Dear Exhibitor,The Society of Urologic Nurses and Associates (SUNA) isexcited to present to you our exhibit prospectus for the AnnualConference, November 4-7, 2016 at the Marriott WardmanPark in Washington, DC. We invite you to exhibit with us!

SUNA is the professional organization forurologic nurses and associates. Membersactively practice in hospitals, physician’soffices, clinics, and private offices. In their dailyresponsibilities, SUNA’s 2,500+ members aredirectly involved in all areas of urologic patientcare. They initiate product evaluations, purchaseproducts for use, teach patients about newproducts and services, and provide direct patientcare utilizing your products and services.

When you join SUNA as an exhibitor, you will havethe opportunity to personally present your importantmarketing and sales message to hundreds of urologic nurseswho make buying decisions. They will be anxious to view allproducts and services related to urologic health care as well asproducts related to other associated patient needs such asurodynamics, overactive bladder, wound care, oncology,erectile dysfunction, and surgery.

Policy for Assignment of SpaceAll applications for space must be filed on the con-tract form enclosed. Please keep a copy for yourrecords. It is not always possible to assign one ofyour preferred choices. However, we will try tomake assignment in requested area.The primary consideration in the assignment ofspace to exhibitors shall be in the best interest ofthe Society. SUNA may at its discretion accept orreject any application for space, and reserves theright to relocate or reassign exhibit booths at anytime.Exhibit space assignments will be made in accor-dance with a two-tiered point system. CorporateMembers will be ranked in the first tier and allother exhibitors will be ranked in a second tier.Companies in the first tier who submit their exhibitapplications by the established deadline will be as-signed space in the order of their earned points,from highest number of points to lowest numberof points. After exhibits are assigned for companieswithin the first tier, companies within the secondtier will be assigned exhibit space in the order oftheir earned points from highest to lowest.

Terms of Payment and CancellationsApplications should be accompanied by check orcredit card payment (VISA, MasterCard or AMEX) inthe amount of 50% for each exhibit space, checkspayable to the SUNA and mailed to East Holly Ave.,Box 56, Pitman, NJ 08071. SUNA’s tax identificationnumber is 93-0696206. The balance of paymentshall be due upon receipt of confirmation. Shouldany contingency prevent holding of the Conferenceor Exhibition, SUNA shall not be held liable for anyexpenses incurred by the Exhibitor.

Exhibitor Services:The following services will be provided to ex-hibitors at no additional charge:• A standard identification sign showing ex-hibitor’s name and booth number.

• Eight-foot high back wall and 36” high siderails of quality fabric.

• Security Guard service.• Daily cleaning of aisles in Exhibit Area.• Company listing in Program Book.• Complimentary exhibit badges for three exhibitpersonnel per booth.

Hotel Accommodations/Meeting SpaceSUNA has made arrangements with the hotel foran exhibitor block of rooms. Hotel rooms are pro-vided on a first-come, first-served basis and ex-hibitors should plan on making arrangements asearly as possible. No hotel accommodations willbe made for non-exhibiting firms. Meeting space/function rooms for exhibitors willbe available in a limited number. Reservationsmust also be cleared through the SUNA NationalOffice. Meeting space must not be open during ex-hibit hours or during sessions. Under no circum-stances will companies not exhibiting nor makingConference contributions equal to the averagebooth fee be permitted to participate in activitiesduring each meeting.

Security and LiabilitySecurity will be provided during non-exhibit hours.However, each exhibitor must make provisions tosafeguard his/her goods from the time they areplaced in the exhibit area until they are removedby him/her. SUNA, Anthony J. Jannetti, Inc., andthe hotel are not responsible for loss or damagedue to any cause. Space is leased with the under-standing that SUNA, Anthony J. Jannetti, Inc., andthe hotel will act for the exhibitor and his or herrepresentative only in the capacity of agent, andnot as principal; and that SUNA, Anthony J. Jan-netti, Inc., and the hotel assume no liability what-soever for damages, for any act of omission orcommission in connection with said agency, andthat the exhibitor and his or her representativeshereby release SUNA, Anthony J. Jannetti, Inc., andthe hotel from any or all liability for loss ensuingfrom any cause whatsoever. The rules and regu-lations are to be construed as part of all spacecontracts. SUNA reserves the right to interpretthem as well as make final decisions on all pointsthe rules and regulations do not specifically cover.

Special RegulationsNo Smoking Policy — Smoking is not allowedwithin the exhibit area at any time, includingmove-in and move-out.Subletting of Space — The subletting or assigningof space is prohibited. Two or more companiesmay not exhibit in a single space unless specialarrangements have been made with the ExhibitManager.Installation— Exhibits should be installed so theywill not project beyond the space allotted or ob-struct the view of, or interfere with other exhibits.HCEA standards will apply.

Fire Safety — All structural work, such as extrashelving, standards, display racks, signs, spot-lights, etc., must be approved, and all decorations,drapery, and other fabrics must be flame-proofedbefore being used in decoration of any exhibit. Bal-loons are prohibited.Courtesy — The rights and privileges of an ex-hibitor shall not be infringed upon by any other ex-hibitor. Interviews, demonstrations, distribution ofliterature, etc., must be made from within the ex-hibitor’s booth. Exhibitors may not enter anotherexhibitor’s booth or photograph/investigate an-other exhibitor’s products at any time without theexpressed permission from the exhibitor.Canvassing — Canvassing outside the booth isforbidden. Vendors and/or exhibitors may not dis-tribute materials to other exhibitors at any time bycanvassing the hall. All business must be con-ducted from within each exhibitor’s booth.Advertising— Advertising material or signs of ex-hibitors other than those who have engaged spaceare prohibited. Exhibitors may not display adver-tising, logos, or names for products other thanthose sold by the exhibitor in its normal course ofbusiness unless approved by SUNA in advance.Audio-Visuals— Audio-visual presentations mustbe so arranged that aisles are not blocked and bepresented in a sound-proof area or so remote thatthe neighboring exhibitors are not disturbed. Allapparatus must conform to the fire regulations ofthe convention center. Exhibitors with noisy elec-trical devices, or other exhibits or devices whichmay prove objectionable to other exhibitors be-cause of noise, odor, or other disagreeable fea-tures, must agree to accept booth assignmentwhich will abate reasonable objections to theseannoyances.Conduct— Unethical conduct or infraction of ruleson the part of the exhibitor or his or her represen-tatives or both will subject the exhibitor or his orher representatives or both to dismissal from theexhibit hall. In this event, it is agreed no refundshall be made by SUNA and no demand for re-dress will be made by exhibitor or his or her rep-resentatives. Disregard for any rule stated here isconsidered just reason for SUNA to prohibit an ex-hibitor from attending all future activities.

RegistrationAll confirmed exhibitors will have the opportunityto pre-register their personnel. It is to the ex-hibitor’s advantage to register early by e-mail soas to avoid delays onsite. Three (3) badges are in-cluded with each 10'x10' booth. Additional badgesare $80 each. The contact person for badge reg-istration is Heidi Perret, email [email protected] official registration area will be open daily. Allattendees will be required to register, and admis-sion to the exhibits will be by badge only.

For the Annual Conference, exhibitors can-celing before July 15, 2016 will forfeit 50%of the full booth fee.

Exhibitors canceling after these dates will becharged full-space rental regardless ofwhether the space can be resold or not. Can-cellations must be made in writing to theSUNA National Office.

General Information
