This Exhibition Preparation Guide has been compiled for exhibitors and

contractors engaged in planning, design and booth construction for the

Electronic Design and Solution Fair 2006. It details the appropriate

procedures for all activities, from display preparation to removal once the

fair has finished. All concerned parties are requested to familiarize

themselves with this guide to assure that all procedures go smoothly.

The previous Guide for Exhibitors was the basis for this manual and can be

used as a reference. The Management Office will contact exhibitors

concerning procedures not covered in either publication.

3. Exhibition Supervision

The exhibition Management Office will provide staff as per the following work schedule, to controland maintain the exhibition site, and will make every effort to prevent accidents. The ManagementOffice will not, however, be held responsible for any, fire, theft, loss or other unforeseen incidents.Exhibitors are therefore requested to take appropriate safety measures--including taking out insuranceon exhibits--and to observe the following points concerning operations at the exhibition site.

2. Regular Working HoursExhibitors wearing an exhibitor badge can enter and leave the show site during the regular workinghours noted above.During regular working hours in the preparation period, workers wearing a staff badge can drive avehicle into the show site for preparation work. During regular working hours of the show period,each exhibitor should ensure that a responsible employee is present to oversee smooth operations inthe exhibition area.

3. Free Overtime Hoursq Exhibitors can also work in the hall during the overtime working hours noted above. To do so, the

Application for Overtime Work form must be filled out and submitted to the Management Officeby 6:00 p.m. on the day such work is to be performed (or 6:00 p.m. of the previous day for earlymorning overtime work).

w No vehicles are permitted to enter the show site during overtime hours.

e During overtime hours, exits in each hall are restricted. Non-designated exits will be locked.

4. Charged Overtime HoursThese hours are shown in the above schedule. Exhibitors are allowed to continue their work after thefree overtime hours by submitting the Application for Overtime Work form to the Management Officeby 6:00 p.m. on the day such work is to be performed (or 6:00 p.m. of the previous day for earlymorning overtime work).Overtime fees of ¥10,500 (tax included) will be charged for work during these hours to cover expensessuch as security and utilities. After the exhibition, the Japan Electronics Show Association willcalculate charges and issue invoices.

(Note): Upon completion of overtime work, exhibitors must file a report with the Management Officebefore leaving the exhibition site. Extra overnight work charges till the commencement hour of freeovertime work of the following day might be levied if this report is not turned in.

5. Exhibitor Passesq Exhibitor badges

While at the exhibition site, all exhibitors are requested to wear the exhibitor badge provided by theManagement Office. The badge is valid from Tuesday, January 24 to Friday, January 27, 2006, andmust be presented to personnel at the entrance when entering or leaving. Those without a badgewill not be permitted to enter the exhibition hall.

w Available exhibitor badgesTen free-of-charge exhibitor badges will be distributed per booth.

e Request for exhibitor registrationVisitor and exhibitor badges have barcodes printed on them, enabling valuable statistical data to becollected. The first time they visit the show, each exhibitor-badge holder is required to registerhis/her name and present two business cards, along with the exhibitor badge, at the ExhibitorRegistration Counter. Once registered, exhibitors can enter/leave the show site freely by presentingthe exhibitor badge.

r Exhibition booth staffing requirementsDuring the show period, employees responsible for exhibition booths are required to stay in theirbooths until 6:30 p.m. When leaving the show site after 6:30, they will be requested to show theirexhibitor badges to the personnel at the exits, together with any baggage.

t Additional Exhibitor PassesDuring the preparation period, additional exhibitor passes will be sold at the on-site showManagement Office and the load-in gate at a fee of ¥50/pass (tax included). No refunds foradditional pass fees will be accepted.

6. Worker Passesq Staff badges

During the preparation/removal working hours, all staff must wear the staff badges provided by theManagement Office. These badges are valid for the load-in and out period. All staff must showtheir badges to guards at the entrance when entering or leaving the site. No one may enter the showsite without showing their badge. Please note that staff badge is not valid during the show period.

w Available staff badgesFive free-of-charge staff badges will be distributed per booth.

e Additional staff badgesDuring the preparation period, additional staff badges will be sold at the on-site show ManagementOffice and the load-in gate at a fee of ¥500/badge (tax included). No refunds for additional passfees will be accepted.

4. Vehicle Admission during Set-up, Load-out

1. The exhibitor load-in-and-out-only parking space reserved around the show premises will beavailable only during the load-in and load-out period. Vehicle stickers issued by the ManagementOffice are required on motor vehicles that will enter the show premises and the exhibitors’ load-in-and-load-out parking space.

The following vehicle stickers will be issued to each exhibitor. Please familiarize yourself withsticker usage and provide this information to contractors hired for booth decoration, transportation,etc. Refer to the reverse side of the sticker for vehicle entrance routes and parking lots.

In addition, no vehicle entrance to the exhibitors' parking space and the exhibition halls is allowedduring the show period. Exhibitors requiring a parking space are requested to use the paid parkinglots at and near Pacifico Yokohama.

2. Set-upq Exhibition materials should be set up between 8:00 a.m. to 6:00 p.m. on Tuesday, January 24 and

Thursday, January 25, 2006.

w A vehicle sticker is required to gain access to the show premises.This sticker is valid only for the time period mentioned above, and will not be usable on other days.

e Under normal circumstances, materials brought into the exhibition site cannot be taken out until theend of the exhibition period.

r Each exhibitor is responsible for arranging transportation of the exhibition materials into the showsite, and for preparing necessary equipment, machinery or tools for transportation. Such equipmentwill not be provided by Show Management.

3. Load-outq Removal of the exhibition materials should be carried out from 6 p.m. to 10 p.m. on Friday,

January 27.

w Vehicle stickers will be issued for access to the show premises for vehicles used to carry items out.This sticker is valid only for the load-out day; vehicle entrance with this sticker will not be allowedat other times.

e All vehicles should wait in the designated waiting area.At the waiting area, they will receive a Removal Order Number Ticket from exhibition staff. Waitfor and follow instructions from the exhibition staff referring to the Removal Order Number.Vehicles will have no priority in line if they do not have a Removal Order Number Ticket, arewaiting in the wrong area or are not ready at the specified escort time.

r Vehicles without a Removal Vehicle Sticker are requested to wait until all vehicles with the stickerenter the show premises.

t All staff must wear either the exhibitor badges or staff badges when entering the show premises.

y The Management Office will not be responsible for any damage to exhibits left at the show site after10:00 p.m. on Friday, January 27, 2006. Please note that if removal has not been completed by thistime, the exhibitor responsible should pay a surcharge corresponding to the show site rentovercharge, etc.

5. Booth Standards

1. Booth Configuration

2. Booth Standardsq Booths in Row

Row-type areas are comprised of one or several booths, each of which is 2,970mm wide and2,970mm deep, arranged as shown above.

w Block-type areaEach block area should have a total area calculated by multiplying the unit area of a booth (9m2) bythe number of booths in the block, then rearranged in a space with a width-depth ratio of between2:1 and 1:1. This will be indicated in a design drawing when booths are assigned.

e Booth HeightThe maximum booth height is 2,700mm. This limit may be exceeded by 300mm in exceptionalcases for installation of minimal lighting and/or sound equipment (small-size speakers, etc.), ifnecessary for construction reasons.

3. Standard Booth Facilities (included in the exhibition fee)q System panels

System panel partitions will be provided to exhibitors with one-row booth areas, or to exhibitors with adjoining in-row boothareas. Exhibitors with in-row booth areas that do not adjoinanother exhibit will not be provided with system panels. In thiscase, however, such exhibitors may erect their own partitions orthe Management Office will provide these for an additionalcharge.

w Basic power supplyEach booth space will have a 100V or 200V power supply with 1kW capacity. (For electricitycharge with a total switch, refer to Electricity under 8 on page 16.)

e Booth number plateA booth number plate will be attached to the top of each booth sidewall.

6. Booth Displays

1. Keeping Exhibition Environment Cleanq Measures taken by Management Office

For all structures erected in the exhibition, the Management Office makes the utmost effort todecrease industrial waste, save energy, prevent global warming and prevent hazardous exhaustemissions such as dioxins. Each exhibitor is requested to take appropriate measures in this regard.

(a) Use only system panels that are reusable or are made from recyclable materials.(b) Use only recyclable carpets.(c) Avoid the use of excess protective materials for set-up and removal procedures.(d) Strictly control materials that can cause hazardous emissions, such as dioxins.

w Environmental request for exhibitorsTry to use recyclable or recycled materials whenever possible.

e Manifest SystemThe Industrial Waste Control Manifest System has been enacted and implemented for theprocessing of industrial waste. Pay special attention when disposing of industrial waste generatedin your exhibition area.

2. Product Liability (PL) LawThe Management Office recommends that exhibitors take the following countermeasures in orderto meet the PL Law.

q Safety indication/warningIt is strongly recommended that the design of the exhibition area be completely safe and thatadequate safety and warning indications be shown in regard to booth displays. The ManagementOffice has designed its own safety and warning signs with pictographs, and will provide exhibitorswith specially prepared pictosign reproduction sheets. Sets of five such pictosign stickers are alsoavailable for instant use at ¥100 (tax included), and will be sold at the on-site management office.

w Explanation of actual use of productsExhibits should be displayed in the same environment in which the products are actually used.When designing and producing the exhibitions, care should be taken to avoid creating any undueexpectations and/or misunderstandings regarding quality. The exhibitor should clearly indicate tovisitors any items in the exhibition environment that are different from actual use.

3. Display Contractor RegistrationWhen hiring a display contractor, exhibitors should submit the Display Contractor RegistrationForm (Form No.10) to Fujiya Co., Ltd., by Friday, December 9, 2005. The display contractorsregistered are required to have full knowledge of the contents of the Exhibition Preparation Guideand conform to the regulations.

4. Floor Workq Floor

The floor of the exhibition area is made of concrete and can sustain a maximum load of 5 tons/m2.Objects weighing more than 45 tons, or exceed 5 tons/ m2 are prohibited. Exhibitors must contactthe Management Office if they intend to bring heavy items into the exhibition area.

w Floor workIn exhibition areas where anchor bolts need to be affixed in the existing flooring, the Floor WorkApplication Form (Form No. 15) must be submitted to Fujiya Co., Ltd. together with two copiesof the drawings, no later than Thursday, December 22, 2005. Please be sure to comply with thefollowing conditions and procedures:

(a) Use only the anchor bolts provided by Pacifico Yokohama. The available anchor bolts will be ofthe bolt-knock type, with underground depth of 50mm or less.

(b) Use only the drills provided by Pacifico Yokohama; these are available free of charge.(c) Do not affix anchor bolts to the pit covers, the surrounding areas (within 200mm of pit edge), or

the joints.(d) For drilling, use only the drills provided by Pacifico Yokohama. Do not bore holes deeper than

50mm under any circumstances.(e) Do not extract the anchor bolts after the exhibition. Bolt heads projecting above the floor surface

must be sawn to floor level using a sander. (Exhibitors will be liable for damages arising fromthe removal of anchor bolts.)

(f) Never hammer in anchor bolts in or cut them with acetylene torches under any circumstances.(g) Exhibitors using anchor bolts will be charged a floor restoration fee of ¥1,575 per bolt (tax

included). Fujiya Co., Ltd. will invoice exhibitors for the applicable fee after the exhibition oncethe actual number of anchor bolts used is confirmed.

Cold and hot water pipes have been installed under the exhibition hall's concretefloor for radiation-type floor cooling and heating purposes (See figure below).Fixing of anchor bolts without authorization or in violation of the stipulated workingconditions may damage some of these pipes and cause severe flooding that wouldaffect other exhibitors. Thus, the use of unauthorized anchor bolts, or any otherprocedural violations will result in immediate termination of operations and arelevant penalty. Furthermore, in the event of an accident, the exhibitor involved willbe required to pay applicable compensation, including restoration expenses.Exhibitors should pay close attention to these points.

5. Ceiling StructureUnder normal circumstances, the construction of ceilings for booth areas, either whole or partial,using plywood boards, blackout curtains or other means, is prohibited. If it is necessary to createshading, control the temperature, etc., ceilings may be permitted by the local fire department.Exhibitors intending to work on the ceiling should fill in the Application for Booth Ceiling Work(Form No. 8) and submit it--together with two copies of drawings--to the Sales Department,Pacifico Yokohama, no later than Friday, December 2, 2005.Smoke sensors and/or emergency announcement facilities may be necessary for some ceilingstructures.

Direct sunlight can be shaded at the show site; however, indirect rays or fluorescent lights mayreflect on equipment screens and other surfaces in booths. Please consider this in designing theexhibition area. The Management Office will not take measures to prevent such indirect rays orlight reflections.

6. Fireproofing Regulationsq Thick cloth or pleated paper affixed to fireproof plywood for display purposes should also be

fireproof. However, fireproofing is not required when the fireproof plywood is completely coveredwith thin treated paper or cloth.

w The following materials must be fireproofed: thick drop curtains, curtains, display plywood,fiberboards, cloth blinds, blackout curtains, artificial flowers, carpeting, curtains and sheets forconstruction work. Please affix a fireproof tag to each one of these materials in a clearly visiblelocation.

e Do not use paper flowers, urethane, acetate, polyester, nylon or other flammable materials.

r The use of plastic foam is strictly prohibited. Please substitute Styrofoam or similar materials.

t Labels to be attached to fireproofed materials are as follows:

(a) Fireproof plywoodThe background should be white with (fireproof) written in red characters on it, and otherlettering written horizontally in black.The reverse side indication of fireproof plywood should be as shown below; the letters and linesshould be red.

(b) Fireproof carpetsThe background should be white with (fireproof) written in red characters on it, and otherlettering written horizontally in black.

y During the display construction work and/or after the completion, inspections may be carried out bythe local fire department. Any violations of the above regulations may cause an exhibitor to besuspended or ejected.

7. Other restrictions(1) In erecting booth walls and entrances (two or more, 2.5m or wider), exhibitors are requested to

accommodate the layout of the neighboring booth areas. When including entrances to neighboringbooths is not feasible, please facilitate access as much as possible.

(2) Spray painting is prohibited on the site, as it is dangerous and may inconvenience other exhibitors.

(3) Decorations may not be hung from the ceiling.

(4) Nothing may be directly attached, nor may light be shone directly on the walls, floors or ceiling ofPacifico Yokohama.

(5) No exhibit items may be placed in areas reserved for fire prevention or inspection facilities. Noobject shall be placed in a position that obscures fire extinguishers, fire equipment, fire alarms oremergency indicators. Objects in booths must be arranged in keeping with fire preventionregulations so as not to obstruct any emergency routes or exits.

(6) No exhibit objects may obstruct ventilation ducts.

(7) Wherever possible, display exhibitor names, product information, etc., both in Japanese andEnglish.

7. Optional Packages of Booth Items

The Management Office will make the following items available for exhibitors’ use. Exhibitors canorder these items by filling out the Application for Package Booth Optional Items Form (Form No.7) and submitting it to Fujiya Co., Ltd. by Friday, December 2, 2005. Fujiya will invoice exhibitorsafter the exhibition.

8. Electricity

1. Power suppliesTo request an electrical supply for the exhibition, complete the Power Supply Application Form(Form No. 6), indicating voltage/phase clearly, and submit it to Suzuki Denki Co., Ltd. by Friday,December 2, 2005.

2. Basic power suppliesBased on the above applications, the Management Office will install in each booth a single-phase100 V AC (50 Hz) control switch and, upon request, another one for three-phase 200 V AC (50Hz). Covering the switches with decorative materials is prohibited.

3. Electrical supply capacityThe Management Office will supply each booth with single-phase AC electric power up to 1 kW ofeither 100 V or 200 V. Exhibitors requiring power exceeding this capacity and/or requiring three-phase 200V AC will be charged the following (plus consumption tax) for special line constructionwork. 8. Protective equipment (backup)The voltage in each booth is 100V±5%, 50Hz. The Management Office will not be held responsiblefor any damage to equipment caused by power failures or voltage fluctuations. For equipmentrequiring constant voltage and/or frequency, exhibitors are required to install necessary back-upequipment, such as power supply stabilizing units, etc.

9. Electrician licensingContractors carrying out electrical work in booth areas must carry their licenses with them at alltimes. Unlicensed workers or those who cannot produce their license for verification will not bepermitted to work.

5. International telephone callsExhibitors using an analog line can make international calls through any international telephoneservice operator. Exhibitors using INS64 lines for international telephone calls and transmissionswill be charged for individual line registration with an international communications provider.Please indicate this request on the application form (Form No.3).

6. Telephone installationIndicate the locations of telephones and module terminals in the Telephone/Telephone LineApplication Form (Form No. 11) and submit it to Suzuki Denki Co., Ltd. by Friday, December 9,2005.Please prepare a telephone table, a counter and/or a shelf for the telephone and affix the TelephonePosition Diagram (to be distributed separately) by 1:00 p.m., Tuesday, January 24, 2006. 10. Demonstrations

1. SafetyDemonstrations and/or performances should be carried out in a safe manner, withoutinconveniencing other exhibitors or attendees. Staff should be on hand at all times to guard againstphysical harm, property damage, fire and other hazards that the demonstration might cause.

2. Hazardous materialsq The Japanese Fire Prevention Law prohibits the following activities at the show site:

e SmokingNo smoking is allowed in exhibition halls (including) booths and exhibitor seminar areas. Smokingis allowed around the smoking stand set up in the concourse.

r Open flamesThe following should be strictly observed when using open flames:(a) Use the minimum size and quantity of devices, with only one device of the same type.(b) Protect the surrounding area with fireproof materials.(c) Monitor the area where fire is used and provide adequate safety facilities.(d) Have one fire extinguisher (Type-10 with capacity of 2 units or more) on hand.(e) Appoint a fire steward. Provide an emergency stop system.(f) Keep open flames at least 5m away from emergency exits, hazardous items and other

t Use of LPG and pressurized gasThe following should be strictly observed when using pressurized gases (oxygen, hydrogen,nitrogen, carbon dioxide, argon gas, etc.):(a) After installation, test all containers for leaks, and display signs as necessary warning Caution:

Avoid Contact with Flame.(b) Use pressurized gas under the lowest possible pressure, and handle gas cylinders carefully. No

flammable gas cylinders may be brought into the exhibition site (except for cartridge-typemodels).

(c) To prevent gas leaks, use connectors with connecting parts intact and monitor continuouslyusing a gas-leak alarm system.

y Hazardous itemsStrictly observe the following when bringing any hazardous article into the exhibition site:(a) Limit amounts to one day’s use or less.(b) Do not replenish supplies during the show operating hours.(c) Provide adequate fire safety measures and handle materials carefully at all times.(d) Place hazardous materials 6m or more away from an emergency exit and other hazardous

articles and items 3m or more away from emergency exits.(e) Have one fire extinguisher (with capacity of 2 units or more) on hand.(f) Place any hazardous article 5m or more away from flames.(g) Appoint personnel responsible for safety control.

3. On-site sales activitiesWith the exception of technology-related books and publications, no exhibit materials may be soldto the public during the exhibition period under any circumstances. Any payment-related problemsare the sole responsibility of the exhibitor concerned. The Management Office will take noresponsibility for said problems.

4. Exhibition environmentNecessary preventative measures should be taken to avoid inconveniencing other exhibitors orattendees for demonstrations that may generate excessive noise, light, heat, gas, odors, vibration, orother disturbances in the exhibition environment.

5. Smoke-effect equipmentThe use of any equipment that produces smoke effects (using alcohol, oil, carbon dioxide gas, dryice, etc.) in demonstrations and performances is prohibited.

6. NoiseWhen using a speaker or AV equipment for a demonstration or narration, the volume should notexceed 80dB at 2m outside the booth boundaries. If a complaint is filed by a neighboringexhibitor(s) or the noise level is noticeable throughout the site, the Management Office will controlthe sound emission regardless of regulations in order to ensure a comfortable environment forvisitors.

7. Peripheral space around boothsAll exhibitions and demonstrations are to be conducted within the designated booth area. Payspecial attention to the following items:

q Avoid visitor spillover that obstructs surrounding booths and corridors. When using a stage, makeappropriate accommodations for spectators inside the booth.

w Do not solicit visitors, administer questionnaires, or conduct any such activity outside thedesignated booth area.

e Do not place any exhibits, decorations, catalogs, fixtures, plants or packaging materials in corridorsor behind the booth area.

r Do not direct lights toward corridors, walls, ceilings, etc.

t If the above-mentioned activities are discovered, the Management Office will request compliancewith these rules. Failure to comply may result in the loss of exhibiting privileges.

8. Copyright royaltiesExhibitors playing music or recorded audio or video materials should comply with copyrightregulations (unless the exhibitor owns the rights and has made separate arrangements). Royaltiesare payable to the Japanese Society for the Rights of Authors, Composers and Publishers(JASRAC), which handles copyright matters as entrusted by copyright owners. Contact JASRACfor details on arrangements and royalty payment.

9. On-site PhotographyThe Management Office will control on-site photography by the following rules.

q Taking photographs of exhibits in other boothsThird-party professional photographers and/or agencies are prohibited from taking photographswithout permission from the exhibitor in question.

w Taking photographs by visitorsThere are no special restrictions on visitors taking photographs. However, exhibitors may dealdirectly with visitors in cases in which proprietary designs or equipment must be protected, orwhen such photography impedes the display.

e Taking photographs of exhibitors’ own boothPlease do not interfere with visitors photographing booths. To schedule outside-hours photography,submit a request to the Management Office.

r Taking pictures by PressPress Badges will be issued to journalists and should be worn at all times on-site. Exhibitors arerequested to cooperate with media representatives visiting booths to gather news and/or conductinterviews.

10. OthersThe Management Office is responsible for exhibition management and maintenance, and thepreservation of order and safety of visitors. When it is deemed that a demonstration or performanceviolates any of these responsibilities, exhibitors will be requested to take suitable measures, andmay be asked to change or cease demonstration.

The Management Office will not be held responsible for any accidents caused by exhibitordemonstrations. In the event of such accidents, immediately take the appropriate measures andcontact the Management Office.

11. Suites

In the course of holding EDSFAIR, there will be occasions when the EDSFAIR ManagementOffice, set up within in Japan Electronics Show Association (hereafter referred to as “theAssociation”), will provide users with personal information. The Association regards the protectionof personal information to be a matter of the utmost importance. Accordingly, it has adopted themeasures outlined below in order to protect personal information received from exhibitors, personalinformation received in relation to contracted services and the personal information of Associationemployees.

d Collect, use and provide personal information in keeping with the content and scope of theAssociation’s activities

d Prevent improper access to personal information, as well as the loss, destruction, falsificationand leaking of personal information

d Supervise the appropriate handling of personal information by contractors in cases whereservices relating to personal information are outsourced

d Notify and obtain the consent of individual concerned in cases where personal information isprovided to a third party

d Notify and obtain the consent of individuals concerned in cases where personal information is tobe used for any purpose other than the intended purpose• Observe laws and other regulations concerning personal information• Strive to continually improve the Association’s compliance program with regard to the

In order to fulfill the activities of EDSFAIR, there are occasions when the Association will deem itnecessary to consign the compilation and operation of databases and websites, as well as theoperation of the Exhibition Management Office, to other companies and organizations. In thesecases, the personal information of users shall be protected in accordance with EDSFAIR’s personalinformation protection policy.

When using the services offered by EDSFAIR, we ask that you read the following sections so thatyou may understand the Association’s policy regarding the protection of personal information

Although it is not necessary to respond to all questions, thereare some services that cannot be used unless answers to specific questions are provided.• Name, place of employment, affiliation or position, as well as address, telephone number, fax

number and e-mail address of your place of employment or residence• Information concerning work and areas of interest• Bank account or credit card details required for direct-debit or payment relating to applications to

attend the exhibition, conferences or related events.

j Purpose of Using Personal InformationPersonal information received from users of EDSFAIR will be used for the following purposes.Please do not hesitate to contact the Association should you wish to forbid use of your personalinformation for a specific purpose.• For various procedures, including confirmation of application, posting of registration card and

payment of charges related to the exhibition, conferences and various services• For surveys on various events in which the user has participated or provided assistance (also for

posting follow-up reports, honorariums, etc)• For improving the services provided at the exhibition and conferences, and for surveys and

planning for new exhibitions, conferences and related services• For providing information on exhibits and attendance related to registrants’ role in the exhibition

and conferences• For providing information on exhibits and attendance related to exhibitions and conferences

corresponding to the business areas and interests of customers• For other occasions when the Association needs to contact users for some reason.

j Provision of Personal Information to a Third PartyThere may be occasions, as listed below, when the Association discloses registered personalinformation to a third party. The Association shall notify and obtain the consent of EDSFAIR usersbeforehand in all such cases.• In cases requiring the payment of fees related to the exhibition and conferences where the

exchange of personal information with a financial institution is essential for authenticating orconfirming the validity of bank account or credit card details

• To enable exhibiting companies and organizations to prepare exhibits that best meet the needs ofEDSFAIR users, and to enable conference speakers to prepare speeches that best meet the needsof participants

• To promote exchanges between invitees to receptions and parties• To obtain decisions made by companies and organizations exhibiting at the exhibition or

considering exhibiting at the exhibition relating to exhibiting next year. There will be occasionswhen statistical reports compiled using personal information are made public. However, they willnot contain information that will make it possible to identify individual users. There will also beoccasions when visitors’ company name, affiliation and position are made public, but they willnot contain information on their name.

• At exhibitors’ booths and conference reception desks where users have granted permission forbarcodes and other information written on name tags to be read

• In cases where it is deemed necessary in order to protect the rights, assets and safety of other

having granted permission for the disclosure of information to a third party, the user wishes tostop the provision of the information, the Association shall stop the provision of the informationto outside sources as quickly as possible. However, the case might occur in which personalinformation is requested of users who, either at JESA-managed events or via related websites,request information, order products, participate in promotions from or otherwise contact third-party companies or other organizations. In such cases, it will be assumed that the user wishespersonal information to be shared.

j Stopping Use of and Deleting Personal InformationIn cases where it has received a request from a user, the Association shall stop providing the user inquestion with information services, and in cases where registration is canceled, the user’s personalinformation shall be removed from the database. Users are able to confirm registered details aboute-mail transmission on websites managed by JESA as needed, and may alter these details.

j Changes of TermsThere may be occasions when, due to changes in social circumstances, legislation protectingpersonal information or guidelines from Japan’s various government ministries and agencies, theAssociation will update some or all of its terms without the consent of users. In such cases, theAssociation shall notify users of the changes, or make public the changes using whichever means itdeems appropriate. Users who do not consent to the changes shall have their personal informationdeleted from the database upon the completion of the prescribed formalities.

Also, in cases where the provider ofpersonal information requests disclosure of details held, steps must be taken to provide a responseas soon as possible.

• Appropriate measures must be devised under the guidance of the person in charge of themanagement of personal information to prevent the leaking of personal information contained onbusiness cards, names written on name lists, information written on survey forms, details writtenon business cards or personal information obtained by using the barcode system.

• Exhibitors shall be responsible for the management of business cards, names written on namelists, information written on survey forms, details written on business cards or personalinformation obtained using the barcode system. Other appropriate measures shall be taken inaccordance with the Personal Information Protection Law.
