Enterprise Reporting is a reporting package that takes the best reporting features of theDictaphone® Enterprise Speech System suite of applications (EXVoice, EXText, EXSpeech®,REX®, and Enterprise Workstation®) and consolidates those features into a new set of reports.The result is an easy-to-use reporting package that generates the information and statisticsmost requested by professional healthcare organizations.

OverviewThis document provides the following types of information about the Enterprise Reportingpackage:

• A list of the Enterprise Reporting report categories

• A brief description of each report in each category

• A detailed explanation of each report, including report column heading descriptions

Dictation Backlog Reports

This report is accessed from the admin.ichart.com home page, and helps to determine:

• Backlog information across all accounts, relative to turnaround times (TAT) and thedaily rolling average

• Detailed information based on individual sites and worktypes, including number ofjobs in backlog, and the percentage of jobs in and out of target turnaround times

Dictation Backlog Details Report

This report is accessed from the Dictation Backlog report, and helps to determine:

Acronym Meaning Description

MT

MTE

Medical Transcriptionist

Medical Transcriptionist/ Editor

An individual responsible for transcribing dictatedaudio, for editing draft text output from speechrecognition, or both.

Revision 1 N/A Refers to the first revision of a document. Thedocument may have more than one revision but, wherereferenced, only metrics associated with Revision 1are counted.

TAT Turnaround Time The amount of time specified for a dictated job to betyped, or the maximum amount of time allowed for ajob to be typed.

WT Worktype A type of document, such as an operative report or areferral letter. Worktypes can be system-wide or site-specific. Each worktype has its own worktype ID andabbreviation. The system administrator definesworktypes and designs their document templates.

• Status of individual jobs within a particular worktype, including remainingturnaround time (or amount of time by which turnaround time was exceeded),provider, and length of dictation

Speech Productivity Reports

The speech productivity reports provide information on speech editing productivitybased on specific Groups and several other parameters administrators can select tocustomize the reports to their organization’s needs:

Date Range: Select a start and end date for the report

Metric Type: Select either Lines or Dictation Minutes

Note: iChart customers will not see the Metric Type parameter. The Dictation Minutesmetric is used by default for all iChart customer reports.

Period: Select either Month or Week

Group By: Select either MT, Provider, or Worktype

The Speech Productivity report information in this document is based on the threegroups: Speech Productivity by MT Reports, beginning on page 24, SpeechProductivity by Provider Reports, beginning on page 29, and Speech Productivity byWorktype Reports, beginning on page 34.

Turnaround Time (TAT) Reports

Turnaround Time by Site - Worktype Report

This report is accessed from the admin.ichart.com home page, and helps to determine:

• Statistics on turnaround times based on individual worktypes within a site, includingthe number and percentage of documents completed within the target TAT, thenumber and percentage of documents that exceeded the target TAT, and the targetTAT for each worktype.

Turnaround Time Details Report

This report is accessed from the TAT by Site - Worktype report, and helps todetermine:

• TAT information on individual reports, including a report’s actual TAT,transcriptionist name, provider name, worktype, length of dictation, and a columnshowing at a glance whether a report is still within, or has exceeded, its target TAT.

Dictation Summary reports are designed to help transcription managers, HIM managers,lead MT, and system administrators see:

• How much speech draft work, as opposed to non-speech work, has been created byeach provider, or for an entire site.

• The volume of speech draft and non-speech work by Worktype for each provider.

Dictation Details Report

This report is accessed from the Dictation Summary report, and provides detailedinformation about specific dictation jobs listed in the Dictation Summary report.

Transcription Summary Reports

Transcription Summary Reports

Transcription Summary reports are designed to help transcription managers, HIMmanagers, lead MT, and system administrators in the following ways:

• Gauge productivity between specific providers and MTs, as well as between specificworktypes and MTs.

• See MTs’ productivity when editing speech documents

• Determine productivity differences between speech & typed volume

Transcription Details Report

This report is accessed from the Transcription Summary report, and provides detailedinformation about specific transcription jobs listed in the Transcription Summary report.

QA Backlog Reports

QA Backlog Reports

QA Backlog reports are designed to help HIM managers, transcription supervisors, QAleads, and lead medical transcriptionists in the following ways:

• See which jobs are awaiting QA review (jobs currently in review queue)

• See who owns the job (the responsible party, such as the customer or an MTSO). If ajob is not complete, report users can see who is responsible for completing the job.

• See where jobs are in relation to their expected turnaround time (TAT).

QA Backlog Details Report

This report is accessed from the QA Backlog report, and provides detailed informationabout jobs that are in the QA backlog.

Hourly Dictation Trend Report

Hourly Dictation Trend reports are designed to help transcription managers, HIMmanagers, lead MT, and system administrators in the following ways:

• Gives administrators a view into how many jobs are dictated during the hours of theday.

• Allows administrators to see the number of dictations for each hour on each day, plusan average.

MT Pay Reports

MT Pay Reports

The MT Pay reports (designed for HIM managers and transcription supervisors) displaysa dollar amount associated with the work done by medical transcriptionists. Thecalculations are based upon values defined by the customer.

Before you can run this report, you must first create one or more MT pay groups and MTpay configurations. You then assign the MT pay groups to an MT pay configuration, basedon the pay tiers in each configuration.

Running the MT Pay Details Report

This report is accessed from the MT Pay report, and provides detailed informationspecific MTs that are listed in the main MT Pay report.

Features Common to All ReportsEach EX Reporting report provides a unique set of information. However, there are severalfeatures common to all the reports: accessing the reports; the Toolbar; the ability to select newreport parameters; and the ability to hide the report parameters section.

Accessing Enterprise Reporting

To access the Website:

1. Using your Web browser, go to the following address: https://admin.ichart.com.

2. Enter your user name and password.

Note: If you do not know your user name and password, contact your systemadministrator.

Click Sign In.

Toolbar

Near the top of each report, just above the data and chart portion, is a toolbar.

The toolbar allows you to perform several tasks:

• Navigate through the pages in each report: From the left, the controls indicate FirstPage, Previous Page, Next Page, and Last Page. Click an icon to perform each task.

• Resize your view of the report: Choose a smaller or larger size in which to displayyour report.

• Search for specific terms in the report: Enter a term in the search field and use theFind and Next links to find instances of your term.

• Export report data in any of several different formats: Choose XML, CSV (comma-separated values, or comma-delimited), TIFF, PDF, Web archive, or Excelspreadsheet. Then click the Export link. You can choose to either open or save the filein your selected format.

• Refresh the report data: Click this icon to update the data in your current report.

• Print the report: Prints the full report to a printer associated with the computer onwhich you have run the report.

Select New Report Parameters

After you view your report, the same report parameter selection fields that you selected toinitially display your report appear at the top of the new report, above the Toolbar. Theexample below shows the parameters that appear at the top of the TAT report.

The reason these parameters are displayed again is to allow you to run the same type ofreport using different dates, accounts, sites, and so on, without having to return to thehome page. The parameters are there to save you time when you are running the samereport using different data.

Refer to the individual reports in this document for explanations of each of theseparameter fields.

Hide the Report Parameter Fields

To allow more screen space for the report itself, you can hide the report parameters (forexample, Start Date, End Date, Account, and so on) and then display them again. To dothis, click anywhere on the blue bar above the parameter fields, or click the roll-up icon(shown here ) located next to the report name in the blue bar of each report window.Click once to hide the parameter fields; click a second time to display the fields again.

Return to the Home Page

To exit the current report and begin working with a new type of report, click the Homelink from any report screen.

Saving and Subscribing to ReportsThe Saved Reports feature (located at the top of each report’s parameter window) allowsyou to create and save customized reports. You can:

• Save one or more reports for each of the report types, which allows you to select andmanually run the reports from the Saved Reports drop-down list.

• Subscribe to a saved report, which automatically runs the saved report on dates andtimes you specify, and emails you the results.

Should I Save or Subscribe?

Here’s a few tips for determining whether to save or subscribe to a report:

• You select and manually run saved reports. For reports that you do not need to view ona regular basis, save only; do not subscribe.

• Subscribed reports run automatically and send you an email containing a spreadsheetwith the report results. Subscribe to reports that you use frequently or reports you needto view on a regular basis.

• By default, a new saved report is not automatically subscribed to. You must manuallyselect specific parameters to subscribe to a report (see the following steps for details).

To save and/or subscribe to a report:

1. From the EX Reporting home page, select one of the available reports to open theparameter settings options.

2. Select the parameters for your report. You cannot save or subscribe to a report untilyou have filled in all of the necessary parameters.

3. Click Subscribe/Save.

The Subscription Information dialog box opens.

Introduction

Managing Saved ReportsManaging your saved reports is important for several reasons. You might need to:

• Manually run the report

• Change the report’s parameters

• Make a copy of the report and use it as a guideline for a new report

Note: You can modify an existing saved report at any time. However, makingchanges to an existing report by modifying the name, parameters, date/times,and so on, of that report is not the same as modifying a copy of a report. Makinga copy of a report creates an additional new report (initially containing the sameparameters as the original report) that you can rename and whose parametersyou can modify as needed.

• Delete the report

You can locate a report using one of the following methods:

• Click the Report Administration link on the home page: All of your saved reports,whether subscribed to or not, appear under the Saved Reports tab.

• Click one of the report types on the home page: Any saved reports that exist for aspecific report type appear in the Saved Reports drop-down list.

Note: You will see only reports that you have saved, not reports that other users havesaved.

Using the Report Administration Link to Manage Saved Reports

Most of the work you need to perform with saved reports can be done by starting from theReport Administrator > Saved Reports tab.

From the home page, click the Report Administration link, located in the upper leftportion of the window. The Saved Reports tab is selected by default. The illustrationbelow shows an example of existing saved reports.

The following table explains what tasks you can perform using the Saved Reports tab.

Selecting a Specific Report Type

Working from a specific report type’s saved reports allows you to perform some of thesame tasks as in the Saved Reports tab:

• Manually run one or more saved reports (click View Report)

• Modify a saved report (change one or more parameters; click Subscribe/Save; clickSubmit)

Two things you cannot do from a specific report’s parameters window are copy and deletea report. You must be in the Saved Reports link to perform these tasks.

Heading Description

Name This link opens your saved report, allowing you to:

• Run the report manually (click View Report)

• Change and save the report parameters (change one or moreparameters; click Subscribe/Save; click Submit)

Report Name of the report on which your saved report is based

Owner Name of person who created the report

Currently Subscribed Yes indicates a subscribed report (which runs automatically).No indicates a saved-only report (which you must run manually).

Subscription Summary Shows whether the subscribed report is set to run daily, weekly, ormonthly. Shows details for weekly and monthly reports. This field isblank for non-subscribed reports.

Start Date & Time Shows the date the report was originally scheduled to run, and the timeof day the report runs, based on its schedule.

Copy Creates a copy of the report in the Reports list, using the same name asthe original report with the word Copy appended to the end of itsname. You can now modify the copy:

• Click the Name of the new copy to open the parameters window.

• Change the parameters for your new report.

• Click Subscribe/Save.

• Rename the report, and adjust any date/time or other settings thatyou want to change.

• Click Submit. The new report now appears in the Saved Reportsdrop-down list and in the Saved Reports list (and on the SavedReports tab in the Report Administration link).

Delete Click this link to delete the report. A dialog box opens giving you theopportunity to change your mind and not delete the report.

Speech Productivity Reports

Speech Productivity reports are designed to help HIM managers, transcription supervisors,and lead medical transcriptionists in the following ways:

• Analyze productivity in relation to EXSpeech

• See the volume of work going through EXSpeech; analyze whether it is increasing.

• View overall editing rate gain, account productivity gain, and hours saved

• Group data to aid in analyzing speech productivity by MT, provider, or worktype.

Accessing Enterprise ReportingTo access the Website:

1. Using your Web browser, go to the following address: https://admin.ichart.com.

2. Enter your user name and password.

Note: If you do not know your user name and password, contact your systemadministrator.

3. Click Sign In.

Determining Which Parameters to Select for YourReportsThe Speech Productivity reports allow administrators to see speech productivity informationbased on several options. Administrators can:

• Specify a Start Date and End Date on which to run the report

• Select a Period of either Month or Week

• Select one or more MT Groups

• Choose one or more Sites from which to gather the report data

• Use the Group By list to report on MTs, Providers, or Worktypes

With all of the parameters available in EX Reporting, you have several decisions to makebefore running a report. Three parameters that have a significant impact on your reports are:

• Group By: On which group do I want to report?

This parameter is likely to be your first decision. You can report on only one group ata time. Choose either MTs, Providers, or Worktypes.

• Period: Do I want to view my report data by the month or by the week?

After deciding on your group, determine what report period is most useful to yourorganization.

Once you’ve determined the group and period, decide on start and end dates for your report.And finally, if you have multiple sites, decide on which sites to report.

Tip: To see the differences and the similarities in these reports, choose an example daterange, period, and group. Run the report. Then change only the group (MT, provider, orworktype) to see how this one parameter affects the others.

Explanation of the Speech Productivity ReportExamplesIn order to help show the differences between the report types, the remainder of the SpeechProductivity Reports section in this document shows reports broken into each of the threeGroups: MT, Provider, and Worktype. To give you several examples of the different reporttypes, the following parameters are used for the three groups:

• For the MT group, the Period is Month (beginning on page 24)

• For the Provider group, the Period is Week (beginning on page 29)

• For the Worktype group, the Period is Week (beginning on page 34)

First we will look at an example using the following parameters:

• Start Date: July 1, 2008

• End Date: September 30, 2008

• Period: Month

• Group By: MT

To run this report:

1. From the admin.ichart.com home page, click the Speech Productivity report. Theinformation dialog box appears.

2. Set the date range for your report either by typing the correct dates in the Start Dateand End Date fields, or by clicking the calender icon and choosing the dates fromthe calender that appears.

Tip: To select the date and close the calender, click on the day of the month onwhich you want the report to start and end.

3. Click the Period drop-down arrow and choose Month.

4. For customers with both in-house and third-party MTs: Click the MT Groupdrop-down arrow and choose the transcription group, or groups, on which you want toreport. (Use the MT Group Filter drop-down list and choose either MTSO Groups,Customer MT Groups, or All.)

5. For customers with multiple sites: Click the Site drop-down arrow and make yourselection from the Select Site(s) dialog box that appears.

6. Click the Group By drop-down arrow and choose MT.

7. Click View Report. You’ll see a message telling you that the report is being generated.After a few seconds, the report appears.

Note: The calculation for the Typing Baseline information in the report headingis based on all the transcriptionists who work for this site, or sites, including in-house and third-party MTs.

8. Click the blue View Chart hyperlink. In a few seconds you will see a chart that showsthe combined totals for all of the speech-edited and typed lines in the date range youselected for this report.

This chart displays the following information:

• Line graphs showing the Editing Rate and Typing Rate in dictation minutes perhour for each period.

11. In the Site column (if multiple sites are available and were selected), click the + next tothe site for which you want to display information. The MTs column then shows the names ofall the MTs, along with a row for each MT’s summary statistics.

Note: The last three columns (Editing Rate Gain, Account Productivity Gain,and Hours Saved) are calculated only at the Period and Site levels, not at anindividual MT, Provider, or Worktype level. These columns will be shaded andcontain the text N/A at the MT, Provider, and Worktype levels.

12. In the MT column, click the blue MT hyperlink name for whom you want to displayinformation. After a few seconds, a chart appears.

To run this report:

1. From the admin.ichart.com home page, click the Speech Productivity report. Theinformation dialog box appears.

2. Set the date range for your report either by typing the correct dates in the Start Dateand End Date fields, or by clicking the calender icon and choosing the dates fromthe calender that appears.

Tip: To select the date and close the calender, click on the day of the month onwhich you want the report to start and end.

3. Click the Period drop-down arrow and choose Week.

4. For customers with both in-house and third-party MTs: Click the MT Groupdrop-down arrow and choose the transcription group, or groups, on which you want toreport. (Use the MT Group Filter drop-down list and choose either MTSO Groups,Customer MT Groups, or All.)

Dictation Backlog Reports

Backlog reports are designed to help HIM managers, transcription supervisors, and leadmedical transcriptionists manage daily activities and make staffing decisions in the followingways:

• Show all work not yet returned in a transcribed form (work not completed in theEXVoice system).

• Provide real-time data that administrators can use to help make staffing decisions andto adjust their day-to-day capacity planning.

• Run reports on in-house MTs only, third-party MTs only, or all MTs.

• Show a chart of backlogged reports in relation to target TAT. The chart shows reportswith more than half of their target TAT remaining; reports with less than half of theirtarget TAT remaining; and reports that are beyond their target TAT.

• View job status of each worktype to see which jobs are typed but not signed off. Thisusually means that the jobs are in some form of QA, such as manual concurrent review(MCR). This feature helps administrators with their capacity planning and staffingdecisions as well.

Dictation Backlog ReportThe Dictation Backlog report allows administrators to see backlog and target turnaround timeinformation at the site and worktype level:

• Choose one or more sites to review (if multiple sites are used in your organization).

• Expand a site to see the worktypes associated with the site (if multiple sites are used inyour organization).

• Expand a worktype to see the job status categories associated with the worktype.

• A worktype’s blue hyperlink redirects you to a Dictation Backlog Details report,where you can view detailed information for each worktype in a site.

• And finally, a job status blue hyperlink redirects you to a Dictation Backlog Detailsreport, where you can view detailed information for each job in a particular job statuscategory.

Running the Dictation Backlog Report

To run this report:

1. From the admin.ichart.com home page, click the Dictation Backlog report. Theaccount information dialog box appears.

• Automatic Concurrent Review (ACR): Backlog jobs that are in AutomaticConcurrent Review status (see MCR)

• Speech DRAFT: Backlog jobs that have draft text available from speechrecognition

• Speech Queue: Backlog jobs that are still waiting for speech processing

• Standard: All backlog jobs that do not fall into any of the above four categories

8. In the Worktype column, click the blue worktype hyperlink for which you want todisplay information. The Dictation Backlog Details report for that worktype appears.

Job Status After expanding a worktype, shows the job status for the worktype.

Backlog Total(Job Count)

The number of jobs not signed off by MTs. Jobs could be in MCR forquality review, in the speech recognition queue, or not yet transcribed.

Backlog Total(Length Mins)

The number of dictation minutes for jobs not signed off by MTs.

In Target TAT > 1/2 Left The number of jobs (or minutes, depending on your Metric choice) inbacklog that have more than half of the target TAT remaining.

In Target TAT < 1/2 Left The number of jobs (or minutes, depending on your Metric choice) inbacklog that have less than half of the target TAT remaining.

Turnaround Time by Site - Worktype ReportThe Turnaround Time by Site - Worktype report allows administrators to see turnaroundtime (TAT) information at the worktype, MT group, and site level:

• Administrators specify a start date and end date on which to run the report.

• They then choose the metric, MT groups (if applicable), and sites (if applicable) toreview.

• An additional report, Turnaround Time Details, is also available from within thisreport.

To run this report:

1. From the admin.ichart.com home page, click the TAT report. The date, metric, MTgroup, and site information dialog box appears.

2. Set the date range for your report either by typing the correct dates in the Start Dateand End Date fields, or by clicking the calender icon and choosing the dates fromthe calender that appears.

3. Click the Metric drop-down arrow and choose one of the following metrics:

• Customer Lines

• Dictation Minutes

• Document Count

• Transco Lines

4. Click the Interval drop-down arrow and select either Monthly or Daily.

5. For customers who use both in-house and third-party transcriptionists: Click theMT Group drop-down arrow and choose the transcription group, or groups, on whichyou want to report. (Use the MT Group Filter drop-down list and choose eitherMTSO Groups, Customer MT Groups, or All.)

6. For customers with multiple sites: Click the Site drop-down arrow and make yourselection from the Select Site(s) dialog box that appears.

7. Click View Report. You’ll see a message telling you that the report is being generated.After a few seconds, the report appears.

Turnaround Time by Site - Worktype Report Chart Label Descriptions

Label Description

In TAT (green) Number of documents completed within target TAT as a percentageof total documents completed in the chosen period. (Graphicalrepresentation of In TAT % described in the next table.)

Out TAT (red) Number of documents exceeded the target TAT as a percentage oftotal documents completed in the chosen period. (Graphicalrepresentation of Out TAT described in the next table.)

8. Click the blue View Chart hyperlink. In a few seconds you will see a chart called theTurnaround Time Trend. This chart shows information for the entire site. This chartdisplays the following information:

• A line graph showing the number of reports that were completed within theirtarget turnaround times

• A stacked bar graph that shows Speech Completed Volume and Non-SpeechCompleted Volume for each period. These values can be in lines, minutes, ordocuments, depending on the Metric you chose when running the report.

9. Click the Back button in your Web browser to return to the main report.

Turnaround Time by Site - Worktype Report Column Heading Descriptions

At the bottom of the report is a Total row, that summarizes each of the last eightcolumns.

Column Heading Description

Period Displays the month(s) and/or day(s) selected for this particularreport.

Site Displays the customer’s site name.

Worktype Displays the worktypes associated with each site

In TAT % Number of documents completed within the target TAT as apercentage of total documents completed during the chosen period.

Complete Total number of documents completed during the chosen period.

In TAT Number of documented completed within target TAT during thechosen period.

Out TAT Number of documented completed that exceeded the target TATduring the chosen period.

Out TAT (Speech) Number of speech documents completed that exceeded the targetTAT.

Out TAT (Typed) Number of non-speech documents completed that exceeded thetarget TAT.

Avg TAT Average turnaround time (in hours) for all completed documents inthe period.

Target TAT Target turnaround time (in hours) for all completed documents in theperiod.

Note: The number in this column might not be the samenumber as the Target TAT entered in your Enterprisesystem. Certain reports (for example, reports marked asSTAT or reports with incorrect worktypes) can skew thistime. Click the link in the Complete column to see theTurnaround Time Details report (see page 49 forinformation on this report).

10. Click the + next to the month, or day of the month, for which you want to display information.The Site column then shows the names of all the sites, along with a row for each site’ssummary statistics.

11. Click the + next to the Site (if multiple sites are available and were selected) for whichyou want to display information. The Worktype column then shows the names of all theworktypes, along with a row for each worktype’s summary statistics.

12. In the Worktype column, click the blue worktype hyperlink on which you want moredetailed information. A more specific version of the Turnaround Time Trend report(see step number 8 above) appears, this time showing only the information for theworktype you selected.

13. Click the Back button in your Web browser to return to the main report.

14. In the Complete column, click the blue hyperlink associated with a specific Site orWorktype, depending on the level of detail you need. After several seconds, theTurnaround Time Details report for that site or worktype appears.

Turnaround Time Details ReportWhen you click one of the links in the Complete column of an expanded TAT report, theTurnaround Time Details report for that site or worktype appears. This report providesdetails about all of the jobs in that site or worktype still awaiting transcription.

Turnaround Time Details Report Column Headings

• Click the Back button in your Web browser to return to the main report.

Green block

Red block

• Green indicates that the job is still within its turnaround time limit.

• Red indicates that the job has exceeded its turnaround time.

Worktype Shows the worktype for each report. (This column appears only if aSite was selected for review).

Provider Provider’s name (Last Name, First Name)

Transcriptionist Name of medical transcriptionist/editor who was assigned to thereport.

Target TAT The target turnaround time (in hours) for the worktype, as set up inthe Enterprise Express Voice system.

TAT Actual length of turnaround time (in hours).

Document ID Document identification number generated by the system.

Job ID Job number received from the Enterprise Express Voice system.

Type Job type indicating whether the report was speech edited or a non-speech job.

Dictation Minutes Length of dictated job.

Lines Number of lines in the job, based on the customer line count.

Dictation Summary Reports

Dictation Summary reports are designed to help transcription managers, HIM managers,lead MT, and system administrators determine:

• How much speech draft work, non-speech work, and total work has been created foreach provider, worktype, priority, or the entire site.

• The volume of speech draft, non-speech, and total work that has been created in agiven time period (quarterly, monthly, weekly, daily, or hourly).

• Changes in overall input volume.

• Worktypes or providers that are not configured for speech and may be configured toget more speech draft volume.

Accessing Enterprise ReportingTo access the Website:

1. Using your Web browser, go to the following address: https://admin.ichart.com.

2. Enter your user name and password.

Note: If you do not know your user name and password, contact your systemadministrator.

5. If you choose Period for either Group or Sub Group, you must enter an Interval(Day, Hour of day, Month, Quarter, or Week) in order to run the report.

6. To further refine your search, click Show additional filters to search for informationbased on specific Providers or Worktypes. You can select one or more providers andone or more worktypes to narrow your search results.

Note: If you change a parameter (date range, for example) and run the reportagain, the additional filters retain their values until you do one of the following:click the small Clear button (located below the Provider and Worktype drop-down lists) to remove these filters from your report, or click the Clear Selectionbutton to remove all the parameters, including the Provider and Worktypeselections.

7. Click View Report. You’ll see a message telling you that the report is being generated.After a few seconds, the report appears.

Transcription Summary reports are designed to help transcription managers, HIMmanagers, lead MT, and system administrators in the following ways:

• Gauge productivity between specific providers and MTs, as well as between specificworktypes and MTs. (For example, helping to track down the root problem if an MT ishaving trouble editing or transcribing for a particular doctor.)

• See MTs’ productivity when editing speech documents

• Determine productivity differences between speech & typed volume

• View actual hours worked (editing or typing)

• See how much time was spent editing speech jobs

• Assists managers in performance coaching and mentoring

Volume Metric Definitions

The Volume Metric filter contains three line metric options: Customer Lines, TranscoLines, and Payroll Lines.

• Customer Lines: Displays line count in either gross, virtual, or VBC (visible blackcharacter) lines, depending on customer configuration

• Transco Lines: Displays line count using 65 virtual as its base

• Payroll Lines: Similar to Customer Lines, but applies an offset factor if one isdefined

Hourly Dictation Trend Report

Hourly Dictation Trend reports are designed to help transcription managers, HIM managers,lead MT, and system administrators in the following ways:

• Gives administrators a view into how many jobs are dictated during the hours of theday.

• Allows administrators to see the number of dictations for each hour on each day, plusan average.

Accessing Enterprise ReportingTo access the Website:

1. Using your Web browser, go to the following address: https://admin.ichart.com.

2. Enter your user name and password.

Note: If you do not know your user name and password, contact your systemadministrator.

3. Click Sign In.

Hourly Dictation Trend Report

Hourly Dictation Trend ReportTo run this report:

1. From the admin.ichart.com home page, click the Hourly Dictation Trend report. Theparameters dialog box appears.

2. Set the Date Range for your report either by typing the correct starting and endingdates in the two fields, or by clicking the calender icon and choosing the datesfrom the calender that appears.

3. For customers with multiple sites: Click the Site drop-down arrow and make yourselection from the Select Site(s) dialog box that appears.

4. Click View Report. You’ll see a message telling you that the report is being generated.After a few seconds, the report appears.

5. Click the Back button in your Web browser to return to the main report.

Options After Running This Report• To change specific filters and run this report again: Change any of the filters on the

current report and click View Report again.

• To change all the filters and run this report again: Click Clear Selection and enternew filters. Then click View Report.

• To run a completely different report: Click the Home link in the upper left part ofthe window to return to the main reports page. From there, select a new report to run.

• To exit Enterprise Reporting: Click the Logoff link in the upper right part of thewindow.

Column Heading Description

Hour Shows the hour of the day when the reports were dictated. Based on a24-hour clock, with zero representing midnight.

All Days Shows the average number of dictation jobs and the average numberof dictation minutes for all of the days in the chosen date range, basedon the hour of the day.

Sunday -- Saturday Shows the average number of dictation jobs and the average numberof dictation minutes for each day of the week in the chosen daterange, based on the hour of the day.

Note: If you selected more than one week’s worth of data foryour report, the same days of the week are calculatedtogether. For example, Sunday jobs and minutes arecalculated for all the Sundays in your chosen date range.

MT Pay Reports

The MT Pay reports (designed for HIM managers and transcription supervisors) display adollar amount associated with the work done by medical transcriptionists. The calculations arebased on values you define.

Before you can run this report, you must first create one or more MT pay groups and MT payconfigurations. You then assign the MT pay groups to an MT pay configuration, based on thepay tiers in each configuration.

The report calculates the data in one of two ways:

• Pay by production, which shows the full dollar amount for production pay.

• Hourly pay with incentive, which shows the incentive pay per line only; it does notinclude the hourly pay.

When running this report, it can be configured to display information by site, by MT group, orby individual MTs.

Accessing Enterprise ReportingTo access the Website:

MT Pay Reports

Configuring the MT Pay ReportBefore running the MT Pay report the first time, you must perform the following tasks:

• Create one or more MT pay groups (MTs who will be paid in a like manner)

• Create one or more MT pay configurations (determines how pay is calculated)

• Assign the MT pay groups to an MT pay configuration

You perform all of these tasks using the MT Pay: Configuration Management window.

Accessing the MT Pay: Configuration Management Window• From the admin.ichart.com home page, click MT Pay Admin located under the

Administration heading on the left side of the window. The MT Pay: ConfigurationManagement window opens.

Viewing the MT Pay: Configuration Management Window

The MT Pay: Configuration Management window provides a quick look at each of theMT pay configurations and the MT pay groups you created (or will create), as well as a listof any unassigned MT pay groups.

The following list provides some additional information about this window:

• The window contains two tabs: MT Pay Configurations and MT Pay Groups.

• When you create and save an MT pay group, the new group appears in the UnassignedSite & MT Pay Group Pairs section at the top of the table.

• Each configuration has its own section in the table, showing the MT pay groups thatare assigned to it.

• You can move MT pay groups between MT pay configurations using the blue up anddown arrows located to the left of each group.

• You can unassign an MT pay group using the black to the right of the group name.

• You can copy or delete an MT pay configuration.

Adding an MT Pay Group

An MT pay group is a collection of MTs who will be paid in a like manner. You selectwhich MTs belong to each group that you create. Later, by assigning the group to aconfiguration, you will determine the group’s incentive or production pay.

An MT can be assigned to only one MT pay group per customer. If an MT works for morethan one customer, he or she might be assigned to more than one MT pay group, but stillonly one per customer.

To add an MT pay group:

1. Click the MT Pay Groups tab at the top of the window. The MT Pay: MT PayGroup Management window opens.

2. Click Add New.

If there is more than one MT group for the customer: Click the drop-down list, andselect the MT group from which you want to select MTs.

3. Click Select.

4. Enter a Name and Description for the group.

5. Select the MTs you want to add to this group by clicking the check box to the left oftheir names.

6. Click Save. The group you just created appears in the Group Name table.

7. Repeat step 2 through step 6 to create additional groups.

Adding an MT Pay Configuration

An MT pay configuration allows you to determine how pay is calculated. For eachconfiguration you can choose a Base Payment Method of either Hourly or Production:

• Use the Hourly pay type to calculate incentive pay only. Hourly means that theincentive pay calculated here is in addition to the MT’s regular hourly wage. Thismeans that the Typing Base Payment Rate column is not available since you are justcalculating incentive pay.

• Use the Production pay type to calculate the full production pay for MTs. This meansthat you must enter a value in the Typing Base Payment Rate column in addition toeach of the pay tiers.

You also enter the pay tiers in your MT pay configuration, as well as the average typingand editing rates, and speech gain percentage.

To add an MT pay configuration:

1. Click the MT Pay Configurations tab at the top of the window. The MT Pay:Configuration Management window opens.

2. Click Add New.

3. Enter a Name and Description for the MT pay configuration.

4. In the Base Payment Method step, choose either Hourly or Production.

5. In the MT Pay Minimum Standards step, enter values for Minimum Active Hoursper Period and Minimum Line Volume per Period.

6. In the Typing Tiers step, based on your choice of either Hourly or Productionpayment method, enter your values:

• For a Production payment method, enter a Max Lines/Hour number and aPayment Rate for each pay tier. The Min Lines/Hour column automaticallyincrements to the next number, helping to avoid data entry errors in this table.

• For an Hourly payment method, enter all three values (Min/Max/Rate) for Tier 1.From that point forward, the Min Lines/Hour column automatically increments tothe next number.

7. In the Auto-Calculate for Editing Tiers step, you can either manually enter a valuefor each item (Average Typing Rate, Average Editing Rate, and Speech Gain %) inthe Actual area, or you can click the blue arrow beside each item to copy theEstimate into the Actual column.

Notes:

• The Estimate boxes recalculate every time the configuration is opened. Avg TypingRate is recalculated based on the last 90 days; Avg Editing Rate is recalculatedbased on last 30 days; and Speech Gain is recalculated based on Avg Typing Rateand Avg Editing Rate. However, the numbers in the Actual boxes remain constantand are used in the report calculations. The numbers in the Actual boxes changeonly if you physically change them. This allows you to re-evaluate your paymentmethods/rates over time based on actual MT performance.

• If you manually enter or modify the Avg Typing Rate or Avg Editing Rate values,click the calculator icon to recalculate the Speech Gain (%) and to apply yourchanges to the Editing Tiers step.

8. In the Editing Tiers step, you can manually enter values for each editing tier or youcan click the Apply to Editing Tiers link (located in the Auto-Calculate for EditingTiers step). Clicking this link automatically populates the editing tiers, calculated bymultiplying each Typing Tiers Max Lines/Hour value by the Speech Gain (%)value you entered earlier. For example, if you entered a Typing Base of 180 lines/hour, and you entered a Speech Gain of 50%, the Editing Base would appear as 270lines/hour, with all of the remaining editing tiers incrementing at this 50% rate as well.

9. Click Save. The configuration you just created appears in the configuration table. Notethat this table is in alphabetic order based on the configuration name.

10. Repeat step 2 through step 9 to create additional configurations.

Assigning MT Pay Groups to MT Pay Configurations

Before you can run the MT Pay report, you must assign the MT pay groups to an MT payconfiguration.

You can assign more than one group to a configuration. However, you cannot assign thesame group to more than one configuration.

To assign an unassigned group to a configuration, or to move a group from oneconfiguration to another:

• Click the blue up/down arrows located to the left of each group to move thegroup from one configuration to another.

Running the MT Pay ReportAfter you have created your MT pay groups and MT pay configurations, and assigned thepay groups to the configurations, you can run the MT Pay report.

To run this report:

1. From the admin.ichart.com home page, click the MT Pay report. The informationdialog box appears.

2. Set the Date Range for your report either by typing the correct dates in the date fields,or by clicking the calender icons and choosing the dates from the calenders thatappear.

3. Click the Time Range drop-down arrow and choose a beginning and ending timeframe. This allows you to select specific times of day on which you can report, basedon the Date Range you selected.

4. For customers with multiple sites: Click the Site drop-down arrow and make yourselection from the Select Site(s) dialog box that appears.

5. Click MT Pay Group and select one or more MT groups to be included in the reportdata.

6. In the Report Items section, select a Group by which you want to display yourinformation. This allows several combinations for viewing the information in thisreport, making it easier for you to tailor the report to your specific needs. The choicesfor Group are MT and MT Pay Group.

7. In the Report Items section, select a Sub Group by which you want to display yourinformation. The choices for Sub Group are MT, MT Pay Group, Period (Day), andSite.

8. To further refine your search, click Show additional filters to run this report based onone or more specific MTs.

Note: If you change a filter (date range, for example) and run the report again, theadditional filters retain their values until you do one of the following: click the small Clearbutton (located below the drop-down lists) to remove these filters from your report, orclick the Clear Selection button to remove all the filters, including these additional filters.

9. Click View Report. You’ll see a message telling you that the report is being generated.After a few seconds, the report appears.

10. Click one of the + signs in the leftmost column of the report to see more detailedinformation. (Note that this is the Group column and could show either MT or MTPay Group as its column heading.)

1. With the report expanded, in the Total Volume column, click the blue hyperlinknumber for which you want to display detailed information. In a few seconds, the MTPay Details report opens. Note that this detail report relates to the specific MT in thespecific MT pay group you selected.
