    Chapter 1 : Introduction easyDBR - Generate Your Hotel Daily Business Report with ease! An automated tool to help you prepare your daily business report (DBR) or Manager report with a few mouse clicks! No more deleted historical DBR files! simply re-generate your historical daily business report for any date using easyDBR.

    1.1 Product features

    Compare FTD, MTD and YTD figures. Comparison with Current financial year vs Previous financial year. Compare competitive hotel analysis (Compset) on DBR Add Budget to each revenue / Statistical head. Track variance between Budget with actual in real time. Manually add / adjust the revenue for any date. Import Revenue figures from your PMS or POS application. Fully customizable Revenue and Statistical Heads. Fully customizable DBR excel output format as per your

    requirement. Generate Hotels Profit and Loss report (P&L) (.xls, xlsx) Generate DBR / Manager report on excel format ( .xls,.xlsx )

    Chapter 2 : Soft APP functions 2.1 Revenue center Revenue center's are the main groups or sections on your Daily Business report / Manager report. Examples of Revenue center's / Sections are Room Revenue, Statistical Figures, F&B Outlets, Compset etc.

    Configure the below Values while adding a new 'Revenue Center':

    Revenue Center Name: Enter the Name of your renveue center here.

    Sort Order: Specify the order in which the revenue center will be grouped on the daily business report extract. Sorting can be manually adjusted or you can click on 'System Generated' to assign the default sorting.

    Active: You need to select the check box 'Active' when you are adding new Revenue centers. ( This options comes handy when in future if you want to disable or hide any specific revenue center from the report.)

    Sum Up: If you need a Sub total and Grand total for the 'Revenue Headers' which falls under this 'Revenue Center' then you need to check mark this box. ( Find screenshot below for more details)

    In some revenue centers for eg: Statistical figures like House use rooms, Complimentory rooms, Occupancy percentage etc. you might not need a sub total. An Example of Revenue center with Sum up and Without Sum up:

    2.2 Revenue header Revenue Header's falls under respective revenue centers and acts as the revenue heads which will hold the daily revenue values.

    Examples of Revenue Heads are ARR, Occupancy, No of Adults, Banquet Revenue, Resturant Covers, List of hotels for Compset etc.

    Configure the below Values while adding new 'Revenue Headers':

    Revenue Center: Select the Revenue center from the drop down in which the new header will fall into.

    Revenue Header: Enter a unique name of your revenue header here.

    Sort Order: Specify the order in which the revenue header will be grouped on the daily business report extract.Sorting can be manually adjusted or you can click on 'System Generated' to assign the default sorting.

    Active: You need to select the check box 'Active' when you are adding new revenue header. ( This options comes handy when in future if you want to disable or hide any specific revenue center from the report.)

    Sum Up: If you need a Sub total and Grand total for this 'Revenue Header' then you need to check mark this box.

    Round off: Select this check box to round off the figures without any decimal points. Example for statistical figures like number of room occupied, occupancy percentage, number of covers sold etc.

    % Append: Select this check box if you want to add a percentage sign nex to the figure while generating the DBR excel extract. Example for occupancy percentage.

    Pro-rate:

    When this check box is ticked - Then the Month to Date ( MTD) and Year To Date (YTD) figures will be added up with the daily entry. And the budget entered for these figures will be divided by the number of days on the respective month.

    When this check box is not ticked - Then the Month to Date ( MTD) and Year To Date (YTD) figures will be added up and then divided by the number of days past in the month / financial year. This then gives an average MTD and YTD figures. Also budget for these headers is also not pro-prorated.

    External Reference: With easyDBR instead of typing in the daily value you can also import the revenue values from a .csv (comma seperated value file) from your PMS (property management system) or POS (point

    of sale) applicaiton, In case if you are importing the values then you can assign the unique reference number for this header in this field.

    2.2.1 Enter Budgets

    Entering budget for Revenue Header

    With easyDBR you can enter a budget for each of your Revenue Header's.

    Budgets can be set for each month and the entered budget will be compared with your Month To Date (MTD) figure for current financial and pervious financial year.

    Variance between this budgeted figure and actual produced will also feature on the Daily business report extract.

    Adding Budget: Enter the budget for each month and click on the button 'Save'. If the budget is same for all month then you can also use enter the budget for the month of January and then click on button 'Copy Jan to all'. Note: If you enter budget for a pro-rated Revenue Header then the entered budget will be also pro-rated automatically. Fromula for pro-rate budget is 'Entered budget for the month / Number of days in the month'.

    2.3 Add Daily Revenue From 'Add Daily Revenue' screen you can add the daily values for each of your 'Revenue Headers'. Additionaly there is a provision to import the daily values from your PMS or POS systems details for the same available under section 'Import Revenue'.

    Add Daily Value: Double click on the corresponding daily revenue field and enter the value. You can also enter a remarks for each of these values.

    For Date: Select the date for which you want to enter the daily value for each Revenue Headers.

    Revenue Center: Filter the list of Revenue headers displayed on the screen from this drop down.

    Add Note: Add any special remarks for the date selected. These special remarks will be printed at the bottom of your daily business report generated for the day.

    Generate Report: Click on button 'Generate Report' for generating your the daily business report (DBR) for the selected date. The DBR excel file can be saved as .xls or .xlsx format. Generated DBR files are saved under folder 'DBR-Reports'.

    Once report is processed successfully, you can either open the destination folder by 'Open report folder' or directly open the DBR excel file by clicking on the 'Open Report' button.

    2.4 Import Revenue This is used to import the External repository file of Daily revenue Note :The file to be Imported should be in .csv (comma seperated value file) format

    2.5 Revenue Search View With revenue search view you can rertriew and correct any previously entered reveneu center values for any date range.

    Double click on any entry to correct the value and also add any remarks.

    Monthly View displays the the entered daily value in a landscape layout. Note:It is not possible to edit any value in this view.

    2.6 Configuration Set your financial year end for your property here. Note: All MTD and YTD figures will reset on your financial year end date. Import your license file from 'Activate License'. Write to [email protected] for purchasing license for myDBR.

    2.7 User Management Add or Remove user login details such as username,password etc to easyDBR from this screen.

    There are two user levels 1) Admin and 2) User. User group Admin has full rights and only below access is avilable for users created under group 'User'

    2.8 Sign Out Signs out from the user interface to login screen. 2.9 Exit Its for Exit function.
