An e-learning introductory tutorial

ObjectivesLogging into (and out of) Web Station

Locating an encounter by searching by patient name, patient MRN #, or encounter #

Using the Web Station Viewer to view the on-line medical record

Using Web Station to complete dictation, signature and missing text deficiencies

Using Web Station to access queues and work with assignments.

Web Station Intro

Because Web Station runs in Internet Explorer, it is more user-friendly since it looks and acts like a typical Web application;

As a Web application, Web Station has a much smaller workstation “footprint,” making it easier to upgrade to new versions and requiring less computer resources;

Web Station’s image viewer is superior to its predecessor’s –image quality does not degrade when the Zoom In feature is used;

Many features require fewer clicks and/or keystrokes - for instance all search options (MRN #, account #, demographic) can be found on the same Patient Search screen .

Web Station provides remote user access to EPF through the browser. It features several benefits:

To start Web Station, locate and double-click on the Web Station icon

1. Enter your EPF User Name. Your password will be the same as your EPF password.

2. The first time you log in you will be required to change your password, just as in EPF.)

3. Click Login (or press <Enter>).

This is the initial Web Station screen. It shows you all your chart deficiencies. Click here to learn how to complete deficiencies.Just click on the relevant type to see all deficiencies for that type.

Opening Screen

Accessing the Patient Search ScreenThis is the Patient Search screen. To get here, click Patient Search. From this screen you can search for patient charts by patient demographics, MRN # or by encounter #.

Searching by MRN #

Enter the MRN # in the MRN: field and press <Enter>. All accounts for the patient will appear below.

Click on an account # to open an encounter or select the account and click .

To search by Medical Record #:

Enter the account number in the Encounter fieldand press <Enter>.The encounter will appear in the Search Results window below.Click on the Encounter # to view the chart.

Searching by Encounter #

Don’t forget to reset before performing a new search.

To search by Account #:

Enter the patient name in the Last Name:, First Name: fieldsand press <Enter>.The patient names corresponding to the search will appear in the Search Results window.

Searching by Patient DemographicsTo search by patient name:

Viewing Documents

Click on an individual page in the document tree to see it in the viewer or use <Page Up>, <Page Down>.

Click on the Documents tab to see the chart.

Click here to change image views or zoom magnification.

Click here to move to next/previouspage/document.

If you have a Personal record view, the viewer will default to it. Click on the main record view (e.g., Clinician) to see the entire chart.

Viewing DocumentsMove the Viewer window by clicking on the window title bar and dragging.

Click with your left mouse button and drag to enlarge an image region.

Click here to rotate an image in 90º increments.

Click here (or here) to return to Best Fit view.

Click here to zoom in/out on an image.

Click here to scroll through a magnified image by dragging and holding down the cursor.

Viewing DocumentsClick here to view each successive page of a document opened in the viewer.

Completing DeficienciesClick on Defi-iency Worklist any time you wish to complete deficiencies.Select the desired defi-ciency type you wish to complete.Select the defi-ciency or defi-ciencies you wish to complete.Click to process (or decline).

Completing Signature DeficienciesEnter your EPF PIN #, representing your signature. Enter it just once for each session.Press <Enter>. The Viewer appears.The document with the Signature deficiency will appear in the document tree with a white S on a red background.View the page with the yellow signature box and click to complete the deficiency. (You will have to view each page before you can access the page with the signature.)

Note: When completing signature deficiencies for transcribed documents you can text edit the transcription. Completing the deficiency will finalize your editing changes.

Completing Missing Text DeficienciesEnter your EPF PIN # .Press <Enter>. The Viewer appears.The page with the Missing Text deficiency will appear in the document tree with a white T on a red background.View the page with the yellow missing text box .Click in the box, type the required missing text, and click to complete the deficiency.

Completing Dictation DeficienciesYou do not need to enter your EPF PIN # .Press <Enter>. The Viewer appears.Click the Documents tab to see the document tree. (You will see a white D on a red background at the top of the tree.)Review the chart and dictate your report.Click to complete the deficiency.

Declining DeficienciesYou can decline a deficiency from the Deficiency Worklist by clicking on ; however, you’ll probably need to see the deficiency first.Process the deficiency as described previously.Click to bring up the Decline Deficiency dialog box.Select a reason or type your own reason for the declining the deficiency.

Working with AssignmentsQueues have several uses. They:

Limit outside reviewer access to only those encounters to which they have authorized access by eliminating their ability to perform MPI searches;

Make it easier for clinicians (who perform chart reviews) to access the encounters they need to review by making them available in a queue, rather than forcing the clinician to actively search for them;

Can be automatically populated based on specific criteria, such as length of stay, diagnosis, disposition, procedure, discharge date, etc. or a combination of these factors.

Working with AssignmentsTo access an assignment from a queue, select Assignment Worklist to see a list of all queues to which you have access.Select the queue you desire.Select the assignment(s) you wish to access by clicking on , next to it.Click to open the chart.Click on the Documents tab to view the chart.When you’re finished reviewing the chart, click . The assignment will drop off the queue.
