Advantages of Creating Resources
There are many advantages of creating resources in a project.
Initiating Planning
Some of the advantages of creating resources are:
Understand new aspects of the project
Identify all the tasks that are not assigned to a resource in large projects
Avoid slippage of tasks
![Page 5: MS Project 2013 Lesson 4[1]](https://reader034.vdocuments.net/reader034/viewer/2022042506/5695d2541a28ab9b029a00de/html5/thumbnails/5.jpg)

Types of Resources
Resources are classified into three types.
Resource Types
• Refers to Team
Member/Entire
Team/Equipment
• Is responsible for completing
the tasks
• Is measured in unit of time
• Can be tracked on availability
and cost
• Refers to the consumables
• Can be set up within a project
and assign them to a task
Material Resource Type Work Resource Type
• Identifies the cost associated
with a task
• Is used when a task has
overhead costs
Cost Resource Type

Click the View tab. Click Resource Sheet
dropdown list. Select Resource Sheet.
Resource Sheet will be displayed.
Add Resources
Adding accurate information of resources is one of the most critical steps of project planning.
• Project managers can monitor the cost effectively during the course of the project.
• Resource sheet can be used to add or edit the resources.
![Page 8: MS Project 2013 Lesson 4[1]](https://reader034.vdocuments.net/reader034/viewer/2022042506/5695d2541a28ab9b029a00de/html5/thumbnails/8.jpg)

Add Resources (contd.)
Important components of a Resource Sheet are shown here.
Indicate the Type of resources
Indicate the units name
Enter the name of the resource group
Allocate the work hours (in %)
![Page 9: MS Project 2013 Lesson 4[1]](https://reader034.vdocuments.net/reader034/viewer/2022042506/5695d2541a28ab9b029a00de/html5/thumbnails/9.jpg)

Work Resources
Work resources refer to the people and equipment performing the tasks of a Project.
The two important aspects of work resources are:
Availability
• Time when the specific
resources can work on
the tasks and how
much work can the
resources perform
Cost
• Actual cost incurred by
the resources working
on the project
![Page 10: MS Project 2013 Lesson 4[1]](https://reader034.vdocuments.net/reader034/viewer/2022042506/5695d2541a28ab9b029a00de/html5/thumbnails/10.jpg)

Material Resources
Material resources refer to the consumables used in a Project.
Material resources are added to track:
The rate of consumption
Associated costs
![Page 11: MS Project 2013 Lesson 4[1]](https://reader034.vdocuments.net/reader034/viewer/2022042506/5695d2541a28ab9b029a00de/html5/thumbnails/11.jpg)

Cost Resources
Cost resources can be used to represent a financial cost associated with a task in a Project.
Allocate the work hours (in %)
Specific type of cost can be associated with:
Single task
Multiple tasks
![Page 12: MS Project 2013 Lesson 4[1]](https://reader034.vdocuments.net/reader034/viewer/2022042506/5695d2541a28ab9b029a00de/html5/thumbnails/12.jpg)

Generic Resources
Microsoft® Project Professional and Project Web App allow the usage of Generic Resource.
Features of generic resources are:
Generic resources are the categories of workers.
They have to be added in the Project Web App.
Generic resources act as placeholders, which can be later allocated to a real resource.
![Page 13: MS Project 2013 Lesson 4[1]](https://reader034.vdocuments.net/reader034/viewer/2022042506/5695d2541a28ab9b029a00de/html5/thumbnails/13.jpg)

Resource Costs
In the Resource Rate Table, enter the standard
pay rates.
Enter the overtime rates (if any).
Enter the hourly rate (if applicable).
Resource Rate Table
The costs associated with the resources should be entered accurately in the Resource Rate Table.

Resource Assignment
The right number of resources are available
A replacement is available
Resources have over allocated tasks
Resources have under allocated tasks
Resource Assignment helps in understanding whether:

Summary
Let us summarize the topics covered in this lesson:
● Managing resources helps project managers to control important project
aspects, such as who does what work, when, and at what cost they do it.
● Responsibility matrix describes the contribution of various roles in carrying out
tasks for a project.
● Work resources (people and equipment) carry out the actual work in a project.
● Material resources are the consumables used in the project.
● Cost resources identifies the costs associated with the project tasks.
● After entering tasks and resources, the next important step is to assign tasks to
the resources.
● Work, material, and cost resources can be assigned to the tasks, as per the
project requirements.
