Automatic generation of appointment proposals in MedITEX IVF (possible only in conjunction with the

MedITEXScheduler-seealsofeaturepoint15 ):

In “SystemsettingsàSystemàInterfacesàMedITEXScheduler”youwill find a list of certain events,which

triggertheautomaticgenerationofappointmentproposals.

Inthiswayitispossibletodefineappointmentproposalsforinsemination,aspiration,transfer,orpregnancy

test. If anevent is triggered,an appointmentproposalwill appear inMedITEXScheduler,with thepatient

name,estimatedappointmentdateandtime,andtreatment.Theadministrationofanoocyte-triggeringdrug,

forexample,willgenerateanappointmentproposalforoocyteaspiration,whichshouldtakeplace36hours

afterthedrugadministration.InanotherexamplethesettingofatransferdateinMedITEXIVFinthefuture

willgenerateatransferappointmentproposalinMedITEXScheduler.

Theusercanchangethefollowingsettingsforeachofpredefinedevents:

• Active:Definesifaneventtriggersanappointmentornot.

Each50pairsofnativespermcountingvalues(documentedin 50double-witnessedsemenanalysis)willbe

automatically checked based on a predefined set of statistical rules. If the assessment does not give a

satisfactoryresult,theDoublewitnessingfunctionwillbeblockedforfurtheruseandcanonlybeunlockedby

anauthorizedemployee.Theresultsofallautomatictestsincludingtheindividualvaluesof50spermcounting

valuescanbereviewedoverthemenu"Reports->Doublewitnessingadministration”.Inthismoduleitisalso

possibletounlocktheDoublewitnessingfunctionality,oncewhenitwasblockedbythesystem.Thenewstafffunction "Activate Double witnessing functionality" in "SystemàSettingsàStaff àEdit Staff", determines

whethertheemployeeisauthorizedtounlocktheDoublewitnessingfunction.

16.) MedITEXScheduler

a. Automaticproposalofappointments:

An automatic generation of proposed appointments is

nowpossible(e.g.foraspiration,insemination,transfer

etc.). If the appropriate rules have been defined and

activated in system settings of MedITEX IVF (see also

point 11), the corresponding event will automaticallygenerate a proposed appointment in the scheduler, if

thedateisnotinthepast.AllproposedappointmentscanbereviewedinMedITEXSchedulerunder

“MenuàAppointmentsàProposedappointments”.

Bydoubleclickingonacell(orbyclickingthebutton"Takeoverappointment"),theappointmentinput

maskwillbeopenedwiththeproposeddata-patient,treatment,appointmentstart–alreadyfilled

out,ifnoactiveappointmentalreadyexists.Usercannowedittheappointmentdataandsaveit,thus

creating an active and “real” appointment. The corresponding proposed appointment will

automaticallybe transferredtothe tab-sheet “History”,withtheinformationaboutthe startof the

generatedappointment.Bydouble-clickingthelinewiththeproposedappointmenttowhichanactive

appointmentalreadyexists(e.g.hasalreadybeengenerated),the“real”appointmentwillbeopened.

Ifthe triggeringevent inMedITEX IVFhas changedin time, thecorresponding appointmentwillbe

automaticallytransferredbacktothetab-sheet"Proposedappointments”,andmarkedinred(onlyif

thecorresponding“real” appointmentlies still in thefuture). In thiswaytheuser canimmediately

reactifsomethingchangesintheplanning.

b. Patientlocation:

The virtual waiting room has been expanded and converted into the

“patient locator”. In thecolumn "Room" it isnow possible toselecta

room where the patient is presently located. In the column "Since

[hh:mm]"thetimeisdisplayed,sincewhenthepersonisinthatroom.

Asbeforeitispossibletodragthewholeappointmentanddropitinthe

patient location area. The “Waiting room 1” will be automatically

enteredinthelocationcolumn,andtheappointmentstatuswillbeset

to“Patientisinwaitingroom”.

Thestatusoftheappointmentcanbeeditedviathe

context menu that appears on right-clicking the

appointment,orviathecontextmenuinthepatient

locationarea.

Inthedetailswindow"Patient’slocation”,whichcanbeinvokedoverthe

link in the upperleft corner of the mainwindow,it ispossible to see

moredetailsabouttheactuallocationandappointmentofeachpatient

currentlypresentintheclinic.Hereitisalsopossibletofilterthedataby

a particular calendar, so that only the appointments related to that

calendararedisplayed.

The rooms can be defined in the program settings

(Menu:“SystemàSettings”)as acalendarwith the

group type “Room”. Additionally it is possible in

general settings to specify the total number of all

waitingrooms.

1.) Querybuilder:a. Theperformanceofqueriesoverinseminationswasincreased.

b. Thenew fields"useddrugs"inthefieldsof therapyandinseminationsalsoallowsthe search

1.) Themain screen of MedITEX IVF has been redesigned to create space for the display of 8most

importantlaboratoryexaminationsaccordingtoEUguidelines.Themessagesareaandthelaboratory

valuescanbebotheditedbydouble-clickingtheinformationrow.

Thelistoftheresultsof8examinationsdisplayedhereisfixed,regardlessofwhichlaboratoryvalues

have been documented in the patients laboratory area. The message section can beexpandedas

usual,withattentionmessagesshownasfirst.

1.) ReportEditor:

a. All QM fields inserted and used in any of the areas of the program are now offered in

appropriatetablesoftheReportEditorindividually,andcanthereforebeevaluatedandused

forgeneratingreportsandlettersjustthesameasfixedfields.

b. Laboratoryvaluescannowbeanalysedstatistically:

Text fieldsinReportEditorcannowbeevaluatedasnumbers, iftheappropriateconversion

has been selected in the filter window, for example “Display as number ”, or “Display as

floating-point number ”. In this way it is now possible to create statistical reports

(MIN/MAX/AVG)onallvaluesthathavebeenstoredastext.

c. IntheTable“Persons”thereareseveralnewcalculatedfieldsoffered:

- „Gravida“and„Para“,

- „Height“and„Weight“,and

- „Number of internally documented aspiration cycles and reproductive pre-treatments

fromthemostrecentmedicalhistory".

d. IntheTable“Transfer”thefollowingcalculatedfieldshavebeenoffered:- „Dayoftransfer“(culturedaywhenthetransferoccurred),and

- „NumberoftransferredEmbryos“.

e. Inthetable“Therapy”itisnowpossibletoevaluateifthechildrenhavebeenborn,usingthe

newfield“Dateofbirthofthefirstbornchild”.Inthiswayitisnotnecessarytoaddthetable

“Children” to the query, and in the result there willbenodoubled linesbecause ofmore

children.

2.) Newfeature–“Signatures”:createandusepersonalhand-signaturesinlettersandreports.

For each employee it is now possible to add a personal signature inSystem Preferences -> Staff , either directly from a scanner, or from a

previously saved image. These signatures can than be used for letter

templates,byaddingtheappropriateplaceholderfromtheselectionof

„additionalplaceholders“tothelettertemplateinWordModule.

Itcaneither bea signatureofa specific personora general signature

placeholder,forasignatureofapersonthatshouldbeselectedfromthe

listofpossiblesignature-holdersongeneratingthespecificletter.

Theuseofsignaturefeaturecan

also beprotectedbyapersonal

password, so that only the

entitled employees can createsignedletters.

3.) The“QMFreeFields”havebeenextendedto100characters.

4.) Follicleaspiration:3newfieldswereaddedtothe“Additionaldetails”area: – “Sizeoftheleadingfollicle”,

– “#Aspiratedleft”,and

5.) Culture:Eachoneof thethreecultureviewscannowbeexportedtotheNotebook,by clickingonacamerasymbolpositionedontheculturetabsheet,lefttotheview’stitle.

Usingthetwonewbuttonstothe

right of the treatment’s

spermiogram area, in it is now

possible to add and remove

additional spermiograms. In thenewcolumn“SP”,itispossibleto

assign another spermiogram to

each oocyte by right-clicking in

thetablecell“SP”ofaparticular

oocyte.

c. On editing the oocytes (right mouse button on the oocyte), only the options that are

applicableonthatparticulardayareavailable.

d. Oocyteimages–newpossibilities:

i. If there are images deposited for an egg / embryo, the preview image willautomaticallyappearinapreviewwindowwhenthemousestandsstilloverthecell.

ii. Withthenewcheck-box“Photoview”itispossibletoswitchbetween

pictogramsandoocyteimages.

Inbothcasesthemainimage,socalled“Previewimage”,willbeshown

–inapreviewwindowandintheculturetable.Perdefaultisthefirstaddedimage

automaticallythe“Previewimage”,butitisalwayspossibletochooseanotherimage

asthemainone,intheOocyteDetailsform.

iii. It is now alsopossible to export the oocyte images.With the new button “Export

image” in the Oocyte Details form the selected image will be exported to the

Notebook.

e. Additionalembryostagewasadded:“Earlymorula”.

7.) Transfer:a. The same image preview functions from the point 6.d. (above) are also available in the

transferarea,foreachtransferredembryo.

b. Double-clickontheembryowillopenthestandardformwithallembryodetails.

8.) Pregnancy: It is now possible to document the biochemical pregnancy

also. This check-box field isnot connected tothe „Pregnancyoutcome“

field, and can be set and reset independently.In the report editor this

field can be found in table „Therapy“, under the caption „Pregnancy - biochemical“, and in table„Pregnancy“as„BiochemicalPG“.

9.) Birth:itisnowpossibletoenterweekofbirthforeachchild, insteadofdateofbirth. Ifthedateofbirthhasbeenentered,theweekofbirthwillautomaticallybecalculated.

10.) Treatmentlistintheprogram’smainwindow:a. All treatments are always sorted according to the treatment number, so that the newest

treatmentsareshownfirst.

selectmorecellspleaseselectthefirstcell,holddowntheSHIFTkeyandmovethecursorwith

ARROWkeystorightorleft.

b. Navigationwithcursor,tabandenterkeyisnowalsopossibleincalendar.

c. Valuesof5selectedhormonesinthecalendarcannowbetypeddirectlyinthecalendargrid.

Doubleclickonanycellinhormonesareawillopenthemaskwithdetaileddata,asusual.

d. If the treatmentwas cancelled the reason for cancellation is now shown in the treatment

overviewalongsidewiththecancellationdate.

e. Inthetreatmentoverview thecycleday isnowshownbelow the

cycledateincalendar.Thewidthofcalendarcolumnscanbeedited

inSystem->Displayoptions.

f. Iftheendofthetreatmentissetintheeventsrowincalendar,thetimelinewilltherewithalso

beended.

g. Theapplicationdomainofadrugisnowshownina

12.) Treatment–treatmentspermiogram:a. Thetext in thetreatmentrow isnow coloured red, if thespermiogram ismissingor isnot

fittingtothetreatment.

b. Whenassigningatreatmentspermiogramintherapyitisnowpossibletothawdirectlyfrom

thecryostorage.Inthedrop-downselectionofspermiogramsthatcanbeusedfortreatment,

thecryopreservedspermiogramsarenowalsooffered.Thesespermiogramsaremarkedwith

asnowflake.

c. Inaddition,alargerselectionofrelevantdatafromselectedspermiogramisdisplayedinthetreatmentform.

13.) Patientphotosarenowshowninthetherapyheader,aswellasinallmainprogramareassuchas

Medicalhistory,Lab.diagnosticsandFemale/Maleexaminations.

14.) UserswithappropriaterightcannoweditthepatientIDs.InordertoenableacertainusertoeditpatientIDsitisnecessarytomarkthecorrespondingcheck-boxinthe“Editstaffdata”window,under

theSystem->Settings->Staff.

15.) Oncreatingoreditingamedicalhistory,thedateoffirstinterviewwillbeautomaticallychecked.Ifitisempty,orthemedicalhistorydateisolderthanthedateoffirstinterview,theconfirmationmessagewillbeshownandtheuserwillhavethepossibilitytoautomaticallyupdatethedateoffirstinterview.
