Crisis Situations and First Point of Contact The following Crisis Team members have been trained in Crisis Management and are the nominated first point of contact for the crisis situations described: Fire or Site evacuation Safety Manager Flooding Maintenance Manager Utility Supply failure Maintenance Manager Storm Damage Maintenance Manager IT systems failure Operations Manager Water Supply Contamination Technical Manager Breaches of security General Manager Bomb Threat or Similar General Manager Extortion or Sabotage General Manager Hazardous Chemicals Technical Manager In all cases if the first point of contact cannot be contacted another member of the Crisis Management Team must be contacted. In real crisis situations a member of the Crisis Management Team must be contacted. The person contacted will urgently contact and assemble the other members of the Crisis Management Team. The Crisis Team will act quickly to assess the situation and formulate an action plan which is communicated to the site management. All relevant aspects of product safety, health and safety, financial effects and company image must be considered prior to recommencing production. All crisis and action resulting from crisis situations must be recorded. If a call alleging or threatening extortion is received the person dealing with it should attempt to transfer the call to a member of the Crisis Management Team if at all possible. See appendix 1 Instructions to Personnel

Appendix 1 Instructions to Personnel in the event of a Threat on the Telephone.

a. Keep Calm.

b. Keep the caller talking as long as possible.

c. Do not make disparaging remarks to the caller.

d. Make sure you have accurately recalled the message in writing - repeat it to the

caller.

e. Politely ask the caller their name; in an unguarded moment they might just give it.

f. If the threat relates to contamination of product, try to ascertain what form the contamination may take and to exactly which area it may be applied.

g. Details of the call and caller must be recorded and a password must be given to the caller for use in future calls. Where possible immediate tracing of the call must be put in place and recorded for example using 1471 or caller identity.

h. Immediately inform the Technical Manager or General Manager. Instructions to Personnel in event of a Threat coming through the post

c. If a product is included in the correspondence keep it separate.

d. In no circumstances should any outside agency be allowed access to it before examination by the Police.

Contact the relevant Crisis Team Member immediately. Any release of a hazardous chemical that threatens public health, contaminates food or water or does harm to the environment is a chemical incident. Examples include a tanker truck rollover and spill, an industrial facility release, or an act of terror in which chemical agents are intentionally released. If these incidents occur at or near the facility, employees can immediately be endangered. If a chemical release occurs inside the building: Stop operations immediately. Cover mouths and noses with wet cloths to prevent inhalation of chemicals. Evacuate the building immediately. Call 911 to report the release and any terrorist or suspicious activity. Follow directions of emergency responders. If a chemical release occurs in the vicinity of your building: Everyone inside building should stay inside building. Close all windows. Turn off ventilation systems and stay near centre of building. Call 911 to report the release and any suspicious activity. Follow directions of local public health, fire and police officials. Turn on local TV or radio for emergency advisories. Stop all operations First, protect employees from the direct effects of the chemical release. Do not attempt clean-up until chemical-specific guidance is provided by the health department.
