SAP BusinessObjects Business Intelligence platform: Alerting: Administrative Workflow

Scenario

You are the administrator of an SAP BusinessObjects Business Intelligence platform system for a company that sells bicycles. You have just upgraded to the new SAP BusinessObjects Business Intelligence (BI) 4.0 platform. You want to enable the BI platform users to use the new alerting feature.

Objectives

In this lab, you will:

Enable alerting on the BI platform

Create a schedule event, which has alerting enabled

Pre-subscribe a user to the schedule event

Perform the following steps as described in order:

Set up global default email settings for alerts 1. Log on to the Central Management Console with the following credentials:

a. User name: Administrator

b. Password: Password1

2. In the right column of the Central Management Console Home page, click Applications.

3. Open the Alerting Application.

4. Enable the Email destination and set up the global default email settings as follows:

a. Type alert@localhost into the From field.

b. If the To field is not yet populated with the %SI_EMAIL_ADDRESS% placeholder, then select Email Address from the placeholder dropdown box beside the To field.

c. From the placeholder dropdown box beside the Subject box, select the placeholder Alert Name.

d. Enter a generic message into the Message box. This message will be the default email body for email alert notifications. The placeholder dropdown menu has the following placeholders available

• Alert Message

• Alert Name

• Alert Triggered By

• Alert Triggered By (Full Name)

• ID

• DateTime

• Email Address

• Viewer Hyperlink

• Recipient Name

• Recipient Full Name

An example email body could be:

This is the alert notification for the “%SI_NAME” alert. Alert Message: %SI_ALERT_MESSAGES% This is an automatic message please do not reply.

After filling in the information, your screen should look like this:

Create a schedule event that has alerting enabled 1. Return to the Central Management Console home page

2. In the Define column, click Events.

3. Open the System Events folder.

4. On the Manage menu, click New > New Event.

5. On the Type menu, click Schedule.

6. Enter a name and description for your event in the corresponding field. For example, type Success or Failure Schedule Event as the Name and type This event will be triggered when a schedule job succeeded or failed as the Description.

7. Under Result, check the Success or Failure radio button.

8. Check the Alerting Enabled checkbox. Here is an example screenshot:

9. Click OK. Your schedule event has now been created. You will see a small icon overlay in the top left

corner of the event icon . This indicates that this event has alerting enabled and users can subscribe to this event.

Pre-subscibe a user to the schedule event 1. Right-click on the newly created schedule event.

2. Click Manage Subscribers. A new dialog opened, listing all users that are currently subscribed to this event. As no one has subscribed yet, no users are listed.

3. Click Add.

4. In the new dialog, select user Joanne and click the > arrows to move the user from the Available list to the Subscribed list.

5. Click Add Default Subscription(s) to subscribe the user with the default settings.

In the next screen, you can modify the default subscription. You see that the Success or Failure Schedule Event is already selected.

6. Click the Destinations tab. In the destination screen you can see the two destinations available for alerts. In this case we only want to subscribe the user to the My Alerts destination.

7. Unselect the Email destination. Here is an example screenshot:

8. Click Save & Close. You can now see that Joanne has been subscribed to this alert.

9. Click Save & Close.

10. Log off from the Central Management Console. - End of lab -
