Guidelines to avail Transport Facility in NCR/Kolkata/Pune – During COVID-19 These guidelines will be applicable till the time BAU is not achieved. Any exception to the Transport policy whether it is exception to the Transport eligibility basis the Employee band/ Function/shift timings or the maximum permissible distance or any other exception given w.r.t the existing Transport policy will be for a temporary period only, and the facility will be withdrawn once the BAU resumes. Transport will be provided to all the locations falling in Kolkata/Pune/Delhi/ Noida/ Ghaziabad / Faridabad and Gurugram as per guidelines. Transport Service will not be provided to “restricted” areas declared by local Govt Admin. Process for availing transport facility: Please do not update shifts in SMM/Online Roster. Shifts updated in SMM/Online Roster will not be considered. Transport facility will be provided as per the Adhoc Requests raised in the Transportal Application. First Time users / Users who have updated their new address in ESS should have their Home address geocoded (digital address) in the System. Transport Operation Team will support you in having the geocoding done in system. For Geo-code, below details needs to be shared with respective Transport team. Please do not update shifts in SMM/Online Roster. Shifts updated in SMM/Online Roster will not be considered.

Transport facility will be provided as per the Adhoc Requests raised in the Transportal Application.

Transport facility will be provided in following shifts:

Geocoding

All the employees should have their current address updated in ESS from where they want to have

the daily Pick and Drop arranged.

First Time users / Users who have updated their new address in ESS should have their Home address

geocoded (digital address) in the System. Transport Operation Team will support you in having the

geocoding done in system.

For Geo-code, below details needs to be shared with respective Transport team.

Please keep the subject line as : “ GEOCODE REQUEST, SAP ID : (SAP ID of the individual

employee or RM incase RM is sending a consolidated detail)

Raising New Adhoc Request through web portal

• Procedure to raise a New Adhoc Request :

Login to www.myhcl.com>> Transportal -> Shift Cab->Transportal-> My Desk-> Self Adhoc-> Click on Add

button-> Select details and click on save button.

• BSERV Users needs to login from below URL

Click on add (Right hand side bottom right corner)

1. Select the reason for placing a adhoc (Shift During COVID-19 Period) 2. Choose the pick/drop and shift time as per SLA

SLA to cancel or for raising a new adhoc request: Pickup : 6 hours before the scheduled Login Shift Drop : 2 hours before the scheduled Logout Shift

Adhoc Request through Mobile app Empower >> Transportal Click on Adhoc >> Select request type >> (Pick/Drop) >> Select time >> Reason >> Submit

Cancelling the existing Pick/Drop

In case the planned Pick or Drop needs to be cancelled or changed then individual employees can log into Transportal

Application through MYHCL login ID and password.

Please note that before raising a new adhoc request, the existing request has to be first cancelled into the system

Procedure to cancel the cab service for a particular day :

Please follow the steps : Transportal->My Desk->My Schedule->Click on the shift displayed as hyperlink -> Select

appropriate checkbox to cancel pick/drop. It has to be done as per SLA defined and mention earlier.
