What is Data Extract?

• The data extract feature provides the user with the ability to extract data from a Banner form and transfer the data to a spreadsheet. Data may be extracted with or without data from the key block.

Enabling Data Extract

• Create Oracle Application Server Listener and PL/SQL cartridge.

• General User Preference Maintenance Form (GUAUPRF)– Select Directory Options.– Locate Description ‘Enter the name of your

Web Output URLl’– Enter the url created in the User Value.

• Forms– Available in all Validation Forms– Available in select Rules Forms

Note:

Results for data extracted from forms that have not been

tested with this functionality are unpredictable. Users may enable the functionality on untested forms through GUAOBJS. However, SunGard will not support this functionality in forms that are not certified and tested.

Understanding Excel

• Excel treats data stored in rows and columns as a database. This occurs until Excel finds a completely blank row or column.

Using Excel for Data Analysis

• Sorting– Excel selects what it thinks are the

boundaries of the data.– Data in one contiguous set of uninterrupted

rows and columns is considered ‘base’ information and data will be relocated as appropriate by sort order chosen.

– Individual blank cells are OK, just not completely blank columns and rows.

• Sorting– Data clean up is IMPERATIVE!– Sorting using Toolbar Buttons

• Click on single cell in the column to sort data.• Click on one of the toolbar buttons to sort in

ascending or descending order.

• Sorting– Sorting using Menu Bar (allows for sorting by

multiple levels)• Click on single cell in data area.• Click Data, Sort from Menu Bar.• Select columns for each column to sort data.• Click OK.

• Auto Filter– Available from the Menu Bar

• Click Data, Filter, AutoFilter– Places a down arrow in all column headers, allowing the

user to select from a drop down menu.– When item is selected, only rows with that value are

displayed, hiding all other rows.– Down arrow is turned blue to identify the filter is on or in

use.

• Auto Filter– Filters on multiple columns– Status bar indicates number of records

selected– Prints only what is viewed

• Subtotals (allows for column subtotals based on sort order)– Create from Menu Bar

• Data, Subtotals– Dialog box allows user to choose field data to

sort– Automatically inserts extra rows with each sort

change containing a subtotal under the sort column selected

• Subtotals– Data outlining tools are displayed in the top

left corner of the screen.– Subtotals of subtotals are possible.– Subtotals DO NOT count blank cells.

• Pivot Tables (data summarization tool)– Provide a cross tab result, effectively

summarizing data.– Detail data may be expanded or collapsed

easily.– Data changes require an update to the Pivot

table.

• Create from Menu Bar– Data, Pivot Table Report

• Pivot Table Wizard is displayed– Indicate data comes from Excel and click Next.– Verify the range of data and click Next. Select the Layout

to construct the pivot table and click Next.» Drag and drop fields in the appropriate area of the

wizard diagram– Choose location of Pivot Table and click Finish.
