Minutes: Warren Huff motioned to accept the minutes with no changes. Kent Meloy seconded; the committee voted unanimously to accept the minutes.

Meta Course Discussion

o Meta courses creates complexities for scheduling Echo360 sessions and obtaining

analytics. Dani Peterson will lead a discussion to determine if there is another way to

create sections in Bb with minimal impact to faculty.

TEACH Act discussion

o The Library reviewed the policy drafted by the ID/P subcommittee and expressed concerns

with implementing it without additional resources.

o Since funding and resources around accessibility may also be able to be utilized for

implementation of the TEACH Act, Dani will also lead the discussion to finalize and move

the draft policy into operation.

Canopy Support

o Tayler Gary (formerly with FTRC) joined the staff in Learning Technologies Team.

o Joey Lyon also was hired in Learning Technologies as an Instructional Technologist. He

will be working with IDs and Admissions.

Both have experience with Bb

o Bb Call Center Support

Emanuel Lewis has been negotiating with Blackboard’s extended call center,

located in Somerset KY, to provide after-hours coverage for UC.

Within scope, (UC defines scope), the calls will be resolved not just answered and

logged.

Call center would come online as tier 1 support when UC help desk closes at

11PM.

Call center has a workforce team that can be cross-trained and available during

peak times.

Peak times will have a chat function for support

o

o UC will consider integrating the call center into our daytime support model if the nighttime

model is successful.

o On average, the cost is $9.80 per call. 6000 calls nights and weekends

o Another option is to allow callers who go to voice mail to choose the option of of the chat

support to get out of the queue.

o May be able to have a priority line for faculty.

o The extended support is only for Canopy support (Bb and associated products) and does

include support for desktop, networking, applications, etc.

We can buy that type of additional support as tier 2 but that is not in scope today.

o Call center will provide statistics and metrics from the calls.

o Starting with night shift is an opportunity to evaluate the service and if it adds value, it will

be expanded.

o Bb will have one set of resources to answer chat requests and another to respond to calls.

o One result from the metrics could be to hold faculty/instructor sessions to help them see

what are the common problems students’ experience.

o Currently UC has quantity numbers but not issues data.

o Currently UCIT has 7 fulltime help desk agents to cover all shifts supplemented by co-op

students

o Contact Emanuel for questions or to provide input.

o The support team is developing other methods reducing call volume

WebEx Recommendation (see attached Issue/Action Form) – Tina Meagher

o Tina Meagher reviewed the WebEx pilot requirements, the process steps, and training

options with the committee.

o Pilot is on-going with ~120 participants

o She shared usage statistics, ease of use and quality metrics

Majority agreed or strongly agreed it was a good product

o Need additional faculty using it in teaching environment

o Need to further develop KB

o HD needs additional training

o Tina is working with WebEx to troubleshoot intermittent audio problems

o If we opt to purchase WebEx, we can brand the site and include help documentation

embedded in the interface.

o 3yr quote 45K per yr covers core users but not too call-in function. Can add the 30,000

call-ins for $6k per month.

o WebEx is a better investment when compared to using multiple products on campus. It

will be purchased using DL fees.

o Can provision accounts for all UC faculty, staff, & students

o Meeting center, support center, training and event centers

o Bridge options available to connect WebEx to other systems such as Tanberg, etc.

o Research and teaching need more use and feedback

o Some colleges have other web conferencing tools that require annual renewals in Aug

o A decision will be made on Friday

Echo360 Appliance Purchases

o ESS (the on premise model) & ALP licenses when we renewed

o ALP platform will be available within 30 days

Training will start by end of June

o Melody will lead a discuss distance learning vs online learning language in next meeting.

I. ISSUE/QUESTION/PROBLEM: The WebEx project team is ready to provide a preliminary report on the status of the pilot.

II. BACKGROUND DATA: The Web Conferencing Task Force recommended that a new project team convene in March of 2015 to pilot WebEx to see if it would meet the academic and administrative needs of a small group before deploying it as an enterprise service for the entire university community. The pilot project kicked off on March 26 with 50 pilot participants and has ~120 as of May 27. Participants in the pilot agreed to use WebEx at least five (5) times during the pilot (March 26 – June 30) and to complete a survey after each use.
