Submittal Requirements
Drawings
Drawing Sheet Sizes
Common listed drawing sheet sizes are supported. Additional sizes will be accepted but the
stamp location may cover content. Plans must be uploaded to scale and in the approved
format.
8 ½” x 11” 11” x 17” 24” x 36” 30” x 42”
Drawing Standards
o Drawings should be submitted in their native files
o Drawings can be submitted in the following formats:
DWG, DXG, DWF, indexed PDF, PRT, CGM, G3, G4, CG4, RNL, CMI, MI, HGL,
PLT, HPGL, IGS, IGES, IDW, DGN, CIT, TG4, or RLE
PDF files must be indexed to allow for text searching
o Drawings must be submitted:
o as a single sheet per drawing file
o in the correct orientation
o to scale
o Do not submit scanned PDF drawings as this will distort the scale
Graphic Scale
Each sheet must illustrate a typical graphic scale. If more than one scale is used on a sheet,
an independent graphic scale must accompany the applicable detail.

File Name
o Plan file names and sort order must
match the sheet index.
o File names for drawings submitted
will include the discipline character
followed by a three-digit number.
o If decimals are required in the sheet
number, place it after the third digit.
o Note: when uploading a
corrected file, upload using the
original file name so it can be
compared to the original.
City Approval Stamp
o Plans/documents larger than 11” x 17”
o Reserve a 2.5” w x 1.5” h area just inside the lower right hand corner, positioned so
the lower right corner will be located 5” in from the right border and 1” above the
bottom.
o Plans/documents at 11” x 17”
o Reserve a 2.5” w x 1.5” h area just inside the lower right hand corner, positioned so
the lower right corner will be located 2.5” in from the right border and 1” above the
bottom.
o Plans/documents at 8.5” x 11”

Documents
Document Standards
Submit all supporting documents in multiple page PDF form, including, but not limited to:
o specification books
o special inspection forms, resume sheets, and
certification numbers
o energy code compliance information/certificate
o calculations
o spec sheets
Note: single files with multiple document types will not be accepted
Browser Settings
Internet Explorer (only browser that will provide full functionality)
o URL: https://planreview.maplegrovemn.gov/projectdox/index.aspx?
o Add URL to:
compatibility mode
trusted sites
allow pop ups
o Install ProjectDox from your login screen

Register for an ePermits Account
NOTE: If you are a new contractor to the City of Maple Grove, please call 763-494-5989 to have your
business information added to our database prior to registering.
First time use requires the establishment of an account in ePermits before submitting a permit
application.
Visit http://Bit.ly/epermits
Click on Account on the upper right side of the screen

Fill in the required information - Verify the email address has been entered correctly
Click on Create Account

Applying for a Permit
When logged into ePermits, click on Apply for Permit
Select the permit that you need to apply for. The list is
based on the account type selected at the time of
registration.
Read and accept the:
o Permit requirements
o Declaration at the bottom of the page
o For fire permits, see additional requirements at the end of this guide
Enter the information as prompted

o Address
o Applicant information
Include property/building owner’s contact information
o Selection
Provide detailed description of work
Identify the building name or new tenant name as appropriate
o Details
Provide designer’s information
Identify date SAC letter was submitted to the MET Council
If an error message appears, verify information and try again, if there is still an issue, please
call 763-494-5989 for assistance
Pay Permit Application Fee
NOTE: The maximum allowed amount that can be charged on a credit card is currently $2,000.00. If the application fee is greater than this, payment will have to be made in the form of a check. Note: plan review will not begin until the application fee is received.
The permit application fee will be shown on the fees page when completing the ePermit
To pay the fee online, add to cart
Click the checkout with PayPal button, or click on continue shopping if you have more permits
to apply for. All fees can be paid at once.
Enter the credit card information and click on Authorize this Transaction
An order summary will be displayed. Print or save this for your records. An email receipt will be
sent to the address entered during the permit application.

ePlans Invitation Email
When the permit application has been submitted and the application fee has been paid this will
create the permit and trigger the creation of the project for plan review in ProjectDox. This
process takes up to five minutes to complete. Once the project is created, an invitation email
will be sent to the user to upload the plans. The email will include a temporary password,
directions for logging into ePlans, and the steps to complete the upload of plans and
documents.
Logging In and Creating User Profile
From the invitation email, click on the link Login to ProjectDox
The login window will open
Enter the temporary password and login

You will be taken to your User Profile
On this screen you can:
o Reset your password
o Create a security question and answer
o Enter additional information about yourself
o Complete all required fields
o Save
The Profile screen is available to update at any time by clicking on Profile on the main toolbar
Next time you log into ProjectDox you will use the new password that was established and you
will be taken to the home screen right away

Navigation Basics
Home page
This page displays:
o 1) A list of Active Projects
o 2) Workflow Tasks
o 3) Navigation and control buttons

Applicant Upload
Select the Permit Number/Project for which there is an Applicant Upload task
Click on the correct folder:
o Drawings – Used to upload plans, surveys, architectural drawings, structural drawings
o Documents – Used for the specification book and any other supporting documents
Click on Upload Files
Browse for Files
Note: File names are limited to 70 characters
Upload Files
When all files have been uploaded, select Task List, click on Applicant Upload Task (see
above diagram for Task List location)
The following eForm window will pop up

Check the box stating that all required drawings have been uploaded and click on, Upload
Complete – Notify the City of Maple Grove, to begin the plan review process
Prescreen Review
City staff will review uploaded files
If all information is included and nothing more is needed, it will be routed to continue the formal
review process
If corrections are needed or information is missing, you will be notified via a Prescreen
Rejected email

Prescreen Corrections
Log into ProjectDox
Select the Project
Click on the Task List in the upper right corner
Select the Prescreen Correction task, accept the task
View the prescreen comments, click on the Prescreen Checklist

The checklist provides the opportunity for you to add your comments by double clicking under
“Applicant Response”
Close out of the task window
Upload the corrected files
Revised documents need to have the same name as the original file that was submitted
to allow for automated versioning of the file
Return to the Prescreen Correction task
Double click in this field
to add your comments
Click done to save
Click Save and Close

Check the box to indicate that all corrections have been uploaded
Click on the Return to the City of Maple Grove
The received information will be reviewed again and if it is complete it will be routed to the Plan
Reviewer
Applicant Corrections
If corrections are required during the review process, a Corrections Required email will be sent
Log into ProjectDox
Select the Project
Click on Task List
Select the Applicant Resubmit task
Accept the task
Review the following:
o Comments provided by the plan reviewer
o View the Checklist Items
REQUIRED: Double click to add
comments. Refer to where
update or change can be found in
revised plan.

o View Changemark Items
Click on the Markup Name
Click on the changemark name to zoom in on the information on the plan
Click on the
changemark name

Make the required changes
Revised documents need to have the same name as the original file that was submitted

Return to the Applicant Resubmit task
Check the boxes under the Task Instructions
Click on Resubmit Complete
The City will verify that the requested corrections have been uploaded and will forward the
project to the Plan Reviewer to continue the review process

Approved Plans
When the plan has been approved, it will be batch stamped, and you will receive an email to
Pay Final Fees
Log into ePermits and pay online (if below $2,000) or pay in person if the amount due is
greater than $2,000. You will be able to print your permit and inspection record as soon as
you complete the payment.
When Payment has been confirmed, you will be able to download the approved plans
**A full size set of approved plans, any approved documents, the permit card and inspection
record are required to be on the jobsite**

Main Project List
o The status is visible next to the project on the home screen
For more detailed information:
Reports
o Select the project
o Click on Project Reports

o Select the project from the drop down and click on View Report

highlighted

Fire Alarm or Fire Sprinkler Submission
Fire Alarm or Fire Sprinkler Submission
o Daywork or Emergency permits will require the applicant to download an electronic plan
review form to fill out.
o Once the form is filled out, it will then need to be uploaded to ProjectDox for review.
o Full submission of plans for fire alarm or fire sprinkler will require the applicant to
download a checklist, which is required to be submitted when plans are uploaded to
ProjectDox.
