EGC CHAIRPERSON’S WELCOMEOn behalf of the Energy Generation Conference planning committee, we invite you to be an exhibitor during the 41st Energy Generation Conference. Celebrating 40 years and beyond, the Energy Generation Conference strives to energize industry and individuals in a competitive market through education, technology, and networking. This year’s event theme is “2020 and Beyond: Big Changes are on the Horizon!” The conference is scheduled for January 28-30, 2020 at the Bismarck Event Center.

Each year, energy industry professionals look forward to attending this professional development opportunity, with over 2,400 participants attending in 2019. We encourage you to utilize this great opportunity to develop and strengthen connections, showcase products and services, present advances and/or changes in technology, and reveal efficiency and reliability features your products provide to potential customers in the energy industry.

Online exhibitor registration opens Wednesday, October 9 and goes through Friday, December 20 (or sell out, if earlier). There are over 320 exhibit spots in the hall, and this year, we’ve reserved 90 of them as “premier” booths. We’ve had requests for many years from our vendors, asking for a way to ensure they will have great placement. By purchasing a standard booth and adding a

“premier upgrade package”, your company will secure a booth in aisles 600-900, which have long been considered the best spots in the hall!

Three levels of sponsorships are also available to help your company gain additional exposure with conference participants. This includes a $200 option that gets your company name/logo on a punch card that participants can complete to qualify for a daily grand prize.

Last but not least, don't forget to check out our conference app, Guidebook, which you can download. As details are confirmed, we will continue to update the platform. It's a great way to start reviewing conference sessions before the participant registration brochure is even out.

The only way to register as an EGC exhibitor is through our online registration system. Registration dates are Wednesday, October 9, 2019 (8 am CT) through Friday, December 20, 2019 (or sellout). REMINDER: The individual that registers your company is not automatically registered for the conference. An email will be sent in late December collecting the names of your complimentary booth representatives.

RETURNING EXHIBITORS • In mid-September, an email with the username

and password for each company will be sent to the contact person for each of our 2019 exhibitors and sponsors.

NEW EXHIBITORS• You will need to create a user profile before you can

register for a booth. Bismarck State College is part of the North Dakota University System, so many of the terms used on the registration site refer to “student.” This term refers to anyone registering for the Energy Generation Conference.

• We strongly recommend that the person registering your company, is the person setting up the registration profile for your company. That person will also be listed as the contact for your company in the conference program book.

• Profile setup can be completed any time before the registration opens. We recommend that you complete this step early. Instructions on how to set up a profile and how to register will be available on our website Friday, September 20, 2019.

For 2020, there are TWO booth options, standard booth (required to be in the show) and the premier exhibitor upgrade. Add the Standard Exhibitor booth to your cart. To have a booth in aisles 600 - 900, add the Premier Exhibitor Upgrade to your cart. If you are purchasing four booths, you need four upgrade packages.

BOOTH CANCELLATIONS: Notifications must be made in writing to BSC Continuing Education & TrainND.

• Notifications received by December 6, 2019, will be charged 25% of the total registration fee.

• December 7, 2019, through January 3, 2020, will be charged 75%.

• Cancellations received January 4, 2020 or after will forfeit the entire booth registration fee.

If your company purchased the premier exhibitor upgrade package and NOT a standard booth, the upgrade will be

automatically refunded after one month.

QR CODES ARE BACK!QR codes will be returning to participant and exhibitor name tags in 2020. These codes will be linked to contact information for each individual participant, which can be scanned via smart device into your contact list. For more information, visit our website egcnd.com. Attendee lists will NOT be distributed after the conference.

• Booth space is assigned in order of time and date of your completed online registration.

• Registration is limited to four booths per company.

• Booths will not be held without payment.

• You are not automatically pre-registered for the 2020 conference if you attended in 2019.

• You will not automatically be registered for a booth if you become a sponsor or speaker.

• If your company purchases four booths in one transaction, all booths will be listed in program materials under the company that completed registration.

• We make every effort to honor your location requests, so please list several options. REMINDER: Aisle 600, 700, 800, and 900 booths can only be secured if you purchase the booth upgrade. One upgrade per booth. For each booth purchased, if you wish to be in the premier area, make sure to add a premier package to your cart.

• No motorized vehicles or trailers will be allowed in exhibit booths.

• If you are unable to participate as a vendor in the show, we ask that you do not host a hospitality suite during show hours.

• The Energy Generation Conference committee reserves the right to evaluate company booth requests on an individual basis, as deemed appropriate and/or necessary.

• Hotel accommodations are available on the website at egcnd.com.

SETUPBegins Tuesday, January 28 starting at 9 a.m. and must be completed by 4:30 p.m. to accommodate the Exhibitor Showcase Social. The social will run from 4:30-6 p.m. in the Exhibit Hall.

• The Bismarck Event Center does not furnish extension cords – they are available for purchase at the prevailing rate.

• Trailer parking is limited to the south side of Parking Lots D and C, adjacent to the Events Center. Any trailers parked closer or in lots attached to building will be asked to move.

• Trailer based exhibits are not allowed to park or be open for viewing in the East and West lots adjacent to the Exhibit Center. You will be asked to move. See website for Map details.

• Door prize drawings will be allowed in exhibitor booths. Each exhibitor will be responsible for awarding their own prizes. Participants will have the opportunity to win large door prizes on Wednesday and Thursday during the closing general session (3:30 pm, Exhibit Hall A). Participants must be present to win.

TEARDOWNTeardown begins at 2:30 p.m., Thursday, January 30, and must be completed by 6 p.m. Exhibits will be picked up by Jobbers Moving & Storage and returned to Jobbers’ warehouse following teardown.

Jobbers Moving & Storage will remove all convention freight from the Event Center by end of day, January 30. After that point, each exhibitor is responsible for making shipping arrangements to remove freight from Jobbers’ warehouse with local trucking firms.

Please be sure to make arrangements with the trucking firms prior to the conference. It is the responsibility of each vendor to have the freight bills sent to your company. Do not bill the Event Center for your freight.

ADDITIONAL SERVICES/EQUIPMENTAny additional costs associated with booth setup are the responsibility of the vendor. The Bismarck Events Center will contact all confirmed vendors for additional equipment requests once booth assignments are confirmed. Exhibit booths include a table and two chairs, but you must confirm with the BEC if you need them or it will not be scheduled. You will be charged separately onsite if you do not confirm ahead of time.

DISPLAY MATERIAL SHIPMENTThe Bismarck Event Center will not accept conference shipments prior to the conference start date. Only hand carried items brought in by the exhibitor will be accepted on move-in day.

JOBBERS MOVING & STORAGE – CONVENTION FREIGHT SERVICES All exhibits arriving and/or departing via freight carrier must utilize Jobbers Convention Freight Services. Exhibitors bringing an exhibit into a show on the move-in date for their event, are also responsible for removing that exhibit from the Bismarck Event Center. No freight carriers are allowed by the Event Center to deliver to, or pick up from the Bismarck Event Center.
