Using Educator Preparation Tracking

Introduction to Educator Preparation Tracking Purpose As part of the Educator Preparation Data Reform Project led by the

USG Office of Educational Access and Success (OEAS), certain data elements related to teacher education preparedness need to be entered in Banner for collection by the Academic Data Collection (ADC). The Educator Preparation Tracking (ZOAEDPT) provides a location for the entry and maintenance of student specific data. The data entered on ZOAEDPT can be extracted by the Educator Preparation Data Extract Process (ZOREPDE) to create a data file which can be uploaded to the Georgia Professional Standards Commission’s Traditional Program Management System (TPMS).

Target Audience All institutional staff involved with the entry, maintenance, and reporting of Educator Preparation data for the Academic Data Collection (ADC) and staff responsible for maintaining data in TPMS.

Purpose and Scope of Document

This document explains how to use the Educator Preparation Tracking (ZOAEDPT). This chapter includes the following topics:

Educator Preparation Tracking Flow Description

The Educator Preparation Tracking (ZOAEDPT) is used for the entry and maintenance of Educator Preparation data. This page is student specific and term based, allowing for entry of data for specific curricula. This data includes program acceptance information, program specific dates, PSC field codes, PSC program ID codes, and advanced degree area of study codes.

Implementing Educator Preparation Tracking

I. Setting Up Codes Overview

Validation codes must be established on the Educator Program Acceptance Code Validation (ZTVPRAC), Educator PSC Field Validation (ZTVPSCF), Educator PSC Program ID Validation (ZTVPGID), and the Educator Advanced Degree Area Code Validation (ZTVADVA).

1. Create program acceptance codes (ZTVPRAC)

II. Entering Educator Preparation Data Overview

The Educator Preparation Tracking (ZOAEDPT) is student specific and term based, allowing for entry of educator preparation data for specific curricula. This data includes program acceptance information, program specific dates, PSC field codes, PSC program ID codes, and advanced degree area of study codes.

1. Enter educator preparation data for the student on the Program Details tab (ZOAEDPT)

The Educator Preparation Tracking (ZOAEDPT) requires the selection of an existing Learner curriculum for the student from the General Student Summary (SGASTDQ). Data entered on the page will be associated with a specific curricula record. The selected curricula information will be displayed at the bottom of the Program Details tab. Enter the student’s ID in the Key Block and the term for which the student has been accepted into the educator preparation program. Click the Select Program button to select a program from the General Student Summary (SGASTDQ).

On SGASTDQ, place the cursor on the student’s curricula and click Select in the lower right corner of the page to return to ZOAEDPT. Click the Go button to see the selected curricula in the Curricula Summary section at the bottom of the page.

Enter the student’s Program Acceptance Type for this record. The Program Acceptance Type field validates against the Educator Program Acceptance Code Validation (ZTVPRAC). The Decision Date field is a manual entry field. If left blank, it will default to today’s date when the record is saved. Multiple program acceptance type rows may be entered per record by using the down arrow or Insert function in the Program Acceptance Type field. When multiple rows exist, the most recent row based on the Decision Date will be displayed. Use the

left/right arrows under the Program Acceptance Type field to see the other entries.

The minimum amount of data required to save a record on ZOAEDPT is the student’s curriculum selected from SGASTDQ and the Program Acceptance Type information. The From Term in the Educator Preparation Tracking section will be populated when the record is saved. The To Term field will be set to “999999” and the Sequence Number will be 1 if this is the first record entered for the student.

To view any existing ZOAEDPT records for a student, enter the student ID in the Key Block, leave the Term field blank and click the Go button. Place your cursor in the Educator Preparation Tracking section and use the left/right arrows for this section to scroll through any existing records. If no records exist for the student, a “*ERROR* No records exist for this ID.” message will be displayed in the Notification Center. The Program Details tab of ZOAEDPT includes From and To Term fields to identify the effective term of the data. Multiple records may be active for a single term. The user may scroll through all existing records. If the From Term and curricula data is distinct, the Sequence Number field will display 1. If multiple records have the same From

Term and the same curricula data, the sequence number will increment (i.e. 1, 2, etc.). Regardless of the data entry order, the records on ZOAEDPT will display in the following order for the student: Descending by From Term Descending by Curricula Term Ascending by Sequence Number The Program Admission Date, Program Start Date, Program Completion Date, and Clinical Experience Completion Date fields allow for manual entry. You can also use the calendar icon to select a date.

The Attending Status field defaults to Not Reported and provides the user the ability to select Yes or No from the dropdown list.

The GPA-Program checkbox must be checked if a GPA is going to be provided. The data entry field will be hidden if box is unchecked.

The data format is #.##. If a single digit is entered, the field will automatically add “.00” to the number to comply with the required format.

If the user enters a GPA but then decides to remove it, the checkbox must also be unchecked. You will receive an error in the Notification Center that indicates you must first remove the GPA before unchecking this box. After deleting the GPA and unchecking the box, the data entry block will disappear.

2. Enter data for the student on the Field Codes tab (ZOAEDPT)

Before selecting the Field Codes tab, ensure that the curricula for which you wish to enter PSC field codes or advanced degree area of study codes is displayed. The Field Code data will be connected to the Program Details information you are currently viewing.

In the Field Codes tab, the PSC Field Code field is validated against the Educator PSC Field Validation (ZTVPSCF). There are three certification checkboxes available for each row. When a code is entered, the Initial Certification checkbox defaults to checked. A information message for each checkbox is displayed in the Notifications Center when tabbing into or clicking the checkbox. This message indicates the possible combinations that can be entered.

• Initial Certification – Initial Certification; check = yes, uncheck = no. Select Initial only, no other combinations.

• Advanced Certification – Advanced Certification; check = yes, uncheck = no. Select Advanced only or Select Advanced + Add On.

• Add On Certification - Add On Certification; check = yes, uncheck = no. Select Add On only or select Advanced + Add On.

The PSC Program ID field must be populated for each PSC Field Code record. This field is validated against the Educator PSC Program ID Validation (ZTVPGID).

The Advanced Degree Area of Study Code field is validated against the new Educator Advanced Degree Area Code Validation (ZTVADVA).

3. Ending program records (ZOAEDPT)

To end a specific program record on ZOAEDPT, click the Maintenance button next to the To Term for that record. The Maintenance button is only active for program records that have a To Term of “999999”. A popup window will allow you to select the term for which the program is being ended.

When you click OK in the popup window, the selected term will populate the To Term and the Maintenance button will become deactivated. Data can still be updated and maintained for this program if necessary.

4. Deleting program records (ZOAEDPT)

If it is necessary to delete a record from ZOAEDPT, a delete option is available to remove all records from both the Program Details and Field Codes tabs for the specific program and term combination. With the cursor in a data entry field on the Program Details tab (excluding the Program Acceptance Type and Decision Date fields), click Delete at the top right of the Educator Preparation Tracking section of the page. A warning message in the Notification Center will indicate “Deleting this record from Program Details will also delete data from Field Codes. Do you want to continue?” If Cancel is selected, no data will be deleted from the page. If OK is selected, all data for that specific term, program, and sequence number will be deleted.

III. Extracting Educator Preparation Data Overview

The Educator Preparation Data Extract Process (ZOREPDE) is used to pull Educator Preparation data from Banner and generate a data file that can be uploaded to the Georgia Professional Standards Commission’s Traditional Program Management System (TPMS). The process can be run for all students who have a ZOAEDPT record for the specified term or a population selection can be used in conjunction with the term parameter to narrow the population. In order to generate the required PSC values for degree codes and site codes, the institution must translate their Banner degree and site codes to PSC

codes on SOAXREF using Cross-Reference Labels PSCDEGC and PSCSITE.

1. Create degree and site EDI Label Codes (STVXLBL)

Create the EDI Label Codes on the EDI Verification Label Validation (STVXLBL). The EDI Label Code and Description fields can be manually entered. The System Required indicator should be unchecked. The Activity Date field will be automatically updated with the current date.

NOTE: ITS provided a script in Georgia Enhancements 8.37.1 to insert the following required values.

3. Translate Banner site codes to PSC site codes

The Educator Preparation Data Extract Process (ZOREPDE) requires data translations in order to generate the required PSC values for site codes. 4. Create data file for uploading to Georgia PSC’s TPMS

The Educator Preparation Data Extract Process (ZOREPDE) requires data to be entered on the Educator Preparation Tracking (ZOAEDPT) as well as basic demographic information. In addition, data translations for the PSC values of degree codes and site codes must exist on SOAXREF for label codes PSCDEGC and PSCSITE. After entering Educator Preparation data on ZOAEDPT, a data file can be generated for uploading to TPMS containing all students for a specified From Term on ZOAEDPT. Only records with all required data will be included in the data file. The .lis file will include a list of missing data for students who were not successfully added to the data file. To generate a file containing all students with the same program acceptance term, enter the ZOAEDPT From Term code in the Term parameter on the Educator Preparation Data Extract Process

(ZOREPDE). To narrow the population to a subset of these students, create a population selection and enter the appropriate values in parameters 2-5. Enter the email hierarchy preference (using a code from GTVEMAL) in parameter 6. If the process doesn’t find an email address in the first address type specified, it pulls the email address type associated with the second address type. During testing only, set parameter 7 to Y to add a test record in the data file. This lets you see an example of the information to expect for each data field. This parameter defaults to N(o). The PSC code for program delivery mode will be added to each record in the data file based on the code entered for parameter 8. Options are 1 – face-to-face, 2 – hybrid, or 3 – online.

The .lis and .log of ZOREPDE will be found in the same location as other Banner process .lis and .log files. Refer to your campus technical support for details. The first section of the .lis file displays students whose information was successfully added to the data file. Multiple rows indicate that the student has multiple sequence entries on ZOAEDPT for the term. The same number of rows per student will appear in the data file. If parameter 7 was set to Y, the test record will be identified with Student ID “TESTRECRD”.

The second section of the .lis file displays students whose information was not added to the data file due to missing information or data that does not meet the TPMS requirements. Multiple rows indicate that the student has multiple sequence entries on ZOAEDPT for the term. The Message column will tell you what data is missing from the student’s records and will often provide the Banner page where this data should be entered.

The data file is located in the $DATA_HOME/student directory. Refer to your campus technical support for access. The output will be in a double quoted ASCII comma delimited .csv format. This file can be opened in a text program or Microsoft Excel to review the data. A header row will display the data field names. If a test record was requested using parameter 7, it will provide an example of how the data might look. When you are ready to upload to the TPMS system, set parameter 7 to N to exclude the test record. Multiple rows indicate that the student has multiple sequence entries on ZOAEDPT for the term.

Use the file layout to see which fields will be populated and what kind of data has been extracted.
