What is ZOOM?
ZOOM is a video conferencing tool that facilitates face to face interaction with audio, chat and
video capabilities. The web-based software provides remote conferencing facilities accessible
through three types of software applications: 1) Desktop Client 2) Web Portal 3) Mobile
Application.
Features:
▪ Meetings – Whiteboarding, screen sharing, video and audio, remote screen control
features.
▪ Video Webinar
▪ ZOOM Rooms
▪ Business Instant Messaging (MI) – Text, Audio and File Transfer over instant messaging
communications

Installing and Setting Up – ZOOM
Zoom can be installed via any web browser on a desktop/laptop [Desktop Client/Web Portal]. It
can also be installed on any mobile device or tablet.
▪ ZOOM Desktop Client App via your Browser
Step 1: Type ZOOM in your browser. The
search should return https://zoom.us/
Step 2. Click Download. Users would be
redirected to the ‘Download Center” to
Download.
The ZOOM installer would begin
downloading
Step 3. On your desktop or laptop screen, on the lower left-hand side, there is a search field
identified by the following icon . Enter “ZOOM”.

Step 4. The search should return the following. Click Start ZOOM Desktop Client App Step 5. On the right-hand side of your
screen. Click Open
*Pin to Taskbar for ease of access in the future.
Step 6. The pop-up window would appear
to prompt the user to Sign In.
Enter the email address and click “Sign In”.
e.g. guardian.seal @myguardiangroup.com
▪ ZOOM Web Portal via your Browser
Step 1. Type https://zoom.us/ in the
browser.
The search should generate the web page to
the right.
Step 2. Proceed to sign in using one of the
Sign In options.

▪ Using Mobile Devices [Android]
Step 1: For Android Devices – Go to Google
Playstore
Step 2: Type ZOOM Cloud Meetings in the
search bar, click to INSTALL to initiate
download.
▪ Using Mobile Devices [IOS]
Step 1: For IOS Devices – Navigate to the Apple Store
Step 2: Type ZOOM Cloud Meetings in the
search bar, click GET to initiate download.

Log-in/ Sign In – Zoom
▪ Using Desktop Client App
Click on the “ZOOM” app
Users would be redirected to the “Sign in”
page
Sign in Options
1) Existing ZOOM Account Users
2) Sign In with SSO – NA
3) Sign In With Google
4) Sign In with Facebook
To Sign In with an existing Zoom Account
On the left-hand side of the Sign In pop up window, enter the email address and password of
your ZOOM Account, Click Sign In
To Sign In with Google
Click Sign In with Google
A prompt would pop up allowing users to
enter a preferred Google account, to
proceed click Next.

Enter the password for the Google account
entered, Click Next
To Sign In with Facebook
Step 1. Follow the on-screen
instructions to Sign In With Facebook
and click Next.
Step 2. Enter the password for the
Facebook account
Step 3. Click Log in
Users would be directed to the ZOOM Homepage with a successful log-in using any one of the above

▪ Using ZOOM Mobile App
Step 1. Click on the ZOOM ICON on your mobile screen to open the application
Step 2. Users would be directed to the ZOOM
Mobile App Homepage.
Step 2. Proceed to sign in using any one of the Sign In options listed below:
Sign In
– With an existing Zoom Account
– With a Google Account
– With a Facebook Account
Sign Up – To create a new Zoom Account
Step 3. Select a preferred Sign In method and follow the on-screen instructions by entering the
password associated with the following account:
▪ A Google Account
▪ A Facebook Account
▪ SSO - NA

▪ Using Zoom Web Portal
The Zoom Web Portal is primarily used for making changes to the user’s profile,
meeting settings and Zoom phone adjustments.
On the ZOOM Homepage, sign in using one of the Sign In options available:
Sign In Options
▪ Existing ZOOM Users
Click Sign In located at the top right-hand side of the ZOOM Homepage
▪ New Users can sign in using one of the following Sign In options:
1) SIGN UP, IT’S FREE to create a ZOOM account
2) Sign In with Google
3) Sign In With Facebook

Adding/Accessing Contacts/Prospects/Opportunities - ZOOM
▪ Using the Zoom Desktop Client App
Step 1. Click on the icon labelled Contacts
Step 2. Click on the Icon ‘+’ circled in purple
below
Step 3. A window would pop up
giving the user four options,
Click “Add a Contact”

Step 4. Follow the on-screen instruction-
Enter the email address of the Contact.

▪ Using Zoom Mobile App
Step 1. Tap on the Zoom Icon on your phone screen to open, this takes you to the Zoom App
Homepage see below.
Step 2. Tap Add contacts
The pop-up screens would appear to allow the user the option to add contacts using two methods:
▫ By Email Address
▫ From Phone Contacts

To add Contacts By Email Address
Step 1. Select By Email Address
Step 2. Enter the Contact’s email Address
To add contacts From Phone Contacts
Step 1. To enable Zoom confirmation, enter
your phone number in the Phone Contacts
Matching screen below, then tap Continue
Format of Phone Number:
[+1 Trinidad & Tobago 868-(xxx-xxxx)]
Step 2. A text message with the verification
code would be sent to the user’s phone.
Step 3. Enter the verification code and tap

Step 4. The pop-up window would appear,
tap OK to import phone contacts

▪ Using the Zoom Web Portal
Step 1: On the ZOOM Home page click on the Profile Tab
Step 2: Scroll to the bottom of the Profile Page to Calendar and Contact Integration
Step 3: Click Connect to Calendar and Contact Service

Step 4: The pop-up window would
appear to Select a Service.
Select one of the following three [3] options to allow Zoom to access your contacts from the
account selected:
▫ Office 365
▫ Exchange
Select Goggle and click Next. Proceed to follow the on-screen instructions to sign in the Google
Account. Click Allow to give Zoom access to your contacts attached to this account.
Office 365
▪ Click Authorize with EWS
▪ Enter the Guardian Group email address associated with your Office 365 account. E.g.
▪ Enter the password associated with this account
▪ Click Authorize

Scheduling appointments/meetings using the ZOOM Desktop Client
Step 1. Go to the Zoom Home screen, click “Schedule”
Step 2. The window below would pop-up. Fill in the information relevant to your meeting:
▪ Name
▪ Date
▪ Time
▪ Duration

Step 3. Click Schedule
Step 4: Complete the Email Invitation with the client’s email address and meeting details.
Step 5. Click Send
The meeting invitation would be sent to the Client’s email address from the selected Calendar.
* The meeting invitation would be sent directly to the client’s email, allowing them to access
the meeting by clicking on the link “Join Zoom Meeting.

Scheduling Appointments/Meetings using the ZOOM Mobile App
Step 1. Tap on the Zoom App Icon on your Mobile screen
Step 2. Click on “Schedule” icon located on the top on of the ZOOM dashboard.
Step 3. Users would be redirected to the following “Schedule Meeting” window
*The details of the Meeting Invitation can be entered here:
▪ Title of Meeting
▪ Time
▪ Duration.

Optional Meeting Options can also be selected depending on the User’s preference such as:
▪ Host Video On
▪ Participant Video On
▪ Audio option
Advanced Options
▪ Allow Join Before Host
▪ Automatically Record Meeting
Once completed Click Done
Step 4. The meeting invitation would be automatically populated within the user’s email
address.
*The Body of the email invitation can be edited to match the details of your meeting request.
Enter the Recipients’ Email address, Subject Title and any other relevant details.
Step 5. Click the up arrow to send email to the client/opportunity.
ZOOM has been successfully downloaded, start scheduling meetings with
clients/prospects/opportunities……
