1 e-Builder Online User Assistance

1.1 Forms

1.1.1 About Forms

Forms are customizable, electronic input screens used to record specific dataelements. Your account administrator can create any number of forms necessary tosupport your internal business processes. Forms are created according to businessprocesses and may be routed to various team members or roles on your projects.Workflow forms can be routed to a number of different user roles, acrossorganizations, and externally to non-e-Builder users as well. Unlike paper forms,electronic forms in e-Builder allow you to check on the status of forms, includingwhose court the form might be in, by simply logging into e-Builder and going to the Project Forms page. This enhances communication among team members, as thereis little room for error and full visibility. Due dates, comments, attachments,requests, and field information are all easily accessible by all parties involved in aform's life cycle. Form data and usage information can be also be pulled intoreports by anyone who has access to the form.

Types of Forms

There are two form types available in e-Builder: Static and Workflow Forms.

1. Static Forms (Non-Routable): Static forms are one-way communications toteam members, often communicating the procedural information status ofspecific items. Static forms are mainly for informational purposes. Teammembers can be notified of static postings using the copy (CC)functionality, but static postings are not routed.

Examples of static forms include:

· Daily Log Reports

· Accident Reports

· Field Observations

· Warranty Trackers

2. Workflow Forms (Routable): Workflow forms are routed communicationsto team members, used when a specific response is necessary from therecipient(s). For example, Workflow forms are used to send someone anitem that requires approval or a written answer to a question. Workflowforms use the “ball in court” mechanism to indicate who is currentlyresponsible for taking action on an item. When the form is “in your court,”

you can edit the data fields in the form and then send the form on to thenext person in the route. The form will then “land” in the next person’s“court.” When a workflow is initiated, the recipient and all users cc'dreceive e-mail notification of the posting and all subsequent activity on theworkflow.

Examples of workflow forms include:

Working with Forms

1.1.2 Working with Forms

1.1.2.1 Access Project Forms Page

You are able to view forms across your account, and also within a project.

Across the Account

You will likely use this method of access if you are not already in a project.

To view forms across the account:

1. Click the Forms tab located on the Top Navigation Tabs.

2. Click the Please select a project... drop-down list and select your project. The

Project Forms page displays.

Within a Project

If you are already within a project, you can access the Project Forms page via theProject Menu.

To view forms within a project:

1. Click the Forms link located in the Project Menu. The Project Forms pagedisplays.

1.1.2.2 Import Form Instances

Note: Depending on your account settings you may or may not be able to importforms. The Forms import capability must be enabled by an e-Builder Support teammember. For more information, please contact your account manager. Once theoption is available, only users with 'Import' permissions can perform this task.

Importing forms allow you to import form instances of a particular form type. Thishelps administrators save time by eliminating data entry efforts. Imports can be ofnew or existing forms. For existing forms, simply add the project name, formcounter and field details.

Below is a sample of the e-Builder built-in fields that should be mapped to the

columns of your Excelâ spreadsheet. The columns in your import file do not haveto match the e-Builder built-in fields exactly, but if they do, the data willautomatically populate on the Field Mappings page and you will not have to

physically map the fields. All of the built-in fields do not have to be included yourimport file, but at a minimum, the required fields do; this includes required customfields as well.

Here is a sample import file of the 'Action Item' form type in the example above.

To import form instances:

1. Click the Import Forms link located in the Top Navigation Tabs when Forms isselected.

The Import Forms page (Step 1 of 3) displays.

2. Complete the required fields. For an overview of this page, see Import FormsPage Overview.

3. Click Next. Step 2 of 3 displays.

4. Complete the required fields.

5. Click Next. Step 3 of 3 displays.

6. If the file was mapped correctly and there aren't any exceptions or warnings,click Import. A conformation message displays.

Or

If there are exceptions, the Import button will be disabled. Click theExceptions tab to review the exceptions and make necessary changes to thespreadsheet. Click Previous twice to reimport the file, and then repeat steps 5-6.

7. Click Finish.

1.1.2.3 Fill Out Forms

To initiate a workflow form or fill out a static form:

1. Go to the Project Forms page. For more information, see Access ProjectForms Page.

2. Click Fill Out Form. The Form Types dialog box displays.

3. Click the title of the form type you want to complete. The Fill Out Formpage displays.

4. Complete the required fields. For a description of this page, see Fill OutForm Page Overview.

Note: Be sure to click through the tabs at the bottom of page, as theymight contain required or optional form fields that are not readilyapparent.

5. Optionally, you can take any of the following actions:

· Attach files or forms.

· Check spelling.

· Print the form.

6. Take any of the following actions:

· Post the form. An e-mail notification is sent to the recipients of

workflow forms and CC'd users of a static form.

· Save the form as a draft. Draft forms display as a workflow in your

court.

1.1.2.4 Edit Forms

Only opened and draft forms can be edited.

To edit a form:

1. Go to the Project Forms page. For more information, see Access ProjectForms Page.

2. Filter for the form you want to edit.

3. Click the form's subject. The Form Instance page displays.

4. Make the necessary changes. For a description of the fields and buttons onthis page, see View/Edit Form Page Overview.

5. Optionally, you can take any of the following actions:

· Attach files or forms.

· Check spelling.

· Print the form.

6. Click one of the following:

· Post the form. An e-mail notification is sent to the recipients.

· Save the form as a draft. Draft forms display as a workflow in your

court.

1.1.2.5 Comment on Forms

Comments can only be added to open and closed forms; not forms in draft status.However, an administrator can disable comments from being added on a closedform. Additionally, adding comments is one of the only ways to attach a form toforms that have already been posted.

To comment on a form:

1. Go to the Project Forms page. For more information, see Access ProjectForms Page.

2. Filter for, and select the form you want to comment on.

3. Click the form's subject. The form instance dialog box displays.

4. Click the Comments tab.

5. Click Comment. The Add Comment dialog box displays.

6. Optionally, you can attach files and/or forms:

Note: The only way to add comments to posted forms is by adding acomment or forwarding the form. You cannot attach forms to postedforms by clicking the Attach Forms tab as you would a draft form.

· Click the Attached Files tab to attach files.

· Click the Attached Forms tab to attach forms.

7. Enter your comment.

8. Click Add Comment. The form instance dialog box displays.

9. Take any of the following actions:

· Save the Form

· Close the Form

· Print the Form

1.1.2.6 Reply to Forms

You are only able to reply to forms that are in your court. By default, whenaccessing the Project Forms page, a view of the workflow forms in your courtdisplays. Should you already be on the Project Forms page and looking at adifferent set of forms, simply filter for 'workflow in your court'.

To reply to forms:

1. Go to the Project Forms page. For detailed steps, see Access Project FormsPage.

2. Select the form you want to reply to.

3. Complete the required fields.

4. Click Reply.

1.1.2.7 Forward Forms

You have the ability to forward forms that are currently in your court or those thatyou have initiated.

To forward forms:

1. Go to the Project Forms page. For detailed steps, see Access Project FormsPage.

2. Filter for, and select the form you want to forward.

3. Complete the required fields.

4. Click Forward. The Forward Form page displays.

5. Select the recipient or role that you'd like to send the form to.

6. Click Forward.

1.1.2.8 Re-Open a Closed Form

To re-open a closed Form:

1. Go to the Project Forms page. For detailed steps, see Access Project FormsPage.

2. Filter for, and select the form you want to re-open.

3. Complete the required fields.

4. Click Re-Open. You are prompted for confirmation.

Note: The following check box is selected by default: "Notify allparticipants that form is being re-opened." Clear this check box is you donot want to notify participants.

5. Click Re-Open Form. A status and confirmation message displays.

6. Click Continue.

1.1.2.9 Request External Comments

To allow a non-e-Builder license holder to respond to a form, you must request anexternal comment from them. External comment requests can be requested via faxor email. The message will include the form's detailed information and all attacheddocuments. Recipients will respond through a link in the email or via fax. You willbe notified via email and this request will also continue to appear in your courtuntil the form is closed.

The following procedures are included:

· Request External Comment (New Forms)

· Request External Comment (In Progress Forms)

Request External Comment (New Form)

To request an external comment via email for a new form:

1. Go to the Project Forms page. For more information, see Access ProjectForms Page.

2. Click Fill Out Form. The Fill Out Form dialog box displays.

3. Select the form you wish to fill out.

4. Select the Request External Comment After Posting? check box.

5. Click Post Form. The Request External Comment dialog box displays.

6. Select Email or Fax, and then click Next.

7. Complete the required fields.

Tip: When sending an email, use your keyboard to auto-fill and select thedesired email addresses. Begin typing the recipient's name or email addressthen use the arrows to highlight the email of choice, and then click Tab tomake the selection.

8. Click Email Request or Fax Request.

Request External Comment (In Progress Forms)

To request an external comment via email for a form that has already been postedand in your court:

1. Go to the Project Forms page. For more information, see Access ProjectForms Page.

2. Filter for, and then select the form. The View/Edit Form dialog box displays.

3. Click the Comments tab.

4. Click Request External Comment. The Request External Comment dialogbox displays.

5. Select Email or Fax, and then click Next.

6. Complete the required fields.

1.1.2.10 View Form Attachments

To view form attachments:

3. To view file attachments, click the Attached Files tab.

4. To view form attachments, click the Attached Forms tab.

1.1.2.11 View Form History

A form's history reveals the users that have viewed, commented and made changesto a form [instance] between the time the form was created and closed. This datainsures accountability, should tracking or auditing be necessary. You also have the

ability to print a record of the history or export the data to an Excelâ spreadsheet.

To view a form's history:

1. Go to the Project Forms page. For more information, see Access ProjectForms Page.

2. Filter for the form.

3. Click the subject of the form. The Form Instance page displays.

4. Click the History tab.

5. Optionally, you can take any of the following actions:

· Click Print to print the history record.

· Click the Excel icon to export the record to Microsoft Excelâ.

1.1.2.12 View Form Field History

A form's field history reveals the users that have modified form fields between thetime the form was created and closed. This data insures accountability, shouldtracking or auditing be necessary. You also have the ability to print a record of the

To view a form's field history:

1. Go to the Project Forms page. For instructions, see Access Project FormsPage.

2. Filter for the form.

3. Click the subject of the form. The Form Instance page displays.

4. Click the Form Field History tab.

5. Optionally, you can take any of the following actions:

· Click Print to print the history record.

· Click the Excel icon to export the record to Microsoft Excelâ.

1.1.2.13 View Form Permissions

Viewing the permissions of a form allows you to see the roles and individual usersthat have access to the form, and what their level of access is.

To view the permissions of a particular form:

1. Go to the Project Forms page. For more information, see Access ProjectForms Page.

2. Filter for the form.

3. Click the subject of the form. The Form Instance page displays.

4. Click the Permissions tab.

1.1.2.14 Attach Files/Forms to Forms

It is not uncommon, and often part of the business process to attach supportingdocuments to a form.

Note: The only ways to attach a form to a posted form is by adding a comment,replying or forwarding the form. The procedure below applies to draft forms.

Tip: In IE 10, Firefox, Chrome, and Safari browsers, you can simply drag and dropdocuments from your local directory onto the Attached Documents tab. This can bedone to attach documents throughout e-Builder Enterprise.

To attach documents or forms to a form:

1. Go to the Project Forms page. For detailed steps, see Access Project FormsPage.

2. Select a draft form from the 'Workflow Forms in Your Court' table, or click Fill Out Form to open a new form instance. The Fill Out Form dialog boxdisplays.

3. To attach files, click the Attached Files tab.

Or

To attach forms, click the Attached Forms tab.

4. Click Attach Files. The Attach Files from [Project Name] dialog box displays.

Or

Click Attach Forms. The Attach Forms from [Project Name] dialog boxdisplays.

5. Filter for, and then select the checkbox next to the file or form you want toattach.

6. Click Attach. The Fill Out Form dialog box displays.

7. Take any of the following actions:

· Print the Form

· Post the Form

· Save Forms as Draft

Remove an Attached File

In the event that the wrong file was accidentally attached to a form and posted,the person who attached the file, an administrator or anyone in a role with'manage forms' permissions can remove it.

To remove an attached file from a form:

1. Go to the Project Forms page for the desired project. For detailed steps, see Access Project Forms Page.

2. Filter for, and then select a form. The Forms Instance page displays.

3. Click the Attached Files tab.

4. Select the check box next to the files you want to remove, and then click Remove Files. "(Removed)" displays in parentheses next to the file name,indicating that this file was removed from the form.

Note: You're able to reattach the same file by clicking the Reattach linklocated underneath the title of the file.

5. Take any of the following actions:

· Save the Form

· Close the Form

· Print the Form

Remove an Attached Form

In the event that the wrong form was accidentally attached to a form and posted,the person who attached the form, an administrator or anyone in a role with'manage forms' permissions can remove it.

1.1.2.15 Print Forms

There are two ways that a form instance can be printed in e-Builder; using standardprinting or a mail merge template.

The following procedures are provided below:

· Print Forms Using Standard Printing

· Print Forms Using Mail Merge

Print Forms Using Standard Printing

The standard printing option should be used if you want to print a single forminstance and do not wish to use a mail merge template, or print any of theattachments.

To print a form instance:

1. Go to the Project Forms page. For detailed steps, see Access Project FormsPage.

2. Filter for and select the form you'd like to print. The form instance dialogbox displays.

3. Click Print. A preview of the form displays in a separate dialog box.

4. Click Print.

Print Forms Using Mail Merge

Mail merge printing allows you to print multiple forms of a single form type at atime. This option allows you to print using a mail merge template, and you are alsoable to print the attached files.

Note: The Print and Log buttons display only when a specific form type isselected.

To print forms using mail merge:

1. Go to the Project Forms page. For detailed steps, see Access Project FormsPage.

2. In the Filter Forms section, click the Type of Form drop-down arrow andselect a form type.

3. Click Filter. Results display in the table below.

4. Select the check box(es) next to the form(s) you want to print.

5. To print only high level information, click Log.

Or

To print form details and/or attachments, click Print. The Mail MergeTemplates submenu displays.

6. Click the drop-down arrow and select a template.

7. If you chose the print option and you'd like to print the attached files, selectthe Print Attached Files check box.

8. Click Print.

Click to select a view.

Edit Click to open the Edit View page and make changes to theselected view.

Add View Click to open the Add View page to create a new view.

CloseSelectedForm

Click to close selected forms. Displays only for views that includeopen forms.

1.1.3.2 Project Forms Page Overview

This page displays select project forms. If you are a member of multiple projects,click the 'Forms for' drop-down menu to switch between your projects. From thispage you are able to search for, view and fill out project forms. If you are displayingforms of multiple statuses, you will notice that closed, open, and draft formsdisplay different on the results table. Closed forms display in gray, italic text; openforms in dark gray, normal text; and draft forms in light brown, italic text. This is tohelp you quickly identify form statuses at a glance.

UnfinishedDrafts

This link is located in the Quick Links menu in the upper rightcorner of the page.

Everyone is able to see their own draft forms. To see the draftsof others, you must have 'View Draft' permission which isgranted at the account level per role. Account and projectadministrators are also able to view draft forms by default.Those with 'Create' permissions automatically inherit 'ViewDraft' permission. Draft forms can be viewed from the UnfishedDrafts page and from Project Forms.

ImportForms

Depending on your account settings you may or may not be ableto import forms. The Forms import capability must be enabledby an e-Builder Support team member. For more information,please contact your account manager. Once the option isavailable, only users with 'Import' permissions can perform thistask.

Forms for (drop-downmenu)

Click to select a different project.

Fill OutSelectedForm Type

Displays only when there is a selection in the 'Type of Form'field. Click to fill out the selected form type.

Fill Out Form Click to open the Fill Out Form page and select the type of formyou want to complete.

Filter Forms The filter has a number of components to help you find just the

forms you’re looking for.

Search In: These options help you narrow search results. Search for formsthat you've initiated, those in your court or both.

· Draft: Only users in roles with 'View Draft' permissions,account and project administrators are authorized to seedraft forms. Draft forms can also be managed from the Unfinished Drafts page.

· Open: Only users/roles with 'View' permission, account andproject administrators are authorized to filter for openforms.

Page/Show Click to select the page number of results to jump to. / Click toselect the number of results to display per page.

Print/Log Click to print one or more forms at a time.

Print - Prints form details and/or attachments.

Log - Prints only high level information.

Displays only if a specific form type is selected in the 'Type ofForm' drop-down menu located in the filter.

Data opens in a Microsoft WordÒ or PDF document, asspecified by the account or project administrator. You are ableto print using the default template or a custom template if onehas been created. See Add/Edit For Mail Merge Templates forinstructions.

Subject Displays the subject of the form. Click to open the form instancein a separate window, and view or take action on the form.

Prefix Displays the prefix of the form if one exists. A prefix is an additional identifier by which to track and access forms. Anexample is the contractor’s tracking number.

# Displays the form instance number. This field allows you gaugehow often a form type is being used.

Author Displays the name of the person who created the form.

Held By Displays the name of the person whose court the form is in.

Due Date Displays the date a workflow form is due. 'NA' displays for staticforms, as they do not have a due date.

Status Displays the status of the workflow form in relation to the duedate; the amount of days before or after the form is due.

This dialog box displays when you choose to fill out a form. A description of thefields and buttons located on this page is provided in the table below.

Field Description

Print Click to print the form.

CheckSpelling

Click to check the spelling of form fields before taking action.

Post Form Click to send the form to select recipients.

Save Draft Click to save a draft of the form. Draft forms can be retrieved byfiltering for Forms in your court on the Forms and Project Formspage.

Delete Draft This button displays only for account administrators, the forminitiator and users with the permissions to access draft forms.Click to delete the draft.

Subject Enter the subject of the form.

Send To Displays for workflow forms only. Click to select recipient.

Date Due Displays for workflow forms only. Click the calendar icon andselect the date that this form should be completed by. You canalso type the date in the field.

CC Select the roles or users to copy on the form. Click the rightdirectional arrow to add users/roles to the adjacent CC box.

Tip: Double click the role name to view the list of users inthe role.

Requestexternalcommentafterposting?

Select to request a comment from an external recipients who isnot a licensed e-Builder user. External comment requests can besend via Email or Fax. For instructions, see Request ExternalComments

Field Description

Edit/ViewForm (Tab)

Displays form details.

History (Tab) Displays a list of every view and action taken in the particularform instance. This information can be used for auditing andtracking purposes.

Form FieldHistory (Tab)

Displays a list of the changes made to the form's fields, usersthat made the changes, and a time stamp of when the changewas made. This information can be used for auditing andtracking purposes.

Permissions (Tab)

Displays the permission settings of the form. This tab is visibleto all users. If necessary, administrators can change thepermission to all form instances. For more information, see Form Type Permissions Page Overview - 'Apply permissions toexisting forms' check box.

Save Displays for open forms only. Click to save changes.

Close Click to close an open form.

Re-Open Click to reopen a closed form.

Print Click to print the form.

Copy Click to create a copy of the form. The new form displays and isalso placed in draft status as a workflow in your court.

Fill Out Form Click to select a new form type to fill out.

Check Spelling Displays for open forms only. Click to check the spelling ofform fields before taking action.

Note: Depending on your account settings this page may or may not be availableto you. The Forms import capability must be enabled by an e-Builder Support teammember. For more information please contact your account manager.

You are taken through a three step wizard when importing forms. A description ofeach page is located in the table below.

Step 1 of 3

ProjectIdentifier

Select a Project Identifier. This is a unique ID that will identifywhich project the form import is for, examples include projectname and project number.

Project identifiers are entered into e-Builder as requiredproject custom fields. For multiple options to display, the ‘Donot allow duplicates’ check box must be selected on the EditCustom Fields page.

Project Select a project to be used as a template project. Choose aproject that includes the form type that you are importing.The import file can include multiple projects.

The field below (Form Type) will update with the form typesavailable for the selected project.

Form Type Select the form type you wish to import.

Import as Draft Select to import the file as a draft.

Sendnotification toheld by users foropen forms

Select to send a notification to users that currently have thisform type in their court, letting them know that additionalforms of the selected type are going to be added.

Browse… Click to select the import file.

Step 2 of 3(Field Mappings)

Use this section to map the fields in your spreadsheet to the default form built-infields in e-Builder. For each required and optional built-in field, click thedrop-down arrow and select the corresponding field in the spreadsheet. If thecolumn names in your spreadsheet are identical to the built-in fields, they willpopulate automatically.

Previous Click to return to the previous page.

Next Click to go to the next step of the import process after all fieldshave been completed.

Cancel Click to cancel the import process and return to the Formspage.

Step 3 of 3 (Review)

The Preview tab displays by default and allows you to review the details of theimport; whether it was successful or not. If there were errors, details display onthe Exceptions tab.

Exceptions Tab Lists all errors, if any. Click the Export Exceptions button toexport details to a spreadsheet.

Warnings Tab Lists all warning messages, if any.

1.1.3.6 Unfinished Drafts Page Overview

This page allows account administrators and users with the appropriatepermissions to see and take action on draft forms and processes. Draft processesand forms are created for many different reasons. At times, team members do notremember to use a draft process and create a new one or co-workers – who areunable to see the draft processes/forms of others – do not know the draft existsand submits a new process for the same item.

Everyone is able to see their own draft forms, but to see the drafts of others, youmust have 'View Draft' permission which is granted at the account level per role.Account and project administrators are also able to view draft forms by default.Those with 'Create' permissions automatically inherit 'View Draft' permission. Youare also able to filter for draft forms from the Project Forms page.

Note: Permission settings to view drafts are located in the properties of theform and process, see the following links for more information:

Field Description

Show Use this filter to narrow the results in the table below it. All

Processes/Forms are selected by default. Make a selection to

see drafts for a specific process/form.

Go Click to show the results of your selected filter. You can also

Show All Click to show drafts for all forms/processes.

Project Name Displays the name of the project associated with the draft

form/process.

Form Type Displays the name of the form type.

Process Type Displays the name of the process type.
