MATCHING MAKES LKAB’S INVOICE PROCESSING MORE RELIABLE
LKAB mines and refines iron ore for the global steel market. The group has sales of around SEK 30 billion annually and also deals in industrial minerals, drilling systems, rail transports, mining and mechanical engineering services, explosi-ves manufacturing, and real estate. LKAB employs over 4,000 staff in 14 countries.
Each year their central accounts department in Sweden processes over 140,000 invoices. The majority of these are based on orders. Each order and incoming invoice need to be matched to ensure that the invoice contains what has been ordered and delivered. Here, information from the goods reception department plays an important role in confirming what has been delivered. Before automatic matching was introduced in 2006, in con-junction with the introduction of Movex/M3, each invoice had to be matched with the corresponding order manually.
Manual invoice matching in Movex/M3 Standard is time-consuming and difficult because LKAB buys both materials and
services via purchase orders. There was clearly room for improvement here. When LKAB saw how a customi-zed solution could make its work both easier and more reliable, it sparked one of the largest projects initiated since the introduction of Movex/M3.
Simplified Processing LKAB’s experience of the solution
has been positive. Since the company began using the new interface for invoice matching, as designed by UDK and eCraft, the manual process of matching purchase orders with invoices has been simplified.
What’s more, everything from the goods receipts to comments and informa-tion contained in purchase orders can now be viewed as one single entry. “Previously, we ran a standard installation of Movex/M3 and had to use up to ten different programs to do what we can now do in one program window thanks to a fully customized smartapp,” >>
Simpler and more reliable. That was some of the feedback received from LKAB about their customized Movex/M3 solution. “Since the customization, we have saved money and time and have improved our working environment,” says Hans Thornéus, Business Solution Manager at LKAB’s Finance-Accounting.

More Reliable Invoice Processing “The solution saves money by
minimizing erroneous VAT charges. It’s not uncommon for an order to be drawn up in Swedish kronor, but when the invoice arrives, it’s from an EU supplier. We’ve saved millions
by introducing a more reliable VAT-management system,” Thornéus adds.
Invoice processing has also become more reliable because it is now easier to see who has placed the order and because it is also possible to enter com-ments directly in the program window. The comments can be read in the win-dow via a tooltip in the text field and can also be edited directly by clicking on it.
Better Working Environment “We process a large number of invoices/purchase orders and the interface has given us a better overview, but also fas-ter and more reliable invoice processing.
One important improvement is that staff now have an even better working environment. That’s because they no longer have to jump between different default programs, but also because the customization in Movex/M3 is designed so that it can be run solely using the keyboard, so they don’t need to use a mouse.

Smooth Collaboration with UDK Thornéus is also happy with LKAB’s collaboration with UDK, which, together with eCraft, produced the smartapp.
“It has been great. UDK was very thorough and they’ve used agile as their work method, with several partial deliveries made across the project. They’ve also been very sensitive to our needs and opinions. This has been a highly complex and extensive project, and we are very satisfied with the results,” Thornéus concludes. M3
