InCopy’s Not or You? Think Again.Yo may b on o th thr popl in th world to hav stmbld on th “Oh Yah, W’v

othr two, words sch as “workow” and “ROI” and th dradd “ntrpris” snt yoscrrying or anothr Wb pag, any pag.
evn i yo stck arond long nogh to larn a littl abot it—hmmm, InCopy is a
standalon word procssing program lik Word, bt it also lts ditors accss storis in an
InDsign l and dit thm, yawn—yo likly cam away thinking it was a nich prodct
or nwspapr drons or somthing.
Not so.
Is an InDesign/InCopy Workfow or You?
THE SIGNS POINT TO NO, IF ... DEFINITElY YES, IF ...
The majority o copy comes rom outside
authors and you send them printouts or
editing
Most people eeding you Word articles
and editing them in the layout work on-
site with you
Editorial uses their own copies o InDe-
sign to edit layouts. (Moving to InCopy
would restrict their editing abilities, so
it’s a tough sell.)
Editorial is using MS Word or similar
word processing program
You don’t have a server, or the one youdo have is like a cranky 1985 Caprice.
Everyone’s already using a server or at least some le ser ving, or you’re about to
get one.
Editors’ workstations look like beige ATMs
rom 1977, and there’s no money to
upgrade.
Editors’ computers are airly up-to-date,
or an upgrade is coming soon.
You rely on an outside vendor when you
have computer problems.
You have an on-site IT geek (ocial or
volunteer) who takes care o the server
and upgrades and is open to working
with you on testing the workfow.
Most o your projects have little text and
are short, image-intensive jobs, such as
three-old brochures, CD inserts, display
ads, and posters.
Most o your projects are larger, text-
heavy publications, such as newsletters,
magazines, books, journals, catalogs,
and manuals.

I yo’r sing InDsign or any sort o pag layot projct containing any amont o
txt (that is, vryon rading this magazin), yo shold pay clos attntion to Adob’s
ndr-marktd littl gm. Why? Bcas it will b yor and yor company’s (or clint’s)
salvation—tim, mony, sanity—i ithr or both o th ollowing sitations apply:Somon ls is writing th txt or yor layot with a word procssor. Yo
ow thir ls in and styl th txt in InDsign, mayb throw in a spllchck.
Somon ls is rviwing (diting, rwriting, copytting) th txt in th
nishd layot rom yor papr or PDF proos. Yo jst mak th changs thy
tll yo to. Yo kp making thm, rond ar rond, ntil thy say it’s okay.
InCopy’s prpos is to trbocharg both o ths scnarios.
InCopy is way byond a nich prodct or highly spcializd InDsign workows. In
act, th targt markt or InCopy isn’t InDsign srs at all, it’s th gargantan Microso
Word sr bas who d Word ls to InDsign-sing art dpartmnts. In virtally vry
company whr writrs and dsignrs work togthr, th ormr otnmbrs th lattr by at last two to on, on v or n to on at magazin or book pblishrs, catalog pro-
dcrs, in-hos dsign tams or markting commnications dpartmnts.
And yo’r th lonlist nmbr on in that ratio. Ar rading this articl, yo’r going
to b th InCopy vanglizr in yor company or yor sak and thirs.
First, thogh, yo nd to amiliariz yorsl with InCopy and why it bats Word’s
pants o, whthr yo’r a dsignr, ditor, or managr.
InCopy Quick Start or DesignersDo yo rmmbr th rst tim yo workd in a pag-layot program and saw yo cold
mak it link to word-procssing ls jst as it linkd to art ls? How yor had rldin dlight at th thoght yo that cold always hav th most p-to-dat vrsion o th
sbmittr’s txt l, atomatically? I sr do, and I clarly rmmbr my chagrin whn I
lost all my txt ormatting th rst tim I chos “updat Link.”
InDsign has th sam atal aw. evn in CS2, th option to “Crat Links Whn Placing
xt and Spradsht Fils” (in Prrncs, trnd o by dalt) works jst n ntil yo
actally want to use th linkd stat to pdat a txt or spradsht l. Poo! Tr gos
any ormatting yo did in InDsign.
What i it workd, thogh? What i th original athors cold pdat thir txt ls on
thir own, and InDsign rad thos changs as thy wr savd, ltting yo know that this
txt l and that on had bn modid via th sam yllow triangl icons in th Links pal-
tt that it ss or modid imag ls? And yo cold pick and choos which to pdat,
and whn yo did, all yor txt ormatting rmaind intact?
Tat’s xactly what InCopy dos or th InDsign sr. Whn yo plac an InCopy doc-
mnt (on that a writr has cratd rom scratch, known as a standalon InCopy l) in
an InDsign layot, th link to th l is mad atomatically. Yo can s th lnam in
yor Links paltt—it nds with ithr .incd (InCopy CS) or .incx (InCopy CS2). Whn th
InCopy sr r-opns th l and mak changs to it, yo gt th littl icon tlling yo it’s

bn modid as soon as thy sav thir changs. Go ahad and pdat, yo’r not going to
los any o yor omatting by doing so (Figure 1).
In act, InDsign handls linkd InCopy ls vn bttr than it dos linkd imag ls.
A txt ram containing a linkd InCopy story has an icon in its ppr-l cornr thatchangs dpnding on its stats: up to Dat, Modid, and mor. (I’v on wishd imags
had th sam.) So yo gt link stats dback in th layot, no
nd to chck th Links paltt.
Yo can hovr ovr th ram’s icon to s a tool tip tlling
yo who last workd on th l (or who’s got it opn right now).
I th icons bothr yo, hid thm by choosing View > Hide
Frame Edges. In CS2, thr’s vn a paltt ddicatd to track-
ing InCopy story links, calld th Assignmnts paltt, thogh
yo can still s th Links paltt i yo prr.
It’s mor common or th dsignr to start th InCopy ballrolling. Yo plac a Word l as sal, thn slct th txt ram
and choos Edit > InCopy > Export > Selection. Nam th
xportd InCopy l and sav it in th srvr oldr holding
yor InDsign l. Whn yo click th Okay btton, th story is
linkd to it in InDsign: T ram sprots th InCopy icon and
yo s its lnam in yor Links paltt. Now yor ditor can
opn th story in InCopy and contin working on it thr.
Yo can vn xport an empty txt ram as an InCopy story,
or thos rar occasions whn a writr is lat (cogh cogh) with an articl, and yo nd
to rsrv spac or it in th layot. As soon as th writr opns th blank story in InCopy, writes something and savs changs, yo can pdat th link in InDsign and th txt ows
in natly in plac.
o s an InDsign/InCopy projct in action, rad my companion articl, “Don’t B
editorial’s Prisonr,” at www.creativepro.com/story/feature/23695.html .
Two Things Designers Shoud Understand About InCopy. Tr’s mch mor yo can do with
linkd InCopy storis than what I’v said so ar—I havn’t vn mntiond how yo can
crat InCopy tmplats complt with yor pblication’s txt styls and colmn width,
nor how mltipl writrs can work on dirnt storis in th sam layot l at th sam
tim, nor how yo can xport imag rams to InCopy CS2—bt that was a “Qick Start,”
ar all.
Nonthlss, bor I go on to th ditorial sid o things (which yo shold rad, it’s
illminating), I want to mak sr yo ndrstand two things.
First, th point o introdcing InCopy to yor company is so that th ditors can writ
and dit to t—in InCopy, thy’ll b abl to s (and dit) thir story xactly as it appars
in th layot, bcas thy actally do opn th ll InDsign layot in InCopy, vn i yo
hav it opn yorsl! (In CS2 thy can optionally opn jst a sprad or two o th layot,
calld an Assignmnt.) Yo may still b snding arond a printot, and thy may still

FORT WORTH, TEXAS – Nova-
media created an edge-lit version of its patented Artlitematerial, EDZLite, whichuses LEDs instead of back-lighting to create halo, 3-Dand neon effects.
The process involvesinserting LEDs, usually onlyfour per sign for a 20-inchsquare unit, into the edge of the sign rather than acrossthe back. This allows thelight to wash over the imageto create uniform illumina-tion in signs that measure1-inch thick. The processallows signs to be shapedinto any form or figure, and
different colors of bulbs canbe used to create special effects. One-watt or 3-watt bulbs can be used, and
the low number needed for a signmakes the 1-watt size economical,
says Thor Daniel Hjaltason,Novamedia’s founder andcreator of the process.
The effect it produces is sim-ilar to the existing Artlite look,he notes, but it is produced ina thinner, more flexible stylewith fewer bulbs.
There is no limit to the sizeof signs that can use the pro-cess, he notes, although largersigns would use thicker sub-strates to provide support. Ituses conventional layering orscreenprinting methods, rath-er than engraving, gluing orother costly processes to cre-ate the look. Pricing has notyet been set, he adds, but he
expects it will be comparableto backlit signs.

Great Books, Great CS2 Workfow
The Great Books Foundation is dedicated to promoting reading and discussions o great literature. To help support their mission, the Foundation publishes anthologies or all ages.
Great Books moved to InDesign, InCopy, and Version Cue when the rst Creative Suite came out, just to test the
waters. The company has since upgraded to CS2 and is implementing it live or the rst time with six 500-page books.
Not only are the editors using InCopy in-house, but the Foundation’s outside design studios have been instructed in the
workfow as well.
The design rm exports stories to InCopy and updates their layouts with editor’s revisions remotely to and rom Great
Book’s production server via Version Cue 2. That puts them at the bleeding edge o an InCopy CS2 workfow, and Adobe
tech support is trying hard to keep up!
WHAT AN EDITOR SEESHere’s what a spread rom a Great Books publication looks like
in Layout view when an editor opens it in InCopy CS2. (Two other
editing-only views, Galley and Story, are also available.) The
text rames on the right with the small “globe and paper” icons
indicate stories that are available to be checked out and edited.
(Notice that not every rame is editable, such as the ooter and
olio.) Since the editors can see how much space there is to ll,
indicated by the non-printing blue text rames, and can write
and edit with the same styles and onts as the actual layout,
copytting is a breeze.
THE VIEW FROM THE BRIDGEInDesign users at Great Books as well as layout artists
at their outside design rm access Adobe Bridge to see
previews o the InDesign CS2 layout les. Since each
publication is set up as a Version Cue 2 project on Great
Book’s server, both groups can use Bridge’s Versions and
Alternates display mode to access previous versions o
layouts and stories. Version Cue 2 provides remote users
with access to the Version Cue project older on a server
via a log-in.
Although InCopy users can’t access Bridge—unless
it’s installed on their computer, which would require
an additional CS2 license—they have access to the
Version Cue workspace rom within InCopy’s own dialog
boxes. They can save versions o a story and roll back
to previous ones as well. The stand-alone Version
Cue application is bundled with every Creative Suite
purchase, but it needs to be installed on only one
networked computer, typically the server, or everyone in
the InDesign/InCopy workfow to use it.

T scond thing yo nd to know is this: In an InDsign/InCopy st p, th dsignr
is in total control. editors can’t orc a story to b linkd to a layot, only yo can. Yo can
always prvnt thm rom bing abl to dit a linkd story (sch as whn thir “last chanc

Mac OS X, and can work with InDsign ls cratd on ithr platorm.
Yo can s InCopy as a stand-alon word procssor i yo lik, bt mor on yo’lls it to accss InDsign layot ls and dit storis within thos layots. Instad o wait-

to opn th actal InDsign l on yor comptr any tim yo lik, vn i th dsignr
and/or othr ditors alrady hav it opn.
Onc opn, yo can print th layot or xport it to PDF withot having to bothr th

Chcking ot a story maks it ditabl or yo, bt rad-only or anyon ls in th

b abl to dit yor story whil yo’r working on it.
Whil yo’r diting a story yo’v chckd ot, InCopy provids a constant word cont
and copytting stats in a toolbar at th bottom o th window (Figure 2). Yo can s
xactly how mch room yo hav in th layot to writ sinc yo ar in act working in th
actal layot with th actal onts and txt styls st p by th dsignr, bond by th txt

Yo hav th ability to ormat txt or apply styl shts (thogh yo don’t hav to); to
import Word ls into yor InCopy storis (CS2 opns Word .docs dirctly rom its Fil

Yo can trn on rack Changs in InCopy to mak dits withot committing to thm,

InCopy AnnoyancesIt ain’t all peaches and cream. InCopy is just another piece o sotware, and like all sot-
ware, it’s not perect. While Adobe adds signicant eatures and xes with each version,
and thousands o workgroups hum along ne with the CS or CS2 versions, you shouldknow what they’re all living with and working around, or now:
There’s no built-in way to notiy workgroup members when a story is ready or their
review.
I you don’t run the ree Version Cue sotware that came with the Creative Suite (which
introduces a certain level o complexity), there’s no provision or versioning or roll-
backs in the workfow. The changes editors make in InCopy are nal as soon as they
save les. There are manual ways to work around this, and o course you could use
Track Changes, color-coded to each sta member. Some third-party plug-ins oer
versioning, too, though they’re relatively expensive.
You can’t edit tables or inline text rames in either o InCopy’s two editing views o a
story (similar to InDesign’s Story Editor), only in Layout view. Since the Track Changes
eature is available only in the same two editing views, this means you can’t track
changes to table copy or anchored rames.
Remote workfows are possible but not really built-in to the eature set. I an o-site
writer or editor wants to participate in the InDesign/InCopy workfow, you’ll have to do
some manual work and appoint an on-site trac cop to manage check-ins and check-
outs.
When editors open an Assignment (an optional subset o the layout, available in CS2
only) instead o the entire InDesign layout le, and they don’t have access to the origi-
nal placed images, they’ll see gray boxes instead o low-res image proxies.
Some InDesign eatures are only partially implemented in InCopy, which can be mad-
dening. For example, InCopy users can work with threaded rames, and hide rame
edges, but can’t Show Frame Threads—they have to guess. InCopy CS2 users can scale
images inside o rames and can access Fitting commands, but they can’t see any
readout o the scale percentage currently in eect.

editorial control is nhancd bcas o many actors, inclding track changs, vr-
sioning (i yo s Vrsion C as wll), and th simpl plasr o not having to bg th
dsignrs or vry dang look at th layot. I an ditor wants to work on somthing ovr

InCopy is sprmly xibl. Yo don’t hav to jmp into it whol hog; jst pt it on a
w ditors’ comptrs and lt thm tst th watrs. Yo can asily mix traditional Word
ls and InCopy ls. Tr’s no nd to ditch Word, ithr. Yo’ll still b sing it or
mmos and rports, and yo can still s it to athor original articls as bor.
