Welcome The Elementary Online Progress Report has been designed to have classroom teachers enter grades using a computer and the Internet. The grades will be recorded in the LAUSD Elementary Student Information System and the progress reports will be printed at the school. The Home Copy can be given to the parent or sent home with the student. Each teacher will use a Teacher ID# and a Password to access the screens for their class. Grades will be entered during the 3 week mark reporting window prior to the distribution of the Progress Reports. Time will be allotted for the printing of the Progress Reports at the school. The window will remain open for 1 week following the reporting period to allow for error corrections. Teachers can select up to 8 lines of comments from a list of over 300 to add to the student’s report card. Information about the student, previously entered by hand (e.g., Master Plan and Special Education information, Intervention participation), will be added to the Progress Report from information on SIS. I. Sign on To The Internet To access the Elementary SIS Online Progress Report Web site: Enter this web address: http://esis.lausd.net

(You can save the web site on your computer by placing it in your list of “Favorites” or you can “Bookmark” it. Doing so will allow you to click on the site without typing in the address each time.)

Click on GO or press ENTER.

At the bottom of the screen you will see information about the suggested browsers that may be used, should you need to download one.

Also recommended is the “screen resolution of 800 x 600 or higher.” For PC Users: To check if your computer is at the required resolution, click on Start/Settings/Control Panel. On the Control

Panel screen, double click on the Display icon. Click on the tab for “Settings.” Check to see that the screen size is at least 1024 x 768. If you need to change the screen size move the arrow toward “more” or “less,” and the click on “Apply”, click on “OK,” and then close the Control Panel screen.

For MAC users: To check if your computer Is at the resolution, click on “Apple”, highlight “Control Panel”, highlight “Monitor.” Check “Resolution Box.” Highlight at least 800x600 then close this screen.

Common Logon Screen

Use the Common Logon screen to logon to the Online Progress Report Card. Before accessing your class information, an account needs to be established. Click on the “New User? Click here” link.

I. SETTING UP AN ACCOUNT Before you can access the Online Progress Report system, you must set up your account. In setting up a new account to enter report card marks you need to click on the NEW USER link. This link will take you to the LAUSD Single Sign-On Self Service Console.

• All teachers must use the Single Sign on page to activate new accounts or reset a forgotten password.

• The ePals e-mail name is also the username for the Online Progress Reports

• If you are new to the district, click on “Activate your LAUSD email account” and follow the prompts. You will be given your username and allowed to set your PASSWORD and a security HINT question.

• If you forget your username or password hint, you will not be able to reset your own account and must call the helpdesk at (323) 224-2277. Once you have your username and password, you can use this page to reset your password and set your hint.

• Password Hint – The password hit is the answer to one of

several questions that you must choose. This question must be answered in exactly the same manner (It is case sensitive) when prompted to answer. It is probably easiest to remember if you answer all in lower case, but either way it is MOST important to remember your answer. If you have your hint in you can reset a password, choose a new one or unblock yourself if you have become blocked using the second option on the console.

After entering all the required information to establish a valid user ID, click on the CREATE A USER ID button. The following screen will display. Then click on the Login link to return to the Common Logon screen.

When the system assigns your User ID, a confirmation notice will be emailed to you. Click on the Check LAUSDnet email link on the SIS & SIB Applications common logon page to access your LAUSD ePals email. After this process, proceed to log in into your classroom and begin entering report card marks.

CHANGE MY PASSWORD OR FORGOT MY PASSWORD: If you have put in your password hint AND REMEMBER IT, you can easily choose a new password (just because you want to OR because you have forgotten your old one). To do this, go to the main page of LAUSD. (www.lausd.net) Log in as an EMPLOYEE by clicking the link on the left side of the screen. Click on the picture of JIM (the little man.) Select the second option: Reset a forgotten password (see password tip)*

Write in the requested information EXACTLY as requested… (eg. A May birth month would be recorded as 05 and the entire birth year must be recorded with four digits like 1979.) Once you press the SELECT button, if you have selected a password hint, you will be prompted to type this in. If you typed the correct password hint, you may select a new password or if you have blocked yourself, you can unblock yourself by changing your password.

II. Login Screen

Click on the Online Progress Report (OPR) link. The screen below is used for news and announcement related to the Online Report Card system. If you have read the news listed, click on the Continue to OPR link.

III. Report Card Menu From this screen you have the option of entering marks by student or selecting the entire class with the option to enter

marks for one subject at a time. You can also print the Achievement and Work and Study Rosters from this screen.

Notice the clock at the bottom of each screen letting you know that if there is no activity for 30 minutes, you will be timed out. The user must click on “SUBMIT” or “GO” buttons to reset the clock to 30 minutes. Make your selection and click on the appropriate link to enter marks.

IV. Entering Marks by Student - Class list A list of students in your class will appear. Click on a name of a student.

V. Student Screen

At the top, the screen will give the teacher’s name, room, the school name, student’s name, ID number, grade level, language classification, ELD level (if applicable), and Special Education eligibility (if applicable).

VI. Entering Achievement/Effort scores for Subjects

Enter Achievement (Ach.) and Effort (Eff.) scores in the white boxes under each subject. Use the <Tab> key to move

from box to box or click the mouse in the white box. Only scores 1, 2, 3, or 4 can be entered in these boxes. (A reminder will pop up should something else be entered.)

VII. Entering Work/Study Habits scores

Enter Work/Study Habits scores in the white boxes under each heading. Use the <Tab> key to move from box to box or click the mouse in the white box.

Only scores 1, 2, 3, 4 can be entered in these boxes. (A reminder will pop up should something else be entered.)

VIII. Entering Attendance data for the Reporting Period

This information should be entered at the end of the reporting period so that the number of days is accurate.

Enter number of days absent, present, and number of times tardy. (Should the entered numbers exceed the number of days in the reporting period, a reminder will pop up when you Submit the record.)

IX. Entering Comments for the Student

Depending on the language, up to 8 lines of comments may be selected for each reporting period. For example, when the Progress Report is printed in English, the maximum of 8 comments will print. However, if the Progress Report is printed in a character-based language (e.g., Russian, Chinese, etc.), the comments are limited to 8 lines of comments. Some comments, when translated into certain languages, required 2 lines. Comments may be selected for the following academic subject areas from a bank of comments: Language Arts, Mathematics, History/Social Science, Science, Health, Physical Education, and Arts.

Selections may also be made from Work and Study Skills Comments, General Comments, Social Skills Comments.

There are two different ways to enter comments. The first method allows you to scroll through and then highlight a comment to select it.

To enter comments, click in the “Choose Up to 8 Comments” white space. When the space is highlighted, by clicking the hyphen or dash key, the comments headings will scroll.

Use the down arrow key to scroll through individual comments or click on the down arrow next to the comments to see a screen view of comments. The up arrow and down arrow key will allow you to put the desired comment in the highlighted box.

To add the comment to the “Selected Comments” box for this student, click on Add Comment down arrow.

The second method for selecting comments involves using the correct Comment Number. To add the comment, using the Comment Number, click in the Comment Number box or <Tab> to the box. Type in the number that corresponds with the comment you wish to add. Then click the “Add” button and the comment should appear in the “Selected Comments” box.

Should you decide to remove a comment, highlight the comment in the Selected Comments box, and click on “Remove Comment” up arrow.

X. Entering Additional Student Information

District policy requires teachers to notify the parents of students who are at risk of not meeting the requirements for Standards Based Promotion. In previous reporting periods, teachers were required to write in the date a warning notice was sent as well as to mark whether a student May be retained or Will be retained by hand after the progress report had been printed. In order to fully document information about a retention or at risk student, this new feature has been added to the ESIS OPR screen so that teachers can type in dates that warning notes are sent and make a check mark if a student may/will be retained. If the teacher does not type in a warning date, nothing related to the warning date field will appear on the printed progress report. If a date is input, it will be printed in a field stating "Warning Notice Sent (date)" in the comment section of the reporting period. If the teacher indicates that a child Will/May be retained, a checkmark will print in the appropriate box. The box will be blank if the teacher does not check the box in the ESIS OPR application.

A. Warning Notice

To indicate the date when a Warning Notice was sent home, teachers must enter a date that is within the current Reporting Period. For example, during Reporting Period 3, single track schools must enter a date between March 15 and June 18. Any dates entered outside of the range will result in an error message: "Invalid Date: 02/15/04 must be between 03/15/04 and 06/18/04" There are several ways to enter a date in the text box: (1) With a mouse, click once inside the white text box. Type the date as "June 15, 2004", "6-15-04", "6/15/04" or "6.15.04". (2) After entering student attendance information, press the TAB key on your keyboard. The cursor will appear in the text box under the "Warning Notice sent" column. Type the date as "June 15, 2004", "6-15-04", "6/15/04" or "6.15.04".

B. Retention

To indicate whether a student will be retained, teachers must check off the appropriate box for Reporting Period 3. There are two ways to place a checkmark in the box: (1) With a mouse, move the cursor over the box and click once. A checkmark will appear in the box. (2) After entering a date in the Warning Notice sent text box, press the TAB key on your keyboard. The box under the "Will be retained" column will highlight. Press the SPACEBAR. A checkmark will appear in the box.

Once all information has been entered, please remember to click on the SUBMIT button at the bottom of the screen to save your changes. Students for whom the teacher marks “will be retained” will not be promoted to the next grade and will appear as “mandatory” students for summer intervention. SIS will reflect their grade as containing an “R” for retained.

C. Curriculum Types for Special Education students

In order to indicate whether a student is receiving an Alternate District Curriculum, office personnel must verify that the information has been indicated on the student’s IEP via Welligent. The information about curriculum type includes accommodations, modifications or alternant curriculum and migrates weekly from the Welligent system. OPR will retrieve data from ESIS and print a phrase indicating that the student is receiving an “Alternate District Curriculum”. Accommodations and/or modifications are not noted on the progress report. Please refer to your APEIS for issues regarding Special Education.

XI. Using the SUBMIT Button and Cancel Button

Information to be saved and that will later be printed on the Progress Report must be submitted. To submit the grade scores, comments and attendance, click on the SUBMIT button. Should you decide to change a grade score or comment after it has been submitted, make the change on the screen, and then click the SUBMIT button. The changes will then be submitted. You will then return to the Class List screen.

The cancel button is used if you are on a student’s screen and want to exit without submitting the marks. When you click the Cancel button, you will return to the Class List screen.

XII. ENTERING DATA FOR A CLASS (1 SUBJECT)

You have the option to enter marks for the entire class by single subject. For example: If you want to enter Academic Marks for the entire class at a time, select Enter data for a class (1 subject).

Academic Marks (1 subject)

At this point, select the Academic subject you want to enter marks by (1) clicking on the down arrow of the subject area (2) highlighting the subject and (3) clicking on GO.

Attendance (1 subject)

If you want to enter Attendance for the entire class, click on the down arrow for this section.

At this point, select Attendance by (1) clicking on the down arrow (2) highlighting the attendance period and (3) clicking on GO.

XIII. Achievement Report

The Achievement Report will print out the students in your class and the marks recorded for them. You may print out as many reports as you wish, however once the entire class has Achievement Scores for the subjects, you will print a copy of the report, sign and date it, and turn it in to the School Office. (When the office has verification that the complete class’ grade scores are in for all classes, the office will print the Progress Report Cards.)

To print the Achievement Report, click on either Achievement Report or Achievement Report PDF. Either option will generate the desired report.

When you see the report on your screen, click on File, then click on Print, and the report will print. XIV. Work and Study Habits Report

The Work and Study Habits Report will print out the students in your class and the marks recorded for them. You may print out as many reports as you wish, however once the entire class has Work and Study Habits Scores for the areas, you will print a copy of the report, sign and date it, and turn it in to the School Office. (When the office has verification that the complete class’ scores are in, the office will print the Progress Report Cards.)

PDF on the top of the Class List screen. Either option will generate the desired report. When you see the report on your screen, click on File, click on Print, and print the report.

XIV. Comment Reports

The Progress Report Comments will print out the students in your class with their grade, RSP status and classification followed by the comment codes recorded for them. You may print out as many reports as you wish, however once you have selected comment codes/ comments for the entire class, you will print a copy of the report, sign and date it, and turn it in to the School Office. (When the office has verification that the complete class’ comments are in, the office will print the Progress Report Cards.) The second report, Progress Report Comment Descriptions, summarizes the various comment codes that you have selected for your class and describes the comment associated with the comment code. The administrator may review these comments to see if they are appropriate for the students in your class. (For example you may have accidentally selected a comment meant for EL students, but the student is an RFEP or EO student.)

XV. Logout of the system

Each time you want to stop working on the Online Progress Report System, you will need to logout. You can click on the Logout Completely link or the Application Menu link. Either one will disconnect your from the system.

XVI. Timed out of the system—Log on again The system will notify you if there has not been any keyboard activity within the specified time. If desired, you

may click on the Continue button to continue working or the system will automatically disconnect you. Should this happen, the system will return to the Common Logon page. Re-enter your USERID and PASSWORD and log back in.

This timer is on each student screen. Each time you log on, it will reset to 30 minutes. Every time you click on SUBMIT or GO, it will reset to a new 30 minutes.

You may reenter student’s screen to update (change or add) scores as many times as necessary. Each time, click on SUBMIT to save the changes just made.

The system will post a warning if less than 3 minutes are left during session. To avoid being timed out, click on the button labeled CONTINUE WORKING.

XVII. Summary of Changes to Online Progress Report (October 2004)

The following changes were made to the Progress Report. Some of these changes have been described in earlier pages. Other changes do not affect teacher use of OPR. Instead these changes are considered enhancements. Special Education: Under Instruction Services, the Progress Report will list information regarding Accommodations, Modifications, and Alternate Curriculum as well as information regarding Designated Instructional Services (e.g., Language and Speech, Occupational Therapy, Adapted Physical Education, etc.). Under Academic Subjects, “Art” has changed to “Arts” to encompass different forms of art.
