Welcome to the Rites of Passage Festival – Sydney 2016! As a brand new festival, we look forward

to working with Tatsup Tattoo Supplies on this event to continue the stellar reputation of the

Melbourne Rites of Passage Festival.

VISITOR WAIVER FORM

Visitor Waiver Forms are provided at the Festival. They must be filled out by your clients

and kept with your records.

ARTIST & VENDOR WRISTBAND FORM

We are providing wristbands and lanyards in 2016. All artists are allocated 1 wristband and lanyard

for themselves and 1 wristband and lanyard for an assistant. Vendors are based on the size of your

booth. (Single = 2, double = 4)

Any wristbands that need to be replaced will only be done with the return of the original

wristband. If you do not have it for any reason you will be charged $15 for a replacement. No

exceptions. If you require extra wristbands please email Shannon for an Exhibitor Wristband Form.

Wristbands / lanyard combo will be required to enter the festival and must be worn at all times.

Accreditation collection point is at the Entry door opposite the ticket box.

FURNITURE HIRE

As per your contract, your stand will be stocked with the following furniture per every Artist:

- 1 x trestle table

- 1 x exam table

- 2 x foldable chairs

Furniture is available for collection on site from the Exponet desk. If you need to organise extra

furniture please contact your Sale Manager.

Additional furniture packages, if booked before 7 October, are available as outlined below (all

rates incl. GST). Surcharges apply for any orders placed onsite.

MOVE-IN / MOVE-OUT

SAFETY INFORMATION

Safety vests and enclosed shoes must be worn at all times during Move In and Move Out.

You will not gain access to the venue without these. Safety vests are available to purchase

at the Festival Office located inside the Festival entrance.

Strictly no children (or babies) under the age of 15 Years Old are permitted inside the

Exhibition Halls or Loading Dock during Move In and Move Out.

No alcohol is to be consumed in the Halls or Loading Dock during Move In and Out.

No motor vehicle will be allowed on the festival floor without prior permission. Strict

guidelines must be adhered to. Please contact the Festival Coordinator to discuss.

Exhibitors without prior approval will not gain access to the venue.

How do I access the loading dock?

Access to the Sydney Showground Loading Dock is via Gate 13 off Australia Avenue. The

Loading Dock operates in a one way system with exit via Gate 15 onto Murray Rose

Avenue.

A 15 minute unloading limit applies to all vehicles on the loading dock. Times for larger

vehicles are at the loading dock attendant’s discretion.

The fire lane must be kept clear at all times. Please take direction for Loading Dock staff to

ensure a safe working environment. Parking or waiting in the Fire Lane is strictly prohibited.

HOLDING LANE: A holding lane will be established on the Eastern side of Australia Avenue

for vehicles awaiting access to the Loading Dock via Gate 13. Please take direction from

the Traffic Controller to ensure a safe working environment.

EXHIBITOR PARKING DURING MOVE IN / MOVE OUT

Exhibitors may use the loading dock for loading and unloading purposes only. Parking in

the Fire Lane is strictly prohibited.

2 hour free parking is available on Grand Parade. Restricted parking (30mins) available on

Murray Rose Avenue. Showground Road is metered parking.

After loading / unloading goods, vehicles must leave the loading dock immediately.

No parking or loitering is allowed in these areas.

MOVE-OUT

When you finish please close your SHARPS CONTAINERS and put them in the medical waste bins.

Tattooing MUST be completed by 6:00pm on Sunday 16 October.

Move-out will be directly after the Festival closes.

All goods and stand materials MUST be removed by 8pm on Sunday 16 October.

Move Out cannot officially start until all visitors and children have left the building and ALL

exhibitors and contractors are wearing Safety Vests and closed toe shoes. This normally takes 40

minutes from close of Festival. Please be patient during this time.

CAR PARKING

Car parking is available within the Olympic Park precinct at P1 and P6.

It is possible to pre-book parking. For a pre purchased discounted Exhibitor rate please contact

the Sydney Showground Venue Services team or you can order online at

www.sydneyshowground.com.au/onlineexhibitorservice no later than 29 September.

Automatic and Pay & Display machines accept:

Coins: 10c, 20c, 50c, $1 and $2 coins only (note: machines do not give change)

Credit card (i.e. MasterCard and VISA)

Mobile phone (note: Transaction fees may apply)

Change machines Located on Dawn Fraser Ave (west). Change machines only accept

$5, $10 and $20 notes and do not accept credit cards.

Cashier Pay Stations Located at P1 & P6 car parks and are generally staffed during major

events.

Pay & Display Ticket machines are available at P6 series car parks as well as on-street

parking on Showground Road, Dawn Fraser Avenue (west) and Herb

Elliot Avenue.

Automatic Pay Stations Located at all boom gated, car parks. They operate 24/7.

Free Parking Available in the following locations:

Grand Parade 2 hr limit (between Showground Rd & Olympic Blvd)

Olympic Boulevard 2 hr limit (between Grand Pde & Murray Rose Ave)

Dawn Fraser (outside Novotel) 2 hour limit

GENERAL A-Z

ALCOHOL/DRUGS

No person is permitted to consume or be under the influence of alcohol or illicit drugs while

working at any time during a hire period.

AMPLIFICATION

Any amplification or AV equipment must not interfere or disturb other exhibitors. For further

clarification, please contact us.

BALLOONS/DECORATIONS

Helium balloons are not permitted within SS. No Crepe paper, hessian or corrugated cardboard

can be used in displays and any banners or signs must be non-flammable.

CAFÉ ACCOUNT CARD

Account cards are available to order online via the venue services website,

www.sydneyshowground.com.au/onlineexhibitorservice

CARE OF BUILDING

Exhibitors are not permitted to paint, nail, staple, screw, tape or glue to any floor, ceiling or wall

within the Venue. Material used in stand construction must not cause damage, dampness,

staining, be readily ignitable or be capable of emitting toxic fumes should ignition occur.

The SS’s floors are timber. As this is a heritage listed building, it is important to preserve and protect

it from any damage. Any furniture or equipment needs to have rubber covers on its legs. Please

do not rest anything with rough or sharp surfaces directly on the floor.

COMPETITIONS

Only tattoos by artists in the current Sydney Festival (14 – 16 October 2016) can be entered in the

competitions; the work of non-participating artists is ineligible.

DELIVERIES

Your stand goods cannot be delivered prior to Thursday 13 October. Neither the venue, security

nor the organisers can accept delivery of goods on behalf of exhibitors by signing for stock or

products. Goods must be clearly labelled like below:

ENCROACHING INTO AISLES

Please be aware of the Occupational Health & Safety and Egress requirements of the Venue.

Minimum 3m aisles must remain clear and unobstructed.

EXHIBITOR FACILITIES ROOM / WASH UP AREAS

The Exhibitor Facilities Room contains a sterilizer, thermal printers and printer/copiers.

Wash up sinks with hot & cold running water and drainage facilities according to health

requirements are located behind artist stands.

FOOD AND BEVERAGE SAMPLES

There are food and liquor regulations that apply at the venue. The Sydney Showground has

exclusive rights for the sale and distribution of all food, drink and tobacco. No exhibitor can

distribute, sell or give away food without the prior written approval from the Organiser and Sydney

Showground.

HEALTH & SAFETY ONSITE

Personnel must use appropriate Personal Protective Equipment (P.P.E.).

No Naked flames are permitted in the venue. LPG cylinders are not permitted to be stored in the

venue.

City of Parramatta have informed us the will be doing on site health inspections. They’ve given us

the below pointes to make sure yours goes smoothly. More information can be found here

Choice of skin prep – comply with Victorian regulations or you will be asked to buy or

risk being shut down.

Make sure you have the appropriate alcohol swabs

No flags/curtains over access paths

Make sure bottles are labelled correctly

What we provide for artists:

- Common back of house area with shared use of sinks with hot and cold water and drainage

facilities, soap and paper towel.

- A welcome pack with paper towel, a bin, bin liners, visitor waivers and Aftercare fact sheets, 1x

sharps container, 1x personalised artist pack provided by Tatsup Supplies, 1x roll of paper towel

What you need to provide:

Cling wrap for wrapping chairs and tables etc.

Your preferred paper towel supply

All disposable ‘once off use’ equipment or sterilised equipment – needles, grips, tubes etc.

Plastic or stainless steel shelving units that can be easily wiped down

Appropriate sterilised piercing materials – i.e. niobium, titanium, solid 14 or 17 carat gold,

implant high grade quality stainless steel, platinum and dense low porosity plastic such as

mono filament nylon, acrylic or Lucite.

Appropriate sterile materials for piercing and tattooing (gloves, jellies, creams, 70% Alcohol

swabs, containers etc.) The City of Parramatta states all liquids, creams, inks and pigments

must be decanted into single use containers and a single use applicator must be used for

each person undergoing the procedure (no double dipping).

When tattooing/piercing make sure:

Cover areas with cling wrap that will be sat on or touched (i.e. chairs, tables etc.)

Always wash your hands before and after each tattoo/piercing procedure and reapplying

a new set of gloves every time.

Do not consume food and beverages when tattooing / piercing.

Sterilise your equipment before re-using or disposing of any items that have been used.

Provide containers and shelving that can easily be wiped down (plastic, or stainless steel)

Keep accurate records of every tattoo and piercing procedure for every client done at

festival.

Check IDs of people potentially under 18 years of age.

Inspect instruments and needles for damaged and blunt points (needles must never be

tested for sharpness on the skin of the operator or client)

Keep the Exhibitor Facilities Room and common wash up areas clean and in a non –

hazardous state – please let the staff at the Festival Office know if there are any issues of

cleanliness and if restocking is required.

Setup your stand according to the Health Regulations Waiver attached to Booth

Registration Forms.

Take the time to explain to the client how to maintain and protect their tattoo

and/piercing to prevent infection.

IMMIGRATION

For those who are travelling from overseas to exhibit at the Festival, please contact Shannon

Woodford to receive an immigration link to complete. Once you have completed this, you will

receive a visa letter to help with your application process through your local Department of

Immigration.

The following visa options have been recommended for all international delegates of the Rites of

Passage Festival:

1. Temporary Work (Short Stay Activity) (Subclass 400) visa – should be used by those who are

being paid by an organisation in Australia for their participation in a Trade Fair, Exhibition or

Festival and those who are selling their goods or services directly to the general public.

Please note: A tourist visa is not appropriate to use if you will be working at the festival. You will be

turned back by the Department of Immigration on arrival in Australia.

INTERNET

The Sydney Showground offers a range of Wired & Wireless internet options for your stand. Internet

connections must be ordered online with the Wired & Wireless Internet Services form which is

available directly through the venue. The form is part of this info pack. Please note that orders

must be placed by 29 September.

LIGHTING & POWER

One spotlight per single booth is included in your stand package. One 10 amp power point is

included in your stand package per single booth. If you require extra power, please complete the

Lighting and Power Contractor Form or contact ExpoNet.

OVERNIGHT POWER SHUTDOWN ONSITE

All power within the hall will be switched off overnight during the festival. If you require 24 hour

continuous power to your stand, please inform the Festival Office onsite.

PROMOTIONAL STAFF

Promotional staff hired by exhibitors are not permitted to roam the hall, foyer or stand at the entry

door. They must remain on the stand of which they are employed during Festival hours. All

promotional staff must be appropriately dressed.

PUBLIC ADDRESS (PA SYSTEM)

The PA system (public address system) is only for authorised announcements made by the

Organiser. It is only available to exhibitors and visitors in the case of genuine emergencies.

SECURITY

Security will be in operation throughout the Festival open hours including move-in and move-out.

Exhibitors are advised that they are responsible for their own product security. We recommend

Exhibitors ensure a representative remains on their stand until all products have been removed. Do

not leave personal items overnight.

SELLING OF PRODUCT

If you are selling product to visitors during the festival, all items must have a receipt attached so

Security personnel can supervise their removal.

SMOKING

Smoking is only permitted within the designated smoking areas. No smoking inside buildings or any

substantially enclosed areas, No smoking in other public areas, or ticketing lines and No smoking

within 4 metres of a pedestrian entrance to or exit from a public building.

STORAGE

There is no onsite storage available.

TROLLEYS

Limited Trolleys will be available from the Festival Office as a first in, first served basis located just

inside the entry door to the right. These can be hired onsite in exchange for ID.

TESTING AND TAGGING

Testing and Tagging is included in your stand package. There will be Test and Tag electricians at

the venue during the move in times. Please make sure you note the times they are available,

which will be advised closer to the event. Any electrical equipment will need to be checked by

them to ensure it meets Australian standards.

VEHICLES

Relevant and current licenses must be held for all vehicles driven on site and presented to venue

staff. Please contact Shannon for further vehicle policies if you are bringing a vehicle on site.

WAIVERS

There are two types of waivers that need to be completed.

Exhibitor Waiver - This waiver outlines all the health regulations to adhere to onsite and on your

stands.

Visitor Waiver – this waiver needs to be completed by the client getting a tattoo. It is a health

requirement to hold onto these and keep with your records of who has been tattooed and

pierced. You can use your own or the form provided by the Organisers. We are providing 10

copies in each artists’ bucket. Additional forms can be collected from the Info Office.

Where is local Public Transport?

Sydney Olympic Park is conveniently serviced by bus, train, taxi and ferry services:

Transport by train Olympic Park train station is on Sydney Showground’s doorstep. The Sprint

service, operated by CityRail, travels between Lidcombe and Olympic Park

Stations daily, every 10 minutes. A limited number of direct services also

operate between Central Station and Olympic Park Station. For further

Transport by bus Sydney Buses operate direct bus services to Sydney Olympic Park from a

number of locations including Lidcombe, Strathfield and Parramatta. For

information regarding timetables visit www.131500.com.au.

Transport by ferry Sydney Ferries run a daily service between Circular Quay and Parramatta

stopping at Sydney Olympic Park Ferry Wharf. To travel to Sydney

Showground, visitors must also catch a connecting bus. For further information

regarding timetables visit www.131500.com.au.

Transport by plane Sydney Airport is approximately 20km from Sydney Olympic Park and is easily

reached by all modes of transport including car, train, taxi or bus. For more

What do I do in the case of requiring First Aid / Fire and Emergency?

First Aid

During the move-in period, the show hours and move-out, qualified first aid will be on duty.

All accidents and incidents should be immediately reported to the Organisers Office.

The person reporting the incident must also keep a written report of time, date, place and other

details regarding the incident, this person must follow up to ensure the appropriate action was

taken. All contractors are to hand in a copy of their reports on a daily basis with a complete

report at the end of the show to the organisers.

In the event of any accident or emergency, alert a Security Guard (always located at the

entrance to the exhibition) and the Festival Office.

Are animals allowed in the venue?

No animals are permitted in the Venue, except for guide and assistance dogs, or animals which

are an approved exhibit or form part of an activity or performance legitimately requiring the use

of animals. Venue approval is required for the latter two cases.

City of Parramatta Guidelines

Tattooist and other body art practitioners conduct procedures that involve skin penetration.

Because 'skin penetration' carries a risk of infection, the premises and procedures where skin

penetration is conducted must comply with the Public Health Regulation, 2012. Council

regulations also apply to the provision of hair and beauty services throughout the City of

Melbourne.
