Appointments

Once logged into eModal, select the at the top of the screen. Under the category

“Appointments” select the Terminal name in which you would like to manage Appointment(s).

Administration The Administration tiles allow the user to view the following: Audit Log, Rules Manager, Slot Filter

Manager, Slot Filter Usage, Slot Profile, Slot Schedule and Yard Profile Management. The purposes of the

Administration tiles are to create and manage the slot schedules as well as the rules and filters applied

to the schedule.

1. Yard Profile Management The Yard screen displays the yard areas and capacities that have been predetermined by the terminal.

From the Yard Profile Management screen a user is able to Adjust or Override the Default Capacity but

they may not create a new yard capacity.

1.1. Adjust Default Capacity

A Terminal Operator can adjust the yard capacity by adding or subtracting from the orginal capacity or

by entering a new capacity. Once the capacity has been adjusted, the user will need to select the

Recalculate button and then the Submit button. A terminal operator can also choose to close the area.

Note:If the user selects the (+), the icon will change to (-).

1.2. Override Area Capacity

This window allows the user to override area capacity based on a specific Date and Shift. The user may

adjust the capacity by adding or subtracting from the original capacity, or the user may add a New

Capacity. Once the new capacity has been entered, the user will need to select the Recalculate button

and then the Submit button. Users can also Close Area for this date and shift. Note:If the user selects the

(+), the icon will change to (-).

2. Slot Profile The Slot Profile screen is where a Terminal Operator can create, update or remove Standard, Advance

and User Defined templates for the terminal schedule. Once templates have been created users can

search for templates from this screen.

Note: The Version# hyperlink will display a Read Only version of the template. To make changes to the template a

user must select the Update hyperlink.

2.1. Standard Template

The Standard Template is the schedule that truckers will be making their appointments against. First a

user will need to enter the effective date and select a Schedule Lead Time. The Schedule Lead Time is

the length of time in the future that the terminal allows the trucker to make an appointment. (If the

Terminal Operator selects 1 Week Advance, a trucker will be able to make an appointment for the week

of the Standard template plus 1 week out.) The user must then select:

Time frame for each appointment slot

A lead time (if applicable)

Select whether or not a time slot is blocked

Enter the total number of time slots

Apply filters (if applicable)

2.2. User Defined Template

A User Defined Template can be created to override the Standard Template based upon a specific date.

After the User Defined Template is created it can be applied to the schedule on the Slot Schedule

screen. To create a User Defined Template a user must enter:

Name

Eff. Date

Time (From / To)

Lead Time (If applicable)

Blocked (If applicable)

Total Slots

2.3. Advanced Template

To override the Standard Template a user can create an Advanced Template. The Advanced Template is

more detailed than the User Defined Template in that a user must select a specific Shift and

Appointment Type. The user must enter:

Name

Day

Shift

Appt Type

Date

Within the Advanced Template the user can further edit the Profile Details

Filter Slots (apply filters)

Reserve Slots (reserve or ban a number of slots for a Trucker)

YARD (designate the slots based on yard area)

Appointment Slot Filter

The Appointment Slot Filter allows a user to block or apply a Filter for a specific number of slots. If a user

chooses to add a Filter to a specific Appt Hour, they user must enter:

Trucker Slot Assignment

Terminal operators have the ability to reserve a number of slots OR ban a specific trucking company

from using a number of slots.

3. Slot Filter Manager The Slot Filter Manager allows a Terminal Operator to search for and create Filters. A filter is an

exception that can be applied to a time slot within a schedule. For instance, a Terminal Operator

can apply a filter dictating that a specific number of appointments made within a time slot must be

hazmat containers or in turn block truckers from making an appointment related to a hazmat

container.

3.1. Create a New Filter

To create a new Filter a Terminal Operator will need to select the Add New button. A Terminal Operator

will then need to decide on the Filter Details

4. Slot Schedule The Slot Schedule screen displays the Standard Template for the date selected. The Slot Schedule allows

the Terminal Operator to apply the pre-made User Defined Templates or reset the schedule to another

Standard Template. The Schedule Details can be edited from this screen.

4.1. Wheeled / Grounded Appointments

When selecting the Wheeled or Grounded hyperlinks, the Appointments by Area window will appear.

The Appointments by Area window will allow the user to adjust the yard capacity, or close the area.

4.2. Reserve Appointments

When selecting the Resv hyperlink, the Trucker slot Assignment window will appear. The Trucker Slot

Appointment window allows the Terminal Operator to adjust the details for the time slot as well as

reserve or ban appointment slots for a specific trucker.

4.3. Appointment Slot Filter

The Appointment Slot Filter window allows Terminal Operators to apply Filter(s) to a number of slots

either reserving or blocking the filter for the time slot.

5. Rules Manager The Rules Manager screen will display the predetermined Rules set by the Terminal. The Rules are

categorized by Appointment type: General, Empty Drop off, Empty Pickup, Export Drop off and Import

Pickup.

Select Rules can be edited by the Terminal Operator. If an Appointment Rule can be edited, the user will

be able to edit:

Description

Type (Error, Warning, Information)

Error: The trucker will not be allowed to make an appointment.

Warning: The Trucker will be allowed to make an appointment but they will need to visit

the trouble window to sort out any issue(s).

Information: The trucker can make a confirmed appointment and there is no need to

visit the trouble window.

Active (whether or not the Rule is currently active)

6. Slot Filter Usage The Filter Usage screen is a reporting tool for the Terminal Operator to view where a Filter has been

applied to on the Slot Schedule. The user can create a report by:

7. Audit Log The Audit Log screen provides the Terminal Operator with a detailed appointment report based on:

Appointments The Appointment tiles under the menu contain search and reporting features. Users are able to search

for appointments by Appointment number, container number and date ranges. The Tiles also include

reporting features to view appointments by date, appointment type, availability and appointment

status.

8. Gate Appointment Lookup Gate Appointment Lookup allows Gate Security to verify the status of an appointment by searching

Terminal and Appointment Number. The details of the appointment will also display.

9. Appointment Lookup

The Appointment Lookup screen lets a Terminal Operator search for an appointment based on

date range and Container #.

10. Appointment Availability Terminal Operators may view available appointments by searching an Appointment Date and/ or

Appointment Type. The report will display the Shift, Time slot and the availability of that appointment

slot.

11. Availability Trucker A Terminal Operator may view the appointments available for a trucker by appointment type. Each

appointment type will display the Total Slots allotted, Total Appointments (made for that appointment

type), Available Ground, and Available Wheeled. When selecting the details for an appointment type the

Terminal Operator will also be able to view the Total Slots for each Time Slot, Total appointments

(made), Available Ground and Available Wheeled.

12. My Appointments The “My Appointments” screen displays all confirmed appointments that have received an appointment

number. From this screen a Terminal Operator can search for an appointment by Trucker, Appointment

Type, Date, Line, Equipment Type, Container #, Filter Name and Appointment Status. A terminal

Operator may Cancel an Appointment using the “Choose Action” dropdown. An Appointment Receipt

can be viewed by selecting the Appointment number hyperlink.

13. View Slot Schedule Terminal Operator’s can search and view a Read Only version of the Slot Schedule. A user can select the

Year, Month and Week they would like to view.
