The Tau Beta Pi Association Chapter: GAA Chapter Project Report Project number: 1 INSTRUCTIONS: Please complete each of the seven sections below. Any additional information which may be helpful to another chapter would also be appreciated, but do not send extraneous material that would not be useful to other chapters. Organizing: 2 hours per meeting Participating: 1-2 hours per meeting DESCRIPTION: I. General Description: Meetings were held on the Georgia Tech campus. The meetings were held to inform members of upcoming events and projects, conduct chapter business operations, and to receive feedback from members on changes and new events. II. Purpose & Relationship to Objectives of TBP: The purpose of the general meetings is to promote communication between the officers and the members beyond general emails and to ensure that the officers fulfill the needs of the members. III. Organization & Administration: (in conjunction with another group?) ___ Yes X No The president and all officers with upcoming events organized the agendas of the meetings and led their respective parts during the meeting. IV. Cost & Personnel Requirements: Pizza and drinks are provided at every meeting to encourage people to attend. The food is purchased based on the previously budgeted amount. All officers were required to attend unless they had significant conflicts.
V. Special Problems: Each meeting ran smoothly, but initially the food did not always arrive on time despite specific instructions. VI. Overall Evaluation/Results (Be Specific): The meeting time seemed to work well for most members. Locations selected for the meetings are important to ensure the professionalism of the organization. Initially, meetings were held in the Klaus but due to changes at Georgia Tech, locations were adjusted. All meetings were efficient and successful. Members were engaged and shared their comments and ideas for the chapter within a structured agenda. VII. Project name: Officer Meetings Date(s) of Project: 8/20/2014, 9/10/2014, 10/8/2014, 12/3/2014, and every week from January 5th through April 14th Project __ Community/ Liberal Culture __ University/ College __ Profession/ Engineering Area: X Chapter/ Social __Education/ Prof. Dev. __ K-12/MindSET Number of persons who participated in this project Members: 22 (varied between meetings each week) Electees: 0 Hours spent on this project. Organizing: 1 hour per meeting Participating: 1-2 hours per meeting DESCRIPTION: I. General Description: Meetings were held on the Georgia Tech campus. The meetings were held to discuss upcoming events and to plan for any new projects.
II. Purpose & Relationship to Objectives of TBP: The purpose of the officer meetings was to plan and check in with the rest of the executive team on the planning for upcoming events as well as to strengthen the leadership team. It also provided a great place to discuss the direction of the chapter, the editing of the bylaws, and other technical projects that needed analysis before the general meeting. III. Organization & Administration: (in conjunction with another group?) ___ Yes X No The agenda was set by the president who gave each officer an opportunity to discuss his or her individual state of affairs as well as state any new ideas for our chapter. IV. Cost & Personnel Requirements: There was no cost for the officer meetings. V. Special Problems: All meetings ran smoothly but it did stretch long when the urgency of projects increased VI. Overall Evaluation/Results (Be Specific): There were great discussions and ideas within these meetings and they provided a sounding board for new ideas and the direction of the chapter. VII. Date(s) of Project: Saturday, November 15th, 2014 – 6:00PM
Project area: __ Community/ __ University/ __ Profession/ X Chapter/ __Education/ Liberal Culture College Engineering Social Prof. Dev. Hours spent on this project. Organizing: 50+ (individual hours) Participating: 4 DESCRIPTION: I. General Description: The Tau Beta Pi Initiation Ceremony for the fall 2014 candidates took place at the Georgia Tech Hotel and Conference Center in the evening of 11/15/14. The Ceremony was carried out in the presence of initiates and officers according to the formal procedures outlined in the Tau Beta Pi Constitution and other confidential documents provided by the Society’s national leadership. After the Ceremony, the Society hosted a celebratory banquet for the initiates and their [optional] guests, and opened up attendance for the current membership as well. Awards were given for Best Bent, Most Active Initiate, Best Profile Picture, Best Integrity Statement, and Outstanding
Leadership Achievement. The keynote speaker for the banquet was Tiffany Wilson Karp, Executive Director of Global Center for Medical Innovation. II. Purpose & Relationship to Objectives of TBP: Every semester, a new class of candidates is initiated. The purpose of the banquet was to celebrate the accomplishments of the initiates and to welcome them to the Society. The banquet provided opportunities for networking and for getting to know older members and officers. III. Organization & Administration: (in conjunction with another group? ___ Yes X No) Hannah Oermann, Banquet Chair, reserved the event venue, managed the invitations and RSVP lists, and was the lead executor of preparation of the ceremony. Note that the ceremony and banquet are the conclusion of a semester-long process involving a wide extent of leadership commitment. See other Project Reports for reference. Other officers involved in the direct planning or execution of the ceremony and banquet were: Nha-Truc Dinh (Awards Chair), Pooja Mohapatra (Executive VP), Sara Khalek (President), and Steven Slaughter (Graduate Liaison). IV. Cost & Personnel Requirements: The net cost of the Ceremony and banquet was ____~$3,000________ including the speaker gift. Three volunteers were required for approximately 2 hours before the event to setup and for 1 hour after the event to clean up. The initiation ceremony required 8 officers. Initiate check-in required 2 officers. V. Special Problems: The chapter did not receive all materials (such as certificates) on time for ceremony. VI. Overall Evaluation/Results (Be Specific) A total of 47 eligible candidates were initiated into the GAA chapter. The banquet was executed as planned. The food was delicious, the conversations were lively, and the speaker brought an inspirational word amidst the late semester stress. DESCRIPTION: I. General Description: The Tau Beta Pi Initiation Ceremony for the spring 2015 candidates took place at the Georgia Tech Hotel and Conference Center in the evening of 04/11/15. The Ceremony was carried out in the presence of initiates and officers according to the formal procedures outlined in the Tau Beta Pi Constitution and other confidential documents provided by the Society’s national leadership. After the Ceremony, the Society hosted a celebratory banquet for the initiates and their [optional] guests, and opened up attendance for the current membership as well. Awards were given for Best Bent, Most Active Initiate, Best Profile Picture, Best Integrity Statement, and Outstanding Leadership Achievement. The keynote speaker for the banquet was Dr. Gary May, Dean of Engineering at the Georgia Institute of Technology. II. Purpose & Relationship to Objectives of TBP: Every semester, a new class of candidates is initiated. This semester, the chapter had 29 initiates. The purpose of the banquet was to celebrate the accomplishments of the initiates and to welcome them to the Society. The banquet provided opportunities for networking and for getting to know older members and officers. Additionally, Professor Rimoli’s experiences, as recalled in the address, highlighted the importance of hard work, of embracing failure, and of not giving up on one’s ambitions. These are all objectives of TBP and traits desirable in a Tau Bate. III. Organization & Administration: (in conjunction with another group? ___ Yes X No) Hannah Oermann, Banquet Chair, reserved the event venue, managed the invitations and RSVP lists, and was the lead executor of preparation of the ceremony. Note that the ceremony and banquet are the conclusion of a semester-long process involving a wide extent of leadership commitment. See other Project Reports for reference. Other officers involved in the direct planning or execution of the ceremony and banquet were: Nikhil Nandish (Awards Chair), Pooja Mohapatra (Historian), John Harber (Social Chair), Michael Parekh (President), Sid Dhingra (Outreach Programs VP), and Kate Polhemus (Graduate Liaison). IV. Cost & Personnel Requirements: The net cost of the Ceremony and banquet was ____~$3,000________ including the speaker gift. Three volunteers were required for approximately 2 hours before the event to setup and for 1 hour after the event to clean up. The initiation ceremony required 8 officers. Initiate check-in required 2 officers. V. Special Problems: The chapter did not receive brochures and other information to offer new initiates. VI. Overall Evaluation/Results (Be Specific)
A total of 37 eligible candidates were initiated that night. The banquet was executed as planned. The food was delicious, the conversations were lively, and the speaker brought an inspirational word amidst the late semester stress. General Description: Give a presentation about Tau Beta Pi and introduce graduate students to the opportunities available to them in Georgia Tech if they select an engineering major. Additionally, it encouraged TBP members to continue with TBP at their new university. II. Purpose & Relationship to Objectives of TBP: Encourage graduate students join Tau Beta Pi or stay active in TBP. III. Organization & Administration: (in conjunction with another group? X Yes ___ No) Worked with the Georgia Tech Graduate Program to be included in the event IV. Cost & Personnel Requirements: No costs. Just preparing a presentation. V. Special Problems: Due to the expo being held before school started, only one officer was available to give the presentation. VI. Overall Evaluation/Results (Be Specific): The event was a success because the GAA chapter was able to recruit multiple graduate students as well as encourages 5+ TBP members to join the GAA chapter. Organizing: _+50_ Participating: __ DESCRIPTION: I. General Description: Week-long celebration of engineering majors around campus. Events include: Egg Drop, Straw Bridge, Sky Floater, Movie Night, Rubic’s Cube Competition, Engineer’s Fair, Comedy Night, CanStruction II. Purpose & Relationship to Objectives of TBP: Helps spread the word about tau beta pi and encourages students to celebrate the engineering profession. III. Organization & Administration: (in conjunction with another group? X Yes ___ No) Partnered with SCPC for the Movie Night. IV. Cost & Personnel Requirements: Printing flyers and candy costs. ~$2,000
V. Special Problems: The events were unsuccessful in encouraging Georgia Tech students in participating. The events need to be changed as well as TBP GAA should include other honor societies in the planning and execution of the events. VI. Overall Evaluation/Results (Be Specific): The events had mediocre participation. It is essential in revamping this event and creating a community goal with other campus organizations VII. Organizing: 2 Participating: 2 DESCRIPTION: I. General Description: A workshop with Dr. Wasif Syed, the Founder and CEO of Ivy League Advisor, an educational and leadership development firm. The event was hosted by Tau Beta Pi GAA and open to all GT students. II. Purpose & Relationship to Objectives of TBP: Portfolio and brand optimization and leadership empowerment session in order to help students position themselves for top schools and for the corporate world as well as leverage their environment and resources strategically. III. Organization & Administration: (in conjunction with another group? __ Yes X No) IV. Cost & Personnel Requirements: Printing flyers and candy costs. None V. Special Problems: The event was successful but Dr. Syed did not offer enough notice for proper marketing. VI. Overall Evaluation/Results (Be Specific): The event had +10 attendants but could have had more if there was more time for marketing.

Organizing: 50 Participating: 3 DESCRIPTION: I. General Description: The Corporate Dinner is an excellent opportunity for members of various honor societies at Georgia Tech to speak with and be recruited by employers. It is also a brilliant recruiting tool for businesses looking to hire top candidates. Recruiters are offered the opportunity to screen students of specified majors at each firm’s reserved table; the dinner is conducted in a private, formal atmosphere over a catered meal. Offering flexibility and value, the Corporate Dinner is timed to allow recruiting personnel to attend the general Georgia Tech Career Fair immediately afterward, scheduled on September 8-9. However, this event differs from other career fairs in that it will be attended only by Honor Society members, such exclusivity ensures that corporate representatives will speak only to the top 20% of junior and senior engineering candidates. Additionally, it provides members the opportunity to speak with recruiters prior to their Georgia Tech peers attending the GT Career Fair and for an extended period of time. II. Purpose & Relationship to Objectives of TBP: The Corporate Dinner allows us to promote the engineering principles and integrity that Tau Beta Pi stands for by promoting our members to employers and showing various companies the talent that lies within our organization. Additionally, though the Corporate Dinner sponsorships, the funds can be invested towards holding philanthropic, social, corporate, and engineering events for our chapter and community. III. IV. Cost & Personnel Requirements: Georgia Tech Hotel and Conference Center - $5,814.72 Event Supplies & Printing - $181.15 TOTAL: $5,995.87 V. Special Problems: Recruiting additional sponsors from the biomedical engineering field. VI. Overall Evaluation/Results (Be Specific): The Corporate Dinner was a success and ran very smoothly. Our members were able to receive interviews through the event. Additionally, we have received testimonies from members stating that they were offered full-time jobs after the interview process and multiple companies returned from previous years since the event was successful for recruiting top engineers. officers to receive feedback from graduate students and gain additional event ideas.
