Dear member of EMSA, dear NCM participant,

Last May we had another fantastic National Coordinators and Enthusiasts’ Meeting (NCM) in Warsaw, Poland!

The three-day-program was packed with many pillar-sessions, NC-sessions, Small Working Groups and trainings. In this document you can find a descriptions and the outcomes of each session.

We would like to thank each participant for their input and contribution to the sessions and the event in general and the Organizing Committee for organizing yet another great EMSA event! Thank you all!!

Explanation & outcomes

AMEE & EMSA AMEE (Association for Medical Education in Europe) is one of the most important organisations for Medical Education in the world. Among its activities, it produces the journal ‚Medical Teacher‘ and yearly organises the largest medical education conference in the world.

Each year, AMEE offers 25 international medical students a change to attend the its biggest conference for free, with financial support for travel and accommodation expenses. In exchange for that those students are asked to assist in basic tasks, related to helping out with practical issues and assisting participants during the conference. EMSA and IFMSA select participants together and

Besides student taskforce, EMSA has a new project cooperation with AMEE and next year EMSA members can benefit from AMEE in project level.

Bologna Process & EMSASince the start of the implementation of the Bologna Declaration, educational systems throughout Europe have been changing. As the medical studies are designed in a different way than most other studies, medical students feel the need to be involved in the process of harmonizing the medical studies. One of the biggest chance for students to discuss and involve in the process is Bologna Process Follow-up Workshop. European Medical Students’ Association (EMSA) and the International Federation of Medical Students’ Associations (IFMSA) jointly organize an annual Bologna Process Workshop for medical students throughout Europe. The outcome of this workshop is writing a position paper on the ideas and recommendations of healthcare students regarding the Bologna Process.Topics that were covered in previous workshops are for example Quality Assurance, European Core Curriculum – the students perspective, the Bachelor/Master system and Student Mobility. This year, workshop will be held in Yeditepe University, Istanbul between 18th-26th of July.

The participants got informations about what is the implementation of the Bologna Declaration means for their educational systems and they all shared experiences and opinions about that. Later we all discussed about general implementation problems in Europe. About AMEE, we tried to get involved them in student taskforce and informed participants about new projects in AMEE and other association that related education.

Medical Education projectsTeddy Bear Hospital, EMSA Summer School and Medical English Course were discussed during the session. Medical English Course is a new project were medical English is thought to medical students. The project is an idea by Süleyman and still in the preparatory phase.

Introduction to the Medical Science Pillar and WorkgroupBefore the start of the Medical Science Session at this NCM I used thirty minutes to explain to the participants what Medical Science Pillar represent to EMSA and what Medical Science Pillar (MSP) of EMSA represent to the medical students around Europe. Through several simple slides of power point presentation I present the structure and update the status of the MSP today.

Scientific paper: how to write and present a good case report? Than one of the important points in medical science and medical science research is the presentation of the results. No matter are they prepared as poster or audio/video presentation the results have to be presented professional. These were the goals why we start with discussing the guidelines of a good paper work, and then continue with training of presentation skills and oral speaking. Another goal of this session was students to gain self-confidence and to be prepared for the questions of the audience.

Medical Science ConferencesAfter the coffee-brake we boldly enter the session number two, the medical science conferences and medical scientist through time. The idea of talking how important was medical scientist engagement and dedication to science and how they change the humanity was suppose to make the participants, the future, scientist to understand the importance of the science research. But also to understand the hard work and fight with all the obstacles that time and society prepare to this scientist. This subject open really nice and productive discussion.

Medical Science Projects: project creation and developmentThe third session was dedicated for creating and developing drafts for future science projects. That is why we start with training on brainstorming and defining some rules of the session. Based on the research that was discussed in the Medical Science Working Group through the year and added to the brainstorming at the NCM we put some ideas on paper and then grouping all our suggestion we create two projects.

The first one is called I Can Do Science and it will present data base of all the necessary booklets, handbooks, guidelines, links, presentations and information’s for all enthusiastic students that want to start to Do Science. The time line for all the preparations of this project will be the GA in Leiden. Were I will present this project, finished together with the NCM participants and the MSWG members. For more information or if you want to take part in this project, feel free to contact me.

The second project we named Secret Science Society. The first idea is to unite all the science clubs around Europe and to provide them with more events; conferences and promising students were they can exchange ideas and their work. Comparing same or similar research between clubs, rechecking some results and in future I personally hope this project will present the base of the first EMSA exchanges between these clubs. The time frame for this project is still not defined but it will take at least two parts. The first one is preparing booklet for this project were all the FMO’s, local science clubs, can learn more and find all the necessary information. It will be finished by the GA in Leiden and also presented at this EMSA event. And then the second part will be the implementation and organization in the next couple of years but based on several simulations. Parallel with all the preparations all efforts for recognitions and the supported by formal institution will be taken.

Existing projects:

TWINNING PROJECTBeing the most well-known project within EMSA, the Twinning Project (TP) is a short exchange project between two FMOs. Since most people were familiar to it and given the fact that there is the Twinning Project Handbook, the session focused on two main things: sharing experiences (both good and bad) and brainstorming about improvements and new ideas.

TP MapThe TP Map is a googlemaps featuring all the FMOs that organize TP and includes some basic information about them, their experience and their favorite twinning dates. You can consult it here. If you want to update/insert the information of your FMO, fill in this form here.

Double TPExperienced in organizing TP? Want to do something different, something bigger? Then why not organizing a double TP? The double TP consists in signing contracts with two FMOs and receiving the twins at the same time in your FMO. To give an example, three years ago AEFML-Lisbon Faculty of Medicine signed contract with Berlin and Thessaloniki, found 15 Twins for each and they all came together at the same time to Lisbon. We had 30 Portuguese twins plus 15 German twins plus 15 Greek twins… Double the fun and integration, give it a try!

Youth in Action GrantTP is eligible to YiA grant. This means you have to fill in an application form according to deadlines, and if you get it, 70% of the travel costs will be covered. There is a manual on how to apply for this grant within EMSA, so if you need it feel free to write me and ask for it. Next GA, this topic will be covered into detail.

Motivating people to joinThis point was raised as well, both in during the session and during the term in private emails. How to motivate people to twin? How to attract twinning partners? The answer is difficult. Some FMOs have a system in which you get points for each activity you participate in, and then each time you want to participate there is a ranking according to the points you earned before. You can also actively promote the past TPs, and also the FMO you’re twinning with. Be creative, and again, if you have any questions/suggestions, feel free to ask.

ExpectationsThis point was raised during the session and it is indeed very important. Be sure that you know well the expectations of your twins. Do they want to focus on social part, or on cultural? Or maybe stay at the hospital? Know this in advance (ask on application form) in order to prepare a program that suits their needs.

ECTSIf you have the Bologna Process in your faculty, then do you know that it is possible to get credits for participating in a Twinning Project? Go to your Dean and present the Project. Soon you will have a formal project description and a form to facilitate this process.

EUROPEAN INTEGRATION

EUROTALKWhether the objective is studying/working on the other country or just curiosity, Eurotalk is project that provides medical students with the opportunity to learn a European language. The intensive course would last for 1 to 4 weeks and would include culture and social program, and focus on medical terms as well. It can be provided either by students or by professionals (linguists).This project was rather inactive for a long time, but in the EI session we agreed on making it alive. The main idea would be for each FMO to make an offer (e.g. “We are willing to organize a Eurotalk of x weeks.” or “We want to learn x language” and present it on the Eurotalk fair next GA. So until then make a survey in your FMO and see if your students are interested in learning other language, and evaluate the possibility of receiving incoming students in your faculty to learn the language. It’s up to you!

BEST BUDDY & DIFFERENT CHRISTMASThese projects were briefly discussed, since there was no time for a deep approach. For more information, see website.

CULTURAL INJECTIONCultural Injection is a project started by EMSA-Warsaw whose aims are to expose medical students to culture for free. For more information, ask for the Handbook!

SMALL WORKING GROUPS

There were three Small Working Groups, on different topics. The summaries of what was discussed during these Small Working Groups can be read below.

Externals of EMSA (Department of External Affairs session)By: Anna Potzy (SOLO) [email protected]

As the topic suggested this session was all about the Externals of EMSA. After a short summary on the existing cooperations and their development within the last six months, the session focused on the participants experiences.

There is a wide variety of cooperation with mostly Student Organizations on a local level. Not only medical but law students as well as different Engineering disciplines and also some that are open to every subject such as AEGEE. We accessed the Pros and Cons of such cooperations and conclude that if you have the right attitude there is more to gain than to loose! The participants left with some good ideas for setting up future cooperation to enable even bigger projects at their FMOs.

Pharmaceutical sponsoring and statutes of EMSABy: Tin Knežević (President) & Tim W. Rattay (Treasurer) [email protected] [email protected]

Background:1. Pharmaceutical sponsoring For a long time this has been a hot topic among many student organizations and especially the medical one’s. As EMSA has started raising funds on the international level some guidance should be given to the international board in this matter. In order to reach a good decision, a well formulated statement should be created by the EMSA GA.2. Statutes After working on the Statutes the international board has noticed that some parts of the Statutes should be rephrased and that it would be a good idea to re-order some parts of the Statutes in order to give them more clarity. To prepare well for the GA a decision has been made to involve general Emsai and the first step was to hold this session.

The main aim was to get input and create a plan of action on how these two topics would be handled. The aim was NOT to discuss the issues!

SMALL WORKING GROUPS

Outcomes:A plan of action was created for both processes: 1. Pharmaceutical sponsoring a) The EMSA European board will create a taskforce to work on this topic b) During the same time the EEB will send a simple questionnaire to the lists (facilitating the process) c) The taskforce will analyse the data and create a plan of action for the GA To make the process smoother, at least one EEB member will be a part of the TF. Should there be no interest in the TF, the EEB will take over it’s responsibilities.

2. Statutes a) The EEB will send a call for the TF b) The EEB will draft the first version of the Statutes and gather local feedback c) The TF will analyse both and create a second draft d) The second draft is sent to the lists and comments are collected e) A third draft is created and prepared for the GA

Conclusion:All in all, the session was useful. The EEB has received valuable input and the members were involved in two very important processes. Further action has to be taken and the EEB has to make sure that the taskforces finish their tasks in time. There is a big time pressure, but still enough time to prepare the topics successfully.

Communication between the FMOs and EEBBy: Anna Dobek (Secretary General) & Sietke Postema (Vice-President for Internal Affairs)[email protected] [email protected]

This session was about the communication within EMSA as perceived by its members, what went well and how to improve it. We started with a little bit of theoretical information about good communication, after which we discussed communication within EMSA.

First we rated the communication within EMSA and came up with positive and negative things.

SMALL WORKING GROUPS

Positive: announcements of events in mail groups are clear and informative, many reminders are sent, mailing-lists, Facebook, meetings like NCM and GA, many congresses, during the meetings it is easy to make contact with the EEB, the EEB members are accessible (answer to e-mails), a lot of personal contact within EMSA between members, no strong hierarchy, EEB is always trying to improve the situation.

Negative: no good project documentation, cultural differences, direct communication with EEB and OC in international organisations must be developed, website (information on projects and general information), no accessible calendar of all kind of international meetings.

The overall rating was circa 6, which means there is enough room for improvement!

After talking about the negative things in communication within EMSA, we talked about how to improve it. We divided in three groups, based on different information flows.

Possible solutions we came up with are: • One mailing list for NCs and one mailing lists for NCs and the LC1s and LC2s • Monthly and annual updates from the EEB • To improve communication between FMOs: o Elect period for the newly elected NCs o Having NC-meetings o Organising and promoting projects together o Active FMOs can invite less active FMOs to see what is going on at their FMO o Invite partner FMOs to your events

Conclusion:

The participants discussed several topics such as the communication on the international level, project management and the importance of externals.Due to the fact that the session was delayed, the SWAT analysis could not have been done in full and so the topics that the participants decided to talk about were mostly broad.

Such an approach did engage the participants and enabled them to discuss topics that are usually discussed among international board members.However, the discussions could not have been focused on specific points and no plan of actions could have been developed.

For the first time there were full time National Coordinators-sessions at the National Coordinators and Enthusiasts’’ meeting! It appeared to be a great success as every NC was missing contact between each other and the chance to solve some problems in their countries. The meetings were very fruitful and we came up with many points concerning the NC position and their tasks. We also tried to help each other to solve problems concerning the communication, like gaining new FMOs. We also managed to discuss what is bothering the NCs concerning the cooperation with the EEB and we managed to find some solutions.

During the first session we first described what would be the perfect NC-world. Even magic and money trees were allowed in this picture. Luckily it turned out that we don’t really need that magic and money tree, but enthusiasm and dedication would be enough. Based on the ‘perfect NC-world’ we came up with ten realistic ground rules for NCs.

GROUND RULES

1. Attend the GA & NCM if possible2. Stay in contact with the LCs at least once a month3. Make sure you will do the country presentations for the NCM4. Answer e-mails within 72 hours if input needed (inform about your absence)5. If possible, have a handover period with the NC elect6. Always be honest, understanding and polite7. Read the MRs (written by the EEB) and ask questions8. Half year reports before the NCM and the GA (EEB has to send reminders!!)9. Online meetings once a month (date decided by doodle) – if absent, send an update to the list10. Put national meetings to the google calendar. Maybe an EEB member or other NC can attend

The second day we talked about a job description for NCs, based on the ground rules. Divided in three groups we discussed ‘on meetings and meeting preparations’, ‘communication with the EEB and FMOs’ and ‘promotion of EMSA and EMSA events’.

All the outcomes of the these brainstorms, will be put in a document for NCs, together with the ground rules, ideas on a perfect NC-world and an abstract from the Internal Rules about the NCs.

Furthermore we have given an update on the current status of NCs and answered many questions from NCs.
