Key Features of DOCO E-TECH Wide Format Document Capture and Microfilm Capture DOCO E-TECH is a software solution that interfaces with Capture devices such as wide format (A0) and microfilm scanners. Native Compression and High Speed Viewing for Wide Format Documents and CAD Drawings E-TECH allows for high speed viewing of scanned and layered CAD documents. DOCOsoft‟s native compression engine allows for perfect quality scanned images of 1/5th of the size of the same image in TIFF format. This allows for view speeds of 5 times faster. Advanced Viewing Tools with Integrated CAD & Layered Image Viewing E-TECH has a specialised layer-viewing window that allows users to examine each layer on a CAD or layered image document. Viewing tools such as Aerial View allow users to quickly navigate through documents. Integrated Mark-up E-TECH allows users to add virtual Mark-ups to CAD and A0 documents. Requires no CAD software DOCOsoft‟s viewer technology allows for viewing of all major CAD file types. Intelligent Capture & Indexing of Scanned Documents E-TECH handles the process of indexing and storing when documents cross the threshold from paper to electronic format. As documents cross this threshold, E-TECH captures the documents textual information and uses this for intelligent indexing and filing.


Native Document Encryption E-TECH has its own filing system. This system uses native encryption to store documents. This means that files stored in DOCO E-TECH can only be accessed through the DOCO E-TECH software. Check-In & Check-Out and Document Versioning The system maintains data integrity through the use of Check-In & Check-Out for documents. Check-In Check-Out ensures that users access only the most current version of a document, this also safeguards against the duplication of data. Full Text Content Search of Scanned and CAD documents It is possible to carry out full text content searches on CAD and scanned drawings. Full Text Search highlights search words in returned documents and drawings. Raster to Vector Conversion Raster to Vector conversion allows the conversion of a scanned A0 image to any major CAD format. Raster to Vector conversion (R2V) enable users to convert a raster image (i.e a scanned drawing) to any of the major CAD formats. This improves current design processes by maximizing the use of your legacy paper drawings.


1.3 High Level Technical

1.3.1 System Description

All personnel can store their documents direct in a central database. When data is in the database the rest of the organization can have access to this data dependent on their user profiles. Data can be entered into the system in several ways: Online: The PC is connected to the local network; the database is updated immediately when a document is saved. Remote: The PC is connected to the network via a modem line, the database is updated immediately when a document is saved, or it can be updated when convenient. Off-line: It is possible to download document copies on to a portable PC, edit these, and then copy the new version back into the document management system when the PC is on the network again.

1.3.2 System Structure

The system has an open structure where it is possible to add different applications and hardware. The system supports “mass storage systems”, both tape, CD , DVD and other. DOCO E-TECH Typical System Structure


1.3.3 System Overview

Access to DOCOsoft‟s DMS system is through a standard application client for LAN/WAN based access or through the web client for LAN/WAN/INTERNET based access. DOCOsoft Enterprise DMS Architecture

Load Balancing and Database clustering can be added to the above as the system grows


1.3.3.1 Application Clients The standard client application is installed on the user‟s desktop. Written in C++ these clients are typically used internally within a company‟s organization for LAN/WAN based access to the DMS server. These clients provide the fastest access for searching, viewing and updating the database. These clients come with wide format and CAD viewing and mark-up functionality.

1.3.3.2 DOCOsoft Web System DOCOsoft‟s web system runs on IIS and interfaces with all of DOCOsoft‟s existing products. Clients using Internet Explorer 5 can log into this web-application via two methods - intranet or internet. Client‟s can choose between a standard thin HTML only clients or rich ActiveX control client. The system is based on normal 3-tier architecture. We use MS-SQL database on the backend, our business components (API‟s) as middle tier and connect with clients through IE. The system is written using ASP, ATL Active X Components and DHTML. Documents can be viewed as HTML, or natively using DOCOsoft‟s ActiveX controls.

1.3.4 System Features

1.3.4.1 Secure Encrypted Data Repository DOCO E-TECH‟s native storage system provides an added level of security to that of the windows file system. All files stored in the E-TECH document repository are encrypted and securely archived. The only gateway for files into and out of the system is for the files to be checked „into‟ or „out-of‟ the system. Once checked out of the system a file is decrypted to a windows hard-drive location.

1.3.4.2 Revisions A Document / Drawing is composed of any number of versions. Each version is either a working draft or released version. A working draft can only be viewed by a user that has draft permission. (a typical working version would have a minor version number, i.e. 0.4 or 1.1) Any users that have read permission can view a released version. (a typical released version would have a major version number, i.e. 1.0 or 2.0)

1.3.4.3 Check-In/ Check-Out DOCO E-TECH ensures that the integrity of your data is maintained throughout the document / drawings life. Check-In Check-Out ensures that only one user can make changes to a document at any one time, this safeguards against uncontrolled modification and ensures data integrity in your system at all times.

1.3.4.4 Audit Trail The system monitors all user activities 24 hours a day, 7 days a week. It is possible to view a user‟s audit trail and see the user‟s activity, what documents they viewed, emailed, printed etc. The document audit trail can also be viewed, showing activities performed on the document, who viewed, checked out and approved the document etc.

1.3.4.5 Native Compression

1.3.4.6 Security

1.3.4.6.1 Document Security

It is possible for the owner of a document to grant varying levels of permissions to individual users or to groups of users. The document permissions are: [Read], [Write], [Execute], [Copy], [Delete], [Draft], [Publish]

1.3.4.6.2 Security Levels

The E-TECH security system allows for levels of security permissions to be assigned to users / group that relate to their roles in the company. This is done in a hierarchical manner..i.e. a manager will have a high security level whereas a trainee will have a low security level.

1.3.4.6.3 Functional Permissions

It is possible for the system administrator to determine what functions a user has permissions to carry out on a system wide level. These permissions are: [Search], [Print], [Auditing], [File Import], [Scan]


1.3.4.7 Workflow

1.3.4.7.1 Document Lifecycle Management

The E-TECH system allows users to route documents through a pre-defined workflow process. This covers the lifecycle of a document from original authoring, through the review process, onto the approval process and finally the publishing of the document into a new version.

1.3.4.7.2 Workflow Audit

The E-TECH system keeps an Audit Trail of the total workflow process. As a document is routed, users can add comments and these are all stored with the document but as separate metadata. All user actions to the document are recorded for compliance.

1.3.4.7.3 Email integration

The routing of documents in the workflow uses the user‟s email system, and sends links to the original document. The link to the document is always smaller in size than the original document, and this speeds up the routing of info for the users on the network, and also cuts down on network traffic.

1.3.4.7.4 Document Versioning


As a document goes through the its lifecycle, it moves from a draft document, to a published version. A singe document may have many drafts, and also may have many versions. Only the most recent published version is normally the document viewed by most users.


1.3.5 System Functionality

1.3.5.1 Import / Capture

1.3.5.1.1 Desktop Scan

Paper based documents can be captured and imported electronically into DOCO E-TECH by means of the systems scan interface.

1.3.5.1.2 Microfilm Scan

Microfilm can be imported directly into the system by the use of an electronic microfilm scanner.

1.3.5.1.3 A0 wide format scanning

The system can be configured to monitor the scanning of wide format (A0) scanned documents. These files are automatically imported into a system location and indexed Figure: Import / Capture using title block extraction routines, as soon as they appear on the hard-drive.

1.3.5.1.4 Electronic File Import

Any file type can be imported directly from any network location.

1.3.5.1.5 OCR

OCR can be used to recognize scanned documents and convert them to the most popular word processing formats.

1.3.5.1.5 Header/Separator sheet Processing

OCR Header sheets can be designed to send instructions to the system during data input. The header sheet can contain instructions on where to automatically store the scan documents, and also to set the index properties. Separator sheets can be used during multiple document processing.


1.3.5.1.6 Forms processing and Title Block Extraction

Templates can be setup to automatically extract information from the documents during the scan process. This extracted information can be used to index the document if needed.


1.3.5.2 Document / Drawing Management

1.3.5.2.1 Viewing

DOCOsoft viewer technology is allows for over 300 file types to be viewed on the system with no need for the installation of other proprietary software. DOCOsoft viewer technology can be divided into two parts: Regular File Viewing: This system handles a large number of file types; these include doc, jpg, tif, pdf, txt (in total over 300 files types are supported and are viewable in the system without having any software installed). Specialist Engineering File Viewing: This system handles wide format scanned documents and CAD documents. The layers window allows the user to view Layered CAD and Large format Scanned documents. The layers window allows the user to enable/disable layers. Users have the choice to view and plot selected layers or all layers.


1.3.5.2.1.1 Advanced CAD Viewer

DOCO E-TECH provides native high speed viewing of all major CAD formats. Support for both 2D and 3D CAD files included. Support for CAD formats will include the following documents types. 1.3.5.2.1.2 Aerial View of CAD documents.

Provides a bird's eye view of a CAD document. Users can easily zoom and move to the area of interest.

This is a Popup window that enables the measurement of distances on an image.

1.3.5.2.1.3 Revision View

This view allows users with the correct permissions to view all the various revisions of a document. Compare Revisions: Using Revision View it is possible to carry out revision comparisons. This advanced functionality allows you to view onscreen, the difference, intersection or combination between one revision and the next.


1.3.5.2.1.4 High Speed Viewing of A0 Scanned Images

DOCO E-TECH uses optimised display routines and raster compression to provide high speed viewing of AO scanned images. “On Demand Loading” is used; this means that only the portion of the drawing that is required is loaded into memory. As a user picks a region to zoom into, only that region of the bitmap is loaded into memory, uncompressed and displayed to the user.

1.3.5.2.1.5 Using Preview Images

DOCO E-TECH can employ the use of Preview Images for the display of large documents. At import or a later stage Preview Images can be created to represent a large document. The previews can be used instead of the original image for all viewing thus minimizing the bandwidth requirements of a network. The original image might only ever be required for detailed viewing. Typically, creation of preview images for large documents can be carried out on the DOCO E-TECH Scan Station Client. This can be done as the images are being imported, or it can be scheduled for the system to create preview images at off peak hours (6pm – 8am).


1.3.5.2.1.6 High Speed Viewing of Large Documents over the Web

In order to speed up viewing of large images via the internet, server-side compression is used. Through the use of the latest image compression technologies it is possible to minimise the loss of image quality while maximising the file size and reducing the download time.

1.3.5.2.2 Indexing

All documents can be stored with a number of fields that classifies the document.

1.3.5.2.2.1 Meta-Data / Property Indexing:

A property is assigned to a certain index field belong to a doc.

1.3.5.2.2.2 Content Indexing:

Documents are indexed based on all the textual content in a document.

1.3.5.2.2.3 Title Block Extraction:

All the text contained in the title block of a drawing can be automatically extracted and used to assign properties a document on import.

1.3.5.2.2.4 Header Sheet Processing:

A header sheet can be fed into the system before a collection of Scanned documents. The documents following this are then filed based on the header sheet.

1.3.5.2.3 Searching


Documents are returned by their associated index field information.

1.3.5.2.3.1 Full Text Search

DOCOsoft‟s full text search makes it possible to search through any text contained in Scanned Images (including A0 Scanned Drawings), CAD Files, and any of the systems supported file types.

1.3.5.2.3.2 Mark-up

The system includes Mark-up functionality All mark-up added by DOCO E-TECH is of a 'purely virtual' nature; in that it is not physically attached to the currently displayed CAD or Image document. Users have the choice to view and plot selected layers or all layers. Any number of pieces of mark-up may be visible on screen at one time.

The A0 window is used to add mark-up And also to select layers and enable or Disable them. On the left hand side of the window the systems mark-up tools are located. The window itself is broken up into 3 Tabs: The CAD Layers Tab: This tab is used to show / hide CAD layers The Mark-up Layers Tab This tab is used to show / hide Mark-up Layers. The Pages Tab This tab is used to open close the pages in An image.

1.3.5.2.4 The User interface

The user interface (UI) is intuitive, easy to learn and is based on standard Windows GUI. The UI is highly flexible allowing the user to create customized views of the system.

DOCO E-TECH is able to print any of its supported file types* to wide format (A0) printers. Note DOCO E-TECH supports over 300 file types

1.3.5.3.2 Export \ Conversion

1.3.5.3.2.1 Raster to Vector Conversion *

Raster to Vector conversion allows the conversion of a scanned A0 image to any major CAD format. Raster to Vector conversion (R2V) enable users to convert a raster image (i.e a scanned drawing) to any of the major CAD formats. This improves current design processes by maximizing the use of your legacy paper drawings. Note that Raster to Vector Conversion is an advanced system option.

1.3.5.3.2.2 CAD Format Interchange

This feature allows the conversion of CAD document from one format to another format. For example converting a DWG to DXF.


1.3.5.3.2.3 Layer Export

Layer export will allow individual layers within a CAD document to be exported to a separate file without changing any of the properties of the original document. Layers can be exported to any of the major CAD formats.

1.3.5.3.2.4 Others

By using ODBC and similar data interchange possibilities, it is possible to export to the following applications: MS Word MS Excel MS Power Point MS Project Other database tables (MS Access) Export to comma-separated file


1.3.5.4 Integration It is possible to interface between the Document Management System to all standard systems. The following are all possible:

1.3.5.4.1 Microsoft Office Plug-ins

The Plug-ins allow for Document Management System (DMS) integration through the familiar MS Word, Excel, Project and PowerPoint applications. Plug-ins give access to the DMS, effectively replacing the traditional windows file system with the DMS as a means of file storage and property indexing. Plug-ins stand for Simplicity: With one touch of a button a document can be saved and indexed directly from MS Office into the DMS. The Plug-ins provide DMS users with one common unified interface from inside MS Word, Excel, Project and PowerPoint into their DMS. The Plug-ins are built on DOCOsoft‟s powerful Application Programming Interface (API). The DOCOsoft API is an interface to the DOCOsoft system that can be used to integrate from almost any application into DOCOsoft.

It is possible to save mails direct from MS-Outlook to the document management system. The Outlook Plug-in allows for Document Management System (DMS) integration through the familiar MS Outlook application. The Outlook Plug-in gives access to the DMS, effectively capturing email messages as enter and exit the system. The Outlook Plug-in concept is Simple: With one touch of a button a document can be saved and indexed directly from MS Outlook into the DMS.


1.3.5.4.4 Lotus Notes Integration

It is possible to save mails direct from Lotus Notes to the document management system.

1.3.5.4.5 Fax

It is possible to save electronic faxes.

1.3.5.4.6 Application Programming Interface

The system contains a well-documented interface that makes it possible to interface to in-house systems developed by companies.


1.3.5.5 System manager environment

The System manager can set up user profiles with restrictions to the level so he only sees documents that he is responsible for.

1.3.5.5.1 System Administration The system administration can be done from easy to use tools.

1.3.5.5.2 Database administration The database administration can be done from easy to use tools and also from the Database administration program, MS SQL admin for Microsoft SQL server.

1.3.5.5.3 Backup & Restore With the system there is a full backup and restore solution, based on standard backup strategy. To facilitate disaster recovery backups can be written to CD or DVD for off site storage.

1.3.5.5.4 Service & Maintenance DOCOsoft provides a service agreement covering the full functionality. The service contract contains the following: Telephone support. Software Updates. On site service support at an extra cost

Appendix B (Compression) DOCO E-TECH offers 2 forms of data compression. Data compression provides faster viewing, images use less storage space, and overall transfer costs of documents will be reduced. The two types of data compression are

1.3.4.5.1 Document Compression

For scanning of Bi-tonal Images 2 compression algorithms are provided –

-TIFF CCITG4

Recommended and industry standard compression which gives smallest file size for bitonal images.

-TIFF CCITG3

Use this option if you are linking to applications that don‟t support G4 compression.

1.3.4.5.2 Colour Compression

The following compression engines are available for scanning colour images.

-JPEG

The standard JPEG compression algorithm. Use this format if the files are to be viewed outside of DOCOsoft, as JPEG is supported by most image applications.

-TIFF

This compression for colour produces file size similar to JPEG. Use this format if you want to use colour in multi-page documents.

-CMP (Recommended)

This internal compression from DOCOsoft provides the smallest file size while maintaining the original image quality. This compression provides extra security in that only DOCOsoft applications are able to view this file type.
