EBEIS Administrator
Manage school and division user accounts
Attend to technical issues and concerns such as internet connection, basic PC and network troubleshooting and monitor the resolution of these
Monitor system performance and report these to the EBEIS Coordinator
Provide technical advice to schools in complying to the technical requirements of the EBEIS at school level

Maintain User Accounts
Creation and updating of user accounts
The EBEIS System Administration Group shall be responsible for creating, issuing administrator’s account to all designated EBEIS Administrator at the regional office. He/she is also responsible for providing access to other central office users.
The Regional EBEIS Administrator shall be responsible for creating and updating user account for Division Administrators and region users
The Division EBEIS Administrator shall be responsible for creating and updating user account for schools and division users

Maintain User Accounts
A user account shall be issued to the school such that in the event of a change in school head, the account remains with the school.
The School EBEIS Coordinator/s shall change system password whenever there is a change in school head and whenever necessary to maintain system security.
Creation and updating of user accounts For a newly established school, a username and password shall be automatically generated by the system upon creation of a school profile in the system
User account of closed schools shall be automatically disabled by the system through the facility for updating school profile

The username shall follow the following standards:
School username shall be a combination of the school_id and the first 4 characters of the registered school name
For example: Cogon ES: Username : 118706cogo
Division Administrator’s username shall be in the format: • First 7 characters taken from the division office name; abbreviate
to maintain division name
• Last 3 characters suffixed “adm”
For example : Northern Samar : nosamaradm
Region Administrator’s username shall be in the format: • RegionXXadm, where XX is the region number/code
For example : Region 1 User name is “region01adm”

The username shall follow the following standards:
Username for a regular user shall default to the user’s official email address For example: [email protected]
Every user shall maintain confidentiality of his/her user account in adherence to system security policies

GUIDELINES FOR OPERATION
A Central Help Desk manned by the User Support Group and the System Admin and Application Maintenance Group shall provide overall technical support to EBEIS users nationwide
12 x 6 Help Desk support within the GESP/GSSP data collection period (August to September; April to May)
8 x 5 Help Desk support outside the GESP/GSSP data collection period
A Regional User Support Sub-group consisting at the least of the Regional Planning Officer and a secondary focal person (e.g. ICT Coordinator, Statistician) shall provide technical assistance to division users and other regional clients in the use and application of the EBEIS

GUIDELINES FOR OPERATION
A Division User Support Sub-group consisting at the least of the Division Planning Officer and a secondary focal person (e.g. ICT Coordinator, Statistician) to provide support to system users and other information clients in the use of the EBEIS. This group will form the Division Help Desk and provide first level technical assistance to school users
All calls (email, phone, fax, etc) for technical support shall be logged in the Issues Log by the Help Desk personnel in charge during or immediately after the call was placed.
The Issues Log shall be summarized and analyzed at all levels
Pending issues such as system bugs shall be forwarded to the Central Help Desk at the end of every day.
