Job Aid

Purpose

This job aid provides the details to be entered by collision repair facilities to access and complete profile information in Entegral. As existing collision repair facilities are already accepted into the program, they will just be required to fill out the profile. New collision repair facilities will be required to complete the profile as an application for the ICBC Collision Repair Program. This job aid provides ICBC-specific information related to the profile or application which will not be covered by Entegral Support.

Entegral – Update a Profile/Application

Job Aid

Overview The Entegral profile will be used both by collision and glass repair facilities and ICBC employees. It will be used for:

• completing your profile information by providing details of ownership, licences, and facility as well as contact, equipment, and training information, and

• providing information to Smart Locators along with the ability to view Key Performance Indicators (KPIs).

Navigating the Entegral Profile/Application

1. After you log into Entegral, you will have to agree to their terms and conditions the first time you log in. This will not show up again after you click I Accept.

Tip: You will receive a prompt to agree to Entegral’s user agreement, terms, and conditions.

Warning: If a repair facility does not consent to the terms and conditions, they will be unable to participate in the ICBC Collision Repair Program or ICBC Glass Repair Program.

2. After agreeing to the terms and conditions, click Start Profile to begin your profile.

3. After your initial login, your Dashboard will allow you to Resume Profile.

To become eligible for this program, you are required to enter information in the sections mentioned above to complete your profile.

Before we look at the details of each section, let’s review each Legend icon.

• Red flags indicate a mandatory question. • Green check marks indicate that the mandatory question has been answered. • Black locks indicate that the answers can only be edited by ICBC. • Notes with a pencil indicate that the answers require electronic signature.

Details of the Sections in the Entegral Profile/Application

1. Administration: This section displays business details such as the legal name of business,

both the mailing and facility addresses, collision tier, and collision region. There is one sub-section where you will be able to view your facility’s email address for bank deposit notifications. If information in this section requires updating, contact Supplier Programs and Administration.

2. Consent: In this section, you can provide details on the consent provided by the

employees of your facility to have their information stored in Entegral, as the server is located in the United States of America.

3. Company Details: This section will allow you to add your company details, such as the

classification of the company and the type of secondary ICBC businesses provided. The Company Details section has six sub-sections:

• Owner/Signing Officer Information • Licences • Insurance • Tax/Billing • Contact Information • Customer Service Options

o Note: This information will appear on the new ICBC Smart Locator. If facility ownership is transferred or changed, you will need to contact Supplier Programs and Administration.

Tip: When a person does not consent to add their information in Entegral, they are required to send it manually to Supplier Programs and Administration.

4. Facility: This section has four sub-sections in which you will provide the details of your

facility and technology requirements.

5. Equipment: In this section, you will confirm various equipment available in your facility such

as, headlight alignment system, jack stands, and floor jacks.

The Equipment section has the following eight sub-sections:

• Structural repair equipment & measuring systems (including anchoring system) o Currently, you may have non-electronic simultaneous three-dimensional

measuring equipment. In the future, you will be expected to upgrade to electronic. • Welding equipment

6. Warranty: In this section, you will specify if the warranty is written or not. If the warranty is written, you will need to upload a copy. If it is not written, you will need to describe the type of warranty.

7. Alternate Transportation: In this section, you will have to state whether your company provides Alternate Transportation Services (ATS) Courtesy Vehicles. Also, indicate if you have a Temporary Substitute Motor Vehicle (TSMV) Agreement and upload a copy of the TSMV agreement, if applicable.

• If you have a fleet policy, provide the policy number and policy’s expiry date.

• If you do not have a fleet policy, enter the number of vehicles in your inventory and identify the required information for your vehicle inventory in the next sections.

11. Electronic Signature: This is the last section of the profile where you will review the terms and conditions and provide an electronic signature to confirm that you agree to the terms and conditions.

Tips to Complete Your Profile

Let’s start by getting familiar with a few tips that will help you when entering the details of your profile.

1. Status Bar: The Status Bar is present at the top of the profile page. It displays the

number of questions answered out of the total number of mandatory questions.

2. Additional Entries: In the event of additional entries beyond the fields created in Entegral for Owner, Manager, Admin/Front Desk, Estimator, Pulling Equipment, Plastic Repair System, Spray Booth, Technician, Unibody/Frame Measuring System, or Painter, a spreadsheet template is available to download from the Subscription Documents in the Resource Library section of Entegral. The collision repair facility will complete the missing information in the spreadsheet and email the spreadsheet to the Supplier Programs and Administration department. If photos or documentation(s) are required along with the information in the spreadsheet, the collision repair facility will email them along with the spreadsheet.

Tip: Your profile will save automatically. Therefore, you can navigate in and out of your profile at your convenience.

a. The below screenshot provides an example of an area where you may need to enter additional information beyond the default entry fields in Entegral.

3. Clear Button: If you want to delete an answer, you must click the Clear button rather

than clearing the entry field. When you click the Clear button, you will receive a prompt for confirmation “Are you sure you want to remove this answer? “

4. View All Unanswered Questions: You can click the View All Unanswered Questions link above the Questions section to view all the mandatory questions that are unanswered. Note: This feature is not recommended until you have reviewed and attempted to complete each section as you may miss critical information that is required to have a complete profile in the Smart Locator application.

You will need to click the Cancel button or click outside the pop-up window to exit this section. Since the answers are auto-saved, they will not be deleted.

Tip: Click the Clear button to delete your answer to a question. Simply deleting the answer on screen will not delete the content from your profile.

5. Actions Menu: You can print the entire profile or all the unanswered questions by clicking the Actions drop down arrow and selecting the desired option from the drop down menu. The profile does not contain any key questions at this time.

6. How to upload multiple photos: When uploading multiple photos to the application, you may use a PDF, Microsoft Word document or a Zip File. Zipped (compressed) files take less storage space and can be transferred to other computers more quickly.

Note: PDF, Microsoft Word, or a zip folder for upload may be required in the following sections:

Follow these steps to zip and unzip a folder:

a. To zip a folder:

i. Locate the folder that you want to zip.

ii. Right click the folder’s icon.

iii. From the drop down menu, click the Send to drop down arrow.

iv. From the drop down menu, select “Compressed (zipped) folder”.

v. A new zipped folder with the same name is created in the same location but now has a zipper on the folder. To rename the folder, right-click the folder’s icon, select “Rename”, and type the new name.

b. To unzip a single file or folder:

i. Locate the zipped folder that you want to unzip (extract files or folders from).

ii. Open the zipped folder.

iii. Drag the file or folder from the zipped folder to a new location.

c. To unzip all the contents of the zipped folder:

i. Locate the zipped folder that you want to unzip (extract files or folders from).

ii. Right-click the folder’s icon.

iii. From the drop down menu, select “Extract All”.

iv. Follow the instructions.
