SECTION TWO – TIMETABLE (BUILD UP AND BREAK DOWN) Build up times

PETEX 2014 builds up over three days – Saturday 15 November to Monday 17 November 2014.

Please note that all stand construction, preparation and dressing needs to be complete by 17:00 on Monday 17 November. From 17:00, all gangways must be clear of exhibits, packaging and stand fitting materials so that cleaning and final carpet fitting can commence. Pre built Traditional Shell Scheme stands will be ready for dressing and preparation from 12:00 on Sunday 16 November. Opening Hours

Once all visitors have left the halls, exhibitors and contractors are able to start the breakdown of their exhibits and stands as follows:

No exhibits are to be removed before the exhibition closes at 17:00 on Thursday 20 November nor are any contractors to be allowed into the exhibition area until this time. Please ensure your contractors are aware of this. Lorry way access documents can be collected at anytime from 08:00 on Thursday 20 November. The Hall must be clear and vacated by 18.00 hrs on Friday 21 November 2014.

Accidents

If you are involved in or witness an accident at any point during the tenancy of the exhibition, however small, it is your responsibility to report it to the Organisers Office. In the event of the emergency services being required, please do NOT call them direct but inform the Organisers Office – this enables the venue to be briefed and in turn make arrangements for a speedy and direct path through the venue site to the accident area.

Badges/Passes

No badge, no entry. Due to the heightened security in London, we will be very strict on this ruling at all our entry gates. No one will be admitted into PETEX 2014 without an exhibitor, delegate or contractors badge or pass. Badges are non-transferable between delegates.

Badge scanner All badges will be individually bar coded and barcode scanners are available to hire from the registration company. To order a scanner please visit your exhibition area which you will have received by email.

Banking

Also see Cash Machines The Business Service desk located on level 0 of the boulevard can purchase any foreign currency in exchange for GBP, however, they do not sell any foreign currency. The nearest Bank is Halifax located at 286-288 Barking Road, E13 8HR, Tel: 020 7474 9157. Halifax also offer a foreign exchange service.

Banner Sites

It is possible to hang banners from certain areas of the hall. Please contact Graham Harman – Tel: +44 (0) 1844 239111 for details on cost and locations available. Banner sites will be limited and sold on a first come first served basis. All requests for banner sites must be submitted ASAP. PETEX will then obtain bulk costs from the shows’ riggers and advise exhibitors. All hanging banners above stands will be subject to approval by PETEX Ltd and ExCeL who need banner plans to preserve integrity of show. Banner size should not exceed either the stand dimension, or 40sqft and will be placed at an angle to the view from the front entrance and should not in any circumstances extend over the stand of another exhibitor.

Business Services also sell a range of products including; stationary, tools, tape, extension leads and batteries. Cash Machines You will find two HSBC Machines at the West End of the boulevard, and Barclays and HSBC ATM’s situated in the boulevard on Level 0, and one at the East end of the Boulevard by N6/S6. Children We regret due to insurance conditions, children under 16 are not allowed into PETEX 2014 at any time including build-up, breakdown or show times.

Cleaning

The following areas will be cleaned as standard: Toilets, Gangways or aisle cleaning during build, open and break periods, Emptying bins, Cleaning Spillages If you have booked Shell Scheme or All Inclusive your stand will be cleaned which includes: Vacuuming of carpets or sweeping and mopping hard floor and Emptying bins on single storey stands. If you require an enhanced service to your stand, or you have booked space only, please contact ExCeL London Cleaning on: T: +44 (0)20 7069 4500 General waste removal at the end of your tenancy includes small items such as single brochures and general litter. Excess waste such as boxes and large quantities of brochures and stand fitting materials or excessive rubbish is the responsibility of the exhibitor and their contractors. Excess waste left behind after the event may be charged as a dilapidation. ExCeL London recycles on average 86% of its waste. There are recycling bins throughout the venue in both the halls and boulevard.

Cloakrooms The main cloakroom is located centrally in the boulevard on Level 0, with additional cloakrooms located on the boulevard level 0 next to the ICC Capital Hall. There is a lift adjacent to entrance N4 to access Level 0. All items are charged at £1 each. Other cloakrooms may be in use, please follow signs within the boulevard. Please see our website for a map of these locations – www.excel-london.co.uk/visitors/visitorservices/interactivevisitorservicesmap Please note that ExCeL London cloakrooms cannot accept laptops, phones or other electrical goods. The cloakroom will open half an hour before PETEX opens and half an hour after PETEX closes. When the cloakroom has closed, all left luggage and coats are taken to the Security Control Room, T: +44(0) 020 7069 4445.

Contractor Passes

These will be issued for your contractors in advance of the Exhibition. These must be worn during build up and breakdown of the Exhibition. They will not be valid during the opening days. Please see form in Appendix.

Exhibitors are required to supply the organisers with details of any outside contractor (other than those mentioned in this manual) appointed to work on a stand.

Convenience Store

For those last minute purchases or cravings for a quick snack or drink, Whistlestop, located in the Boulevard between entrances S2 and S3, offer a wide range of convenient purchases including newspapers, cigarettes, camera films and confectionary. There are a couple of additional convenience stores located on the campus – Nisa Today, located opposite the Ibis Hotel on Western Gateway and Tesco Express is located next to the Crowne Plaza Hotel also on Western Gateway. Day Nursery & Crèche

A separate crèche facility is available for parents wishing to leave their children in reliable care for just a few hours whilst attending events at ExCeL London. Please be aware that the Crèche requires 1-week notice, and is unable to accept children without prior notice. Please note, children are not allowed at PETEX 2014 at any time due to insurance conditions.

Delegate Bag

If you would like to insert an item in the PETEX delegate bag, please contact Ben Gardner. The item must be limited in size to a single sheet of A4, which can be printed double sided. You will need to print 4,000 copies to fill the bags and delivery times and addresses will be confirmed on booking.

Deliveries

Please note that ExCeL London will not take delivery of any goods if the addressee is not available to sign for the goods. It is important to ensure that all deliveries are made when a nominated person is available to sign for the goods. No goods will be accepted into the venue before the event loading-in date. Dilapidations

Exhibitors are liable for any damage caused to the building floors, walls, columns, iron works, shell scheme equipment or other Centre property. No Exhibitor may apply paint, lacquer, adhesives or coating, to building columns and floors or to shell scheme. No bills, signs, floor coverings or other articles shall be pasted, nailed, taped, or otherwise attached to the walls, floors, ceilings, columns, partitions, shop fronts, or trim except under the direction, and written consent of PETEX Ltd. Any damage caused to the fixtures and fittings of ExCeL will be charged to the Exhibitor. The organisers will inspect every site before erection and after demolition of the stands. All items should be removed at the end of the show. Please note exhibitors will be charged for any goods/materials/pallets/deliveries or miscellaneous items left on site.

Disabled Facilities Access ExCeL London has been purposefully designed to allow unrestricted access for disabled visitors. Parking

158 Disabled parking bays are located within close proximity of the venue. Spaces are available to blue badge holders only and badges must be displayed at all times. Parking for disabled visitors is charged at the normal rate. Access to the building from these bays is along walkways with a gradient of no more than 1:15 or lift (east end).

Within the Building

All public entrances allow for access by wheelchair via low gradient ramps or lifts. Lift control panels are located at a level which can be easily reached by someone in a wheelchair, and Braille or tactile buttons have also been installed.

All lifts have visual and voice indication of the floor reached and an intercom facility activated by an alarm button. The entire centre may be reached by lifts.

All stairs and ramps are fitted with handrails and balustrades.

All public corridors and passageways have a minimum clear width of 1200 mm.

Strong tactile differences in paving are provided to indicate hazardous areas. e.g. Dockedge indicated by cobble stone surface.

Door vision panels giving a zone of visibility between 900 mm and 1500 mm above floor level are provided on all public access doors.

Telephones are located at levels suitable for wheel chair users.

All reception counters, bars and self service counters and at least half the area where seating is provided is accessible to wheelchair users.

Self-service equipment such as cash machines and telephones are located at levels suitable to wheelchair users.

Pictographic signs and symbols have been used to guide people around the building. Visitors with hearing and sight disabilities can gather information about the event, which they wish to visit by using:

The prominent visual displays that are situated inside the central boulevard.

The information Desks sited at either end of the boulevard. Toilets ExCeL London provides 36 toilets for the disabled, which are located throughout the building; within the boulevard, in the Capital Suite on Levels 2 and 3, in the Platinum Suite on Levels 2 and 3, in the Gallery corridors, and within the restaurants and cafes on Level 0 and Level 2. Wheelchairs ExCeL London has twelve self-propelled wheelchairs for occasional use, by less-able visitors within the venue. Wheelchairs are available for use from the Information Desks, on a first come first served basis, with a full refundable deposit. Blind and Visually Impaired Visitors ExCeL London customer service staff have completed visual awareness training in order that we are able to provide practical guidance to blind and visually impaired visitors. Signs involving the use of neon or similar gases are permitted with fireman switches and written confirmation from PETEX Ltd. Electro flashing signs of low intensity are permitted providing PETEX Ltd approves specifications for their use in writing in advance. During the open period of an exhibition stand mains supply will normally be switched on half an hour before the show opens and switched off half an hour after it closes. If you require 24 hour power to your stand please notify Graham Harman +44 (0) 1844 239111. Single and three-phase power is available via underfloor ducting. The organisers will provide general hall lighting throughout ExCeL. Lighting and other electrical installations required must be carried out or connected by the appointed electrical contractor. Stand power will also be switched off at 2200hrs on pre-open night. All electrical work, equipment and wiring must be carried out in accordance with the electrical regulations laid down by the Local Authority, IEE, National Association of Hall Owners, the Health and Safety at Work Act 1974 and the Electricity at Work Regulations 1989. Items which do not meet the required standard will not be connected to the Halls supply.

Exhibitor Registration Exhibitors receive one full complimentary registration for every stand booked or for every 6sqm space booked. Please ensure technical support staff, etc, are included in your complimentary allocation as no further complimentary registrations will be available.

Complimentary registrations are being processed by LiveBuzz Ltd. You will be contacted via email with your allocation for both complimentary registrations and your six last day guest passes for your visitors.

Exhibitors will be issued with a special exhibitor’s badge which will guarantee early and late access to the exhibition hall and also appropriate access during build-up and breakdown. Also included is access to the conference, poster sessions, cocktail party and copies of all of the delegate information. It doesn’t include any general catering, transport costs or accommodation costs. General contractor badges will also be available during build-up and breakdown.

Pre-registered exhibitor delegates will be sent their badge and voucher for the delegate information approximately two weeks before the show. There will be a special exhibitor only registration on Sunday afternoon – 16 November 2014. Exhibitors will not be admitted without their badge. Exhibitors are entitled to six complimentary guest passes for the final day at PETEX 2014. You will be contacted by the PESGB office via email allowing you to register your 6 guests. Health & Safety

It is the responsibility of the stand holder to ensure the health, safety and welfare of all employees, contractors and visitors as far as is reasonably practicable throughout your event. It is recommended that you appoint a supervisor for the stand, with the specific responsibility for ensuring the health & safety of their staff and stand builders. We also require that a Risk Assessment is completed for the stand and submitted to Graham Harman.

Height Limits Exhibitors must adhere to the maximum height restrictions applied. Exhibitors wishing to build above the maximum height limit must contact Graham Harman (at GJC Consultancy) immediately. Insurance

Whilst every precaution is taken, ExCeL and PETEX Ltd cannot accept responsibility for damage to stands or loss of any property on any stand or anywhere else in the Exhibition, or in any course of it’s delivery or removal from the building for any cause whatsoever. The organisers are not responsible for any loss sustained by Exhibitors from fire, theft, damage or any reason, or for personal injury or loss to or by any person employed by the exhibitor or third party. Exhibitors will also be responsible for insuring against any legal liability incurred in respect of injury or damage to property belonging to third parties. In addition to this, exhibitors should protect their expenditure against abandonment and cancellation or curtailment of the event due to reasons beyond our control. Meeting Rooms at ExCeL

There are many meeting rooms available onsite at ExCeL, some overlooking the show floor itself. Should you need one you may correspond directly with the venue, contact details can be found in Section One, pg 4. Music on Stands If you intend to play recorded or live music on your stand during the course of the exhibition, you are required by law to obtain music licences from the Performing Rights Society and Phonographic Performance Ltd. Application forms can be requested from Ben Gardner in the PESGB Office.

Organisers Office

The Organiser’s Office is situated next to the main entrance. The PESGB stand is located on Stand Number G30.

Parking

Lorry and transit parking for exhibitors and contractors is FOC during build and breakdown. ExCeL London offers on-site car parking for 3,700 cars, including over 2,000 spaces directly beneath the venue. All onsite parking is pay and display. The ticket machines are located within the car parks and accept coins, notes and credit cards. As ExCeL London is a green venue, all pay and display machines will be found on stand-by which will activate as soon as you insert your card or cash. The exception to this being Royal Victoria multi-storey car park, which is located at the west end of the site, next to the Crown Plaza Hotel. Car park tickets are issued via a barrier system on entry and payment should be made on departure. Payment machines are located at the entrance to the car park on level zero and on level two and accept both cash and credit card. The undercroft Purple and Orange car parks have a 1.9m height limit, and the Royal Victoria (Blue) multi-storey has a height limit of 2m. The East car park has no height restriction. Please note that the car parks are allocated on a first come first served basis. Overnight sleeping within vehicles is prohibited. The on site hotels have their own private car parking facilities. Please contact the relevant hotel for further information. Bicycles can be parked at the racks opposite the entrance to the Novotel Hotel or located at the West Taxi rank. Security The Organisers have arranged for Security Guards to patrol the exhibition. However, exhibitors should remember that exhibition halls are vulnerable places and should take appropriate precautions against theft. If you intend on supplying your own guard arrangements must be approved in advance. Please note that most hired cabinets have common locks and should NOT be regarded as secure units.

Any incidents of theft must be reported to the Organisers immediately as it will be necessary to complete a security form and report the incident to the police. Please also note that neither the Organiser's nor ExCeL can be held responsible for any loss or damage to stands or exhibits.

Show Catalogue

The catalogue is being handled and produced by Publishing Events. Each exhibitor has a complimentary entry in the catalogue which includes name, stand number, stand name, postal address, telephone and fax numbers, email and web address, contact name and a company profile (maximum of 100 words). You will be emailed a weblink for this by Tuesday 14 October. Please provide your entry in this way.

Smoking

Smoking is prohibited within the venue in accordance with UK Law. Smoking is permitted outside of the venue, e.g. outside the West or East entrances, on the dock edge and on the Capital Suite and Gallery Room balconies.

Stationery supplies and some hardware products are available from Business Services and Whistlestop. B&Q at Beckton is the nearest mainstream hardware supplier.

Traffic Marshalling IMPORTANT NOTICE - ALL VEHICLES TRAVELLING TO EXCEL LONDON FOR THE PURPOSE OF BUILD UP, BREAKDOWN OR DELIVERIES SHOULD KINDLY NOTE THE FOLLOWING;

The venue is only accessible between 0700 and 2300 each day.

On arrival, vehicles need to make their way to the Traffic Administration Office on Sandstone Lane, sat nav postcode E16 1WW.

There is a holding area in front of the Traffic Administration Office, please follow the Marshal’s directions to park, then proceed to the Traffic Administration Office in person.

Drivers will then be issued with a Lorryway Access Document (LAD). This will detail the date, show name, name of the stand, stand number and vehicle registration number. It will also indicate a time limit for unloading or loading. Drivers must adhere to the specified time limit. Those exceeding the time limit will be clamped or removed. If extra time is needed, please see a traffic marshal.

Exit the Traffic Administration Office and return to your vehicle. You will be directed to a queuing system where you should wait until space is available on the lorryway to unload which will be advised to you by a marshal.

On completion of unloading/loading, vehicles must be removed to the relevant parking area or leave the site immediately.

In the event of a vehicle breakdown or accident, please contact a traffic marshal immediately.

The co-operation of all drivers in observing these processes is appreciated. Lorry & Transit Sized Vehicle Parking

All lorry/transit type parking is subject to availability and is located in the north-west lorry park on Seagull Lane (adjacent to the DLR tracks).

Lorry/transit type vehicle parking is free of charge during build up and break down days but there is a £35 per day charge for lorries (vehicles over 3.5 tonnes) and a £20 charge for transit type vehicles (below 3.5 tonnes) during event open days.

Terms and Conditions of Use

Parking is charged at £35/£20 (depending on vehicle size) per open day on a first come, first served basis.

If a vehicle(s) wish to park for build up days only, this will be permitted using the Lorryway Access Document, clearly displayed in the window of the vehicle.

Terms and conditions relating to this are to be found on the reverse of the Lorryway Access Document.

Drivers are required to remove vehicles prior to the open days (unless paying to park as detailed above).

Any vehicles failing to show a valid parking permit or displaying an out-of-date parking permit, shall be penalty ticketed and a fee of £80 will be levied.

All vehicles parked in the north-west lorry park, must be empty of all goods and stock and where possible, all curtains and doors left open.

No overnight sleeping in vehicles is permitted.

Drivers must follow the instructions issued to them by traffic marshals at all times. ExCeL London and it partners accept no responsibility for loss, damage or theft to vehicles or their contents. SECTION FOUR - SHELL SCHEME STANDS Specification The standard Octanorm System is used for our stands. Octanorm is a modular stand system, comprising foam PVC panels and aluminium beams. The full height of a standard Octanorm stand is 2.5m high, the component measurements are shown in the specification below. 300mm fascia panels are provided on open sides supported by aluminium posts at the corners and at mid points when stands span over 4 metres wide. The shell scheme is completed by a diagonal grid of aluminium ceiling beams to give the structure rigidity and provide fixing points for lighting. Large stands may require additional interior posts to support the ceiling grid. All shell scheme stands include:

• Back and side free standing partition walls • Carpeting • Daily cleaning • Fascia name board • Electric socket • Lighting appropriate to size of stand

Wall Panel Specification Shell scheme wall panels will be faced with white vinyl and supported by a system of white aluminium poles and beams. Wall Panel specifications is as follows:

Exhibitors may not affix any material including advertising and logos to the exterior surface of the shell scheme. Only double sided sticky pads, Velcro or Blu-Tac is permitted as a method of fixing displays to the walls. Please note that these products must not be attached to the metalwork or fascia. Exhibitors must not glue, paint, staple, screw, nail or pin the panels to the stand or stick anything to the metal-work. Exhibitors must not use the ceiling grid system to hang any items as any damage caused to panels or metalwork will be charged for. Should you wish to hang heavier items to your shell scheme stand, please contact the standfitting department.

Shell Scheme Name Board Nameboards of 150mm x 1500mm will carry the company name and stand number in standard lettering, white text on a red background, for uniformity this is not to be changed. Details of the precise name required should be submitted to The Freeman Company (UK) using the order form found in the Appendix. Items in the standard Shell Scheme package are not interchangeable or transferable, nor will the cancellation of an item qualify the Exhibitor for a refund. Dilapidations Exhibitors are liable for any damage caused to the building floors, walls, columns, iron works, shell scheme equipment or other Centre property. No Exhibitor may apply paint, lacquer, adhesives or coating, to building columns and floors or to shell scheme. No bills, signs, floor coverings or other articles shall be pasted, nailed, taped, or otherwise attached to the walls, floors, ceilings, columns, partitions, shop fronts, or trim except under the direction, and written consent of PETEX Ltd.

Any damage caused to the fixtures and fittings of ExCeL will be charged to the Exhibitor. The organisers will inspect every site before erection and after demolition of the stands. Shell Scheme Extras The Freeman Company (UK) will be pleased to provide all your additional requirements i.e. additional walling, doors and shelving. Please refer to the form and catalogue from the website. Standard options include: doorways with matching door or curtained entrance, extra panels to make up cupboards, shelves, counters, hanging rails, literature pockets and hat and coat hooks. Raised platforms can also be ordered which will hide any unsightly electrical or plumbing cabling running through to other sections of your stand. Optional Cladding Having your stand clad in 18mm MDF will give a flush finish to your walls, which can be paint-finished and will allow you to use screws, staples, pins and nails, those which cannot be used on standard Octanorm; entire stands, partial or single panels may be clad. All items ordered from the official order form will now be subject to the following testing charges per Circuit Installed as Indicated on the Electrical Order Form Lighting Circuits up to a Maximum of 1.2Kw @ £ 12.00 per Circuit Installed Multipoint Power Circuits up to a Maximum of 2Kw @ £ 15.00 per Circuit Installed Direct Mains Only All direct mains can only be ordered through The Freeman Company (UK) Limited and only after meeting the following criteria will charges be applied and mains installed;

• Copies of the relevant qualifications of any personnel responsible for the completion of the installation must be provided.

• The person carrying out testing must be qualified to the required standard. • All qualifications, insurance and general details must be provided to The Freeman Company (UK)

Limited where upon £150.00 administration fee plus the cost of the main will be charged. The Freeman Company (UK) Limited will then be able to collate the information and forward it on to The PETEX 2014 H&S representative.

Following the completion of the installation by the allocated contractor the following must also be adhered to before energisation of the supply may be facilitated;

• The installation must meet the standards required by the regulations, however should the installation not meet these requirements The Freeman Company (UK) Limited are authorised to postpone energisation until they are met satisfactorily.

• If for any reason the electricians responsible for the installation cannot carry out the required Test & Inspection, The Freeman Company (UK) Limited may carry out this service on their behalf for the fee of up to a Maximum of £300.00 dependent on the Complexity of the installation to be Tested, which includes standby during the open period of the event. This will be in addition to any costs related to the mains supply or administration. Please be aware that any personnel involved will still remain responsible for their own installation

SECTION SIX – SPACE ONLY STANDS

Space Only Stand Fitting Regulations We want your stand to be attractive, effective, safe and to be designed so that it can be built and dismantled within the time available as part of our tenancy. As you design and build your stand, you will have to conform to the requirements of the local authority (Newham), ExCeL London, and the terms and conditions set out on your contract to exhibit. Here is some useful information and some things to consider which will help you do that. Most of it is common sense and intended to be for the benefit of you and your neighbouring exhibitors.

If you have any issues or questions, regarding any of the information below, please do not hesitate to get in touch with our Exhibition Manager, Graham Harman.

Compliance All stand construction must comply with the regulations contained in the Association of Exhibition Organisers’ eGuide, which can be viewed at www.aeo.org.uk/eguide. These regulations are common to the UK’s main exhibition venues and are based on Building Regulations and British Standards. One area which commonly raises issues is the construction of staircases on two-storey stands. Please ensure that the regulations stated in the eGuide are followed, as deviations will not be permitted. Please consider accessibility to your products and services for disabled people when designing your stand. Useful information on accessible stand design is contained within the Equality/ Disability section of the eGuide.

Insurance All stand holders are required to have adequate public liability insurance. Please arrange sufficient insurance to cover stand, goods and fittings exhibited at the event and be aware that we may request to see proof of such insurance either before or at the show. Exhibitors are also responsible for all claims arising from personal injury or damage to property during the periods of build up, event open and break down.

Contractors If you require assistance finding a suitable contractor, please contact our Exhibition Manager, Graham Harman who may be able to recommend companies already working at the show.

If you are using a contractor, please ensure that they get in touch with our Exhibition Manager, Graham Harman as soon as possible. Please also include them on your Health and Safety declaration form. You will find this form in the Appendix.

All contractors must adhere to the venue’s rules and regulations which are outlined in the Association of Exhibition Organisers eGuide. This is available at www.aeo.org.uk/eguide Contractor passes will be issued directly to your contractors upon receipt and approval of your stand design drawings. For security reasons all contractor staff must wear a contractor’s pass in order to gain entry to the venue.

Rigging The suspension of items from the roof or from the balcony or the fixing of items to existing walls or other fitments must be approved by PETEX Ltd at least seven weeks prior to the show.

Space Only Stand Plans All Space Only exhibitors designing and building their own stands need to submit (or their contractors submit) the following items:

• One copy of a scale drawing including plan and elevation (faxed copies are not acceptable)• Construction timetable• Method statement• Risk Assessment• Full details of fabrics and materials being used• Third Party Insurance Certificate showing minimum cover of £5 million• Electrical positions including mains

NB: You or your contractors will not be allowed to commence the build without the items mentioned above having been provided to PETEX Ltd. Please provide these ASAP. Also the contractors must comply with all the requirements of the Health and Safety at Work Regulations 1992.

All plans and documentation should be in English and must show the scale used, which must be no less than 1:50. They should clearly state:

• The exhibiting company’s name and stand number• The name and contact number of the responsible contractor• Details of dimensions, layout, position of exhibits and storage/office areas

Space only sites are not permitted to attach any material to the shell scheme and those sites situated between shell scheme sites must take into consideration the size of the allocated space. Failure to take care over internal measurements could mean that stand will not fit in the allocated space.

In addition all stands must be finished both front and back.

Approval by an Organiser does not constitute anything other than confirmation of acceptance of the overall design. All other Rules and Regulations still apply.

Height Limits and Partition Walls The maximum build height limit for any form of single storey stand fitting, lighting, structure and/or graphic tower is restricted to 4m from the hall floor, including platforms and any flags or balloons. The maximum build height of stand fitting for two-storey stands is restricted to 6m. We will need you to send us structural calculations to demonstrate the stability of your design, and we will also assess its impact on your neighbouring stands.

If you are designing and building your own stand, or if you plan to erect Clip, Nomadic or Pop-Up structures within your space, you will need to construct freestanding partition walls between your own and any adjoining stands. These must be to a minimum height of 2.5m (and a maximum height of 4m). If you do construct a partitioning wall over 2.5m in height, you will have to dress the rear of the partition wall down to a height of 2.5m in a neutral colour and agree that with your neighbouring exhibitor. Just to be clear, logos and branding are not to be shown on the rear face of partition walls when these walls overlook neighbouring stands.

Open Frontages At least 50% of each ‘open’ side should remain open. Such walls should be set back 0.5m from the open perimeter of the site. Solid runs of stand walls along gangway edges need to have natural breaks. Any wall longer than 3m should have either breaks, glazed panels or other similar features at regular intervals. Stands will be more inviting and will please your neighbours if they are suitably open. This is something we will look at when we receive your stand plans.

You will need to remove carpet tape at the close of the exhibition. The venue will charge us (and we will have to charge you) for the removal of any abandoned tape or damage caused to the hall floor. Please note: other forms of fixing to the hall floor, such as cable clips, nails and bolts are prohibited. Dilapidations Exhibitors are responsible for all panels, walls, columns, flooring, hired accessories; etc within their stand area and any damages will be made good at the exhibitor’s own expense. All exhibits and stand fitting materials must be cleared from the venue and charges will be levied for the removal of any abandoned articles, including carpet tape. Disabled Access We would like any disabled persons visiting PETEX to be able to attend any part of the event. In order to facilitate this, we ask you to ensure that your stand and exhibits are easily accessible to disabled visitors. This may include (but not exclusively) providing wheelchair access ramps, induction hearing loops, low level desks, transaction aids and appropriate signage. If you are building a two storey stand, you should ensure that the services provided on the upper level are also available on the ground floor. The organisers and exhibitors have a duty by law, to make sure this is the case. We are responsible for ensuring that the stands and any other activities at the show comply with the Equality Act and the Disability Discrimination Act. Doors, Windows and Vision Panels The required minimum effective clear width of a door is 1800mm. All doors and windows must open outwards. Doors and windows which open outwards shouldn’t infringe on the gangways or neighbouring stands i.e. they should be set back from the stand perimeter. All doors have to incorporate a vision panel of clear glazing giving a zone of visibility spanning from 500mm to 1500mm above the floor. The exception to this is doors to small storerooms, where a small panel may suffice. Escape Routes/Exit Signs Adequate means of escape must be provided from all stands. The travel distance from any part of the stand to a gangway must not exceed 15m. Alternative means of escape and adequately maintained general and safety lighting with exit notices illuminated by both primary and secondary lighting systems must be provided to any enclosed area. Exit signs must be a minimum height of 200mm and a minimum width of 400mm. They must be on a 24 hour emergency electrical supply and illuminated at all times. Occupied inner rooms on stands require an alternative means of escape if they contain more than 60 people and/or the travel distance to a gangway exceeds 15 metres.

Gangways The gangways cannot be infringed in any way. No part of any stand or exhibit, including fascia, signs, lighting, corner posts, etc, can be allowed to project into or over the gangway or obscure any fire or exit signs. For Health and Safety reasons there will be no off-loading of exhibits or stand fitting materials into the gangways under any circumstances. Emergency gangways MUST be kept clear at all times and anything left in any gangway will be deemed as rubbish by the cleaners and removed. Please ensure that your contractors are briefed on this matter. Platform Floors If you incorporate a platform into your stand design; you will need to understand the following:

• The general height cannot exceed 100mm - but areas may be higher for display purposes. Details of platforms exceeding 600mm in height to which persons have access must be provided to us for approval by the Authorities and our Structural Engineers.

• Corners should be splayed, rounded or angled to prevent sharp corners and tripping hazards and platforms should incorporate a ramp into their design for disabled access

• The flooring must not be less than a nominal 25mm thick and be laid with close joints. Wood chipboard or block board used for a floor needs to be of a minimum thickness of 18mm. obviously, platforms must be of a strength and stability sufficient to carry and distribute the weight of the stand fitting, stand personnel, visitors and exhibits, having regard to the loading limits of the Venue floors.

Weights and Floor Loadings The floor weight loading for the North and South Halls at ExCeL is 18kN/M2. If you are exhibiting any items over this weight please inform the operations team as soon as possible to investigate other options. You will need to contact Graham Harman if it is your intention to bring any piece of equipment into the venue or build anything that has a point loading that exceeds 12 tonnes. Stand Numbering All exhibitors should display their company name prominently on their stand so that they are visible and easily identifiable. Site Surveys It is recommended that you or your contractor examine the actual site of your stand area, in order to anticipate and plan for adjustments to stand structures or displays. It is in your own interest to satisfy yourself as to the condition of your site before build up and after breakdown. Stand Finishes All space only stand holders should be aware that many stands will be overlooked from the Gallery/Seminar room corridors, it is therefore recommended that all stands be finished on top to maximise your stands impact to visitors at the event. Likewise if a stand is higher than that of a neighbour and therefore the back wall is visible to visitors it must be finished on both sides.

Risk Assessments for Space Only Stands All Space Only stands must undertake a risk assessment suitable and sufficient to their activities prior to the event. It should identify the hazards present onsite and the ways in which you will minimise and control these hazards. The risk assessment should be made available for inspection onsite, together with a copy of your company's Health and Safety Policy. Please see a sample and template risk assessment in the Appendix.

Exhibitors must also complete a Fire Risk Assessment in order to comply with current legislation. For simple, shell scheme stands, this may be included as part of the stand Risk Assessment. Any stand which is a complex structure or space only stand on which large numbers of people could gather will need a separate Fire Risk Assessment. By law, a Risk Assessment must be ‘suitable and sufficient’, but it must also be simple to understand and implement.

Key Risk Areas This is by no means a comprehensive list, but includes the main areas which normally give cause for concern. Please give the following your due consideration whilst on site and incorporate them into your risk assessment:

• Only commercial equipment appropriate for the task must be used, including tools and ladders.• Lifting operations must only be carried out by the appointed contractors who have fully trained

and qualified personnel. Craning operations must be cordoned off.• Hard hats must be worn at all times when in the vicinity of overhead working.• Vehicles (including forklift trucks) are to observe a 5 mph speed limit on the exhibition site and

use a banks-man when reversing. Beware of pedestrians at all times; they have right of way.• Where possible, use only 110v or battery operated power tools. All portable tools are to be PAT

tested prior to coming on site.• Only use machinery, especially bench saws, with the correct guards fitted.• Portable power tools and equipment must have the minimum length of trailing lead, if fitted,

which must be protected from damage and not left so as to cause a trip hazard.• Children under the age of 16, the general public and animals, except assistance animals, (including

inside cabs of vehicles) are not allowed on site during build-up and breakdown.• Schedule a late working rota to prevent tiredness and accidents.• Correct scaffolding must be used during the construction of any stands or structures, using safety

features in accordance with British Standards. Tower scaffolds must be properly stabilised andpropped.

• Contractors must wear suitable personal protective clothing relevant to the task; this includeshead, eye, hearing, foot and hand protection.

• Understand the fire and emergency procedures. Notify your staff of the location of the first aidfacility, fire exits and emergency assembly points.

• Use and storage of flammable liquids and substances: Take note of the precautions (read theSafety Data Sheet) required for certain chemicals prior to use. Isolating them from waste andother risk areas is important. Chemicals and flammable liquids must be safely removed after useby the user and not placed in general rubbish bins or skips.

• The work area must be maintained free from general waste materials which could present ahazard to operatives. All waste should be disposed of in the proper manner.

• Fire equipment will be supplied for stands by the venue. All extinguishers should remain in theposition in which they are placed and free from obstruction throughout the event. They are foruse by venue and other trained staff only.

5 Steps to Risk Assessment There are two key definitions which are an important part of the risk assessment vocabulary. A “hazard” is something with the potential to cause harm (injury loss or damage). A “risk” is the potential for harm to be realised. This is usually seen as a combination of likelihood and severity and which is detailed in step two below. The key is recognising that whereas there are a great many things which are hazardous, it is the context in which they arise which dictates whether or not they are actually a risk. The most widely accepted approach in the events industry is the five steps approach as follows: Step 1: Identify the hazard and who could be harmed This is the hardest part as it involves predicting everything that could foreseeably go wrong, within reason. There are various approaches to this based on the type of hazard or the type of harm as follows: Types of Harm

• Hazards that cause injury, such as a broken bone • Hazards to health, such as noise

Type of Hazards • Physical e.g. a vehicle • Chemical e.g. carbon monoxide in exhaust fumes • Biological e.g. food poisoning • Ergonomic e.g. upper limb disorders from working at a key board

It is important to consider the potential consequences and who could be harmed. For example with an electrical fault the consequences are both potential injury from the shock or a fire. Step 2: Assess the Risk This depends on the complexity of the operation. It is necessary to assess both the potential likelihood of an incident or accident and the potential severity if it does happen. A widely used format is shown below:

Risks are assessed both before and after controls are put into place. Before controls, we are assessing what would happen if there were no controls. It is important when considering severity to assess the most likely outcome. Step 3: Develop Controls

• Having determined what the hazards are, and to what extent they pose a risk we now need to do something about it. We are required by MHSWR to take a methodical approach which attempts to reduce risk at source. This can be considered under the following headings:

• Eliminate the risk at source. There is a point at which any operation is simply too risky and you must consider this. An alternative is to find a different approach.

• Substitute for a safer method or product. A good example is the use of emulsion paints as a substitute for the more hazardous solvent paints in stand build, or substituting a glass with a plastic cup for drinks.

• Reduce the risk in a quantifiable way. • Isolate from the hazard. • Control the risk.

• Personal Protective Equipment (PPE) are items such as hard hat and safety shoes. They are only effective if something goes wrong. A hard hat is only of use if something falls on your head. It also only protects you and not the person next to you unless they are wearing one too. Far better to prevent the object falling in the first place.

• Discipline is also a method on which there is far too much reliance. It is fairly self evident that simply telling people not to do things that are unsafe and then punishing them when they do, is not an effective way of controlling risk.

The MHSWR and associated guidance also requires that risks should be mitigated with a view to achieving maximum reduction in the level of risk within the bounds of what is reasonably practicable. This means that the employer should do what is reasonable within the constraints of the available recourses in terms of time, money and personnel. This is not a licence to do nothing on the basis that it is too expensive, but should be the result of careful consideration. The key word here is ‘reasonable’. The question to be asked is: have you made reasonable provision to control the risks relative to the costs of controlling them? Step 4: Implement Controls This is the business of implementing controls on the exhibition stand itself. It is worthwhile considering all the practical implications of control measures before they are put into place. Step 5: Monitor and Review It is important to monitor the exhibition stand to ensure that prescribed controls are actually in place. You also need a system of reviewing risk assessments. Exhibition Stand risk assessments have a natural review cycle and a new one is required for each event. For routine operations every risk assessment should have a review date. Other times when risk assessments need to be reviewed are:

• When there has been an accident or incident • When there is a significant change in personnel or process • When there is a change in the law • When monitoring reveals problems.

Due to health and safety regulations you are advised that at certain times during the build up and break down, various parts of the hall may be hard hat areas. It is your responsibility to ensure that your staff and sub contractors are aware of this. Method Statement A method statement deals with the scheduling and management of space only stand construction. All space only exhibitors must obtain a suitable method statement from their principle contractor and submit it at the same time as the stand design and risk assessment. Complex Structures Any booth over 4 metres in height, multi-storey or with suspended items of 400kg and over will have their plans submitted to a structural engineer who will charge a fee which is not pre-determinable and must be paid by the Exhibitor or their Contractor prior to commencement of the works. All plans, risk assessments and method statements for Two Storey Stands need to be submitted by 26 September 2014. Staircase Design and Construction

• A level landing must be provided at the top and bottom of each flight. • Each landing must have an unobstructed length of not less than 1200mm.

• Flights shall have a minimum, unobstructed width of 1.1m. • Doors shall not swing across landings. • Flights between landings shall contain no more than 12 risers where the treads are less than • 350mm and no more than 18 risers where the treads are 350mm or greater. • The tread and riser of each step must be consistent throughout a flight. • The rise of each step must be between 150mm and 170mm. • The tread of each step must be between 280mm and 425mm. • Risers must not be open. • All nosings must be made apparent by means of a permanently contracting material 55mm wide

on both the tread and the riser. • The projection of a step nosing over a tread below should be avoided, but if necessary it must not

exceed 25mm. • A continuous handrail must be provided on each side of flights and landings. • A single staircase shall not exceed 1.8 metres in width. • Where a staircase is divided into more than one channel, no single channel shall be less than 1

metre wide and an additional handrail must be provided between channels. • Spiral staircases are only permitted for exhibiting staff use and not for members of the public. • Helical stairs are permitted where they comply with this guidance and their use is approved by

the venue. Electrics The Freeman Company (UK) are the official electrical contractor for the exhibiton and are therefore responsible for all electrical installations onsite. From July 1st 2012 all electrical contractors will be required to test their electrical installation to a minimum standard demonstrated in the Current EIA Electrical regulations e-guide also Incorporating BS 7671 17th edition. All items ordered from the official order form will now be subject to the following testing charges per Circuit Installed as Indicated on the Electrical Order Form Lighting Circuits up to a Maximum of 1.2Kw @ £ 12.00 per Circuit Installed Multipoint Power Circuits up to a Maximum of 2Kw @ £ 15.00 per Circuit Installed Direct Mains Only All direct mains can only be ordered through The Freeman Company (UK) Limited and only after meeting the following criteria will charges be applied and mains installed;

• Copies of the relevant qualifications of any personnel responsible for the completion of the installation must be provided.

• The person carrying out testing must be qualified to the required standard. • All qualifications, insurance and general details must be provided to The Freeman Company (UK)

Limited where upon £150.00 administration fee plus the cost of the main will be charged. The Freeman Company (UK) Limited will then be able to collate the information and forward it on to The PETEX 2014 H&S representative.

Following the completion of the installation by the allocated contractor the following must also be adhered to before energisation of the supply may be facilitated;

• The installation must meet the standards required by the regulations, however should the installation not meet these requirements The Freeman Company (UK) Limited are authorised to postpone energisation until they are met satisfactorily.

• If for any reason the electricians responsible for the installation cannot carry out the required Test & Inspection, The Freeman Company (UK) Limited may carry out this service on their behalf for the fee of up to a Maximum of £300.00 dependent on the Complexity of the installation to be

Tested, which includes standby during the open period of the event. This will be in addition to any costs related to the mains supply or administration. Please be aware that any personnel involved will still remain responsible for their own installation

Should you require any further information or quotations please do not hesitate to contact a member of the related The Freeman Company (UK) Limited Electrical team, via email or phone, using the contact details provided on the official order form, found in the Appendix. Services at ExCeL are supplied via under floor service ducts and you are advised to consider their location when planning your stand. Please also be aware that some stands will have to accommodate the mains cable and box. You will not be advised whether your stand will hold the mains box. All wiring MUST adhere to all relevant Hall Regulations and IEE Wiring Regulations (sixteenth edition). Prior to your stand being energised all pre-wired and specialist lighting systems must be tested by the person named on the form, and the test and inspection certificate submitted to the electrical contractor for the event. Stand Connections During build-up, initial connections to stands are made as early as possible, but in some cases this could be opening morning if the stand is not complete. The power to all stands will be switched off 60 minutes after the close of the event each day. Please also remember to order a 24 hour supply for the open period if required. Temporary Power Exhibitors and their contractors are advised to contact the official electrical contractor to arrange a temporary power supply for construction of stands if required. Regulations All electrical work must be carried out in accordance with the electrical regulations laid down by the local authority, IEE, Exhibition Venues Association, the Health & Safety at Work Act 1974, British Standards Institution BS 7671 1992 and the Electricity at Work Regulations 1989. A full copy of the regulations and advice on electrical installations can be obtained by contacting the official contractor (see contact pages for details). Basic Guidelines Listed below are examples of “typical” loadings for items plugged into socket outlets:

• 500 watt sockets: PC Computers, TV’s, videos, spotlights to 500W, refrigerators • 1000 watt sockets: domestic filter coffee machines, lighting up to 1000W • 2000 watt sockets: kettles*, machinery up to 2000W • 3000 watt sockets: hired coffee machines, machinery 2000W to 3000W

* These appliances are of varying power requirements dependent upon type and manufacturer. It is therefore essential that the reference tag or plate that is fitted to each appliance under law be read, the loading in watts or KW (Kilo Watts = Watts x 1000) will be stated, and the appropriate size socket be ordered. As the exhibitor, it is your responsibility to order adequate power supply for your stand. Failure to do this will result in delays on site and could be a fire risk. On-site checks will be carried out by the appointed Health & Safety Officer and Electrical Contractor. In all cases the decision of the Organiser and its appointed representative is final.

Common queries regarding Electrical Regulations • Flexible cords shall be of a circular section, fully insulated and sheathed, and the only form of

jointing being used of non-reversible purpose made flex connectors. Flexible cords shall not exceed 2 meters in length on appliances.

• Only one flexible cord per 13A plug top. • Multi-way, plug-in type and bayonet adaptors shall not be used. • The use of trailing block type 4-way fused sockets shall be restricted to the following:

o One 4 way unit per fixed socket outlet, subject to a maximum loading of 500 watts total and its plug shall be fused accordingly.

o A maximum flexible cord length of 2 meters from plug to trailing clock unit. • A fireman’s switch shall be fitted to all types of neon signs at the recommended height. • It is the owners or users responsibility to ensure that the portable appliances are safe to be

plugged into the electrical system and have the appropriate P.A.T sticker clearly visible. • Normal stand lighting circuits cannot exceed 1200w • Socket circuits shall exceed 3000w.

Fire and Safety Regulations for Space Only stands Construction Materials All materials used in the construction of stands, features and displays, including signs and fascias, shall be:

• Of a suitable nature and quality for the purposes and conditions of their intended use. • Adequately prepared and fixed in order adequately to perform the functions for which they are

designed. • Non-combustible, inherently non-flammable or durably flameproof in accordance with BS476-

Part 7. • Water-based, where applicable, e.g. adhesives and paint.

British Standards are the minimum acceptable standards for construction materials. Suitable samples of materials may be submitted to the venue for approval. Materials may be tested on site to ensure that they comply. Decorative Materials Decorative materials used for stand dressing must be flame proofed or purchased already treated by use of the appropriate chemical. Untreated wallpaper and similar thin surface finishes, not exceeding 1mm in thickness, may be accepted provided they are firmly fixed. Artificial plants and flowers are combustible and give off toxic fumes. Therefore they must not be used for stand dressing. Silk-type flowers are acceptable, providing they are fireproof or have been treated and marked as such. Exhibitors’ Responsibilities As an exhibitor, you must ensure the health, safety and welfare of your employees, contractors and visitors as far as is reasonably practicable throughout the exhibition. You should ensure that your actions (or in-actions) do not give rise to accidents, injuries or unsafe working environments and provide proper information, instruction and training and supervise all parties throughout the show. You should also check that any contractors, suppliers, agents etc that you may be using, have a Health and Safety Policy suitable to the exhibition environment. Your attention is drawn to the Health and Safety at Work Act, etc 1974 and the regulations made under this act and you are reminded that the duties imposed by these laws are not reduced, regardless of whether an employer is in their own office or participating at an exhibition. Failure to do so represents a breach of the law, and could result in the prosecution of an exhibitor/contractor by the Health and Safety Executive (HSE).

Fabrics, Drapes, Curtains and Hangings Drapes, curtains, hangings, etc must be inherently or durably flame-proofed. Otherwise they may be treated with a proprietary flame retardant. Test certificates must be available for inspection for any materials intended to be used. Fabrics used for interior stand decoration must be fixed taut and/or in tight pleats (not loosely draped) to a solid backing, secured above floor level and not touching light fittings. Curtains on exit routes should hang 75mm clear of the floor, be parted in the centre and not conceal any exit signs. Floor Covering All floor coverings must be secured and maintained so that they do not cause a hazard. Fixing of floor coverings to the hall floor may only be carried out using Venue approved tape. Other forms of fixing to the hall floor, such as cable clips, nails and bolts are prohibited. The organiser will incur a charge for any tape not removed by the end of the tenancy period or any damage caused to the hall floor, which will in turn, be forwarded onto the Exhibitor concerned. Glazing All glazing used in the construction of stands must consist of safety glass (laminated or tempered) a minimum of 6mm thick. Areas of glazing within 800mm of floor level and over 0.5m2 where the smaller dimension of the pane is greater than 250mm, must conform to the thicknesses shown below (in order to comply with the ‘Code of practice for safety related to human impact’):

Any uninterrupted, large areas of clear glazing shall be indicated with warning stripes, dots, logos, etc. Overhead glazing shall be of wired or laminated glass, or be otherwise adequately protected from shattering. Night sheets Night sheets must be made of inherently non-flammable material or of material satisfactorily treated to render it non-flammable. They shall be stored rolled-up and firmly secured and not cause any obstruction while not in use. Paint Only water-based paint may be used on site. If paint-spraying equipment is to be used, the method must be approved by the venue and not cause a nuisance to others. Protective measures shall be taken to ensure that no paint is spilt or sprayed on to the fabric of the building. Plastic All plastic, including plastic plants and materials used for vision panels etc must conform to BS476 – Part 7, Class 1. Polycarbonate materials are acceptable. Stand Demonstrations and Displays All demonstrations, presentations and displays should be set back from the gangway to avoid congestion. Any machinery shouldn’t present a hazard, nor interfere with any visitors or other exhibitors. Sound should be kept to a reasonable level – technically no louder than 80 decibels – but practically such that it doesn’t disrupt neighbouring exhibitors.

Timber Timber under 25mm thick must be impregnated to Class 1 standard. Treated materials should have ‘BS476-Part 7, Class 1’ marked on them. Boards, plywood, chipboard, etc must be treated if under 18mm thick. The exception to this is MDF, which is acceptable for use due to its density. MDF may not be machined on site as its dust is hazardous to health. Upholstery Upholstered seating must be non-combustible and marked with the appropriate standard.

SECTION SEVEN – ACCESS AND VEHICLE INSTRUCTIONS (DURING BUILD UP AND BREAK DOWN) Directions For a full break down of directions with photos, please see the Appendix. Build Up All exhibitors and contractors with vehicles requiring access to ExCeL must first report to the Traffic Administration office on sandstone lane and register with the Traffic Marshals. Once registered, they will then be directed to the appropriate lorry way for unloading. On arrival there is a holding area in front of the Traffic Administration Office, please follow the marshal’s directions to park, then proceed to the Traffic Administration Office in person with your vehicle registration details. Drivers will then be issued with a lorry way Access Document (LAD). This will detail the date, name of the stand, stand number and vehicle registration number, it will also indicate a time limit for unloading. Exit the Traffic Administration Office and return to your vehicle. You will be directed to a queuing system where you should wait until space is available on the lorry way to unload which will be advised to you by a marshal. Once in the queuing system, drivers must not leave their vehicles unattended. The reason for this is unattended vehicles will stop other exhibitors from gaining access to the lorry ways. Any unattended vehicle will be ticketed and a fee levied. Vehicles causing an obstruction or unauthorised extension to their time limit will also be ticketed and a fee of £300 levied. If extra time is needed please see a traffic marshal. On completion of unloading/loading, vehicles must move to the relevant parking area or leave the site immediately. In the event of a vehicle breakdown or accident, please contact a traffic marshal immediately. The co-operation of all drivers in observing these processes is appreciated. Vehicles must carry the LAD document at all times to identify exhibitors', agents' or contractors' delivery vehicles. Please note that the area around the halls is for delivery or collection only – PARKING IS NOT PERMITTED. Lorries and Transit Sized Vehicle Parking All lorry/transit type parking is subject to availability and is located in the north-west lorry park on Seagull Lane (adjacent to the DLR tracks). Lorry/transit type vehicle parking is free of charge during build up and break down days but there is a £35 per day charge for lorries (vehicles over 3.5 tonnes) and a £20 charge for transit type vehicles (below 3.5 tonnes) during event open days. Breakdown Vehicle instructions All vehicles entering the site must first report to the Traffic Administration office, on sandstone lane and collect a lorry Way Access Document. This can be done at anytime from 08:00 on Thursday 20 November, vehicles will then join the queuing system. Please have your vehicle details with you when you go to the office. You will have a limited time period for loading.

Any unattended vehicle will be ticketed and a fee levied. Vehicles causing an obstruction or unauthorised extension to their time limit will also be ticketed and a fee of £300 levied. Vehicle access Vehicles under 3.5 Tonnes will have access to the lorry way on Thursday 20 November from approximately 16:00. All vehicles 3.5 tonnes and above will only have hall access for break down on Friday 21 March from 08:00. No site access will be permitted on Thursday 20 March unless pre-arrangement has been made with the official Lifting Contractor, Agility Logistics, when access may be available from 1900hrs. There will be parking available for those vehicles arriving on Thursday afternoon. Removing hand carryable items Exhibitors with hand carryables wishing to access the car parks may exit the halls via the toilet stairs/lifts by boulevard shutters N3, N4, N5, N7, N9 down to the service corridor turning towards the automatic doors in the centre of the venue; this will take them to the purple/orange car parks under the building. No goods will be allowed out of the halls and into the car parks via the Boulevard.

SECTION EIGHT – HEALTH AND SAFETY INFORMATION Health and Safety Declaration The Management of Health and Safety at Work Regulations 1999 requires co-operation and coordination with all parties whilst sharing a workplace. It is a condition of entry into the exhibition that every exhibitor, contractor, supplier and their agents comply with the Health and Safety at Work Act etc. 1974 (HASAWA74) and all other legislation covering the venue. The Exhibitor accepts that it is their legal and moral responsibility to ensure that their own and others health and safety is not put at risk by their actions (or inactions) during PETEX. All stand holders will need to submit a declaration of Health and Safety compliance. Please submit this to Graham Harman by Friday 31 October 2014. Exhibitor’s responsibility As an exhibitor, you must ensure the health, safety and welfare of your employees, contractors and visitors as far as is reasonably practicable throughout the exhibition. You should ensure that your actions (or in-actions) do not give rise to accidents, injuries or unsafe working environments, provide proper information, instruction and training and supervise all parties throughout the event. You should also check that any contractors, suppliers, agents, etc that you may be using have a Health & Safety Policy, suitable to the exhibition environment. Your attention is drawn to the Health & Safety at Work etc Act, 1974 and the regulations made under this act and are reminded that the duties imposed by these laws are not reduced, regardless of whether an employer is in their own office or participating at an exhibition. Failure to do so represents a breach of the law, and could result in the prosecution of an exhibitor/contractor by the Health & Safety Executive (HSE). Among the statutory duties owed under Health & Safety legislation the following are particularly relevant, although this list is by no means exhaustive:

1. That a written Company Health and Safety Policy should exist if the company is 5 or more strong. See Section 2(3) of the Health & Safety at Work etc Act 1974 (HASAWA).

2. That a “suitable and sufficient” Risk Assessment should exist in respect to all the significant risks in the businesses which are not already subject to other regulations, e.g. Control of Substances Hazardous to Health COSHH, noise etc. This assessment must be in writing if the workforce totals 5 or more. (Regulations - MHSW)

3. That at least one competent safety adviser must be appointed by an employer to assist him in discharging his health & safety responsibilities. (Regulation 6 - MHSW)

4. That every employer has a duty to co-operate with other employers (e.g. Exhibition Organisers) when sharing a workplace, whether temporarily or permanently.

5. Understanding the Fire and Emergency Procedures of the venue which will be circulated to all exhibitors and establishing the location of the Medical Centre within the venue.

6. The need to maintain emergency gangways through and to the centre of the halls in build-up and breakdown situations.

7. The need for all operatives to wear suitable protective clothing relevant to their job, which includes eye, ear, foot and hand protection.

8. The need for all operatives to wear hard hats when working beneath or near overhead working or if this is impracticable, restricting access in such areas.

9. The safe use and storage of flammable liquids and substances and segregation from waste and other risk areas.

10. Ensuring that portable power equipment is used for the purpose for which it was designed and that safety guards are correctly fitted and used.

11. Ensuring that portable electric tools are used with the minimum length of trailing leads and thatsuch equipment is not left unattended with a live power supply to it.

12. That stacker trucks are not used by anyone other than fully trained personnel.13. That all fluorescent lighting is removed from site and disposed of appropriately. Please see the

following for information on recycling your spent lamps http://www.lif.co.uk/14. That chemicals and flammable liquids are removed from the exhibition venue after use by the

user or, in exceptional circumstances, brought to the attention of the venue cleaning departmentfor safe and proper disposal. Such products must not be placed in general rubbish bins or tips.

15. That any work area is maintained free from general waste materials which could hazardoperatives.

16. That only scaffolding incorporating standard safety features may be used and that any towerscaffold in use is properly stabilised and propped.

17. That all electrical work within the Halls will be carried out by the Organisers’ nominatedcontractor. Compliance with the Electricity at Work Regulations 1989 is mandatory.

18. That all materials used for construction or display be to Local Authority Standards and not lessthan British Class 1 standards of flammability.

Fire Precautions Some stands will be provided with a fire extinguisher (water type) for the duration of the show, by the Fire Officer – it must not be removed. Exhibitors should ensure that at least two of their stand contractors and staff are aware of how to use these extinguishers and of the location of the fire exits and alarm points within the halls. Any exhibitor requiring a special type of extinguisher owing to the nature of their exhibits must make their own arrangements.

Please note: If you are exhibiting anything that involves fire, a naked flame or a risk of fire you must submit a separate Fire Risk Assessment for your stand.

Product Demonstrations Exhibitors must ensure that a risk assessment is carried out for any proposed demonstration. Where a demonstration gives rise to significant risk to health and safety, full details including the risk assessment must be submitted to the organiser for onward submission to the venue. Controls must be put in place to ensure that:

• Demonstrations do not present a fire or safety hazard.• They are arranged so as not to cause a nuisance.• They do not obstruct or encroach into gangways.• Space for an audience is allowed within the stand area – viewing from gangways is not permitted

and they must be kept clear at all times.

Please note: The venue reserves the right to curtail any activity considered to be detrimental to public safety.

Hazardous Substances ExCeL London is an enclosed space and it will be filled with many thousands of people during the event. Any exhibit or process that is likely to generate and/or emit gases, vapours, liquids, fumes or dusts into the venue must not be used without formal approval from the Organisers and the Venue. Though it is common sense, it is important to note several basic guidelines, all of which are designed to protect you and our visitors.

EXHIBITOR TERMS AND CONDITIONS

Exhibition booth rental shall be payable to PETEX Ltd as follows:

Initial 25% on booth allocation Final 75% by 31st May 2014

Contracts after 31st May 2014 must be accompanied by full payment (100%).

If any of the above stage payments is fourteen days or more in arrears (whether demanded or not) the contract may at any time thereafter be terminated forthwith by notice in writing from PETEX Ltd to the exhibitor. In such events all rentals paid shall be forfeited and the balance of the rental shall become due and payable forthwith. PETEX Ltd reserves the right to cancel or terminate this contract at any time and to withhold possession of exhibition space if the exhibitor fails to perform any condition of this contract or fails to abide by the rules and regulations for exhibitors at ExCeL, London and in such events all rentals paid shall be forfeited and the balance of the rental shall become due and payable forthwith.

For any cancellations made by the Lessee before 19 September 2014, exhibit space rental fees paid hereunder by the exhibitor and received by PETEX Ltd will be refunded by PETEX Ltd only provided the cancelled space(s) can be resold and all other exhibition space in all the exhibition areas within ExCeL, London rented by PETEX Ltd are also sold. Any such refunds will be subject to a 10% administrative charge. Cancellations received by PETEX Ltd after 19 September but before 17 October 2014 will be refunded 50% of the cost of the space booked, provided the cancelled space can be resold and all other exhibition space in the exhibition area within ExCeL, London is also sold. All refunds will be processed within 90 days after January 2015. No monies will be refunded for cancellations received by PETEX Ltd after 17 October 2014. All cancellations made by the exhibitor must be in writing.

PETEX Ltd will attempt to place exhibitors in their preferred positions, but reserves the right to change stand locations or specifications at any time.

Apart from shell and all inclusive stands the rental does not include services and utilities ie. it does not include electrical mains, spotlights, powerpoints, furniture, telephones, compressed air, water, etc. All such equipment and services is available directly for hire from the exhibition contractors. All charges for such rental will be charged to and must be paid directly by the exhibitor to the exhibition contractors.

The exhibitor will indemnify the organisers and PETEX Ltd, PETEX 2014 and PETEX Ltd subcontractors hereinafter known as PETEX against all costs, claims, demands, actions, expenses, damages, penalties or proceedings, arising out of or in any way connected with, the exhibitor’s occupancy and use of the exhibition premises or any part thereof including without limitation loss of life personal injury and damage to property. Exhibitors will be required to meet the cost of making good any damage to floors, walls, structures, shell, stand and accessories.

Exhibitors will also be required to abide by all the rules and regulations relating to PETEX Ltd occupancy, i.e., hours and tenancy at ExCeL, London and to make good any costs relating to additional hours required for their particular stand occupancy, over and above the regulations specified in the Online Exhibitor Manual.

PETEX, the exhibition venue, or any staff member will not be liable for any consequential or indirect losses arising out of theft, damage caused by fire, accident, flood, weather, accident or any other cause. PETEX, howsoever arising and from any cause whatsoever.

Exhibitors are responsible for their own insurance and third party liability minimum insurance cover of two million pounds sterling will be required as stated in the on line Exhibitor Manual. Exhibitors will present a copy of valid insurance documents at the commencement of PETEX.

The exhibitor agrees to adhere to and be bound by all applicable fire and building codes and regulations stipulated by the venue, local Council, by the organisers or PETEX Ltd, as defined in the Online Exhibitor Manual.

Exhibitors may not sublet, subdivide or reassign stands without the express written permission of PETEX Ltd. Any exhibitor requests to sublet, subdivide or reassign must be put in writing to PETEX Ltd, with at least one month’s notice of such a proposed action. If permission is granted, only the prime exhibitor’s company name will appear on the shell scheme fascia board.

Exhibitors may not engage in any promotional activity outside the confines of their own rented areas without prior written permission from PETEX Ltd. Exhibitors may not use their stand for any purpose which is deemed unsuitable by the venue, organisers or PETEX Ltd.

The exhibitor agrees to be bound by this agreement, and the rules and regulations for exhibiting at ExCeL, London, which will be listed in the Exhibitor Manual.

GUIDANCE NOTES

Your Risk Assessment Form

All risk assessments should be a careful and studied examination of your activities ensuring that your build, the exhibition and breakdown are achieved safely and nothing occurs which could cause harm to any person.

The following guidelines will assist you to make a basic risk assessment of your activities. If you are building a large complicated stand, or are involved in unusual activities during the exhibition, you may need to seek the assistance of a qualified Health and Safety Adjudicator.

Note 1

A hazard is anything that has the potential to cause harm i.e. a workman falling from a ladder, dropping tools, moving large and heavy loads etc.

Note 2

In this section you must include everyone who could be injured as a result of such activities, i.e. the workman, other people working on the stand, other exhibitors, porter moving furniture etc.

Note 3

Your actual risk assessment. A risk is the likelihood of a hazard happening. Use the columns to judge the risk and tick the appropriate boxes. If both ticks are in the top boxes then you should not pursue the activity (it is too dangerous) and should seek an alternative way of completing the task. If both ticks are in the centre boxes you will need to implement some form of control. If both ticks are in the bottom boxes then it is unlikely that you will need to implement additional controls.

Note 4

You will record what steps you have taken to ensure nothing dangerous occurs. Your entry may read something like “Use of trained and qualified staff only, rope and post area to restrict area, ensure staff trained in manual handling etc” (These examples are guidelines only).

Note 5

You are legally responsible for any person working for you and their actions. You must ensure that any contractors you use are competent and will work in a safe manner. This you may do through requesting copies of their Health and Safety policy. For smaller companies, who may not have such documents, you should request copies of their public liability and employees insurance documents, letters of reference etc. If they cannot supply such documentation you would be wise not to use them. Details of such checks should be entered in this box.

ExCeL, London Health & Safety Regulations

Policy Statement It is the policy of ExCeL London to ensure so far as is reasonably practicable, the health, safety and welfare of its employees and others who may be affected by its business objectives. The company recognises that complying with the Health & Safety at Work Act 1974 (and regulations made under it) is a legal requirement, not a matter of choice.

Adherence to this policy will be afforded equal priority to the discharge of other statutory duties and business objectives.

Our policy is to comply with and where possible exceed the minimum requirements of the law, to do this we will provide sufficient resources to meet this commitment. Through the process of effective planning and organisation we will ensure that systems are in place which will allow us to control, maintain, monitor and where necessary, improve safety performance.

Adequate facilities and arrangements will be maintained to allow communication and consultation on health & safety matters between all levels of the business. In return, the company expects employees at all levels to comply with their legal duties. This includes co-operating with us on health and safety matters and taking care of their own health and safety and that of others, whether from within or from outside the company, who may be affected by their actions.

Any information, instruction, training or supervision necessary to meet these commitments will be provided to those who require it in order to perform their job safely.

The company is committed to a policy of environmental protection and shall endeavour to take all reasonable measures within its control to ensure that all work materials, equipment and activities do not endanger the environment.

This policy will be regularly monitored to ensure that its objectives are achieved. It will be reviewed and if necessary, revised in the light of organisational and legislative changes.

Please be as accurate and concise as possible with details especially the exact location. If you are using a mobile phone or dialling from an outside line, dial 020 7069 4444 or if you are using an in-house phone dial these extensions:

Please do not dial 999, contact the Security Suite who will contact the emergency services for you. The Medical Treatment Room is situated in Level 0 adjacent to boulevard entrance S4.

Fire Safety On Discovering a Fire: Break glass at nearest EXIT. Contact the Security Suite by dialling 4444, state “Fire” and give the exact location.

Only if you have been trained and it is a very minor fire, and it is safe to do so, tackle the fire with the nearest suitable fire extinguisher. Always ensure there is a safe exit route before attempting to extinguish any fire.

In the Event of a Reported Fire If you are in the venue you will hear the following instructions over the public address system:

“Attention please, attention please, Mr Goodfellow report to the Security Suite”

This is the signal for you and your staff to prepare to evacuate from the building i.e. collect your personal belongings only if at hand.

Evacuation If the situation becomes worse, the following announcement will be made:

“Attention please, attention please, here is an important announcement. It is necessary to ask everyone to leave the building. Please make your way to the nearest exit. Everyone will be re-

admitted as soon as possible”

All Clear The following announcement indicates the end of the emergency:

“Attention please, attention please, Mr Goodfellow is cancelled”

Bomb Alert Procedure In the event that a bomb threat is received the following announcement will be broadcast over the public address system:

“Attention please, attention please, staff call 100”

Please do not leave the building. Inform your colleagues, and then carry out a search for suspicious objects on your stand and immediate area. If nothing is found, tell the Organisers Office who will report all clear to the Security Suite.

If You Find a Suspicious Package • Do NOT touch or move it.• Calmly clear the immediate area of people.• Report it to the Security Suite giving the exact location and description of the object.• DO NOT USE YOUR RADIO OR MOBILE PHONE.

If you receive a bomb threat on your telephone, obtain as many details as possible and then inform the Security Suite on internal number 4444.

The newsletter is one of the main ways of communicating with our members - it is produced monthly, except for a combined August/September issue, and posted to the whole of our membership, approx. 6000. It is an ideal way of making sure your company is noticed - the newsletter is a 165mm x 240mm, coloured glossy publication of between 72 and 88 pages long. It is also available online in the members’ only section from January 2007 to present.

Regular sections provide details of all PESGB activities together with reports of current industry news. Also each month there is a comprehensive jobs section. Recent membership surveys showed that 45% of PESGB members are geologists and 36% are geophysicists. Of the membership 45% work for oil companies and 79% are from middle and senior management. Only a limited number of our members belong to other societies so therefore the newsletter is the ideal medium to reach a fresh audience.

You will be asked to complete a Lorry Access Document and must have the following Information available to gain access to the lorry way

• Event / Stand Name• Vehicle Drivers Name & On Site Contact Number

• Vehicle Registration.Once the vehicle driver goes back outside they must speak to the Traffic marshal who will give

instruction as to which lane the driver needs to queue in.

The vehicle driver will be allocated a queuing lane and coloured zone on the lorry way. Which will ensure a parking space closest to the stand / area required in halls?

Please ensure you have the LAD and make your way back to your vehicle, and while the vehicle is stationary please switch off your engines.

SHIPPING INFORMATION INSTRUCTIONS

GENERAL

Show Carriage Limited is pleased to confirm its appointment as the Sole Official Lifting Handling and Shipping Contractor for Petex 2014.

In conjunction with our global network of agents fully experienced with Exhibition transportation requirements Show Carriage Limited will be offering a comprehensive Door to Stand Service. This includes collection from origin, shipping and all relevant Customs liaison under bond directly to stand. Please contact us for further information and details of our appointed service partners in your region. Services can be booked directly by completing the Show Carriage Service Order Form.

DEADLINE DATES

All goods should be shipped on a freight prepaid basis and should arrive in the UK by the following dates:

Any freight arriving after these dates may incur additional charges. Documentation must be sent to our office prior to shipment.

BOND FACILITY

To aid the speedy and efficient customs clearance of temporary imports into the UK, Show Carriage Limited has a high threshold bond in place to underwrite potential VAT and duty. This avoids payment on deposit of large sums of money where expensive display material or equipment is involved. Show Carriage reserve the right to maintain control over export of all cargo entered under this bond facility.

PRE-ADVICE OF SHIPMENT

In order that early release from UK Customs may be obtained it is vital that we are informed of your shipping details as soon as the goods are dispatched from country of origin.

DOCUMENTATION

For Customs Clearance purposes we require 4 copies of a pro forma invoice and packing list, in English, showing quantity, description and value of each descriptive item. The invoice must show the Origin of the goods and bear an original signature. Invoices should be made out as follows:

Should there be goods that are for temporary importation, it is essential that these be shown on the invoice separately from items that are for permanent importation. Due to changes in UK customs requirements it will be necessary for all temporary imports from outside the EU to carry a unique VAT number which has to be applied for in advance by us. Because of the time constraints we must have sight of Proforma Invoice and AWB prior to dispatch.

Any items that are to remain in the UK after the exhibition will be subject to Value Added Tax and if from Non EC Countries Customs Duty will be payable and charged to your account. These amounts will be calculated in accordance with the declared value and must be paid prior to release of the goods. For exhibitors coming from within the European Union it will be necessary to declare their VAT registration number with country prefix code on all documentation.

For exhibits that are being shipped on an ATA Carnet please ensure that a letter of authorisation for Show Carriage Ltd to sign the Carnet on your behalf is attached and sent with the Carnet.

SEAFREIGHT

Please ensure bills of lading and invoices used for shipping purposes are dispatched to Show Carriage without delay – see consigning instructions (page 3). In order to avoid unnecessary detention costs these must be sent at least 7 working days before the arrival of vessel.

AIRFREIGHT

(i) Kindly send invoices with airline/carrier attached to the airway bill and not to the cases or freight itself. For consigning instructions (page 3).

(ii) Send an additional copy invoice and a copy airway bill in advance of dispatch of shipment together with your pre-advice of shipment with estimated time of arrival to Show Carriage Limited on fax no. +44 1371 820 720.

PACKING AND MARKING

All commodities should be packed securely and if the goods are intended to be returned to origin after the event re-useable cases should be supplied. In addition, all Packages should bear the name of the exhibition, your stand number, exhibitor name and the package number.

Any shipments that are for Temporary Importation should be packed separately from items that are for consumption at the exhibition.

LARGE/HEAVY EXHIBITS

The venue has some difficult access areas (depending where your stand is located). Please pre-advise us of all deliveries – preferably including a stand plan diagram BEFORE YOU ARRANGE SHIPMENT.

Please consult the organiser’s technical manual for loading details. If you are unsure that any piece complies with these regulations, then please contact Show Carriage for clarification.

DELIVERIES DIRECT TO VENUE

Delivery direct to the venue is strictly controlled and where possible we suggest exhibits be delivered to our warehouse in advance of the show. By using this method, waiting time at the venue is thus avoided. Please seek further advice from Show Carriage and check out our arrival deadlines and delivery costs attached hereto.

INSURANCE

Please check with your insurers that your goods are insured for all risks insurance cover whilst in transit to and from and during the period of the exhibition.

TERMS AND CONDITIONS

Show Carriage will undertake all duties at PETEX 2014 in accordance with current BIFA Standard Trading Conditions, and in accordance with the following specific conditions:

1. All charges will be applied in accordance with the tariff published herein UNLESS prior agreements or quotations apply.

2 Unless freight is routed via one of our appointed agents we will require payment of all charges as advised by us prior to the final day of the show. Personal and foreign cheques will not be taken but advance Bank Transfers, cash or major credit cards are all acceptable alternatives. Invoice queries must be made in writing on receipt of invoice. Payment of DUTY / VAT is required prior to release of shipment.

3. Freight collect shipments will not be accepted under any circumstances.

4. Exhibitors are reminded that Show Carriage does NOT insure goods. Show Carriage is able to insure your shipment upon your written instructions and against payment of a single premium.

5. Direct delivery to the venue must be pre-booked with Show Carriage.

The Freeman Company (UK) Limited’s full Terms of Business can be provided, on request,. 1.1 In placing a Client Order with The Freeman Company (UK) Limited the Client accepts, with no reservations, that these Terms and Conditions of Business take the place of any other document, prior written or oral agreement, as well as the Client’s terms and conditions of purchase or hire. 1.2 The Freeman Company (UK) Limited’s Terms and Conditions of Business can only be amended in writing. 1.3 The Contract will be interpreted and applied in accordance with English Law and the parties to the Contract agree to submit to the exclusive jurisdiction of the English Courts. 2.1 A Client Order must be evidenced in writing either by signing a The Freeman Company (UK) Limited Pre Payment Order Form or by accepting a The Freeman Company (UK) Limited Quotation. Except where stated, The Freeman Company (UK) Limited’s terms and conditions of business for the placing of Client Orders, their variation and cancellation, will apply to Quotations, Pre Payment Order Forms, site orders and Electronic sales orders. 2.5.1.4 In the event that you cancel an order, even if only advised orally, you will be liable for any work put in hand in order to meet the timescales necessary to complete work to the deadlines of the Event for which the work is intended. 2.2.1.2 All Client Orders placed after the defined Cut Off Dates will be subject to late order surcharges. The same will apply for any request to change a Client Order and/or additional Orders made outside the aforementioned deadlines. 2.2.1.3 Acceptance of a Client Order will be conditional on timing and on stock availability. The Freeman Company (UK) Limited reserves the right to supply in lieu and in place of the equipment ordered, any similar equipment fit for the general purpose of the required items of equipment or service. 2.5.3 In the event of cancellation of a Client Order by a Client, the Client will pay to The Freeman Company (UK) Limited the labour and material costs of any work undertaken by The Freeman Company (UK) Limited in order to fulfil the Client Order, at The Freeman Company (UK) Limited’s Fully Costed Rates. 2.6 Any Client Order placed on Site will be charged at the surcharged price as detailed in the exhibitor manual or as detailed on any Prepayment Order Form. 3.1.3 Furniture hire Prices are quoted for the Duration of the Event for which they are made available hired (provided the total hire period does not exceed 14 days). A delivery charge may be applied if The Freeman Company (UK) Limited is not an Official Contractor at an Event. 3.1.4 All Prices are exclusive of VAT. 3.2.2 Where a Client wishes to amend a Client Order after work has started on Site, the Client will be charged in accordance with the terms set out below at 3.3.1, for changed Client Orders. The Freeman Company (UK) Limited will only proceed to make any change after a Site Order Variation Sheet has been signed by the Client’s representative on Site. Labour time incurred by The Freeman Company (UK) Limited or its contractors will be charged at the The Freeman Company (UK) Limited Fully Costed Rate. 4.1 It is the duty of the hirer to provide at such event or exhibition, a duly authorised representative to accept the furnishings and to give a written receipt. If the hirer fails to provide for this, he will not be permitted to dispute subsequently the facts of the delivery and be deemed to have accepted the delivery and these conditions. 4.2 In the event of non delivery or if the Client is not satisfied that the goods or services that have been ordered are delivered in conformity to the Quotation then a member of the The Freeman Company (UK) Limited Site team must be notified before the Open Period of the Event. If the Client is not satisfied with the remedial action taken by The Freeman Company (UK) Limited, the matter should be addressed with the Senior member of the The Freeman Company (UK) Limited Site team or with the Event Organiser’s on site staff. 4.3 In the event of a dispute that cannot be resolved on site, the Client will submit their complaint in writing to The Freeman Company (UK) Limited within seven days of the opening of the Event. The Freeman Company (UK) Limited will consider the complaint and respond to the Client within 10 working days. 4.4 No complaint will be addressed unless it has been brought to the attention of The Freeman Company (UK) Limited’s team before the Open Period of the Event. 4.5 If, after return, apparently malfunctioning products are found by The Freeman Company (UK) Limited to be to specification and fully operational, then the Client will be charged for The Freeman Company (UK) Limited’s costs in recovering and replacing the item with all costs calculated at the at the The Freeman Company (UK) Limited Fully Costed Rate. 4.6 Once the Contract is complete, the Client will not be able to claim "force majeure" or an act of God against The Freeman Company (UK) Limited, as The Freeman Company (UK) Limited will be considered to have performed its contractual obligations. 4.7 For the hire of furniture, the liabilities of the Client commence at the time the furniture is delivered to Site, or are collected from The Freeman Company (UK) Limited’s premises, and continue until they are collected from the Site by The Freeman Company (UK) Limited or are returned to The Freeman Company (UK) Limited’s premises. During this time the Client will:- (i) Keep at the Client’s own expense the furniture in good and substantial repair and condition and in the event of any article being damaged beyond repair or lost by fire, theft or any other cause whatsoever, will pay The Freeman Company (UK) Limited the full replacement value of the furniture plus the original - hire charge. In the event of any item being damaged and

requiring repair the Client will pay the full cost of such repair in addition to all hire charges. (ii) Keep the furniture fully insured to their full replacement value against all risks. Clients are reminded that the period of the insurance shall include at least five days prior to the opening of the event or exhibition for which they are hired, and at least five days after its conclusion. Furniture is hired only on this condition. PAYMENT 4.8.1 Unless otherwise agreed, all Client Orders for items ordered from Pre-payment forms must be accompanied by full payment. 4.8.2 In the event of non payment within the terms detailed in our Quotation The Freeman Company (UK) Limited reserve the right to withhold the goods or services that have been ordered. 4.8.3 In the event of late payment, with reference to the terms detailed in The Freeman Company (UK) Limited’s Quotation, The Freeman Company (UK) Limited reserves the right to charge interest of 3% p.a. over the HSBC base rate until paid.5.2.4 Save as expressly provided in all these Terms and Conditions, the Client shall indemnify The Freeman Company (UK) Limited against all actions, claims and demands whatsoever arising from any loss or damage of whatsoever nature suffered by any party as a result of its conduct in completing the Contract or complying with any Event or Site conditions. 6.1 It is the duty of the hirer to provide at an event or exhibition, a duly authorised representative to accept the furnishings and to give a written receipt. If the hirer fails to provide for this, he will not be permitted to dispute subsequently the facts of the delivery and be deemed to have accepted the delivery and these conditions. 6.2 As from its being made available, its delivery or acceptance, the Client will be responsible for the safety of The Freeman Company (UK) Limited’s property throughout the Duration of the Event and will be responsible for any damage to The Freeman Company (UK) Limited’s property caused by the actions of the Client or its customers. 6.3 During this period The Freeman Company (UK) Limited disclaims all responsibility concerning documents, objects, samples, equipment or other goods present in / under / on the equipment rented by the Client. 6.4 Clients are reminded that all equipment should be emptied of personal belongings immediately at the end of the Open Period of the Event, in order that The Freeman Company (UK) Limited’s property may be removed from Site as quickly as practical. The Freeman Company (UK) Limited accepts no responsibility for the safe custody of goods left in cabinets, draws or similar storage items. 7.1 The Freeman Company (UK) Limited provides all goods, including complete stand structures on hire only and the Client undertakes: 7.1.2 To use the equipment in accordance with its usual purpose, to do nothing nor allow anything to be done that could lead to its damage or its disappearance, to give it the normal maintenance required, to keep it and to return it in good working order and clean, and to respect the The Freeman Company (UK) Limited’s particular recommendations, specific advice for use, and appropriate warnings which it acknowledges having read notably in these Terms and Conditions, the specifications sheets, and/or the documents that were handed over to it on delivery. 7.1.3 Not to carry out any modification or repair to The Freeman Company (UK) Limited’s property, however small. 7.1.4 Not to nail, apply adhesive or paint, or damage The Freeman Company (UK) Limited’s property in any way without The Freeman Company (UK) Limited’s agreement or the express permission as set out in the Exhibitor manual for the Event. 7.1.5 To allow any of The Freeman Company (UK) Limited’s representatives or persons authorised by the latter, unrestricted access to the equipment installed for purposes of maintenance and to take any necessary steps to make their mission easier. 7.1.6 To return goods to The Freeman Company (UK) Limited free of any object. 7.1.7 To be responsible for any electrical item connected to a socket or mains connection installed by The Freeman Company (UK) Limited and to accept full responsibility and all consequential costs resulting from the connection of a faulty or inappropriate electrical item connected to a socket or mains connection installed by The Freeman Company (UK) Limited. 7.1.8 To pay The Freeman Company (UK) Limited the cost of repair or replacement (as appropriate) for any item damaged whilst in the care of the Client however caused. 8 All goods, materials, plant or machinery supplied by The Freeman Company (UK) Limited, shall be on hire unless otherwise stated. The period of hire will be Duration of the Event unless otherwise stated. The Freeman Company (UK) Limited shall enter the Site to collect and to remove its property as soon as permitted after the end of the Open Period. 10.1 The illustrations and / or photos featured in the sales documentation (irrespective of the medium) are for guidance only are not binding specifications. 10.2 Clients may photograph work carried out by The Freeman Company (UK) Limited for their own marketing purposes only and attention is drawn to paragraph 9.2 (please see full terms and conditions regarding the use of The Freeman Company (UK) Limited designs.

For electrics at the following exhibition: PETEX 2014

In the experience of The Freeman Company (UK) Limited in providing electrical supplies for exhibitions, we find that many exhibitors are not aware of the power requirements of equipment that they will be using. This Quick Reference Guide is designed to assist exhibitors in planning their power requirements, and if followed, will reduce the likelihood of problems occurring at the exhibition venue.

SO Group provides standard 3-pin English 13A socket-outlets, but with four different power ratings. The list below indicates the sort of equipment that can be used with each of the power ratings:

SK1 (500W) IS RATED AT 2 AMP AND CAN SUPPLY:

SK2 (1000W) is rated at 4 AMP AND CAN SUPPLY:

Please Note:

The list indicates individual items that can be used with each socket, with the exception of the 500W socket above. All sockets are supplied on daytime power only unless 24-hour continuous power is requested and quoted for.

Actual power requirements will vary dependent upon the individual equipment used. All electrical equipment has a Rating Plate that shows its power consumption in Watts (W) or kilowatts (kW). You should carefully examine all equipment to be used and calculate the exact power usage before ordering your electrical power requirements.

If you are ordering a socket so as to be able to supply your own lighting arrangement(s), then in accordance with the regulations, the maximum power rating of any single lighting circuit is 1000W (1kW), so if, for example, you had 3kW of lighting on your stand, you would need to order 3 x 1kW sockets for this arrangement.

Under the current regulations it is not permissible to order a socket and use it to supply a consumer unit if you are carrying out the installation of your own electrical wiring and equipment. In these circumstances you will need to order an electrical mains supply.

The Freeman Company (UK) Limited reserves the right to supply in lieu and in place of the equipment ordered, any similar equipment fit for the general purpose of the required items of equipment or service. 2.5.3 In the event of cancellation of a Client Order by a Client, the Client will pay to The Freeman Company (UK) Limited the labour and material costs of any work undertaken by The Freeman Company (UK) Limited in order to fulfil the Client Order, at The Freeman Company (UK) Limited’s Fully Costed Rates. 2.6 Any Client Order placed on Site will be charged at the surcharged price as detailed in the exhibitor manual or as detailed on any Prepayment Order Form. 3.1.3 Furniture hire Prices are quoted for the Duration of the Event for which they are made available hired (provided the total hire period does not exceed 14 days). A delivery charge may be applied if The Freeman Company (UK) Limited is not an Official Contractor at an Event. 3.1.4 All Prices are exclusive of VAT. 3.2.2 Where a Client wishes to amend a Client Order after work has started on Site, the Client will be charged in accordance with the terms set out below at 3.3.1, for changed Client Orders. The Freeman Company (UK) Limited will only proceed to make any change after a Site Order Variation Sheet has been signed by the Client’s representative on Site. Labour time incurred by The Freeman Company (UK) Limited or its contractors will be charged at The Freeman Company (UK) Limited Fully Costed Rate. 4.1 It is the duty of the hirer to provide at such event or exhibition, a duly authorised representative to accept the furnishings and to give a written receipt. If the hirer fails to provide for this, he will not be permitted to dispute subsequently the facts of the delivery and be deemed to have accepted the delivery and these conditions. 4.2 In the event of non delivery or if the Client is not satisfied that the goods or services that have been ordered are delivered in conformity to the Quotation then a member of The Freeman Company (UK) Limited Site team must be notified before the Open Period of the Event. If the Client is not satisfied with the remedial action taken by The Freeman Company (UK) Limited, the matter should be addressed with the Senior member of The Freeman Company (UK) Limited Site team or with the Event Organiser’s on site staff. 4.3 In the event of a dispute that cannot be resolved on site, the Client will submit their complaint in writing to The Freeman Company (UK) Limited within seven days of the opening of the Event. The Freeman Company (UK) Limited will consider the complaint and respond to the Client within 10 working days. 4.4 No complaint will be addressed unless it has been brought to the attention of The Freeman Company (UK) Limited’s team before the Open Period of the Event. 4.5 If, after return, apparently malfunctioning products are found by The Freeman Company (UK) Limited to be to specification and fully operational, then the Client will be charged for The Freeman Company (UK) Limited’s costs in recovering and replacing the item with all costs calculated at the at The Freeman Company (UK) Limited Fully Costed Rate. 4.6 Once the Contract is complete, the Client will not be able to claim "force majeure" or an act of God against The Freeman Company (UK) Limited, as The Freeman Company (UK) Limited will be considered to have performed its contractual obligations. 4.7 For the hire of furniture, the liabilities of the Client commence at the time the furniture is delivered to Site, or are collected from The Freeman Company (UK) Limited’s premises, and continue until they are collected from the Site by The Freeman Company (UK) Limited or are returned to The Freeman Company (UK) Limited’s premises. During this time the Client will:- (i) Keep at the Client’s own expense the furniture in good and substantial repair and condition and in the event of any article being damaged beyond repair or lost by fire, theft or any other cause whatsoever, will pay The Freeman Company (UK) Limited the full replacement value of the furniture plus the original - hire charge. If the hirer fails to provide for this, he will not be permitted to dispute subsequently the facts of the delivery and be deemed to have accepted the delivery and these conditions. 6.2 As from its being made available, its delivery or acceptance, the Client will be responsible for the safety of The Freeman Company (UK) Limited’s property throughout the Duration of the Event and will be responsible for any damage to The Freeman Company (UK) Limited’s property caused by the actions of the Client or its customers. 6.3 During this period The Freeman Company (UK) Limited disclaims all responsibility concerning documents, objects, samples, equipment or other goods present in / under / on the equipment rented by the Client. 6.4 Clients are reminded that all equipment should be emptied of personal belongings immediately at the end of the Open Period of the Event, in order that The Freeman Company (UK) Limited’s property may be removed from Site as quickly as practical. The Freeman Company (UK) Limited accepts no responsibility for the safe custody of goods left in cabinets, draws or similar storage items. 7.1 The Freeman Company (UK) Limited provides all goods, including complete stand structures on hire only and the Client undertakes: 7.1.2 To use the equipment in accordance with its usual purpose, to do nothing nor allow anything to be done that could lead to its damage or its disappearance, to give it the normal maintenance required, to keep it and to return it in good working order and clean, and to respect The Freeman Company (UK) Limited’s particular recommendations, specific advice for use, and appropriate warnings which it acknowledges having read notably in these Terms and Conditions, the specifications sheets, and/or the documents that were handed over to it on delivery. 7.1.3 Not to carry out any modification or repair to The Freeman Company (UK) Limited’s property, however small. 7.1.4 Not to nail, apply adhesive or paint, or damage The Freeman Company (UK) Limited’s property in any way without The Freeman Company (UK) Limited’s agreement or the express permission as set out in the Exhibitor manual for the Event. 7.1.5 To allow any of The Freeman Company (UK) Limited’s representatives or persons authorised by the latter, unrestricted access to the equipment installed for purposes of maintenance and to take any necessary steps to make their mission easier. 7.1.6 To return goods to The Freeman Company (UK) Limited free of any object. 7.1.7 To be responsible for any electrical item connected to a socket or mains connection installed by The Freeman Company (UK) Limited and to accept full responsibility and all consequential costs resulting from the connection of a faulty or inappropriate electrical item connected to a socket or mains connection installed by The Freeman Company (UK) Limited. 7.1.8 To pay The Freeman Company (UK) Limited the cost of repair or replacement (as appropriate) for any item damaged whilst in the care of the Client however caused. 8 All goods, materials, plant or machinery supplied by The Freeman Company (UK) Limited, shall be on hire unless otherwise stated. provided, on request,. For convenience paragraphs retain the numbering of The Freeman Company (UK) Limited’s complete Terms of Business.

1.1 In placing a Client Order with The Freeman Company (UK) Limited the Client accepts, with no reservations, that these Terms and Conditions of Business take the place of any other document, prior written or oral agreement, as well as the Client’s terms and conditions of purchase or hire. 1.2 The Freeman Company (UK) Limited’s Terms and Conditions of Business can only be amended in writing. 1.3 The Contract will be interpreted and applied in accordance with English Law and the parties to the Contract agree to submit to the exclusive jurisdiction of the English Courts. 2.1 A Client Order must be evidenced in writing either by signing a The Freeman Company (UK) Limited Pre Payment Order Form or by accepting a The Freeman Company (UK) Limited Quotation. Except where stated, The Freeman Company (UK) Limited’s terms and conditions of business for the placing of Client Orders, their variation and cancellation, will apply to Quotations, Pre Payment Order Forms, site orders and Electronic sales orders. 2.5.1.4 In the event that you cancel an order, even if only advised orally, you will be liable for any work put in hand in order to meet the timescales necessary to complete work to the deadlines of the Event for which the work is intended. 2.2.1.2 All Client Orders placed after the defined Cut Off Dates will be subject to late order surcharges.
