over control of the mouse. Remote desktop allows support staff to better un-derstand the nature of the problem, quick-ly fix issues, and demonstrate to the caller how they can fix the issue in the future. Remote support is also an extremely useful method of remotely checking the status of systems without having to physically visit the room and has drastically cut down our equipment failure rate and support response time.

Podium Usage StatisticsDCS staff is also now able to view real time data about how our Digital Class-room Podiums are being used. Informa-tion regarding what Podium Controller buttons are pressed, when podiums are

Expansion of Ancillary ToolsDCS offers several tools that can be used to enhance the use of in-class equipment. In 2014, we expanded our offerings to include iClicker base stations. iClick-er is a method of polling students that utilizes “clickers” sold at the book store. Previously, instructors had to obtain base stations from iClicker. To ease the process for Rutgers instructors, DCS reached an agreement with iClicker to receive bases that could be installed in Digital Class-room Podiums or loaned to instructors. Providing bases to our faculty lets instruc-tors take advantage of iClickers with less steps required and, for those using bases

in our DCP rooms, makes iClicker just one more standard feature of their podium that is available at the finger tips to use.

Expanded Use of DCS Training CenterThe DCS Training Center first opened in the Fall of 2013. Housed in Tillett Hall Room 118, the training center serves mul-tiple purposes. It is a site for meetings, a mock classroom where new teaching tools can be developed, an instructor training room, and video conference room. In 2014, the use of 118 for all these purposes increased.

Most notable, 118 was the home of bi-monthly meetings of the President’s Committee on the Near and Long Term Impact of Instructional Technology. These video conference meetings enabled staff in 118 to convene with remote participants in Camden, Newark, and beyond. Tillet 118 also saw frequent use for Rutgers Learning Center student training ses-sions, webinars attended by staff from the Office of Disability Services, and more. As a flexible, comfortable, and technolog-ically enhanced space – 118 has become a sought after and highly used resource for the University.

DCS Faculty ShowcaseIn the spring of 2014, DCS held its first faculty showcase. The showcase was an oppor-tunity for faculty to learn about teaching tools in use at Rutgers from the faculty that are using them. The theme of our workshop was student participation and three instructors spoke about response systems they were using in DCS rooms.

Deeper Outreach dcs.rutgers.edu The DCS web site is designed as both an instructional resource for faculty and an ad-ministrative and support tool for DCS staff. The public side of the site contains pages designed to assist faculty in learning about their classroom’s technology and requesting assistance. More popular features include classroom pages that include panoramic photos, detailed classroom features, maps, and equipment photos. Instructors can also learn more

about DCS technology by viewing videos, tutorials, and instructions. New web forms also enable instructors to request assistance and equipment online. The staff overlay of the web site includes the Support Ticketing System, an equipment inventory system, and – beginning in the Spring 2014 – a system which enables support staff to assist instructors by re-motely connecting to podium computers.In 2014, DCS added several new facul-ty resources, including updated Digital Classroom Podium videos and a maps feature that shows classroom locations on campus. The site was also re-ogranized to create quicker and more intuitive access to instructional videos and tutorials. The DCS site has consistently gained in use by members of the Rutgers community.

DCS NewsletterDCS sends out periodic newsletters notifying the Rutgers community of upcoming work-shops, classroom upgrades, new web site content, and other department news. The initial newsletter recipient list was comprised of department coordinators and faculty who took part in the initial Digital Classroom Podium Pilot Program in Fall of 2012. The list has since grown through voluntary sign up on the DCS web site and from workshop attend-ees who elect to sign up when registering for sessions. The last newsletter of the year, sent in September 2014, reached 476 recipients.

Faculty Feedback LuncheonDuring the Spring 2014 semester, DCS held its first Faculty Feedback Luncheon. Twen-ty faculty members joined our staff to discuss the Digital Classroom Podium and class-room technology at Rutgers. Our guests provided useful feedback on their experience using our equipment while DCS staff showed them potential future designs and features under consideration. Their ideas for future types of classroom technology has helped shape our long term vision for Rutgers classrooms. Faculty who attended expressed grati-tude and excitement about being part of our design process.

Other MediaDCS broadened its reach in various Rutgers media outlets this year. We participated in a Daily Targum article about classroom technology as well as a RU Today feature focused on a video conference class we coordinated. Our workshops were also advertised in RU Today, the Daily Targum, and the Faculty/Staff Bulletin.

Improvement of Internal OperationsSemester LoansDCS offers several pieces of equipment to instructors as “semester loans.” Available equipment includes wireless presenters, webcams, projectors, and more. To better accommodate faculty and ensure our abil-ity to track these items, DCS revamped the semester loan procedures. Beginning in the Fall of 2014, instructors were able to sign out loaner items from offices on each New Brunswick campus. This new procedure has enabled faculty to retrieve and return items to locations closer to the classrooms where they use them, while allowing our staff to ensure items return to their storage location.

Student Worker Training/Development DCS’s forty-plus student employees typi-cally receive the bulk of their initial train-ing at a two day orientation before the start of the fall semester. This past year, we overhauled these orientation days and introduced new mechanisms for continu-ing development and assessment. The ori-entation sessions were reworked to involve more active engagement with our tech-nology and more group work. Because it’s impossible to ever learn everything there is to know about classroom technology, let alone in two days, we introduced online tutorials and quizzes, so that our Support Specialists continue to learn throughout the year. To let our staff know how they are doing and what they can improve on, our Supervisors introduced performance assessments given at the end of the each semester, which will ultimately be used to determine promotions and raises.

While Digital Classroom Podiums have largely been well received, DCS continues its work troubleshooting persistent issues, improving performing, and adding new features.

The new Blu-ray drives introduced this past year in DCP 1.3 and 2.0s allow instructors to play International discs. They also contribute to a simplified design scheme that improves our ability to work inside podiums and reduces cost. However, issues relating to the Blu-ray software used with these new drives surfaced over the course of the year as some discs would not play or took too long to load. This is an inherent problem relating to using in-ternational discs that is prevalent across the industry. Our staff has begun testing various new media players that can more reliably play discs.

The podium’s Mac computer can be slow to log in. As a result, instructors using the podi-um for the first time sometimes think it is not working correctly. Previously, our technical staff focused on reducing load time by making changes to the interface. Focus will now turn to using Mac computers with solid state hard drive that are designed to operate more quickly. In our regular user interface improvements, we will explore ways to inform users that the Podium Controller is in the process of opening to reduce confusion.

Among the new features we will explore, we will continue to research ways to add a built in web camera to DCPs, including solutions that can provide document camera projec-tion, capture, and recording.

New Mac Blu-ray drive

Classroom UpgradesContinuation of Podium DeploymentDCS will continue to install Digital Classroom Podiums in current and new classrooms to reach its goal of standard, state-of-the-art classroom technology for the New Brunswick campuses.

Honors CollegeDCS will support six seminar rooms in the new Honors College, scheduled to open for the Fall of 2015. As this building is currently under construction, DCS has worked closely with architects, vendors, and Honors College leadership to design seminar spaces that offer the latest in instructional technology. These seminar rooms will be the first small spaces to be

equipped with the DCP M1 - a modified version that uses less real estate and is tailored to a collaborative and flexible seminar space. The resulting DCP model will be used in additional seminar spaces currently supported by DCS.

Rutgers Academic BuildingAs the Honors College opens its door, construction will continue on its neighbor – the Rutgers Academic Building. DCS will work with all stakeholders to design several new learning spaces as well as a new College Ave. Help Desk.

DCP ImprovementsDCS will continue to improve the podium design to provide more functionality and ease of use. Among these, DCS will continue brainstorming ways to improve the Podium Controller, including the feasibility of a “mini” controller. We will also look at ways to incorporate web cameras and document camera software.

Alternative Learning SpacesActive Learning ClassroomsAs DCS works to outfit traditional learning spaces with DCPs it will also begin to pro-vide technology for alternative learning spaces. DCS will introduce its first active learning space, a room designed for technology-enhanced work.

Video Conferencing DCS will continue piloting various means of video conferencing. Three pilots of Vidyo are currently scheduled as more faculty users are solicited. Tillett 118 is also being equipped with ceiling microphones and two additional cameras. One camera will be ca-pable of following the presenter and can be used in conjunction with LifeSize equipment. This will enable LifeSize video conferences in 118 of displaying a presenter at the front of the room, the audience, or both. The second camera will provide a built-in method of using web-based video conferencing such as Vidyo, Skype, Google Hangouts, Adobe Connect, and more. Installation of this camera will preclude the need to set up a portable web camera for video conference sessions. DCS will also work with our counterparts at Newark and Camden to try to connect Tillett 118 and potentially other spaces with video conference rooms on those campuses.


SupportIncreased College Ave PresenceWith the anticipated addition of newly constructed classrooms in the Honors College building and the Rutgers Academic Building, DCS seeks to expand its College Ave. presence to support these rooms and staff a new Help Desk.

DCP Support ToolsDCS will seek to expand its web-based podium monitoring to make it even more useful as a support tool. We will develop the ability to remotely control the power to podium computers, a system that sends email alerts when podium computers are offline, and a Testing and Cleaning module that Support Specialists can use to test and report problems while in classrooms.

Preparing for a Changing LandscapeThe Introduction of RCMIn July 1 of 2015, Rutgers University will begin use of RCM, or Responsibil-ity Centered Management. Like other units at Rutgers, this will require DCS to learn and operate under a new budgeting system. DCS will also need to anticipate and adjust to ways that RCM may affect how learning spaces are controlled and supported at Rutgers.

Offering DCPs in Non-DCS RoomsDemand has grown for Digital Class-room Podiums. Departments and schools that control their own classrooms have requested DCPs. To meet this demand and help further our goal of providing a consistent experience across Rutgers class-rooms, DCS will create several options for departments who want to open their classrooms up for general-purpose use, purchase or lease podiums, and receive fee-based support from our staff.

Instructional Technology CommitteeThe President’s Committee on the Near and Long Term Impact of Instructional Technology will release its recommenda-tions in 2015. DCS will seek to align its mission with the committee’s goals and find ways to contribute to moving instruc-tional technology forward at Rutgers. Lecture Capture DCS has entered into a cost-sharing agreement with several units across the Rutgers system for Kaltura lecture capture software. In 2015, DCS will pilot Kaltu-ra’s prototype for cloud-based classroom capture. If successful, this product could be installed on every Digital Classroom Podium, enabling instructors in these rooms to record video, screen capture, and audio at the push of a button. Perhaps most importantly, because this effort has been done in conjunction with several different entities at Rutgers, our users will be supported at multiple phases of using the product from several units and have familiarity gained from using the same product in different locations.

Additional Teaching Tools DCS’s classroom technologists continue to explore tools that can be used in conjunction with DCPs to enhance the teaching and learning experience. Focus will center around tools that enable instructors to teach from out behind the podium, methods that engage students through dialogue and collaboration, and tools that further streamline how faculty can access and present course material.

New Training OpportunitiesAs new teaching tools are introduced, DCS will continue to assess how it can put these tools in the hands of our users and provide new workshops that both highlight how they can be used and help faculty get started. Expanded Showcase In the 2nd Annual Showcase, we will seek to expand the scope of its presentation, to turn this small session into an event. The showcase will be used as a means to expose the Rut-gers community to teaching methods that are available for our users to use immediately. Our goal is to grow this day into an important annual event for classroom technology at Rutgers. DCS Fellowship DCS will seek to receive funding for a new Fellowship program designed to pair faculty seeking to incorporate new teaching techniques with graduate students ready to assist them and study technology’s impact on learning. New Support Specialist Scheduling System Our Help Desk staff will introduce a new system for scheduling our Support Specialists that is online and mobile friendly. A new system will allow students to easily request and view shifts while making more efficient the way that supervisors track and approve hours.
