The American College of Phlebology invites you to be an exhibitor at the 29th Annual Congress to be held
November 12-15, 2015 in Orlando, Florida.
The ACP Annual Congress offers companies the opportunity to display their products and services to the largest
annual meeting of vein specialists.
Each year, approximately 1000 individuals from the United States and abroad register for the ACP Annual
Congress. Registrants include physicians from diverse specialties including phlebology, general, vascular & other
surgical subspecialties, dermatology, interventional radiology, general & interventional cardiology, internal &
family medicine, emergency medicine, anesthesia and obstetrics & gynecology. Additional registrants include
physician assistants, nurse practitioners, ultrasound technologists, podiatrists, and other professionals working in
the field of venous disease.

The ACP’s 29th Annual Congress will convene at the
Hilton Bonnet Creek located in sunny Orlando, Florida
and is close to two major airports (Orlando International
Airport and Kissimmee Gateway Airport).
Hotel Reservations
Each company will be allowed up to three (3) sleeping
rooms per booth space and will need to submit
individual names along with your company name for
each room reservation. There will be a specific code
you will need to use to make your reservations at the
Hilton Bonnet Creek. This code will be emailed to you
once you submit your exhibit application and deposit.

An invitation only luncheon event is held annually for individuals who register to attend specifically dedicated
to recognizing, promoting and networking about female health care professional’s experiences working in the
phlebology community. The supporter will be promoted at the lunch via signage, in comments from the podium
and on presentation slides throughout the lunch. Estimates anticipate 50 attendees at this event.
Fee: $5,000
Program BookDeadline for Ad Materials and Payment: February 27, 2015
The Preliminary Program for the ACP Congress is printed and mailed to registrants during the early spring before
the Congress each year and contains vital information about the Congress. The Final Program for the ACP
Congress is posted online in the fall of each year providing additional exposure to advertisers. Advertisers will
receive placement in both the preliminary and final programs.

Exhibitors may only set up and dismantle during the designated hours listed in this prospectus. Exhibitors
may not dismantle or leave their booth unattended prior to the designated dismantle times. All companies
must adhere to exhibitor hours. Admittance to the exhibit hall by exhibitors and attendees will be allowed
during posted hours only, except with the authorization of ACP staff. Violations of this regulation will be cause
for expulsion from the exhibit hall and exclusion from future exhibit functions of the American College of
Phlebology.
Any exhibitor dismantling prior to the designated dismantle times will have 5 points deducted during the
calculation phase of their next Congress exhibit application.
PLEASE NOTE: The ACP reserves the right to modify the times listed above as circumstances dictate. If
necessary, the revised hours will be sent out.

ACP FOUNDATION EVENTS DURING ACP’s 29th ANNUAL CONGRESS
Golf Outing
Wednesday, November 11th is the date for the ACP Foundation’s 7th Annual Golf Outing. All level of players are
welcome at this charity event. Sponsorships will be available including longest putt, hole in one, beverage carts,
individual hole sponsors and donor reception. Full details will be available in spring 2015.
Silent Auction
The 8th Annual Silent Auction for the ACP Foundation will be held during the ACP’s 29th Annual Congress. All
ACP members, industry affiliates and other interested associated are invited to donate an item to this fundraising
event. All Annual Congress attendees are encouraged to bid on items ranging from training courses and
weekend hotel getaways to phlebology supplies and equipment used by members.
The monies raised during these premier events help to fund projects that benefit the entire phlebology
community as well as the patient. A listing of these projects includes (but is not limited to): ACP Phlebology
Fellowship Training Program, Physicians in Training Scholarships to attend Congress, the ACP Speakers Bureau,
Research Grants, Grants to Insurance Medical Directors to attend Congress, Development of Professional

The exhibit program is designed to provide physicians and attendees with first-hand information about products
and services specific to the area of phlebology and to serve as a forum for updating the physician’s knowledge
of current technological advances in the field of phlebology. The exhibit program is an integral part of the overall
educational program for the ACP Annual Congress.
The ACP will consider applications for exhibit space for products and services in the following categories:

+ Pharmaceuticals specific to phlebology, both prescription and non-prescription
+ Office equipment, record-keeping equipment, or services relating to the support of non-medical aspects of the practice of phlebology

Criteria for Acceptance
Permission to exhibit may be granted to firms only if their proposed exhibit meets the following criteria,
determined by the ACP in its sole discretion:
+ The products or services relate specifically to the medical and scientific aspects of the practice of phlebology
+ The products or services to be displayed are safe when used in accordance with the instructions or recommendations of the applicant
+ The products or services are capable of safely performing in accordance with the claims made by the applicant
+ The products or services to be displayed contribute significantly to the educational purpose of the Congress
+ The availability of space and other logistical consideration permit assignment of your company

Assignment of Space
All exhibit applications received on or before April 24, 2015 will be included in the initial round of space
assignments made on a priority point basis. Those applications received after April 24, 2015 will be assigned on
a first come, first served basis. Those companies that submit an exhibit application on or before April 24, 2015
will receive their booth assignment in early May 2015.
ACP reserves the right to rearrange the floor plan at any time. If this is to occur, all registered exhibitors will be
notified.
Tips: Requesting Your Booth Space
+ Because assignments are made based on priority points, new exhibitors are unlikely to receive assignments near highly popular exposition hall entrances.
+ While the ACP makes every effort to accommodate special requests, when you indicate competing companies or other companies you prefer not to be near, you limit your chance of getting a preferred booth location.
The ACP will attempt to accommodate exhibitor requests for specific booth(s), however, no guarantees can be
made that the Exhibitor will be assigned the specific booth(s) requested.
Priority Point System
Exhibit booths for the Annual Congress will be assigned based on the priority point system listed below, date/
time of receipt of application, and exhibitor’s preference for proximity to other exhibiting companies.
+ 1 point for each booth or table top purchased at any ACP meeting
+ 1 point for every year exhibited
+ 0.5 to 1 point for item(s) donated to Silent Auction ($500-$4999 value=.5 points, $5000-$10,000=1 point)

The application date of receipt is used to determine assignments only when there is a need to break a tie in
points during initial assignments or determine priority for applications from companies who do not have any
priority points or for those applications that are received after priority point assignments.

Booth Information
Each booth is 10’x10’. All dimensions are believed to be accurate but are not warranted by the ACP. To maintain
uniformity and to prevent obstruction of view of adjoining booths, no solid or draped walls can be higher than
eight feet in the back and three feet along the dividers and aisles.
The price of the booth includes-in addition to the space itself for the entire exhibit-an identification sign showing
firm name, cleaning service for the aisles of the exhibit area and three complimentary registrations per booth.
The exhibit hall is carpeted.
Sufficient lighting is provided for adequate illumination in the exhibit area, but no individual electrical outlets
are provided in the booth space. All electrical work must be supplied by the general service contractor, AGS
Expo Services, to ensure that it will meet the safety requirements of the fire regulations of Orlando, Florida. All
draping or display materials of cloth must be fireproofed. Under no conditions will combustible oils or gases be
permitted in the exhibit area.

+ Multiple adjoining booth spaces (i.e., double or triple booths) may be purchased. Because of the limited booths available, a maximum of 3 booths per company will be permitted.

*Exhibitors are asked to submit a 50-word company or product description to be printed in the final program which will be distributed to attendees onsite. The deadline

Deposit
A deposit in U.S. funds of 1/2 of the total rental fee for requested space (whole U.S. dollar amounts only) must
be submitted with the application for exhibit space. Applications will not be processed or space assigned until
the deposit is received.
Balance
The balance due must be received on or before September 4, 2015. If full payment is not received by this date,
booth space may be cancelled and/or reassigned without notification or refund of deposit.
Cancellation
There will be a $350 cancellation fee assessed for any booth cancelled prior to September 4, 2015. No refund will
be made in the event of cancellation after September 4, 2015.

Booth Relocation
In the event of conflicts regarding space requests,
or conditions beyond its control, the ACP reserves
the right to review the floor plan. The ACP will not
relocate booths, unless an unforeseen circumstance
prevails and relocation is unavoidable. In this rare
occasion, the exhibitor will be given the option to
cancel and receive a full refund on their exhibit booth
payment in the event the reassigned space is not
acceptable to the exhibitor.
Agencies Requesting Space for Clients
Agencies requesting space for a client must provide
a letter of authorization with the exhibitor application
from the client.
Reduction Policy
In the event an exhibitor reduces its exhibit space,
the ACP reserves the right to maintain the continuity
of the Exhibition Hall. Every attempt will be made to
accommodate the request.
+ If, at the discretion of the ACP, the exhibit
space can be re-sized and remain in
the current location, the exhibitor will
pay the applicable cancellation penalty
plus the fee for the new space.
+ If, at the discretion of the ACP, the exhibit space
cannot be resized and remain in the current
location without jeopardizing the continuity

located to a space of its choice based on best

Interpretation and Application of Rules & Regulations
All matters in question not specifically covered by
these rules and regulations are subject to the decision
of the ACP through the Board of Directors or the
Executive Director.

Contractor Services
The contractor listed below has been selected as the official general service contractor for the 2015 Annual
Congress. All official contractors act on their own behalf in all arrangements with exhibitors and are not agents,
employees or representatives of the ACP. All services or materials supplied by such contractors on order of
the exhibitor will be billed directly by the contractor to the exhibitor. The ACP does not assume any liability or
responsibility for any act performed or omitted by such official contractors. The Exhibitor Service Kit containing
order forms for such services as shipping, decorating, drayage, electrical work, customs brokerage, signs,
cleaning, lead retrieval, etc. will be sent to you from AGS in July.

Security
The ACP will provide watchmen on a 24-hour basis from the beginning of set-up through dismantling.
Furnishing of this service is not to be construed to be any assumption of obligation or duty with respect to the
protection of the property of the exhibitors, which shall at all times be the sole responsibility of each exhibitor.
The ACP, the Hilton Bonnet Creek, or any of its officers, agents, or employees shall not be liable for any act of
omission of such watchmen.

Registration
Each registered exhibitor will receive a complimentary pre-registration list approximately 30 days before the
meeting and a final registration list 30 days after the meeting. Use of these lists will be restricted to a one time
use and information directly related to the ACP Annual Congress (email addresses and phone numbers will not
be provided). These lists will be sent via email to the contact person listed on the application for exhibit space.
Membership
The ACP’s membership list of approximately 2000 names is the most current and accurate listing of
phlebologists available. There is a fee for the list which may be used for a one-time mailing. Please visit

It is the responsibility of each exhibitor to maintain such insurance against injury to person or damage or loss
of property in such amounts as the exhibitor deems adequate. Insurance protection will not be afforded to the
exhibitor either by the ACP, or by the Hilton Bonnet Creek. Proof of insurance may be requested by the ACP.

Literature Distribution
Small token items may be distributed from the exhibit
without prior approval, however, ALL items must
comply with current AdvaMed, AMA, Pharma Code
regulations on physician gifts.
No Exhibitor is permitted to hand out literature or gifts
of any type outside the perimeters of their booth. This
includes meeting rooms, registration areas, and all
public areas of the Hilton Bonnet Creek.
Photography and Video Taping
Videotaping and photographing within the exhibit hall
is prohibited except by the official ACP photographer*.
Photographs and video taping are only permitted
within your own booth. No exhibitor may photograph
or video tape another company’s exhibit booth or
demonstrations. Violation of this rule will result in
confiscation of the photo, image and/or video and the
loss of priority points.
*During the ACP Annual Congress, attendees,
exhibitors and guests may be photographed by the
official ACP photographer, or videographer. The
College reserves the right to use an individuals’
photo, likeness or image in future promotional ACP
publications or materials.
Co-marketing
If two or more companies wish to be assigned exhibit
space adjacent to one another, each company must
attach a cover letter to their application for exhibit
space, explain the request and copy the other
company. The space assignment will then be made by
averaging the companies’ points.
Subletting/Sharing of Space
No part of any exhibit space assigned to an exhibitor
may be reassigned, sublet or shared with any other
party by that exhibitor. Exhibitors may display only
those products or services that they manufacture or
regularly distribute. This information must be included
on the Application for exhibit space.
Mergers and Aquisitions
Companies that have merged with, been purchased
by, or have purchased another company, may use the
exhibit points from either company alone, whichever is
more favorable, but not the combined points of both
companies.
ACP should be notified in writing that the acquisition
or merger between companies has been completed
and list the date of completion. Companies will have
to select one company name to be used for all printed
materials (badges, final program, etc.).
Companies requesting a transfer of points must be
“directly related” to an exhibiting company in order
to inherit those points. A “directly related” company
shall be defined as a company that is wholly owned
by a subsidiary or one which has merged with another
company.
Points will be awarded only if similar product lines are
displayed. The sale of a product, product line, certain
technology, or certain assets to another company
will be considered to transfer priority points only if
and to the extent determined by the ACP in its sole
discretion. All requests for points transaction must be
submitted in writing to the ACP Meetings Department
and confirmed in writing by the parent or subsidiary
company.

Non-Contracted Exhibit Space
Individuals, companies and organizations that have
not contracted with the ACP for exhibit space are
not permitted to display or demonstrate products,
processes or services; solicit orders; or distribute
advertising materials in convention facilities, parking
lots or hotels contracted by the ACP. Noncompliance
will result in the prompt removal of the offending
person(s) and property from that area.
FDA Regulations
Exhibitors are reminded of the Food and Drug
Administration (FDA) restrictions on the promotion of
investigational and pre-approved drugs and devices.
Exhibitors are also cautioned about FDA prohibition
on promoting approved drugs for unapproved uses.
Exhibitors are expected to abide by all applicable FDA
regulations. Requests for information and guidance

NOTE: Selling non-FDA approved drugs and devices
during ACP meetings is prohibited. Violators will be
removed from the exhibit hall immediately and will be
prohibited from exhibiting at any ACP meeting or event
for a minimum of two years.
Unapproved devices may be displayed only if they
are the subject of an effective investigational device
exemption (IDE) or if they are the subject of a pending
510(k) pre-market notification application. Any
investigational product that is displayed or graphically
depicted within the exhibit must (a) contain no
claims of safety of effectiveness, (b) contain no
comparative claims to other marketed products, and
(c) be accompanied by a sign clearly and prominently
stating that the device is limited by federal law to
investigational use and is not approved by the FDA for
commercial distribution in the United States.
Americans with Disabilities Act
Each exhibitor shall be responsible for compliance with
the Americans with Disabilities Act of 1992 (ADA) with
regard to their booth space, including, but not limited
to, the wheelchair access provisions.
Booth Catering
If exhibitors are interested in distributing food and/or
beverages from their booth, this must be approved by
the ACP Meetings staff in advance.
Awards, Contests, Drawings, Raffles & Lotteries
All activities must be approved in writing by the ACP
headquarters office no later than 30 days prior to the
start of the meeting. If an exhibitor does not receive
such approval, five (5) priority points will be deducted.

The exhibitor will be fully responsible for any claims,
liabilities, losses, damages or expenses relating to
or arising out of any property of exhibitor or any
other property where such injury, loss or damage is
incident to, arises out of, or is in any way connected
with exhibitor’s participation in the ACP, its officers,
directors, agents and employees and the Hilton Bonnet
Creek and its agents, servants, and employees from
and against any and all such claims, liabilities, losses,
damages and expenses; provided that the foregoing
shall not apply to injury, loss or damage caused by or
resulting from the negligence or willful misconduct of
the ACP, its officers, directors, agents or employees
of the Hilton Bonnet Creek or its agents, servants or
employees. In case any part of the exhibition hall
is destroyed or damaged so as to prevent the ACP
from permitting an exhibitor to occupy assigned
space during any part or the whole of the exhibition
period, or in case occupation of assigned space during
any part or the whole of the exposition period is
prevented by strikes, Acts of God, national emergency
or other cause beyond the control of the ACP, then
the exhibitor will be charged for space only for the
period the space was or could have been occupied
by exhibitor. The exhibitor hereby waives any claim
against the ACP, its directors, officers, agents, or
employees for losses or damages that may arise in
consequence of such inability to occupy assigned
space.

By signing the Exhibit Application, the exhibitor
agrees to abide by all of the requirements contained
in this Exhibitor Prospectus. Please insure that all
parties involved in the arrangements for your exhibit
have a copy of these rules and regulations. It is the
responsibility of the exhibitor to insure all booth sta�
are informed of and adhere to these rules, and conduct
themselves in a professional manner throughout the
Congress.
Violations
Violations to any of the rules and regulations prior to
or during the ACP’s 29th Annual Congress are subject
to the penalties listed below:
1st ViolationLoss of one-half accrued

Advertising
Exhibit items, advertising literature, or pamphlets
that are distributed may contain only recognized
indications and claims. Advertising in any media to the
e�ect that particular products or services have been
exhibited at the ACP Annual Congress or which could
be construed as an endorsement by the ACP or by its
members is prohibited. The use of ACP logos, seals of
approval, trademarks or other similar property rights
may not be used in connection with any product or
advertising materials displayed or disseminated before,
during, or after the Annual Congress.
Social and Educational Functions
ACP approval is required for all industry/exhibitor
hosted social functions, product demonstrations, or
educational meetings of any size or nature at the
Hilton Bonnet Creek during the Annual Congress.
Requests for such activities must be submitted
in writing to the ACP headquarters office prior to
September 4, 2015. The request must specify date,
time, location, type of function and anticipated
attendance. Functions will not be permitted during
the hours of operation for the Scientific Program
or other social functions. Please contact the ACP
Meetings Department for available hours and pricing
for holding an event.
Exhibitor Personnel
For each booth purchased, you will receive
complimentary registration for three (3) company
representatives. Additional representatives may be
registered at a fee of $400.00 each. You may pre-
register for exhibitor badges or they can be purchased
onsite at the registration counter. The deadline for
pre-registering is October 9, 2015. Any complimentary
badges changed or substituted on-site are subject to a
$50 processing fee.
Exhibitor badges must be worn whenever a
representative of an exhibitor is in the exhibit hall.
Badges are not to be defaced by inserting company
cards.
False certification of any individual as an exhibitor’s
representative, misuse of exhibitor badges, or any
other method or device used to assist unauthorized
personnel to gain admittance to the exhibit hall will be
subject to the penalties listed in this section.

Under no circumstances will children under 18 years
old be allowed in the exhibit hall during installation
and dismantle. During exhibit hours, children under
18 years old will be permitted in the exhibit hall only
if accompanied by an adult at all times and only if
a guest badge is purchased. For liability and safety
reasons, strollers are not permitted in the exhibit hall
at any time.
Staffing Schedule
As a courtesy to the attendees and to your fellow
exhibitors, exhibitors must open their booths at the
officially designated time each morning and sta�
it throughout each day of the meeting, during all
exhibit hours, until scheduled closing of the exhibits at
4:00pm on Saturday, November 14, 2015.
Booth Activities - Demonstrations - A/V
The exhibitor is permitted to demonstrate* the firm’s
equipment and to make informal presentations
regarding the product line or service in the booth.
However, other attention getting devices in the form
of entertainment, amusement, or demonstrations of
non-product items or services must be approved in
writing by the ACP headquarters office. Only such
activities which, at the discretion of the headquarters
office, are in keeping with the professional deportment
of the technical exhibits program will be permitted.
All demonstrations shall be confined to the space
allocated to each exhibitor. The use of other than
closed-sound systems will be permitted only with the
prior written approval of the ACP headquarters office.
Any exhibit may be closed if deemed by the ACP
headquarters office sta� to have an excessive noise
level.
*The use of live animals and live subject
demonstrations for the purpose of demonstrating
techniques that involve equipment, devices, or
prescription pharmaceuticals is prohibited.
If there is any question/concern whether a booth activity fits within the ACP guidelines, it is recommended that the company submit the activity for approval by September 4, 2015.
Exhibit Booth Access
Exhibit personnel may not enter another exhibitor’s
booth without obtaining permission, nor may they
conduct activities, which in the opinion of the ACP,
impede another exhibitor’s ability to conduct business.
This is in the respect of the rights of other exhibitors
to conduct business during exhibit hours without
interference of improper intervention. The ACP, its
representatives and employees, shall have free access
to any exhibit at all times.
No Shows
Any company which reserves booth space and does
not inform the ACP of its plans for non-attendance in
writing in advance may not be permitted to participate
in future ACP exhibitions. In addition, the company
will also forfeit 100% of the total cost of the exhibit
space assigned.

themselves in a professional manner throughout the
Congress.
Violations
Violations to any of the rules and regulations prior to
or during the ACP’s 29th Annual Congress are subject
to the penalties listed below:
1st ViolationLoss of one-half accrued

Advertising
Exhibit items, advertising literature, or pamphlets
that are distributed may contain only recognized
indications and claims. Advertising in any media to the
e�ect that particular products or services have been
exhibited at the ACP Annual Congress or which could
be construed as an endorsement by the ACP or by its
members is prohibited. The use of ACP logos, seals of
approval, trademarks or other similar property rights
may not be used in connection with any product or
advertising materials displayed or disseminated before,
during, or after the Annual Congress.
Social and Educational Functions
ACP approval is required for all industry/exhibitor
hosted social functions, product demonstrations, or
educational meetings of any size or nature at the
Hilton Bonnet Creek during the Annual Congress.
Requests for such activities must be submitted
in writing to the ACP headquarters office prior to
September 4, 2015. The request must specify date,
time, location, type of function and anticipated
attendance. Functions will not be permitted during
the hours of operation for the Scientific Program
or other social functions. Please contact the ACP
Meetings Department for available hours and pricing
for holding an event.
Exhibitor Personnel
For each booth purchased, you will receive
complimentary registration for three (3) company
representatives. Additional representatives may be
registered at a fee of $400.00 each. You may pre-
register for exhibitor badges or they can be purchased
onsite at the registration counter. The deadline for
pre-registering is October 9, 2015. Any complimentary
badges changed or substituted on-site are subject to a
$50 processing fee.
Exhibitor badges must be worn whenever a
representative of an exhibitor is in the exhibit hall.
Badges are not to be defaced by inserting company
cards.
False certification of any individual as an exhibitor’s
representative, misuse of exhibitor badges, or any
other method or device used to assist unauthorized
personnel to gain admittance to the exhibit hall will be
subject to the penalties listed in this section.

Under no circumstances will children under 18 years
old be allowed in the exhibit hall during installation
and dismantle. During exhibit hours, children under
18 years old will be permitted in the exhibit hall only
if accompanied by an adult at all times and only if
a guest badge is purchased. For liability and safety
reasons, strollers are not permitted in the exhibit hall
at any time.
Staffing Schedule
As a courtesy to the attendees and to your fellow
exhibitors, exhibitors must open their booths at the
officially designated time each morning and sta�
it throughout each day of the meeting, during all
exhibit hours, until scheduled closing of the exhibits at
4:00pm on Saturday, November 14, 2015.
Booth Activities - Demonstrations - A/V
The exhibitor is permitted to demonstrate* the firm’s
equipment and to make informal presentations
regarding the product line or service in the booth.
However, other attention getting devices in the form
of entertainment, amusement, or demonstrations of
non-product items or services must be approved in
writing by the ACP headquarters office. Only such
activities which, at the discretion of the headquarters
office, are in keeping with the professional deportment
of the technical exhibits program will be permitted.
All demonstrations shall be confined to the space
allocated to each exhibitor. The use of other than
closed-sound systems will be permitted only with the
prior written approval of the ACP headquarters office.
Any exhibit may be closed if deemed by the ACP
headquarters office sta� to have an excessive noise
level.
*The use of live animals and live subject
demonstrations for the purpose of demonstrating
techniques that involve equipment, devices, or
prescription pharmaceuticals is prohibited.
If there is any question/concern whether a booth activity fits within the ACP guidelines, it is recommended that the company submit the activity for approval by September 4, 2015.
Exhibit Booth Access
Exhibit personnel may not enter another exhibitor’s
booth without obtaining permission, nor may they
conduct activities, which in the opinion of the ACP,
impede another exhibitor’s ability to conduct business.
This is in the respect of the rights of other exhibitors
to conduct business during exhibit hours without
interference of improper intervention. The ACP, its
representatives and employees, shall have free access
to any exhibit at all times.
No Shows
Any company which reserves booth space and does
not inform the ACP of its plans for non-attendance in
writing in advance may not be permitted to participate
in future ACP exhibitions. In addition, the company
will also forfeit 100% of the total cost of the exhibit
space assigned.

Non-Contracted Exhibit Space
Individuals, companies and organizations that have
not contracted with the ACP for exhibit space are
not permitted to display or demonstrate products,
processes or services; solicit orders; or distribute
advertising materials in convention facilities, parking
lots or hotels contracted by the ACP. Noncompliance
will result in the prompt removal of the offending
person(s) and property from that area.
FDA Regulations
Exhibitors are reminded of the Food and Drug
Administration (FDA) restrictions on the promotion of
investigational and pre-approved drugs and devices.
Exhibitors are also cautioned about FDA prohibition
on promoting approved drugs for unapproved uses.
Exhibitors are expected to abide by all applicable FDA
regulations. Requests for information and guidance

NOTE: Selling non-FDA approved drugs and devices
during ACP meetings is prohibited. Violators will be
removed from the exhibit hall immediately and will be
prohibited from exhibiting at any ACP meeting or event
for a minimum of two years.
Unapproved devices may be displayed only if they
are the subject of an effective investigational device
exemption (IDE) or if they are the subject of a pending
510(k) pre-market notification application. Any
investigational product that is displayed or graphically
depicted within the exhibit must (a) contain no
claims of safety of effectiveness, (b) contain no
comparative claims to other marketed products, and
(c) be accompanied by a sign clearly and prominently
stating that the device is limited by federal law to
investigational use and is not approved by the FDA for
commercial distribution in the United States.
Americans with Disabilities Act
Each exhibitor shall be responsible for compliance with
the Americans with Disabilities Act of 1992 (ADA) with
regard to their booth space, including, but not limited
to, the wheelchair access provisions.
Booth Catering
If exhibitors are interested in distributing food and/or
beverages from their booth, this must be approved by
the ACP Meetings staff in advance.
Awards, Contests, Drawings, Raffles & Lotteries
All activities must be approved in writing by the ACP
headquarters office no later than 30 days prior to the
start of the meeting. If an exhibitor does not receive
such approval, five (5) priority points will be deducted.

The exhibitor will be fully responsible for any claims,
liabilities, losses, damages or expenses relating to
or arising out of any property of exhibitor or any
other property where such injury, loss or damage is
incident to, arises out of, or is in any way connected
with exhibitor’s participation in the ACP, its officers,
directors, agents and employees and the Hilton Bonnet
Creek and its agents, servants, and employees from
and against any and all such claims, liabilities, losses,
damages and expenses; provided that the foregoing
shall not apply to injury, loss or damage caused by or
resulting from the negligence or willful misconduct of
the ACP, its officers, directors, agents or employees
of the Hilton Bonnet Creek or its agents, servants or
employees. In case any part of the exhibition hall
is destroyed or damaged so as to prevent the ACP
from permitting an exhibitor to occupy assigned
space during any part or the whole of the exhibition
period, or in case occupation of assigned space during
any part or the whole of the exposition period is
prevented by strikes, Acts of God, national emergency
or other cause beyond the control of the ACP, then
the exhibitor will be charged for space only for the
period the space was or could have been occupied
by exhibitor. The exhibitor hereby waives any claim
against the ACP, its directors, officers, agents, or
employees for losses or damages that may arise in
consequence of such inability to occupy assigned
space.

Registration
Each registered exhibitor will receive a complimentary pre-registration list approximately 30 days before the
meeting and a final registration list 30 days after the meeting. Use of these lists will be restricted to a one time
use and information directly related to the ACP Annual Congress (email addresses and phone numbers will not
be provided). These lists will be sent via email to the contact person listed on the application for exhibit space.
Membership
The ACP’s membership list of approximately 2000 names is the most current and accurate listing of
phlebologists available. There is a fee for the list which may be used for a one-time mailing. Please visit

It is the responsibility of each exhibitor to maintain such insurance against injury to person or damage or loss
of property in such amounts as the exhibitor deems adequate. Insurance protection will not be afforded to the
exhibitor either by the ACP, or by the Hilton Bonnet Creek. Proof of insurance may be requested by the ACP.

Literature Distribution
Small token items may be distributed from the exhibit
without prior approval, however, ALL items must
comply with current AdvaMed, AMA, Pharma Code
regulations on physician gifts.
No Exhibitor is permitted to hand out literature or gifts
of any type outside the perimeters of their booth. This
includes meeting rooms, registration areas, and all
public areas of the Hilton Bonnet Creek.
Photography and Video Taping
Videotaping and photographing within the exhibit hall
is prohibited except by the official ACP photographer*.
Photographs and video taping are only permitted
within your own booth. No exhibitor may photograph
or video tape another company’s exhibit booth or
demonstrations. Violation of this rule will result in
confiscation of the photo, image and/or video and the
loss of priority points.
*During the ACP Annual Congress, attendees,
exhibitors and guests may be photographed by the
official ACP photographer, or videographer. The
College reserves the right to use an individuals’
photo, likeness or image in future promotional ACP
publications or materials.
Co-marketing
If two or more companies wish to be assigned exhibit
space adjacent to one another, each company must
attach a cover letter to their application for exhibit
space, explain the request and copy the other
company. The space assignment will then be made by
averaging the companies’ points.
Subletting/Sharing of Space
No part of any exhibit space assigned to an exhibitor
may be reassigned, sublet or shared with any other
party by that exhibitor. Exhibitors may display only
those products or services that they manufacture or
regularly distribute. This information must be included
on the Application for exhibit space.
Mergers and Aquisitions
Companies that have merged with, been purchased
by, or have purchased another company, may use the
exhibit points from either company alone, whichever is
more favorable, but not the combined points of both
companies.
ACP should be notified in writing that the acquisition
or merger between companies has been completed
and list the date of completion. Companies will have
to select one company name to be used for all printed
materials (badges, final program, etc.).
Companies requesting a transfer of points must be
“directly related” to an exhibiting company in order
to inherit those points. A “directly related” company
shall be defined as a company that is wholly owned
by a subsidiary or one which has merged with another
company.
Points will be awarded only if similar product lines are
displayed. The sale of a product, product line, certain
technology, or certain assets to another company
will be considered to transfer priority points only if
and to the extent determined by the ACP in its sole
discretion. All requests for points transaction must be
submitted in writing to the ACP Meetings Department
and confirmed in writing by the parent or subsidiary
company.

Booth Relocation
In the event of conflicts regarding space requests,
or conditions beyond its control, the ACP reserves
the right to review the floor plan. The ACP will not
relocate booths, unless an unforeseen circumstance
prevails and relocation is unavoidable. In this rare
occasion, the exhibitor will be given the option to
cancel and receive a full refund on their exhibit booth
payment in the event the reassigned space is not
acceptable to the exhibitor.
Agencies Requesting Space for Clients
Agencies requesting space for a client must provide
a letter of authorization with the exhibitor application
from the client.
Reduction Policy
In the event an exhibitor reduces its exhibit space,
the ACP reserves the right to maintain the continuity
of the Exhibition Hall. Every attempt will be made to
accommodate the request.
+ If, at the discretion of the ACP, the exhibit
space can be re-sized and remain in
the current location, the exhibitor will
pay the applicable cancellation penalty
plus the fee for the new space.
+ If, at the discretion of the ACP, the exhibit space
cannot be resized and remain in the current
location without jeopardizing the continuity
of the Exhibition Hall, the exhibitor will be re-
located to a space of its choice based on best
available locations. Applicable cancellation
fees plus the new space fee will apply.
Interpretation and Application of Rules & Regulations
All matters in question not specifically covered by
these rules and regulations are subject to the decision
of the ACP through the Board of Directors or the
Executive Director.

Contractor Services
The contractor listed below has been selected as the official general service contractor for the 2015 Annual
Congress. All official contractors act on their own behalf in all arrangements with exhibitors and are not agents,
employees or representatives of the ACP. All services or materials supplied by such contractors on order of
the exhibitor will be billed directly by the contractor to the exhibitor. The ACP does not assume any liability or
responsibility for any act performed or omitted by such official contractors. The Exhibitor Service Kit containing
order forms for such services as shipping, decorating, drayage, electrical work, customs brokerage, signs,
cleaning, lead retrieval, etc. will be sent to you from AGS in July.

Security
The ACP will provide watchmen on a 24-hour basis from the beginning of set-up through dismantling.
Furnishing of this service is not to be construed to be any assumption of obligation or duty with respect to the
protection of the property of the exhibitors, which shall at all times be the sole responsibility of each exhibitor.
The ACP, the Hilton Bonnet Creek, or any of its officers, agents, or employees shall not be liable for any act of
omission of such watchmen.

+ Multiple adjoining booth spaces (i.e., double or triple booths) may be purchased. Because of the limited booths available, a maximum of 3 booths per company will be permitted.

Balance
The balance due must be received on or before September 4, 2015. If full payment is not received by this date,
booth space may be cancelled and/or reassigned without notification or refund of deposit.
Cancellation
There will be a $350 cancellation fee assessed for any booth cancelled prior to September 4, 2015. No refund will
be made in the event of cancellation after September 4, 2015.

Booth Information
Each booth is 10’x10’. All dimensions are believed to be accurate but are not warranted by the ACP. To maintain
uniformity and to prevent obstruction of view of adjoining booths, no solid or draped walls can be higher than
eight feet in the back and three feet along the dividers and aisles.
The price of the booth includes-in addition to the space itself for the entire exhibit-an identification sign showing
firm name, cleaning service for the aisles of the exhibit area and three complimentary registrations per booth.
The exhibit hall is carpeted.
Sufficient lighting is provided for adequate illumination in the exhibit area, but no individual electrical outlets
are provided in the booth space. All electrical work must be supplied by the general service contractor, AGS
Expo Services, to ensure that it will meet the safety requirements of the fire regulations of Orlando, Florida. All
draping or display materials of cloth must be fireproofed. Under no conditions will combustible oils or gases be
permitted in the exhibit area.

Assignment of Space
All exhibit applications received on or before April 24, 2015 will be included in the initial round of space
assignments made on a priority point basis. Those applications received after April 24, 2015 will be assigned on
a first come, first served basis. Those companies that submit an exhibit application on or before April 24, 2015
will receive their booth assignment in early May 2015.
ACP reserves the right to rearrange the floor plan at any time. If this is to occur, all registered exhibitors will be
notified.
Tips: Requesting Your Booth Space
+ Because assignments are made based on priority points, new exhibitors are unlikely to receive assignments near highly popular exposition hall entrances.
+ While the ACP makes every effort to accommodate special requests, when you indicate competing companies or other companies you prefer not to be near, you limit your chance of getting a preferred booth location.
The ACP will attempt to accommodate exhibitor requests for specific booth(s), however, no guarantees can be
made that the Exhibitor will be assigned the specific booth(s) requested.
Priority Point System
Exhibit booths for the Annual Congress will be assigned based on the priority point system listed below, date/
time of receipt of application, and exhibitor’s preference for proximity to other exhibiting companies.
+ 1 point for each booth or table top purchased at any ACP meeting
+ 1 point for every year exhibited
+ 0.5 to 1 point for item(s) donated to Silent Auction ($500-$4999 value=.5 points, $5000-$10,000=1 point)
+ 1 point for support of ACPF Golf Outing
The application date of receipt is used to determine assignments only when there is a need to break a tie in
points during initial assignments or determine priority for applications from companies who do not have any
priority points or for those applications that are received after priority point assignments.

ACP FOUNDATION EVENTS DURING ACP’s 29th ANNUAL CONGRESS
Golf Outing
Wednesday, November 11th is the date for the ACP Foundation’s 7th Annual Golf Outing. All level of players are
welcome at this charity event. Sponsorships will be available including longest putt, hole in one, beverage carts,
individual hole sponsors and donor reception. Full details will be available in spring 2015.
Silent Auction
The 8th Annual Silent Auction for the ACP Foundation will be held during the ACP’s 29th Annual Congress. All
ACP members, industry affiliates and other interested associated are invited to donate an item to this fundraising
event. All Annual Congress attendees are encouraged to bid on items ranging from training courses and
weekend hotel getaways to phlebology supplies and equipment used by members.
The monies raised during these premier events help to fund projects that benefit the entire phlebology
community as well as the patient. A listing of these projects includes (but is not limited to): ACP Phlebology
Fellowship Training Program, Physicians in Training Scholarships to attend Congress, the ACP Speakers Bureau,
Research Grants, Grants to Insurance Medical Directors to attend Congress, Development of Professional

The exhibit program is designed to provide physicians and attendees with first-hand information about products
and services specific to the area of phlebology and to serve as a forum for updating the physician’s knowledge

Attendees love to relax and unwind with a free seated massage in the Expo Hall. Open Thursday through
Saturday, the Comfort Station will be a popular attraction. The supporter will be recognized on signage placed
within the station and on product-specific T-shirts provided by the supporter for the massage therapists.
Supporter can hand out coupons for the massages at their booth.

Exhibitors may only set up and dismantle during the designated hours listed in this prospectus. Exhibitors
may not dismantle or leave their booth unattended prior to the designated dismantle times. All companies
must adhere to exhibitor hours. Admittance to the exhibit hall by exhibitors and attendees will be allowed
during posted hours only, except with the authorization of ACP staff. Violations of this regulation will be cause
for expulsion from the exhibit hall and exclusion from future exhibit functions of the American College of
Phlebology.
Any exhibitor dismantling prior to the designated dismantle times will have 5 points deducted during the
calculation phase of their next Congress exhibit application.
PLEASE NOTE: The ACP reserves the right to modify the times listed above as circumstances dictate. If
necessary, the revised hours will be sent out.

The ACP’s 29th Annual Congress will convene at the
Hilton Bonnet Creek located in sunny Orlando, Florida
and is close to two major airports (Orlando International
Airport and Kissimmee Gateway Airport).
Hotel Reservations
Each company will be allowed up to three (3) sleeping
rooms per booth space and will need to submit
individual names along with your company name for
each room reservation. There will be a specific code
you will need to use to make your reservations at the
Hilton Bonnet Creek. This code will be emailed to you
once you submit your exhibit application and deposit.

The Preliminary Program for the ACP Congress is printed and mailed to registrants during the early spring before
the Congress each year and contains vital information about the Congress. The Final Program for the ACP

receive placement in both the preliminary and final programs.
