    1.0 eMAM (new) Director InterfaceTaking the capabilities of “Old Director”  Interface (now called  Admin Console) a step further, Empress has

    introduced an enhanced eMAM Director interface, with additional features and functionalities, called “Director

    Interface”. Other eMAM interfaces, each detailed in separate documentation are: 

    1.  The Super Admin interface or SuperAdmin Console, used by Administrative users, often IT staff, or Empress

    Staff to make and maintain system settings.

    2.  The older Director interface (the “Old Director Interface”, now called “Admin Console”), most

    functionalities of which have been incorporated in the Director Interface.

    3.  The Client Interface, a simplified browse, download, and link sharing interface for non-technical staff or

    external clients.

    4.  The eMAM feeder, an ingest application for worldwide upload of assets into the eMAM system.

    5.  eMAM iOS app for iPad and Android app for Google Android-based tablet use.

    The largest change in the Director Interface is the introduction of a widget-driven interface

    (http://en.wikipedia.org/wiki/GUI_widget).

    “Widget” entered American English around 1920 as a generic term for any useful device,

     particularly a product manufactured for sale. In computer use it has been borrowed as a

    shortened form of “window   gadget,” and was first applied to user interface elements

    during Project Athena in 1988. The word was chosen because "all other common terms were

    overloaded with inappropriate connotations." – Wikipedia.org

    A user can choose to display or hide functionalities, which are now available as widgets. This new interface gives

    users the flexibility to customize their desktop/interface depending on their roles, their workflows, and their

    individual preferences.

    For example, review and approval users can use Preview  and Approval widgets to create their workflow. Thesewidgets can either be docked (fixed) to either side of the main panel or floated anywhere on the screen. This

    unique capability to individually customize the interface will help users use the system more productively – Widgets

    that are not needed or infrequently used in their role can be docked or closed and sent back to the widget holder

    to avoid cluttering the interface.

    Other major changes introduced since Version 3.5 Director Interface include editing timeline development

    (Sections 2.6); support for Adobe Anywhere™ (Section 2.8); eBIN web publishing (Section 2.7), marker search,

    search filters, and saved searches (Sections 2.4, 2.15, 4.0 and 5.0); desktop presets (Section 1.6). Changes are

    also detailed in Version 3.5 Release Notes. Note some features may not be supported across all eMAM configurations

    – e.g. Adobe Anywhere is not supported for eMAM EZ and Online configurations, only for Enterprise and optional

    for Workgroup.

    Note: Some screenshots of the eMAM 3.5 Director may be shown in either the “dark” (grey/black) or “light” 

    (red/white) themes as will be described later. Users with permission may choose either theme.

    1.1 Login to the eMAM Director Interface

    Each user requires a unique login username and password to access the eMAM system. These are maintained by the

    Admin users from the Admin Console within eMAM, or an organization can use LDAP/Active Directory to maintain

    users by roles.

    The User Name is typically the email address of the user, but can also be an LDAP registered name such as “bsmith”.

    The password can be auto-generated or created by the Unit Administrator. Depending on settings, a user will be

    asked to make a new password when they first login.

    eMAM Login 

    eMAM offers a ‘Remember Username’ option during login. If this option is checked, the username is saved in the

    browser, and is auto-filled in the future. For security reasons, eMAM does not allow users to save passwords.

    Forgot password  is a password retrieval function. To retrieve the forgotten password, the user clicks on the ‘ForgotPassword?’ option, provides the registered email (user name) in the textbox and clicks ‘Submit’. The new password

    is sent to the specified email id.

    1.2 Layout and Interface

    1.3 Resizable Page Regions

    1.  The web page has been divided into 5 resizable regions.

    2.  A user can add widgets to these regions or remove widgets from these regions.

    3.  A user can show/hide these regions.

    4.  The web page region is proportional to the screen size, so the interface view changes asneeded.

    5.  Widgets inside the regions are automatically resized if the region size changes.

    6.  Widgets can be docked to a panel (region), or made to  float  so they can be resized anddynamically arranged like a pop up window.

    1.4 Widget Holder

    Each major functionality in the Director is associated with a widget. Unused widgets arerepresented as icons in the widget holder, while widgets in use appear in one of the five regions

    as tabs or floating anywhere on the screen. Widget Functionalities are described in detail inSection 2.

    There is a quick panel in the upper left hand corner of the interface, containing all the unusedwidget icons.

    Will expand, and will collapse the widget holder display. Icon sizes are adjusted based on the

    number in the holder

    1.5 Widget General Features

    Different functionalities in the Director Interface are available as dockable widgets. Available

    widgets for a user are determined by the permissions set for that user. For example if the

    “View eBIN” permission is not set for the user/category, the eBIN widget will not be available

    for that user/ asset.

    These widgets can be moved to different regions on the interface by drag and drop from the

    widget holder (described in Section 1.4 above) to the right panel, left panel, or one the three

    central display areas. If there are multiple widgets in the same region, then they will each

    appear as a tab at the top of the region.

    Each widget has a pulldown menu:

    1.  “Close” will remove the widget from the current region of the interface. It will now be

    available as an icon in the widget holder panel.

    2.  “Float” will unpin the widget from the region in which it is docked. It can now be put

    anywhere on the screen and resized as needed. If needed, it now has a “Dock” option to

    pin it back to a region. 

    3.  Other widget options if available are described in detail under the appropriate part of

    Section 2. 

    The information displayed in many widgets, (including Approval, Metadata, Comments, and Markers widgets) will

    change based on the chosen asset, as described in detail in Section 3. The changes will occur whenever an asset is

    chosen/clicked on within the Browse widget.

    A scroll bar on the right of a widget will appear if the display area is not large enough to display all of the

    information. A user can scroll up and down by clicking or by click and drag.

    1.6 Customizing the Interface

    Clicking on the green dot in the upper right hand corner of the interface will open up theme and workspace settings,

    and also the LOG OUT button. It will also indicate the currently logged in user.

    There are two theme settings currently (more may be added at a later date) –“dark” which features a grey/black

    metallic tone workspace and “light” with a bright red/white toned workspace rem iniscent of the classic Client

    interface. Clicking on the white/red button will invoke the light theme, clicking on the black/grey button will

    toggle back to the dark theme. Note that when theme settings are changed, the arrangement of the widgets will

    change to their defaulted positions and the screen will refresh, users should save their workspaces before changing

    themes. Once the workspace is arranged with the widgets and positioning as desired, the workspace may be named

    and saved. A user can click on Add New Workspace and then name it on the pop up box that follows – and then

    SAVE it. Then, next time the interface is opened the user just clicks on the name you set and it will rearrange the

    workspace as before. (Note: Floated widgets may return to their docked position on the right or left widget panel

    after reloading theme.)

    To save the workspace settings and layout start by users click  Add New

    Workspace, naming it in the Workspace Name field, and then click ADD. It

    will then appear in the list of saved workspaces, which can be selected

    anytime, as shown below. More workspace customization features may be

    added in future releases.

    Users simply click the LOG OUT button to logout. Users may also be automatically logged out after a period of

    inactivity for security reasons.

    2.0 Widget Functions

    Users cannot use or see widgets for which they have no permission. Below are detailed descriptions forthe functionality of each widget.

    2.1 Projects

    Projects are created in order to group and organize assets. The system can have any number of projects. Theprojects widget lists all the available projects to which the user has been assigned or has permission to view. The

    widget pulldown menu has an option to Add Project, which will cue a user to enter a name, description, and public

    tags for that project. Projects can be seen in the thumbnail view or the list view.

    Project Functions

    Add New Bin

    A bin is a subproject. A user can create one or more bins associated with a project, as shown above for

    creating projects. Bins can have any number of levels, and the hierarchy is displayed as tree view structure.

    The contents of a project or subproject can be shown with the

    “+” and hidden with the “-“ sign.

    Edit Project

    Also a user can create\edit sub projects (bins). User can change Project name, description and add or change

    public tags which will help with relevant searches. Once the changes are made, click “Update” to save the

    changes. “Project saved successfully” message is displayed.

    Edit Project

    Delete Project

    The user can delete a selected project (note: assets in that project do not get deleted, only the project – the grouping of the assets or pointers to assets.).

    Create Sequence

    A sequence is a series of video clips or subclips arranged in linear order. The user can create an editingsequence so eMAM users can contribute to an editing workflow. This functionality will be described in greater

    detail in Section 2.6 (Timeline) and 2.6.1 (Timeline preview). Any number of sequences can be opened withina given project or bin (subproject). Sequences can be viewed in the Timeline Widget (see Section 2.6) andpreviewed in the Timeline Preview Widget (see Section 2.6.1).

    To create a new sequence, click “Create Sequence”, and provide all the sequence name.

    Export Project

    Exports the selected project as an XML file, for import into other applications such as FCP or Premiere Pro.

    Send to Anywhere

    One-click export of project to an Anywhere production. The production name in Anywhere will be the same as the

    project name in eMAM. Anywhere productions which have been sent from eMAM will indicate with “Exported from

    eMAM” below the production name. Note that this may indicate “Restore to Anywhere”, for bringing eMAM projects

    Creating an Anywhere production from an eMAM project is one-click easy using the “Send to Anywhere”

    function. Anywhere productions which have been sent from eMAM will indicate “Exported from eMAM” in

    the Anywhere widget window.

    Archive

    One-click archive - Adds all of the associated project assets into the Archive queue. Status can be monitored with

    the Dashboard  widget. Assets will be archived to destination(s) as determined by system administrator in the

    archive profile (e.g., LTO tape system, cloud, off-site location, back-up server, etc.). For archiving, the priority

    can be set from 1-10 (1 being the highest priority). User can choose to include the asset from sub projects to

    archive. In the Archive options, total number of asset and total number of assets in the online storage is displayed.

    User needs to provide the Tape serial number to archive the asset.

    Once Archive Profile is selected, Archive status is displayed, which shows the Id, File Name, Status and Description

    of Archive process.

    The status of the archive can be monitored in the Dashboard as shown below:

    Restore 

    One-click restore – Retrieves assets from appropriate archive system(s) and restores to eMAM online storage.Users need not know where the assets are archived – eMAM will automatically retrieve them. For an archivestored on the shelf, an administrator will get a message to retrieve the tape and mount in the library or drive.

    2.2 Categories

    In eMAM, organization of assets into project groupings is useful and optional, but every asset should be

    assigned to a category either during ingest or afterwards, in order to control access and permissions to

    the assets. Otherwise, assets will be in the “Uncategorized” category by default. Just like projects,

    categories can also be displayed in Thumbnail or List view.

    Categories allow users to group their assets with permissions. In

    eMAM, a user is a member of one or more user groups: access to acategory of assets is restricted at the user group level. The Categories widget will display all the categories to which a user has access. Anew category can be created with the Add Category  function from thewidget pulldown. Like the Project widget, the Category  widget haspulldown menu options next to each category to add a category(subcategory), edit a category, copy, move, archive, restore and addto delivery queue. An ingest source (e.g P2 card) with a complex

    folder structure will be retain that structure: category functions can process it in its entirety (e.g.archive the P2 card and all of its subfolders automatically).

      Add Category  –To add a new category orsubcategory, a user names it and checks thepermissions associated with it. Finally, the usercan click ‘Add’  to save the new category, or‘Cancel’ to discard the process.

    Categories can have any number of subcategories.The hierarchy is displayed as a tree view

    structure. The contents of a category can be

    shown with the “+” on the left of a category name

    and hidden with the “-“ sign.

    Category functions are available by clicking on the button the

    right of the category.

    Add Category: The user can create a subcategory to the

    chosen category. Appropriate permissions can be set as

    desired.

    Edit Category: The user can edit category information,

    including the name of the category and the permissions

    allowed for that category of assets. Similar to Add Category

    except button will indicate “UPDATE” instead of “ADD”. 

    Editing a Category is similar to creating one – 

    button will indicate UPDATE instead of ADD.

    Categories can be renamed and permissions

    changed if necessary, provided appropriate

    permissions are set for the user.

    Copy: Similar in behavior to the copy function in Windows – puts a copy of the category in the “clipboard”

    so it can be pasted into another or new category (does not duplicate assets only the pointers to the assets).

    Move: Like Copy  except will delete the original category. Note when Copy or Move is selected a new entry

    Paste will appear on the dropdown after Move. Select Paste at the location desired to “paste” the category. 

    Archive: Archive will send the assets in the selected Category to the archive, as determined by the system

    administrator. Progress can be monitored in the Dashboard widget.

    Restore: Restores archived assets back to eMAM online storage. Progress can be monitored in the Dashboard

    widget.

    2.3 Subclips This widget is available only for video assets. Subclips are a parts of a full-length video asset.The Subclips widget allows a user to mark multiple set-in (start) and set-out (stop) points in a video file.

    Subclips are easily made with the Subclips widget and Preview  player widget using the set-in “{“ and set-out “}”buttons. The widget has time stamps and a yellow segment indicates subclip range.

    At the bottom of the Subclips widget, are buttons to ADD, SAVE , DELETE , and DELIVER. One or more subclips canbe chosen by clicking on the check box at the top of the subclip, and unselected by clicking the “X” at the top.

    Add: This function will create a new subclip. A video can have any number of subclips and can be selected fromthe Browse widget by clicking on it. In the Preview widget, the video key appears with the player button. To

    create a subclip, the user can click on the set-in ‘{‘ button on the left. User can then choose the set-out point inthe video with the ‘}’ button, which will determine the length of the subclip, also indicated by the yellow line.

    Save: This will save the current subclip being created. Subclips are NOT automatically saved, so users must becareful to save their subclips.

    Once the marker has been created, a user can change its name by clicking on its name. The duration

    can be changed to specify how long the marker symbol should be displayed on the Timeline widget (seeSection 2.6 and 2.6.1).

    Once the marker has been created, a user can close the marker by using . To save any marker, the user click on

    the checkbox next to it, and click ‘Save’. Markers are not automatically saved.

    2.5 Approval Users may require an asset to be approved by another person, internal or external tothe organization. Using the Approval widget, the user can send an asset for internal approval to othereMAM users. The user will click the internal approval button and choose the recipient from the list ofsystem users.

    Internal Approval

    The user can also send an asset externally to somebody who is not an eMAM user. The user will type in the email

    address of the recipient, create a temporary user name and password, and set an expiry date for the asset.

    The email recipient (approver) will click on the hyperlink, and enter the given username and

    password. The recipient will see the asset with video player options, a space for comments, andthen a button to approve or reject the asset.

    Please note that the recipient only has access to view the selected link, with no other access tocontent in the eMAM system. Once the asset has been approved or rejected, or the expiry datehas passed, then the link will expire, whichever event occurs first.

    2.6 Timeline and Timeline Preview 

    In eMAM, the terms “timeline” and “sequence” are used to mean the same thing: a series of video clips and

    subclips put together in a linear fashion. This allows eMAM users to use any internet connection to provide input

    into the video editing process, which was traditionally localized to where the editors and/or the native definition

    content are located. eMAM users can contribute to the initial assembly and perhaps the rough cut process (see

    http://en.wikipedia.org/wiki/Rough_cut) of the professional video editing workflow. eMAM can share the clips,

    subclips, markers, and sequences with the editor(s) to complete the process, which is described in other

    documentation. eMAM does not support editing or creating fade in/fade out or other effects or functionalities

    generally associated with editing systems (e.g., Adobe Premiere Pro or After Effects).

    The Timeline widget is normally available in the lower center region of the interface, if not closed in the widget

    drawer. This editing feature allows the user to lay out a video sequence in a linear fashion, horizontally across

    the webpage, with a thumbnail for each of the video clips and subclips in the series. A user can select a

    sequence from the Project widget (see Section 2.1) and select Create Sequence to make a new rough cut. A

    user can drag and drop video assets from the Browse widget or subclips from the Subclips widget to this Timeline 

    widget. To add clips from the Browse widget, move the Browse widget to one of the regions on the top of theweb page, so both the Timeline and Browse widget windows can be seen at the same time. It would also be

    helpful if the Timeline Preview  widget window was floated nearby as well.

    In the screenshot below a new sequence is created from the Project widget. To the right of the project name click

    on the small box, select Create Sequence from the pull down menu, then provide a name in the pop up box, click

     ADD. The Timeline widget will initially be blank. Click and drag desired clips to the Timeline widget (three are

    shown here), then rearrange as desired by dragging and dropping. The composite clip can be played back in the

    Timeline Preview player (described next). When satisfied, the user can save the sequence by clicking the SAVE  

    button on the Timeline widget, or deleting it with the trash icon. The scale in the Timeline widget may be sized

    small, medium or large. The length of the series of clips and subclips is displayed by Length next to the SAVE

    button. There is a scroll bar at the bottom of the widget to move through the parts of the sequence (appears if it

    is a long clip).

    2.7 eBIN 

    The eBIN is a method to share a group of assets through email links to a customizable player. Thisallows eMAM users a functionality to share content in a very simple manner. eBIN recipients need notechnical ability and any internet connection to view the content. Assets can be added to the eBIN  using drag and drop from the browse widget. They can be removed using the “X” in the upper righthand corner of the icon for each asset.

    The eBIN  widget has the following special pulldown menu options:

    2.7.1 eSEND The user will send the assets in the eBIN to one or more recipients. A description of eachfield follows.

    1.  eMAIL addresses: The user can send the eBIN to one or a series of email addresses.

    eMAM can keep an address book of email addresses for use, which is not yet available in the DirectorInterface. These are currently maintained in the Old Director Interface.

    2.  Subject: This shows as the subject line for the recipient’s email. 

    3.  Description: This shows up as the description with the eBIN.

    4.  Message ID: Each message is tracked with a unique identifier in the system for tracking purposes.Message ID can (and should) be edited with a more descriptive ID and resent using the ClientInterface.

    5.  eMAIL type: Text emails just send the content as links, while HTML send a customizable graphicalplayer with the email.

    6.  Expiry Date: This is the last date an eBIN can be opened.

    7.  Access Limit: This is how many times an eBIN can be opened (0=unlimited).

    8.  Downloadable: Only if this option is chosen does the recipient have the option to download thecontent. Depending on ingest settings for the organization set in the Super Admin Interface, theremay be one or several different formats preloaded for each asset available for download.

    9.  Send me a copy of this: The user will also receive the eBIN message sent back to them.

    10. Unsubscribe link: This is an option for a recipient to unsubscribe if the eBIN is used for marketingpurposes (CANSPAM legal requirement in the US).

    11. Enable report tracking: The database will track opens, plays, etc., for the eBIN message. Reportingoptions are available in the Old Director Interface or using a third party reporting application orscript. (Reporting to be implemented as Reports widget in the Director).

    12. Allow comments: eBIN recipients can comment on the assets.

    13. Forward: The system will track the ID of the device which opens the eBIN. Only if this option ischosen can it be opened on another device.

    14. Clear your basket after send: All chosen assets will be removed from the eBIN after it is sent.

    15. eMAIL template theme: For HTML messages (chosen with #5 above), this option will offer themes tochange the appearance of the email. The recipient will have a button at the bottom of the email toview the player. To see the appearance of the email before sending, the user can click on themagnifying glass icon.

    16. Preview template theme: This option offers a number of themes to change the appearance of theplayer in the recipient’s email. Different types of assets (video, audio, images, other) will bedifferent tabs in the eBIN player. To see the appearance, the user can click on the magnifying glassicon.

    17. Send: This will send the eBIN to the chosen recipients.

    18. Clear: This will clear all of the eBIN options entered.

    2.7.2 Download

    The user can download all of the assets in the eBIN  in one of the preset formats. The formats preset in thesystem are preloaded when assets are ingested. Settings for this are found in the Super Admin Interface bythe System Administrator or POC. The following four file types can be selected: Video, Audio, Image, andOther Files (documents, spreadsheets, PDF, etc.).

    After selecting Download from the pull down menu, the following dialog will pop up – selectdestination for download of files, and then select OK.

    “Production” as a shared project at the same time (real time editing). To access the productions in the Anywhere

    LOGIN. Note: future versions of the Director may support automatic Anywhere login based on the users’ profiles or

    LDAP settings.

    Special pulldown menu options for the Anywhere widget are:

    Logout: Logout from the Anywhere server – does not affect eMAM logins.

    Create: The user can create a new Anywhere production through this widget.

    After login, all of the productions available to the user are listed. Click to delete a production.

    A new production may be added by selecting the Create from the widget pulldown. In the pop-up window, the

    user will name the production and add a description. Once the details are added, the user can click ‘Add’ to

    create a new production, or ‘Cancel’ to discard the process.

    2.9 Preview

    This widget displays a proxy preview of an asset. A user can preview video, audio, images anddocument files. Video assets will display simple playback controls and collaboration tools as shownbelow.

    In the preview player (for video assets), there is a subclip mark set-in (left curly brace ‘{‘ ) and markset-out (right curly brace ‘}’ ) buttons to subclip a video asset. The details on the current and othersubclips are found in the Subclips widget (section 2.3). There is a marker button to set a mark at thecurrent point on the timeline: the details on the current and other markers are found in the Markers widget (section 2.4).

    Clicking on an asset in the Browse widget will select that asset. The selected asset will automatically

    appear in the Preview widget. Other widgets will also change automatically based on the currentasset, including the Metadata, Comments, History, Embed, Appro val, Markers, and Subcl ips .

    Selecting the button will allow the user to enable or disable the Annotations, Marker, or Subclipsbuttons  on the Preview widget as shown below. Checking/unchecking the corresponding box willenable or disable that tool.

    2.9.1 Annotations ToolboxThe annotations button  is used to make various editing marks and notes on the current frame of avideo asset. Selecting the annotations button will open up a small pop up with various drawing tools – custom colors can also be selected from the palette as shown above. Clicking on the tiny color wheelwill open up the palette submenu to select custom colors.

    The following is a description of the other icons in the Annotations Toolbox, which allows the user toplace editing marks and notes directly on the video frame. Drawing elements will be in the selectedcolor from the palette as shown above.

    2.10 Metadata The main part of an asset is known as the “essence” (the video frames for videoasset, the notes of an audio clip, etc.), while all the information about an asset is known as“metadata”. The Metadata widget displays the asset’s general info, embedded metadata, custom

    metadata and tags for the selected asset. eMAM can hold any number of metadata fields, and theyare all searchable. Therefore assigning relevant titles, authors, descriptions, custom metadata andtags to an asset will make searching for that asset much easier when needed.

    Embedded metadata is extracted by the system at ingest, and is non-editable. These are technicaland camera information about an asset, including file name, format, and size, bit rate, formatinformation etc. Embedded metadata can scroll for several pages.

    2.10.3 Custom Metadata

    Custom metadata fields are specific for the needs of the organization and how it organizesinformation. The wealth of information about metadata schemata underscores the importance ofgood metadata for an organization. Metadata fields are currently defined in the Old DirectorInterface and are usually input at ingest using eMAM Feeder. They can have default values, be

    required/optional, and be text/list. Custom metadata values can be input or edited in the interface.Users can save changes by pressing the UPDATE  button.

    eMAM can hold any number of searchable tags for an asset to aid in search. The tags may be public,for all users, or private, usable only by the user creating it. The user can type in the text box andclick ADD to save the tag. Previously created tags can be edited using the pencil icon or deleted

    using the box.

    The asset History widget shows all actions performed on a given asset. It displays the date an actionwas performed, the action, the user who performed the action, and ID # of the user. Using the OldDirector Interface, this information can be exported or printed.

    2.12.2 Settings

      Player Size- A user can choose the standard SD and HD players or customize the player byproviding entering the width and the height.

      Skin Autohide- The outer skin of the player will not be visible.

      Autoplay- This option will start playing the video as soon as it gets loaded in the browser.If this is not chosen, then the video will only start after the play button is pressed.

      Closed Caption- Captions are displayed, if available.

      Full Screen- The video plays in the full screen mode.

    2.12.3 Get EmbedClicking on this button will give the user a very long string to use for embedding in another website.

    Clicking SHARE  will give the user an eMAM Player URL, which can be copied and pasted in any browser to play the

    The Dashboard  widget indicates the status of completed or pending ingest, delivery , archive, or cloud  

    operations. For example, following an ingest process, the progress and status of the ingest process can be

    monitored by checking this widget and clicking on the Ingest tab. Users can view status by process state such as

    Uploading, Processing, Added, etc., by clicking on the individual status tile, or you can view all processes by

    clicking on the View All link. If the status is not known, then it is quickest to View All. When selecting View All

    there is an option to display as a list or as tiles. Note that this widget will not change if different assets are

    selected (e.g. if assets are being ingested it will continue to show status when refreshed manually or

    automatically at intervals, regardless of current workspace operations, and post-ingest as well). This will allow

    continuous monitoring of the process while performing other operations.

    When selecting View All, status can be presented in a tiled or block format, or as a tabular/list format with the

    respective icons as shown below.

     

    Below is same data presented in list or tabular format – a user may have to expand the widget window to see all

    fields in either case. The user could expand any floating widget window by positioning the mouse over one of the

    corners and dragging outward. Note that in the list view the records may be sorted by the listed column headings

    such as Title, Start Time, End Time, Status, Description, etc., so you may find records quicker if there are many.

    When viewing all assets in the Dashboard widget as either the tiled or list format the user will see two other

    buttons on the right side – the left button is the manual refresh button, and the user can adjust the automatic

    2.15 Search Filter

    The Search Filter widget allows the users to perform what is referred to as a faceted search. This is another

    quick search method for f inding assets by “drilling down” certain search criteria until the assets listed are

    filtered according to the search selections.

    For example, by clicking on “Video Assets”, the Search Filter widget will list only those project, categories and

    files sizes that contain video assets. Further selecting by project name, category name and/or file size will

    narrow down selection, making it easier to “zero-in” on your desired assets. Or, you can start with a Project or

    Category, then filter down by asset type or size. It is very similar to ecommerce shopping cart software, where

    the online merchant lets you select by brand, then size, model, color, etc., until you find the products you want.

    This widget does not have any special menu options other than DOCK/FLOAT and CLOSE.

    Because only Image asset type was selected, only images are shown in the Browse widget. There are a total of1912 assets across all of the Projects and Categories in this example above. Further refinement of the search

    2.16 Delivery

    Assets dragged and dropped into the Delivery widget can be added to the Delivery Queue to send to the next

    station or user in the workflow, or for final sequencing and delivery to client, for example. Once assets are

    dropped into this widget, the user can click Deliver from the widget’s pull down menu to send to the

    appropriate delivery profile. A pop up screen will allow user to select appropriate delivery profile to select.

    Notice that the asset queued for delivery will appear in the Dashboard widget under the Delivery tab as shownin the background (in this screen capture both widgets are floating).

    The Comments widget allows one to view and/or enter comments for the selected asset in the Browse/Preview

    widget.

    To enter comments simply type comments in the widget’s My Comments box and click POST button. Comments

    will appear above with user name and date stamp. Comments may be deleted with the on the right,

    according to permissions.

    2.18 Ingest

    The Ingest widget enables upload and ingest of new content into eMAM by installing an eMAM Feeder desktop

    app. The first time this widget is used, it will prompt to download the Java applet to install the desktop feeder.

    If Java is not present on the machine it will have to be installed as well. Afterwards, to perform an ingest

    operation, it is recommended that the eMAM Feeder can be started directly from the desktop through the

    desktop shortcut.

    At this point more files may be added to the ingest list for upload using the ADD FILES button. Also, if additional

    files are added they may also have their own assigned descriptions, tags, projects, categories, and custom

    metadata as well, as was done previously. It is best to upload assets in logical groupings, if possible (e.g., by

    Project or common Custom Metadata or Tags). When all files are ready for ingest, click UPLOAD button.

    As the files are being uploaded, progress will be indicated on the Status column. Successfully uploaded files will

    disappear from the list. If there are issues, there will be indications as shown below. Also, ingest status can be

    monitored with the Dashboard widget as described in section 2.15. It is possible that successfully uploaded files

    may still have an error afterwards (e.g. transcoding error, duplicate file, etc.), so the Dashboard widget should be

    checked if there is a problem suspected.

    Assets that are uploaded and ingested successfully will appear in the designated Projects and/or Categories asspecified during the Feeder selections above. If not, the assets will appear in the “uncategorized” category to be

    assigned later to Categories and/or Projects. It is far more efficient to assign these, as well as tags and custom

    metadata, during Feeder ingest of course.

    To re-run the Feeder for subsequent ingest operations use the desktop icon that was installed previously. It will be

    automatically configured to access the server for the present eMAM Director/ Unit installation. The same eMAM

    login information may need to be entered as described in section one. If not sure, contact the POC/ System

    Administrator.

    2.19 File Versions

    File Versions is a handy thumbnail widget which indicates some basic information about the asset as well as a

    graphical summary of where the asset’s files are located: Cloud, Source, eMAM Storage, and/or Archive. This

    widget is dependent on which asset is selected in the Browse widget, and will change accordingly. It will

    indicate some basic information about the asset such as: Asset ID, Title, UUID and File Name. At the bottom of

    the widget are four icons, left to right, which indicate the asset’s file locations. If the icon is bold it is stored at

    that location, if the icon is ghosted out, the file is not stored at that location. In the example below, the asset is

    not in the cloud, source location, or archive, but it is located in eMAM storage. The File Versions widget does not

    have any special pull down menu selections.

    2.20 Project Versions

    The Project Versions widget (not to be confused

    with File Versions widget above), works in

    conjunction with the Projects widget to keep track of

    changes to the Project. It will list updated assets as

    they are changed through the workflow process (e.g.,

    as projects are exported back into eMAM from

    Premiere Pro as an “update”, or if new assets are

    added to the project either from eMAM or though

    Premiere Pro).

    In the Project Versions widget (and also the Project

    widget), there is the option to list the Projects, assets

    and sub-folders (bins) in a list format which is

    default, or as folders and icons as shown below.

    This widget does not have any special pull down menu

    3.0 Relationship between WidgetsThe widgets are interdependent: once a user selects any widget, the related widget is affected as well. The

    relationship between the widgets is described below. This is only a partial list as examples. There may be other

    widget relationships not listed here but the relationship between the widgets in question can be checked by opening

    the affected widgets into the workspace area and determining the changes by inspection.

    Asset selection is done by clicking on any asset in the browse widget.

    Browse and Preview- The selected asset is displayed in the preview widget.

    Browse and Metadata- All the metadata associated with a selected asset is displayed in the metadata widget.

    Browse and Comments-Comments associated with a selected asset are displayed in the

    comments widget.

    Browse and History- The entire history of a selected asset is displayed under the history widget.

    Browse and Embed- The embed widget will give the user the embed code or the sharable URL

    for the selected asset.

    Browse and subclips-All the subclips for a selected asset are displayed in the subclips widget.

    Browse and markers-All the markers associated with the selected asset are displayed in the

    markers widget.

    Preview and markers-When a selected asset is displayed in the preview widget, the markers

    associated with that asset are displayed in the markers widget.

    Preview and subclips-When a selected asset is displayed in the preview widget, the subclips

    associated with that asset are displayed in the subclips widget.

    Projects and timeline-When the projects widget is selected, the timelines saved under the

    selected project are displayed in the timeline widget.

    Timeline and timeline preview- If the user drags and drops sequence/timeline into thetimeline preview, then it timeline will automatically play.

    Timeline and subclips- When the timeline is displayed in the timeline widget, the subclips

    associated with the selected timeline are displayed in the subclips widget.

    Search filter and browse-When the user performs a search operation, the result of the search is

    4.0 Search Panel and Basic SearchesSearch helps save time by allowing users to retrieve digital assets in the system as quickly as possible. eMAM offers

    two search options: Basic Search and Advanced Search. There is also a Search Filter widget, described in Section

    2.16 above. The Search Filter widget allows the user to “drill down” and is an alternative means of quickly finding

    assets in addition to the Basic and Advanced Search methods covered here.

    The search panel is on the top of the web page, as are the logo and the user name. If these are not needed, then

    there is an up arrow below the search window that will minimize it to provide more space for the other elements

    of the webpage. If minimized, the top panel can be opened by clicking on the down arrow in the middle of the

    screen.

    Search Options

    The search bar is not case sensitive.

    Multiple spaces are not allowed between the words.

    There should not be any space between asterisk ‘*’ and the word typed in the search bar. 

    4.1 Basic Search

    Basic search is done based on the relevance (meaningful search). For example, a search for assets with word ‘fly’

    returns assets that are named ‘fly’, ‘flew’, ‘flying’, ‘flies’, ‘flown’ and so on.  For a given word or phrase, search

    is carried out in all of the following fields:

      Title

      Description

      Author

      Custom Metadata

      Private Tags

      Public Tags

    For basic search, the user can type search word or phrase in the basic search bar at the top of the screen and click

    5.0 Advanced Search Options

    Advanced search option is used to narrow down searches if there are many relevant assets. If the user knowsexactly what and where to search for asset, this feature can quickly narrow results. There are three tabs for

    advanced search options: Advanced Search (Section 4.1), marker search (Section 4.2) and conditional search

    (Section 4.3).

    5.1 Advanced Search

    Under the advanced search tab, the user can enter a search term or phrase in the search text box. A search text

    box suggests search terms based on the previous searches in a floating panel, but this has not yet been implemented

    in the Director Interface. The user can choose from a number of additional options, and then click the SEARCH

    button at the bottom to search or CLEAR to deselect all of the options. 

    The user can then choose any one of the four options: Exact Match, Contains this word, Contains all these words,or Contains any of these words.

    Advanced Search Options

      If the ‘Exact Match’ option is selected, then

    1.  The order of search terms or phrases is important. For example, if the asset title is ‘Filmawards’, searching for ‘awards Film’ will not return any asset. 

    2.  Space between search terms or phrases is important. For example, if the asset title is‘Filmawards’, searching for ‘Film awards’ will not return any asset. 

      If the ‘Contains this word’ option is selected, then the user should enter only one search term in thesearch text box. If more words are entered, then a ‘Multiple words are not allowed’ error messageis displayed.

      If the ‘Contains all these words’ optionis selected, there must be more than one search term in thesearch text box. If not, then the ‘Please Enter Multiple Words’ messages is displayed. eMAM Searchengine searches and returns the assets that contain all the words typed in the search text box,

    regardless of order. 

      When the ‘Contains any of these words’ option is selected for searching, there must be more thanone search term in the search box. If not, then the ‘please enter multiple words’ message is displayed.This search option returns all the assets that contain at least one of the the words entered in thesearch text box. For example, search for ‘spring season’  returns assets with ‘beauty of spring’,‘season of flowers’, ‘spring season always bring april shower’ etc. 

      Enable Full Text Search: Enabling full text search ignores any prepositions in the search word orphrase. Full text search is relevant only when the user selects ‘Contains all these words‘ option tosearch an asset. If FullText  search is enabled, then noise words like ‘it’, ‘in’, ‘of ’, ‘to’, etc are

    ignored for searching assets.

    In case 1, search using ‘Contains all these words’ does not return Asset 1.

    In case 2, search using ‘Contains all these words’ returns Asset 1.

    Conclusion: For the search engine to identify noise words like ‘is’, ‘it’, ‘to’, ‘of’, ‘in’ etc, when ‘Contains all

    these words’ option is selected, it is essential to disable full text search.

    Search In

    The search engine automatically looks in all the fields for the search word or phrase, unless the user specifies

    particular fields for searching.

    ‘Search in’ fields are as follows:

    Title- Name of the Asset.

    Description- Description given to the asset while uploading.

    Author –eMail id of the user who ingested the asset is the default value, but this field can be edited.

    Ingested By – Name of the user who ingested the asset.

    Asset tags – Tags are keywords given to assets by a user. There are public tags as well as private tags.

    Comments – Comments given to asset by different users.

    Closed Caption-Text version of the spoken part of a video file.

    Embedded metadata - Metadata stored and maintained within the asset. It cannot be edited.

    Custom metadata- Metadata defined by users for an asset. It can be edited.

    Asset id – Each Asset ingested into eMAM System is numbered stating from 1.

    UUID- A unique ID associated with asset. It is an alpha numeric string. If an asset has three versions, the UUID for

    each version will be different.

    Refine Search

    To refine search criteria, the user can narrow down search criteria based on asset types. In the ‘Refine Search’ 

    window, select asset type(s) in which search needs to be performed – video, audio, image, and other types of

    assets (e.g., pdf documents, PowerPoint slides, etc).

    Advanced search can be done for any asset type belonging to any category. Search for an asset can be narrowed

    down to search ries or in specified categories only. To search for assets in only a particular category, chosen from

    the drop down list menu. To search assets in subcategories, the user can select ‘Include subcategories’ option.

    The user can narrow searches based on their status and storage location.

    States of Assets:

      Online storage- Search assets in the current active online storage.

      Archived - Assets that have been moved from the online storage to a far storage are considered archivedassets. User can perform all the search operations on archived assets.

      Approved– Assets approved by internal or external users.  Rejected– Assets rejected by internal or external users.

      Pending for approval- Active assets that have been sent for approval to an internal user, but have notbeen approved or rejected yet.

      All: search for all assets states.

    5.2 Marker Search The marker search feature allows the user to search for a location within a video that matches with the specified

    search criteria, based on marker name or description. The user types the search word or phrase in the search text

    box and choose any one of the three options as appropriate: ‘Exact Match’, ‘Contains any of these words’ and

    ‘Contains all of these words’ as described in 5.1 Advanced Search Option above. ‘The Enable Full-text Search’ 

    option allows fast and flexible indexing for keyword-based search of text data.

    The user can also specify whether to search in marker name, marker description, or both.

    The SEARCH button will return assets with the appropriate markers. CANCEL will clear the selected options.

    5.3 Conditional Search

    Search filters are specific conditions. By adding a series of filters, users can quickly narrow a search. For example,

    searching in a news catalog for “Bush” will yield numerous results, while a search for “Title contains Bush” AND“category=speech” and “tag=axis of evil” will quickly yield appropriate results.

    The user can enter the search word or phrase in the Search box.

    Under ADD FILTER, the use can make a new general filter by choosing Add Filter from the pulldown menu and

    naming the filter. The other option is to make a personal My Filter form the pulldown menu.

    The user can choose to search with ‘Like’ or search with ‘Contains’.

    The user can then specify the search field from a pulldown list: title, author, description, custom metadata,

    embedded metadata or comments. A search may have a series of search fields if needed. More fields can beadded. They can be removed by the “X” on the right hand side. 

    Condition: the user can choose from the pulldown list of available conditions: Equals,Contains, Less Than, Greater Than, and Between.

    Value: The value for the filter is entered. (e.g., axis of evil)Operator: the user chooses a logical operator ‘AND’ or ‘OR ’.
