Submission Guidelines

• Departments/Colleges may decide their own internal process for the plan submissions. Department may submit the request in the system that will route to the college OR college may submit a college-level plan in the system.

• The requests will roll into All Funds Planning.

• Prior searches and start-ups that were previously approved but yielded failed hires will not automatically be carried forward. New plans will be required for these positions.

• New hires are expected to be funded by the department and/or college. Deans will be required to work with the department heads and/or directors to identify resources to pay for the salary and costs related to renovations and startup (if applicable).

• Deans are expected to review their college’s plans and to prioritize the positions that warrant the Provost’s or SVP’s consideration.

• Routing workflow depends on the Type of Request selected. If Faculty Hiring Plan is selected, it will route to the Provost and SVP. If RII Investment Funding is selected, it will route to the RII. If both are selected, it will route to both.

Submission Guidelines

• Recruitment plans must contain the following information:

1. Provide justification for the position, including how the position aligns with the strategic vision and needs of the department and college and how the position supports the University of Arizona’s ambitions for institutional excellence and distinctiveness.

2. Describe how the department and college ensure the diversity, equity, and inclusion goals of the unit and the university are addressed.

Submission Guidelines

• In limited circumstances, deans may request start-up funds from the Office of Research, Innovation, and Impact (RII). All commitments are to be made fiscal year to fiscal year. These limited circumstances must include a strong connection to the strategic plan, extreme research value, and demonstrate that the school, college, and the Provost’s Office are participating. Approval of your request will depend on availability of funds and the discretion of the RII.

• RII start-up requests shall contain information to address the following:

1. Justification for funding request and why this need cannot be met by the standard hiring plan submitted to the Provost

2. Financial support requested and overall investment plan

3. How will the RII investment increase the university’s research capacity or enhance economic development outcomes?

4. How does this request align with the UArizona strategic plan?

Note: In the Budget and Planning tool, a “Plan File” is

the file associated with a specific org or college

Use the “+” Symbol to Create a New Plan

File

Note: A Budget Request is different than other Plan Files

in that it is an “On Demand Plan File,” which means the Plan File is created and does not already exist for you to

find as is the case with Labor, Operating Budget, RCM, and

All Funds files.

Complete New Budget Request

Information

Complete the Fields and Select Create Request:

• Describe briefly the nature of the request.

• Which Organization is making the request? If this is a college/division select the Admin Org for that unit.

• Which type of Expenditures are being requested? If it is a Faculty Recruitment Plan or one requesting funds from RII, indicate as such.

Request Type(s)

There are Five Request Type(s):

• Personnel (for use with Budget Objects B1000-B2000)

• Facilities-Renovation (for use with Budget Object B7930 for Transfer Out to Plant Funds for capitalized renovations)

• Other Operating (for use with Budget Objects other than those described above)

• RII Investment Funding-Only to be used if asking for funds from RII in limited circumstances.

• Faculty Recruitment Plan-Only to be used for annual Faculty Recruitment Plan submissions.

Faculty Description Track: tenured, tenure eligible, continuing, continuing eligible, or clinical Field of Study or Specialty: Rhetoric & Composition, Clinical Psychology, etc

Priority 1, 2, 3, 4 and so on. Positions may not have the same priority number

Expected Start Date Expected start date for the hires

FTE Full Time Equivalency

Teaching Workload (%) Teaching workload percentage (i.e. 40%)

Research Workload (%) Research workload percentage (i.e. 20%)

Clinical Workload (%) Clinical Workload percentage (i.e. 20%). If applicable

Service Workload (%) Service Workload percentage (i.e. 20%)

Salary Estimated salary (i.e. $80,000)

ERE ERE will be automatically calculated

• If you are requesting personnel funds, enter the amount in Revenues in the appropriate column

• If you are requesting startup/ops funds, enter the amount in Revenues in the appropriate column

• If Requesting Personnel, be sure to include FTE. Note: only one ERE Code may be selected, so be conservative when selecting.

• Enter Calc Method Variables and click Apply

• Use the Add Direct Expenditure Budget Object to insert new rows

• When you add Budget Object, you may only use it once.

• If you add Personnel Expense Budget Object and you propose to hire 3 faculty members, put 3.0 FTE, and total estimated salary for all 3 positions.
