Introduction

Beginning with the 2014-15 school year, Florida Statute (1008.22(4)) requires that student progress be assessed in all courses offered in Florida public schools. Statewide assessment programs, such as the Florida Standards Assessment (FSA), Florida Comprehensive Assessment Tests (FCAT), and Florida End-of-Course (EOC) assessments measure student progress in some, but not all courses. The statute delineates additional types of assessments that may be used, including other statewide assessments, nationally recognized standardized assessments, industry certification exams (ICE), District-developed (DDEOC), and/or teacher/principal-selected assessments.

Statewide assessments, industry certification exams, and nationally recognized standardized assessments are administered during prescribed administration windows, according to the test administration manuals provided for each program. This District-Designated End of Course Assessment Program Guide provides procedures for the handling and administration of the DDEOCs, as well as guidelines for the designation of teacher/principal selected End of Course assessments. The implementation of the DDEOC program requires the involvement of multiple individuals at each school site and each should become familiar with the policies and procedures. The test chairperson, test administrators, and technology coordinators all play an integral role in the implementation process.

In addition, policies regarding the selection, development, administration, and scoring of local assessments and for collection of local assessment results in the M-DCPS have been incorporated into the 2015 M-DCPS Standards, Guidelines, and Procedures for Test Administration and Test Security.

DDEOC Program Overview

For courses in which an existing national, state, or other standardized assessment exists, schools will follow the appropriate testing window and administration procedures. These include courses covered by FCAT, FSA, Florida EOCs, the Florida Alternate Assessment (FAA), Postsecondary Educational Readiness Test (PERT), Stanford Achievement Test (SAT-10), Advanced Placement (AP), International Baccalaureate (IB), Cambridge (AICE), and Industry Certification Exams (ICE, including NAF and DCF assessments).

If there is no existing assessment for a course, the District must designate an assessment to measure the students’ progress. The statute allows for the use of District-developed assessments (DDEOCs) or teacher-principal selected assessments if districtwide assessments are not available. M-DCPS is currently developing assessments for the courses with the highest student enrollment, with approximately 300 DDEOC assessments available for use in Spring 2015. In addition to fulfilling Florida Statute (1008.22(4)), DDEOCs will provide a measure of instructional validity to ensure that course content is being delivered systemwide.

Courses to be Assessed by DDEOCs The MDCPS Course List is a listing of all state-approved courses offered in MDCPS, and has been provided to schools along with the designated type of exam to be used for each course. Updates to the list shall be posted on the Test Chairperson’s website at http://oada.dadeschools.net/DDEOC/DDEOC.asp as they become available. All students enrolled in courses associated with DDEOCs are expected to participate in the assessment.

The DDEOCs are standards-based assessments, developed to measure course content as defined by the course descriptions and standards delineated by the Florida Department of Education (FLDOE, see http://www.cpalms.org). As such, these assessments will provide a measure of instructional validity to ensure that students across the district are being instructed in the content delineated by the FLDOE. M-DCPS DDEOCs are secured, standardized

Districtwide assessments. They have been designed for computer-based administration primarily via Thinkgate. However, courses requiring the use of audio-visual files will be administered through the Florida Interim Assessment Item Bank and Test Platform (IBTP). If schools do not have the computer capacity to complete DDEOC administration within the specified testing window, they may print test booklets and scannable answer documents via Thinkgate. However, printed paper-based test booklets must be treated as secure test materials, distributed to test administrators just prior to test administration, collected immediately following administration, and destroyed once results are verified. Student answer documents should be stored for one year following the administration.

DDEOC administration will follow the security procedures outlined in the M-DCPS Standards, Guidelines, and Procedures for Test Administration and Test Security. As per these procedures, all employees are held to professional standards with regard to the security of test content, handling of secure test materials, administration of assessments, and appropriate use of test results. F.S. 1008.24 and State Board of Education Rule 6A-10.042, FAC, govern assessment security and establish penalties for violation of test security rules.

Test Administration Policies and Procedures Students to Be Tested All students enrolled in a course associated with a DDEOC must take the assessment. For elementary students, DDEOCs will not be given to students in Kindergarten or Grade 1; however, students in Grades 2 through 5 will be expected to take DDEOCs in Science, Social Studies, and special areas (Physical Education, Art, Music, and Spanish, if applicable).

Students in grades 6 through 12 will be expected to take DDEOCs in each course having a DDEOC in which they are enrolled.

Clarifications on Designated Exams In addition to the existing standardized assessments and the DDEOCs that have been described above, the following measures are listed for selected courses, as Designated Exams.

GMETRIX DDEOC CTE courses with this designation will use a secure form of the GMETRIX certification practice test. Details about how to access this form will be made available by The Office of Career and Technical Education. FSA or English 3/4 DDEOC Students in language arts courses that are not directly linked to a FSA assessment will take a DDEOC or the FSA will be used. For example, students taking a Journalism class in ninth and tenth grade will take the FSA; students enrolled in English 3 or 4, will take the English 3 or 4 DDEOC. Internship Scale “Supervisor’s Assessment of Student Work” is a survey developed from those previously used in M-DCPS to assess student performance in internship placements. The survey will be distributed to teachers of the designated courses by the appropriate office (Department of Career and Technical Education or The Office of Community Engagement.

Physical Science Eighth grade students enrolled in Physical Science will take the FCAT Science Grade 8. These students will not be required to take the Physical Science DDEOC.

Test Accommodations Accommodations are defined as any variation in the assessment environment or process. Accommodations may include variations in scheduling, responding, setting, aids and equipment, and presentation format. These variations should not change the level, content, performance criteria, readability, or validity of the assessment. Keep in mind that all accommodations should mirror those provided during instruction. The accommodations listed on the testing accommodations field in ISIS, as documented on a current Individualized Education Plan (IEP) or Section 504 Plan should be provided for students on the DDEOCs, to the degree such accommodations are available on the Thinkgate or IBTP platform. Refer to the description of the permissible accommodations in the following sections.

Accommodations for Students with Disabilities and Section 504 Students The following accommodations are permitted, if needed, for students with disabilities who have current IEPs or Section 504 Accommodation Plans. Teachers should follow the procedures outlined below and give special assistance only to those students who are eligible for such assistance. The accommodations permitted are:

• Flexible setting. Students may be administered the test individually or in a small group setting. Additionally, students may require use of special lighting, adaptive furniture, or special acoustics.

• Flexible scheduling. Students may be administered the test during several brief

sessions or require extended time. Extended time means up to twice the stated time limit.

• Recording of answers. Students may use varied methods to respond to the test,

including the mouse, keyboard, assistive technology (as available), written, signed, or verbal response. The teacher or test administrator may transcribe students’ responses if noted on the IEP .

• Mechanical aids. Students may use a magnifying device, a pointer, a noncalibrated ruler

or template, or other similar devices to assist in maintaining visual attention to the passages and the questions. Approved manipulatives such as real coins to depict a test item, an abacus, geoboard, and other graphical aids may also be used.

• Auditory or sign language presentations. The teacher may sign, provide oral

interpretations of, or read general directions. The reading test must be read by the student using visual or tactile means. In all other content areas, items and answer choices may be read aloud by the test administrator verbatim.

• Dictionary. Students who use sign language as their primary means of communication may use an English/sign or sign/English translation dictionary.

Special Formats for Students with Visual Impairments Large print and Braille formats will not be available for the Spring 2015 DDEOC administration.

Accommodations for ELL Students The guidelines for all ELL students are as follows:

• Flexible setting. ELL students may be offered the opportunity to take the test in a separate room with the ESOL or heritage language teacher. Because the students are not of legal age, parents must be informed of this option and should be asked for their preferences in the test administration.

• Flexible scheduling. ELL students may take the test during brief sessions.

• Assistance in the heritage language. The ESOL or heritage language teacher may

answer students’ questions about general directions or test questions in a way that the students would not be mistakenly led to infer the correct answer. During the reading test, the teacher may not read words to the students included in the passages or questions.

• Dictionary. ELL students must have access to an English-to-heritage language

dictionary and/or heritage language-to-English dictionary, such as those made available to ELL students in an instructional setting. However, a dictionary written exclusively in the heritage language or in English may not be used. Dictionaries are not permitted for use in the World Language assessments.

Scheduling Students for DDEOC Testing A computer lab schedule should be a part of the initial plan. The number of computer labs and available computers will dictate how the schedules should be arranged. Sufficient time should be scheduled to allow for directions to be given and for students to log into the session. Special arrangements should be made for students with an extended time accommodation.

Preparing for Administration

The DDEOC are timed tests. Students should be given the allotted time to complete all the items during one test session. The following table provides the time limits, by grade level groupings. Extended time for ELL students and ESE students with an extended time accommodation may have up to double the standard time limit.

Training for the Administration of DDEOC

District-wide training will be conducted by Student Assessment and Educational Testing (SAET) staff via a WebEx for the test chairperson or principal’s designee at each M-DCPS school. The test chairperson or the principal’s designee is responsible for training all classroom teachers in the administration of the DDEOC assessments using the or the Florida IBTP testing platform, based on the platform to be used for the course(s) they teach. Topics for training include:

1. Procedures for maintaining test security; 2. Purpose of the DDEOC assessments; 3. Administration window; 4. School’s schedule for testing; 5. Testing format; 6. Arranging for appropriate accommodations, as necessary; 6. Guidelines for receiving and handling test materials; 7. Scanning and scoring procedures.

Testing Environment

The testing location should have comfortable seating, sufficient workspace, and good lighting. The room where students take the test should be as free from outside disturbances as possible. Students should be seated so that they have enough room and will not be able to view other students’ answers.

Handling of Testing Materials If paper-based test booklets and answer documents are being used, secure testing protocols must be used. Test booklets must be distributed to the teachers immediately prior to the administration of the test and must be returned immediately after testing has occurred. Test booklets should be distributed to students one at a time, and returned directly to the test administrator on completion. For computer-based testing (CBT), students will need login information PRIOR to the administration of the assessment. Directions for retrieving and printing student login information are included in this program guide.

Ancillary Materials

Scratch Paper Students should be provided with scratch paper during the administration of the mathematics tests. After testing, all scratch paper must be collected and discarded in a secure manner to avoid compromising test content.

Calculators Four function or scientific calculators are necessary for the administration of selected science and mathematics assessments, as delineated in the table below. Students may use their own scientific calculators or the classroom teacher can provide them one from a class set.

Reference Sheets Reference sheets for Math and Science may be downloaded from the DDEOC page on the test chair information site and printed at the school site. These reference sheets may also be used during the year for instructional purposes. However, if they are used prior to DDEOC testing, or if re-used they must be examined for stray marks/notes, etc. PDF files are provided under DDEOC on the test chairperson page.

Headphones Headphones are required for all assessments administered in Music, Performing Arts, and World Languages (except American Sign Language).

Test Security Tracking the Test Booklets Schools are responsible for maintaining the security of any test booklets printed from the testing platform for use in administering the DDEOCs. The Teacher Count Sheet is provided for your use (see Appendix B), or you may use a form of your own design, given that the requested information is maintained. All printed materials are considered secure. Printed test booklets must be passed out to test administrators immediately prior to the test session, and returned immediately following the session. Teachers must sign the Teacher Count Sheet to verify receipt and return of the documents. Once answer documents have been scanned, and scores have been verified for all students, all paper-based test booklets must be destroyed in a secure manner. Student answer documents should be stored for one year following the administration.

Proctoring The DDEOC is a secure test administration. As such, visual barriers should be installed to prevent students from viewing other computer monitors or students’ desks should be arranged in a manner that would prevent cheating. The test administrator and proctors must actively attend to the students during testing.

Assessments Administered Through Thinkgate and the Florida IBTP All DDEOC assessments in American Sign Language, Music, and Performing Arts, must be administered as computer-based assessments through the IBTP, as audio-visual files are required in these content areas. See Appendix C for procedures to be used for CBT administration through the Florida IBTP. All remaining DDEOCs will be administered in Thinkgate, and were developed as computer-based assessments. See Appendix D for procedures to be used for CBT administration through Thinkgate. Paper-based administration is permitted at the school’s discretion with

scanning/scoring through use of Thinkgate answer documents; see Appendix E for procedures for paper-based administration.

General Administration Guidelines During the test session, remember the following:

• Pass out any secure materials (i.e., test tickets, test booklets) to the students one-at-a-time.

• Provide individual restroom breaks as needed, and maintain the security of the test during breaks. Students should not have access to electronic devices (e.g., cell phones, smartphones, tablets) during breaks.

• For short breaks (e.g., restroom), it is recommended that visual blocks be applied to students’ computer screens (e.g., monitors turned off, folders taped to screens) instead of having students exit and resume the test.

• Record the start time and end time where visible to all students, and announce when 10 minutes remain.

• Collect secure materials from the students one-at-a-time.

• Any paper-based test booklets must be returned to locked storage immediately on completion of the assessment.

Reporting Results During the baseline administration, students’ scores on a DDEOC will not be applied programmatically toward their final course grade. However, to collect data and set standards for scoring in future DDOEC administrations, students’ percent-correct scores will be reported for all DDEOC through the electronic gradebook system.

Most school-level reports will be inactivated for the secure DDEOC assessments, to ensure the security of the answer keys. Reports will be available for printing by teachers to pull the percent-correct scores for posting to the gradebook.

Teacher/Principal Selected End of Course Assessments Guidelines for Selecting Teacher/Principal EOCs As noted previously, in compliance with Florida Statute 1008.22(6) assessments must be designated to measure “student performance in all subjects and grade levels.” This section of the Program Guide addresses courses for which no Districtwide assessment is available, and tests may be selected at the school level by the teacher(s) and principal.

According to state statute, teacher/principal-selected assessments may include a variety of assessment formats, including, but not limited to, paper-based, computer-based, or project-based assessments; adjudicated performances; and practical application assignments. All assessments should measure student mastery of course content at the necessary level of rigor for the course, as designated by the course description and appropriate state standards (see http://www.cpalms.org).

General considerations for selection of assessments include:

• Appropriate for the stated purpose • Alignment to course content, as specified in courses description and standards • Rigor appropriate to the age/grade/course level • High quality with regard to form (ex., form, spelling, grammar) and accuracy • Results reported in terms of percent correct (based on number correct or rubric scoring),

to be recorded in Gradebook by the teacher administering the test • Students must take the assessment as a “cold read.” Tests may not be viewed by

students before administration, or used if they are included in text books or other instructional materials available to students.

• Departmentalized, common assessments should be used in courses taught by more than one teacher.

• Project based and adjudicated performances will require a rubric to be developed and agreed to by the principal and subject area expert. The performance/project to be scored must also be designated and agreed to in advance.

Some sources for teacher/principal selected assessments:

• Item bank from textbook • End-of-course test from teachers’ edition (only) of textbook • Collected individual teachers’ finals to be merged/edited into a common exam • Original development by content-area expert

If traditional, multiple-choice assessments are to be used, it is recommended that they adhere to the criteria established for the DDEOCs. Specifically, items linked to state standards for the course, as delineated in www.CPalms.org , 50 multiple-choice items for secondary courses, to be completed in 60 minutes, and covering cumulative content for the course.

Teacher/principal selected assessments should be managed in accordance with board-approved standards for test security. Local development of test items and assessments requires additional precautions to establish and ensure that test content remains secure.

Final approval of the teacher/principal selected assessments used at the school level will be a school-based decision. Copies of teacher/principal-selected assessments should be stored securely at the school site for one school year after use. The assessments may be requested for use in the development of districtwide tests in subsequent years.

Computer-Based Test Administration in the Florida Item Bank and Test Platform (IBTP)

Preparing CBT Administration in the IBTP Information regarding the installation of Secure Tester, access of school personnel into the IBTP, registration of student accounts, and step by step instructions on accessing tests and reports will be made available and posted on the Test Chair Information website as soon as it is becomes available.

To ensure that the workstations can connect to the testing system’s servers, any URL blocking software or web proxies (e.g., iBoss, K9, Check Point, etc) should whitelist the server’s URL (https://prodsnibtp.fldoe.org) for computers participating. It is important that the “https” be included in the URL, since traffic between the secure testing client and web browsers to the server is over a secure connection. In addition, any firewalls should be updated to allow traffic over HTTPS, port 443 (SSL) to and from the production server host (prodsnibtp.fldoe.org).

Lockdown Browser feature (Secure Tester) Prior to testing, Schoolnet’s Secure Tester must be installed on each computer used for CBT. Directions will be forthcoming. During testing, students are locked into the online test being administered, which prevents them from accessing other applications during testing. Students will not be able to open a new browser, view notes, open email, or send instant messages during testing. During testing if a student attempts to open any other application, a new tab, or window they will immediately be locked out of all windows. A message will display that tells them they are locked out and will need an administrator to unlock their screen. The test administrator would need to access the Assessment Administration window, select that student’s name and hit “continue” in order for the student to complete the testing session.

Student Registration of IBTP accounts All students will need to register through their student portal in order to receive a user name and password PRIOR to the administration of the test. Information will be forthcoming.

Tasks to complete prior to test day:

1. Students must complete the online registration for IBTP users accounts through the single sign-on portal. Directions will be forthcoming as soon as they are available.

2. Confirm with your school administrator that the Secure Tester has been installed on all test computers.

3. Confirm that the assessment is assigned to your section.

4. Obtain the test online passcode(s) and print student usernames and passwords.

On test day:

1. Ensure that all software applications, including Internet browsers, are closed on all student workstations before testing begins.

2. Write the test online passcode for each test where students can see it.

• If all students in your section are taking the same test or test form, you should display the online passcode in a classroom location visible to all students, e.g. a white board.

• If your section will be taking more than one test or test form, you should write the online passcode on the individual username and password slip for each student based on which test the student will be taking (see #4 in “Tasks to complete prior to test day” above).

3. Communicate to students where they can find the online test passcode, e.g., on the white board, or on their username and password slip.

4. Distribute usernames and passwords as instructed in the following script.

5. Remind students to submit their test when complete.

6. Make sure that all students have a pen or pencil to work the problems.

7. Students will need access to headphones (except American Sign Language) to take the test.

8. Start FL IBTP Secure Tester on all computers that will be used for testing. To open a computer to the student login screen, double-click the FL IBTP Secure Tester icon. When the connection is established, the student login screen is displayed as shown below. The computer is now ready for the student to begin. FL IBTP Secure Tester does not time out, but it will become inactive if interrupted by another application.

Browser for Student Testing The Firefox browser should be installed and utilized during student testing. Specific guidelines need to be followed for installing the Firefox browser on student workstations. Please refer to the Thinkgate Technical Considerations Document and request assistance from your school’s computer technician.

Disabling Browser’s Pop-up Blockers

Prior to testing, the pop-up blocker feature should be disabled on each workstation to avoid any distractions to students while testing. Please consult with your designated school site computer technician for specific instructions on disabling pop-up blockers for the browser that is currently installed on your workstations.

Preparing for Online Testing Access the Assessment link, then navigate to the District’s Assessments tile. Click the Administration icon that appears under the name of the test that is to be selected for online delivery.

The Assessment Assignment screen appears. Note that all of the teachers listed are assigned to the selected test. This screen contains the Class, Teacher, and Test ID. Additionally, an Excel file can be downloaded with all of the teachers and Test IDs. Note the filter options available for drilling down to a class.

A Roster Form bubble sheet can be printed for each teacher who is scheduled for computer-based testing. This roster form contains the students’ name and Test ID and can be an efficient way of providing the classroom teacher with the information needed to get started with computer-based testing. The Test ID should be provided to each teacher along with the Student ID Number. The Test ID is needed to access the student testing portal.

Enabling and Disabling an Online Test Click the square radio button of all the classes that you want to assign for online test administration. Note that the “Enabled” button turns green. The “Enabled” feature must be activated for all classes in order for students to sign into the Thinkgate testing platform. Click the Enabled Online icon to activate all classes for online testing. The Disabled Online icon should only be selected to temporarily delay testing for a class you have enabled, due to unforeseen circumstances such as a fire drill, or lunch If testing is delayed to another day, class(es) should be disabled to prevent students from going home and signing into the Thinkgate testing platform website to complete testing.

Click the Administration icon to access the Assessment Administration screen for any of the classes to view students testing progress. Note that you can only view one Assessment Administration at a time.

The screen should be titled Online Testing Portal and in the left corner of the screen you should see a logo with the name Thinkgate.

In order to start you will need your 7-digit student identification number and the Test Identification number that was provided to you.

Carefully type in the Test Identification number under the box titled, Test ID. [This number that you obtained from the Assessment Assignment page for each teacher and class or if you retrieved it from the answer sheet]

Next click your mouse in the box titled, Student ID. Type in your 7-digit Student ID. [This is M-DCPS 7-digit student identification number]

Click the Start button.

The test will lock if you leave the window and try to access the Internet at any time during the test.

The test will lock if you try to open another software program while you are taking the test. [Stress to students that they are not to access any other program on the computer.]

If you don’t know an answer you can skip the question and return to it later by flagging the item. To flag an item simply click on the number of the item and the number icon should turn red.

Click Start to begin taking the test.

Read each item and then with your mouse select the best answer response or choice by clicking in the circle of the answer. If you decide to change an answer simply click in the circle that you want to select and it will automatically deselect (or unselect) the previous answer choice.

Click Continue.

Look at the blue heading bar at the top of the screen. In the left corner it should have your correct grade level and name of the test.

In the middle of the bar your first and last name should appear.

Number 1 should be highlighted. This indicates that you are on question 1.

[If you are administering and assessment that utilizes passages, direct student to the scroll bar in the middle of the screen. In order to navigate through the passage they would need to move the scroll bar down to advance or up to reread a section].

Look at the black navigational bar at bottom of the screen.

On the bottom left hand side you see two magnifying glasses. These are for Zooming In and Zooming Out to enlarge the screen.

Move over to the status area, which shows All, Unanswered, and Flagged. The All shows the total number of questions. The Unanswered shows the number of questions you have left or that you have not answered. The Flagged items show the number of items that you Flagged to return to because either you wasn’t sure of the answer or you wanted to review it again before answering it. Click on the number of the item, once the number turns red, the item becomes flagged.

The navigational bar at the bottom of the screen allows you to move between screens. The numbers indicate the number of the item. You can click the numbers to move to the next item or to move back to an item.

Also, you can use the First, Prev, Next, Last, and Go to navigate through the screens.

The First button takes you back to the first item in the test.

The Prev button takes you back to the item that you did previously.

The Next button allows you to move to the next item.

The Last button allows you to move to the last item in the test.

The white box at the bottom with the number 1 in it allows you type in the number of the test question and then click Go. This will take you directly to that test question.

The Finish button should only be selected once you have completed answering all of the questions. This submits all of your answers for scoring. Do not click on the Finish button until you have completed the test, checked all your answers, and make sure there are no blank or flagged items by reviewing the navigation bar at the bottom.

During the test if you need to use the restroom, please raise your hand and I will come to you. Please do not get out of your seat during the testing session.

When you have completed the last question of the testing session, go back and review your answers, then click the “Finish” test button. If you decide that you want to review your answers, click the “Back” button or jump to specific questions by using the “Previous” button, click the item numbers shown, or by typing the item number in the box and selecting “Go”.

Now you can begin the test. If you need help, please raise your hand and I will come to you.

Monitoring Students Status Online The Assessment Administration screen interface allows you to monitor students while they are online testing. The assessment name, teacher name test description, and test ID appears on the screen. The Assessment icon enables you to print the actual test and answer key. The Bubble Sheets icon allows you to print bubble sheets in Roster or Blank form for the group of students appearing on the screen only. The Enabled icon should be green in order for students to test. If this icon is not green simply click the top square radio button next to student name to highlight all students then click the Enabled icon. The Continue icon allows you to click the radio button of any student(s) that were abruptly signed out of the system during testing or who accidently signed out by clicking the X on the right hand side of the student testing screen. Students are unable to be continued in a testing session if they submit their test for scoring. A final score will appear on the Assessment Administration screen.

Thinkgate Note to Test Administrator: You should see two green lights at the lower right hand of the computer screen. This means the program and internet are working correctly. If they turn red, you should “suspend” testing until the system is restored. If a student needs to use the restroom, or to provide a break, either turn off the computer monitor and turn it back on when they return, or if the session is being monitored, you may “Suspend” the student’s session and “Continue” when they return. If a student becomes ill, or the test is to be administered over two days, suspend the session and resume it the next day. When a session is resumed, the student will begin using the same Test ID and his/her student ID number.

The Suspend icon enables you to disable specific students or the entire class. (due to illness, lunch break, or two-day testing administration)

The Status column should be carefully monitored to ensure that students have Completed the entire testing session. A blank status indicates that the student has never signed in to the testing session. An In Process status denotes that the student is currently online testing or have clicked out of the assessment without submitting their answers for scoring. If the latter is the case, click the square radio button and click the Continue icon to restart the student. The student can sign in and complete the testing session. During testing a starting and ending time is recorded resulting in total time tested. Also, once students submit their test from the student administration screen in Thinkgate a final test score appears. The Assessment Administration screen must be refreshed periodically to capture students live scores during testing.

Monitoring Students Test Status Teachers or Test Administrators can monitor their classes through the Assessment Administration screen to determine if they have completed the assessment being administered. Follow the steps below for monitoring students.

• Login onto Thinkgate with your username (employee ID) and password. • Click the Assessment link located on the top left side of the screen. • Locate the District Assessments tile and scroll to the test that students are currently taking. • Click the Administration Icon (spaceship looking graphic) under the name of the test.

This takes you to the Assessment Assignments screen.

• Click on the Administration icon for the class you want to monitor. • The Assessment Administration screen appears.

• While students are taking the test the status column shows In Process. • Once the students submit the assessment for scoring the Status column updates as

Completed and a score is recorded.

Enabled – in order to test the Enabled button must be activated. Ensure that under Scheduling that it says Enabled for Security Status, Content Window and Print Window

Continue – Click the box next to the students’ name if you have suspended the test due the student becoming ill or the student logged out in error by clicking the X in the right hand corner of the screen. Note if the student clicks Finish, the test is submitted and scored.

Suspend – Click the box next to the students’ name if the students have not finished the test or if the test will be administered over 2 days. (Suspending the test disables the student from going home and logging in to take the test)

Refresh icon should be used to refresh the screen while monitoring students online activity. This allows you to see student scores in real time.

APPENDIX E:

Paper- Pencil Testing Administration in Thinkgate Appropriate Grade Level Bubble Sheets To ensure valid and reliable test results, it is important that the bubble sheets are printed based on the students’ appropriate enrollment listed in ISIS. Please make sure to verify the test form name and number of items on the test to make sure that the bubble sheet and test booklet match.

Directions for Administering Paper/Pencil Test

Types of Bubble Sheets Thinkgate offers three types of bubble sheets, a student form, roster form, and blank form. The student form contains the student’s M-DCPS seven-digit student identification number and name pre-bubbled at the top of the bubble sheet. The roster form includes a class list of all students. Schools need to make enough copies for distributing one to each student. Each student receiving the roster form version would need to bubble the circle next to their name. The blank form should be used for new students or those not enrolled in Thinkgate at that time. Examples are provided below:

Student Form The Student Form bubble sheet prints out in PDF format with a first page header sheet that contains teacher name, period, administration period, school name and location code, test ID, and a list of all students.

Scrolling to page 2 of the PDF starts the first individual student bubble sheet for the first student on the list followed by the other students. The student ID is pre-bubbled for each student. A Form ID is not needed.

Roster Form The Roster Form is a one page bubble sheet that lists all students. A high-quality copier should be used to make additional copies from this one sheet, providing a copy to each student. Students will need to fill in the bubble next to their name on the bubble sheet provided to them.

Header- Teacher, Test Name, Administration Period, School Location Code and Name, and Student Name

Header: Teacher’s Name, Title of Test, Test Administration, School Location and Name, and Test ID.

Class List: Distribute one sheet to each student listed and have them fill in the bubble next to their name.

Blank Form The Blank Form should be retrieved by class or period and then additional copies should be made for each student. Students will need to write in and bubble their 7-digit MDCPS student ID number. All seven digits must be bubbled on the blank answer form. If a student’s ID number is 0023456, the zeros must be placed on the gridded area from left to right. A Form ID is not needed. Please note that this form should not be used as a generic form.

Header: Teacher’s Name, Title of Test, Test Administration, School Name, and Test ID

Contains no student name or identification. This form is most commonly used for students who are not in the system yet.

Secure Assessments can only be created, viewed, or printed by role specific users who have select permissions. Plain Paper bubble sheets are generated and printed through the platform for assessment administration. Students shade bubbles on the bubble sheets, and the sheets are scanned into the system for scoring. When printing, be sure to set Page Scaling to None and refer to the tip on page nine of this guide.

1. Click the Assessment main menu option.

2. Click the Secure tab on the bottom of the District Assessments tile.

3. Use the dropdown arrows to select the desired Grade, Subject, and Term, and change the Status to Proofed.

4. Click the Assessment Administration icon of the desired assessment.

Click the Expand icon on the District Assessments tile to open the Advanced Assessment Search screen. This screen allows the user to narrow down the assessment search even further by Text Search, Year, and Created Date. It also allows for multiple Grades and Subjects to be selected at one time.

Find a Secure Assessment Assignment.

Three and four distractors are supported by bubble sheets or online administration methods. Items with five distractors are only supported by online testing at this time.

Bubble Sheet Print Options From the Assessment Administration screen, there are three options for printing bubble sheets for the students. IMPORTANT NOTE: Options vary depending on the district preferences, so the Print Assessment Bubble Sheet options displayed on the Assessment Administration screen may be different than the example below.

Students, or multiple Assessment Assignments, must be selected for the Student Form option to be enabled. Use the Print Assessment Bubble Sheets menu to select one of the print options listed below:

1. Plain Paper Student Form 2. Plain Paper Roster Form 3. Plain Paper Blank Form

An assessment cannot be deleted once bubble sheets are printed or if student results exist.

Print Option 1: Plain Paper Student Form The Student Form bubble sheet contains the student name and identification. This information is pre-filled by the system for each student selected on the Assessment Administration screen when the forms are printed.

To print Student Forms, close the Print Assessment Bubble Sheets pop-up window if it is open and return to the Assessment Administration screen.

If the user would like to print a Student Form for each student listed on the Assessment Administration screen, click the checkbox in the blue bar to the left of Student Name and all student checkboxes are selected. When making copies of any plain paper bubble sheet, set copier scaling to 100%. Also, be sure to line up the original on the copier properly and that no gray streaks appear on copied forms. Scanning errors can occur if copies of bubble sheets are crooked, aren’t “clean” copies, or are printed on recycled paper.

Print Option 3: Plain Paper Blank Form

The Blank Form bubble sheet contains no student name or identification. This information is filled in by either the teacher or student before the assessment is administered. After the Blank Form is printed, the assessment administrator can make a copy for each student in the class. This option is most commonly used for students who are not in the system yet, or included in the printed Student or Roster Forms for each teacher in case of emergency. They may also be used as header cards for Student Forms printed with the wrong Test ID. Please see the Plain Paper Scanning – Troubleshooting Reference Guide for more information on header cards.
