2. Using FreeFlow Print Manager

Xerox FreeFlow Print Manager is a software application you can use to enter job ticket information for an existing PDL file (ASCII, PS, TIFF, PCL, PDF files) and to submit the job to an available printer. FreeFlow Print Manager enables Xerox-supported networks to take advantage of the many printing options offered by Xerox-supported printing systems.

This chapter contains the procedures for using the FreeFlow Print Manager software on a Xerox printing system from a workstation running any of the following operating systems:

• Microsoft Windows XP or Server 2003

• Sun Solaris 10.0

• Macintosh OS X, version 10.4 or later with Macintosh Java Runtime Environment (JRE) with 1.4.2 update

• Red Hat Enterprise Linux, version 2.1: Kernel version 2.4.9; Red Hat Enterprise Linux, version 3.0: Kernel version 2.4.21; Red Hat Linux, version 8.0: Kernel version 2.4.x

Prerequisites

The following prerequisites must be satisfied before using FreeFlow Print Manager:

• Make sure that the Microsoft Windows, Sun Solaris, Macintosh, or Red Hat Linux operating system is installed on the workstation. If the operating system is installed as a shared copy on a network server, contact the system administrator. FreeFlow Print Manager runs correctly only when installed locally on a workstation.

• Know how to use the tools in the Windows, Solaris, Macintosh, or Red Hat Linux operating systems to connect to the network disk drives or to disconnect from the drives to which the workstation is currently connected.

• Make sure that FreeFlow Print Manager is installed on the workstation. Refer to the Xerox FreeFlow Print Manager Installation Guide for the procedures.

• Know how to save documents in the PDL file format by using the print-to-file method; or know how to create a valid TIFF, PDF, or ASCII file.

Accessing the FreeFlow Print Manager Software

Use the FreeFlow Print Manager window to access all job setup, printing, and management tasks that can be performed on a Windows, Solaris, Macintosh, or Red Hat Linux client.

For the procedure for printing a document using FreeFlow Print Manager, refer to “Printing One or More Files or Directories” on page 5–36.

Opening FreeFlow Print Manager from Windows

1. Log on to the network.

2. Click Start > Programs > Xerox Applications > FreeFlow Print Manager Tool Suite <version> > FreeFlow Print Manager.

3. Wait for the FreeFlow Print Manager window to open. This may take several seconds.

1. Log on to the network.

1. Log on to the network.

2. Using File Manager, double-click the FreeFlow_Print_Manager application icon located in the following directory:

3. A Run or Display window opens. Click Run.

4. Wait for the FreeFlow Print Manager window to open. This may take several seconds.

Print Manager Printing Process

Use the following general workflow to print using FreeFlow Print Manager. Details regarding additional functions and operations are provided following this process.

NOTE: FreeFlow Print Manager does not support job submission via NetWare.

1. Open FreeFlow Print Manager. Refer to “Accessing the FreeFlow Print Manager Software” on page 2–2.

2. Select a print queue by clicking Printer. Refer to “Selecting a Printer and Queue” on page 2–5.

3. On the Files tab window:

a. Select a document file, files, job ticket, or directory to print by clicking Browse. Refer to “Selecting One or More Files or Directories to Print” on page 5–37.

b. Preview the file (PDF files only) to ensure it is the correct document by click Preview. Refer to “Previewing a file for print” on page 5–39.

c. Select a job ticket file by clicking Open, if you will not create a job ticket for this job.

d. Select the job destination (print, save, or print and save, if available). Refer to “Specifying the Print Options (Printing or Saving)” on page 5–7.

5. If desired, record job notes by entering them on the Job Notes tab window.

6. Send the document file to the print queue by clicking the green Submit button. Refer to “Printing Documents or Directories” on page 5–39.

NOTE: Use Tab to move the cursor to the next button or text box in every window. Hold down Shift while pressing Tab to move the cursor backward through the items on the window.

While the job is printing, you can check the job status by selecting the Administration button on the left side of the screen. Refer to “Checking the Status of a Print Job from FreeFlow Print Manager” on page 5–42.

Printer and Queue Setup

NOTE: The Printer Discovery file must be set up on the FreeFlow Print Manager workstation before setting up the printer and queue. If the Printer Discovery file was not added to the workstation following the installation, select Preferences from the Options menu and add the Printer Discovery file.

FreeFlow Print Manager printers and their queues are set up when FreeFlow Print Manager runs. FreeFlow Print Manager detects all printing systems recorded in Printer Discovery file (default.disc). The discovery file is created using the Printer Registration utility.

When you select Change Printer in the FreeFlow Print Manager window, the names of the printers listed in the Printer Discovery file display in the Printers area of the Change Printer window and on the Print Monitor tab.

Selecting a Printer and Queue

Use the Change Printer window to select a printer and a queue for the print job and to view the printer and queue properties.

Change Printer Window Components

Printers and Queues sections.

The Change Printer window contains two sections:

• Printers: The Printers section on the top half of the screen lists the printers the system detects in the printer Discovery File when you start FreeFlow Print Manager. It also lists unconnected printers and queues for supported printers.

The columns in the Printers table display the following properties:

– Name: The name that was given to the printer when it was installed

– Type: The type or brand of printer, such as the Xerox DocuColor 2060

– Jobs: The number of jobs that have been submitted to the printer based on the type of viewing filter most recently selected in the Print Monitor window. For example, if Processing is selected, the Jobs number would reflect only the number of jobs currently being processed.

• Queues: The Queues section on the bottom of the screen lists the print queues set up at the printer controller for the selected printer. The columns in the Queues table display the following properties:

– Name: Name that was specified for the queue at the printer controller

– Secure Connection: A checkbox indicating if the connection to the printer is secure.

– Printer: Name of the printer associated with the queue

– Accept Jobs: Indicates whether the queue is currently accepting jobs.

– Release Jobs: Indicates whether the queue is set up to release jobs.

– Status: Provides the printer's status, such as "Printing," "Stopped," and so on.

– Messages: Indicates if there are any messages associated with the queue.

NOTE: Printers or queues cannot be added to these lists at the Change Printer window.

The title of each section is preceded by a number that indicates how many items are on the displayed list. However, if an item is selected in one of the tables, the number changes to reflect the number of that item.

Resizing the sections

The Printers and Queues are separated by a split bar. Drag this bar up or down to increase or decrease the size of the sections.

Either section can be expanded to fill the work space of the Change Printer window by selecting the small, triangular buttons near the left edge of the split bar.

Buttons

The Change Printer window contains the following buttons:

• Show All Printers: Displays in the Printers section all the printers specified in the printer Discovery File that are currently available.

• Show All Queues: Displays in the Queues section all queues created at the controller for all printers specified in the printer Discovery File that are currently available.

• Set Print Path: Confirms the queue selection and closes the Change Printer window. This button is grayed out unless a queue is selected.

• View Message Details: Opens a Message Details window that provides further information on the selected print queue. This button is grayed out unless a queue is selected.

• Refresh: Updates and re-displays the Printers and Queues lists.

• Cancel: Closes the dialog without making changes.

NOTE: On systems running the Red Hat Linux operating system, if you make changes to the printer registration list while the FreeFlow Print Manager application is open, you will need to restart FreeFlow Print Manager and then use the Refresh button to update and redisplay the Printers and Queues lists.

Check Boxes

The Change Printer window contains one check box, the Show Faulted Queues check box. Mark this check box if you want only those queues that are faulted to appear in the Queues section.

Viewing Printer and Queue Properties

View information about printers and queues in the following ways:

• Select the printer or queue name on the Change Printer window.

– Select a printer name. The Queues section of the Change Printer window displays the queues enabled for that printer only.

– Select a queue name. The Printers section of the Change Printer window displays only the printer that contains that queue.

Hold down the Control or Shift key to select multiple printer or queue names. If more than one printer or queue is selected, the other window displays the queues or printers for all the selected items.

• Open the Properties window for the desired queue or printer by following these steps:

1. Select Change Printer from the FreeFlow Print Manager window. The Change Printer window opens.

2. Double-click on the name of the printer or queue in the Printers or Queues area. Alternatively, right-click a printer or queue and select Properties from the shortcut menu. The read-only Properties window opens for the selected queue or printer.

3. Click Close to close the Properties window.

NOTE: You can access individual printer and queue information from the Printers and Queues lists on the Print Monitor tab window, which you can open by selecting Administration in the FreeFlow Print Manager window.

Selecting a Printer and Print Queue

1. In the FreeFlow Print Manager window, click Change Printer to open the Change Printer window.

2. If the desired queue is not displayed in the Queues area, click Show All Queues.

3. In the Queues area, select the queue to which the job will be sent.

The Printers section displays the name of the printer associated with the queue selected.

4. Click Set Print Path to confirm the selection and close the Change Printer window.

NOTE: This procedure can also be performed by clicking Change Queue on the Printer menu.

Use the Xerox FreeFlow Print Manager Command Line Print software to set up and submit print jobs by entering commands in a command prompt, Unix, or Red Hat Linux command window from a PC, Sun, or Macintosh workstation. This chapter describes the procedures and syntax for entering the print and job setup commands.

Accessing FreeFlow Print Manager Command Line Print

The FreeFlow Print Manager Command Line Print client software is installed when Print Manager is installed. Refer to the Xerox FreeFlow Print Manager Installation Guide for information on installing FreeFlow Print Manager and its components.

Accessing FreeFlow Print Manager Command Line Print from Windows

1. Log on to the network.

2. Click Start to open a command window or a command prompt window. Select Start > Programs > Accessories > Command Prompt.

3. A command window opens. To view more of the window or to enable the scroll bars, right-click the title bar at the top of the command window and select Properties. Click the Layout tab and change the Window Size to Width=100 and Height=100. Click OK. Select Apply properties to the current window only and click OK. Scroll bars should appear on the right of the window.

4. Navigate to the directory in which FreeFlow Print Manager is installed. On a Windows system this is typically C:\Program Files\XPPS\FreeFlow Print Manager Tool <version>.

Commands can now be sent using Command Line Print.

NOTE: All values that contain spaces should be enclosed in quotation marks. (This is valid for Windows only.)

Print Manager Command Line Print Operating Modes

Commands are entered in the Print command mode. In this mode, type the specifications for setting up and printing a job as a single command with multiple options.

Type commands and options at the command prompt on the command prompt or Terminal window.

NOTE: Solaris, Red Hat Linux, and Mac OS X commands are case-sensitive. Be sure to type each command exactly as shown in this chapter.

Using the Print Command

Instructions are given to FreeFlow Print Manager Command Line Print by typing a single command. All printing and job setup specifications you can enter are options of that one command. This is the command syntax:

• Windows

• Solaris and Red Hat Linux

• Macintosh

Print command options

Type the Print command along with any of the following options from the command line.

NOTE: FreeFlow Print Manager does not know how many pages are in a print job, so it does not display an error if you select Stapling for a single page job or a job that is too large to be stapled.

NOTE: If you do not specify a name for your print job in the Job Ticket, FreeFlow Print Manager assigns an arbitrary name to the print job.

Displays a list of options and arguments and their functions that are available.

-f <file> Selecting a document for printing where <file> is the document to print

Selects the document file that will be printed. This option is required for printing.

Syntax: -f <file>

Argument: <file>

Specifies the directory path and name of the document file that will be printed.

NOTE: When submitting a job from a Linux workstation with the Command Line Client, path names and document names with spaces may be truncated after the space. The correct syntax for path name/document name strings with spaces is to enclose the string with one of the following:

‘”path/document name string with spaces”’

\”path/document name string with spaces\”

-jt <job> Setting the job ticket

Specifies the job ticket to be used with the current job. This option is required for printing.

Syntax: -jt <job>, where <job> is a saved job ticket

Argument: <job>

Specifies the directory path and name of the saved job ticket to be used to print the job.

-copies <#> Setting the number of copies

Specifies the number of copies of the document to be printed.

Syntax: -copies <#>, where <#> is a numeric value for setting the copy count

Argument: <#>

Numeral that indicates the number of copies to be printed.

Specifies the finishing for the job.

-message <message> Entering a message to be shown on the banner page

Enter a message to be shown on the banner page using up to 1000 characters.

NOTE: When submitting a job from a Linux workstation with the Command Line Client, messages with spaces may be truncated after the space. The correct syntax for messages with spaces is to enclose the string with one of the following:

-mname <name> Setting the media

<name> is the name for the media in the form of a string. When using the -mname setting, do not use any other media attributes.

Once the Xerox Job Ticket Converter is installed, you can use it to:

• Convert legacy .xjt job tickets to .xpf job tickets

• View the conversion log

• Save the conversion log to file

Opening the Xerox Job Ticket Converter and converting .xjt Job Tickets to .xpf Job Tickets

Use the Xerox Job Ticket Converter to convert legacy .xjt job tickets to .xpf job tickets that are recognized by newer Xerox printers and printer drivers.

NOTE: The Xerox Job Ticket Converter can convert XJT tickets generated only by the XPPS suite of tools. It cannot convert job tickets generated by DigiPath or FreeFlow software.

4. Mark the Include Subdirectories check box to include job tickets in the subdirectories of a directory you select.

5. Click the Select Ticket(s) button to select the job tickets or directory/subdirectories. You are returned to the FreeFlow Job Ticket Converter Window.

6. Click the Begin Upgrade button to start the conversion process. Click the Stop button at any point to stop the conversion.

7. When the conversion is finished, the number of old tickets found and the number of old tickets upgraded appear in the Results log window.

Once you have upgraded job tickets, you can view the results in the Upgrade log window and then either save the log to file or clear the log.

Perform the following to save the Results Log to file

2. Use the Look In text box to select a location for the log file.

3. Type the name of the log file in the File Name text box.

5. Job Ticket Options

This chapter contains the procedures for printing a document using FreeFlow Print Manager.

Setting up a Print Job

A "print job" is a document to be printed and the set of instructions telling the printer how to print the document. The set of print instructions is also known as a job ticket. FreeFlow Print Manager lets you select multiple documents to print at one time. Each document is sent to the printer with its own set of printing instructions. When multiple documents are selected for printing, multiple print jobs are submitted to the printer.

Use the Job Settings window in Print Manager to specify the print instructions for the print job. The values for the print instructions that appear on the Job settings tabs are the "current job ticket" settings.

Access job setup specification tasks from icon buttons on the icon bar, pull-down menus on the menu bar, and the Job ticket fields that compose the rest of the window.

NOTE: The Job Settings window is the default window for FreeFlow Print Manager. Click the Job Settings tab on the left side of the screen to open the Job Settings window, if necessary.

Printer Limitations Window

If the current job ticket contains parameters not available on the selected printer, the Printer Limitations window appears. This window shows all the parameters the current print job contains that are not available on the selected printer. For example, it shows that a color job is trying to print on a black and white printer.

Once the Printer Limitations window closes, you can restore the screen by pressing the Printer Limitations icon, which is the last icon available on the icon button line.

When the Printer Limitation window closes, the job appears but without the items listed in the limitations window. Use the Printer Limitations list to help correct the job ticket before submitting the job for printing.

The Printer Default Option

A Printer default selection appears in many of the job ticket fields. Use this option to print the job using the queue default, the queue override, or the option that was set using the PostScript setpagedevice command.

When Printer default is selected, the job prints using the option that was set in one of the categories shown in the following list:

1. Queue overrides

2. Exception pages

3. Job ticket

4. Submission print protocol

5. Setpagedevice values/PCL copy count

6. Queue defaults

The list shows the order in which defaults are used. Queue overrides parameters are used as defaults first. If no queue overrides are specified, exception page parameters are used, and so on.

Setting Job Ticket Options for FreeFlow Print Manager

A job ticket specifies a set of printing options the system uses to print a job. A job ticket must be selected or created for each print job.

Use the Job Settings window to select or enter parameters for the job ticket. You can apply these specifications to the current print job only, or you can save the specifications as a job ticket file and use it with other jobs.

NOTE: The printer features that appear in the job ticket fields and list boxes in the Job Settings window depend on the features available for that printer and on the features you have selected.

To open the Job Settings window to specify job ticket parameters, click the Job Settings tab on the left side of the FreeFlow Print Manager window.

Accessing Job Ticket Features for FreeFlow Print Manager

You can set up a wide range of parameters for a print job. In the FreeFlow Print Manager window, click the Job Settings tab to access tabbed window in which you can select print job specifications. This set of parameter specifications for a job is called a "job ticket."

Documents that are selected for printing may have a job ticket that was saved with it that should be used for printing the document. This job ticket is called the document's "associated job ticket." The associated job ticket will be used unless you indicate that the job ticket programmed in the tabbed windows - the "current job ticket" - should be used instead.

If a document does not have an associated job ticket then the current job ticket defined in the tabbed windows will be used to print that document.

NOTE: Refer to “Managing Job Tickets” on page 5–30 for more information regarding associated job tickets.

A job ticket specifies the printing options the system uses for printing a document. Every time you print a job, a job ticket must be selected or created. The job ticket information accompanies the document to the printer and provides instructions for printing the job.

You can apply this set of specifications to the current print job only, or you can save the specifications as a job ticket file and use it with other jobs.

Job Ticket File Formats

The default file format used by Xerox printing systems is the Xerox Printing Instructions Format (XPIF), which is an XML-based format developed by Xerox. This type of job ticket file is stored as .xpf files.

The Job Definition Format (JDF) is an XML-based open-industry standard for the integration of printing systems. FreeFlow Print Manager has been enhanced to work with this newer format. JDF job tickets can be used in place of XPIF job tickets.

There are some limitations when using the JDF job ticket format. The following features supported by XPIF job tickets are not supported by JDF job tickets. They will be lost if you save an XPIF job ticket as a JDF job ticket:

Creating a New Job Ticket

You can create a new job ticket for a job when the job is sent to print, or you can create and save a job ticket to use with a job that is printed later.

1. Select a printer queue. Refer to “Selecting a Printer and Queue” on page 2–5 for the procedure.

2. The Files tab window displays, along with a set of other tabs that gives access to other job parameters you can specify.

3. To use an existing job ticket as the base for a new one, click the Open button to the right of the Current Job Ticket field, and browse to select a job ticket.

4. Enter the rest of the job information in the Files window. Refer to “Printing Documents or Directories” on page 5–39.

Setting up a Job Ticket

A job ticket indicates to the printer which options to use to print a document. Use the Job Settings tabs to setup a job ticket for documents that are not using their associated job tickets.

The features available on each tab depend on the features available for the selected printer.

The following sections describe the job parameters displayed on the Job Settings window.

Specifying the Number of Copies

1. On the Job Setup tab, click in the Copies text box.

2. Type the number of copies to print.

Specifying the Pages to Print

You can specify that all pages or a range of pages print.

To specify that all pages are printed:

1. On the Job Setup tab, in the Page Range area, select All.

If you wish to print a range of pages, use the following procedure.

To specify a range of pages to be printed:

1. On the Job Setup tab, in the Page Range area, select From.

2. In the From text box, type the number of the first page to be printed.

3. In the To text box, type the number of the last page to be printed. This number must be larger than the number that entered in the From text box.

NOTE: The maximum page displayed in FreeFlow Print Manager may be greater than the maximum page range capability of the printer digital front End (DFE or controller). Check the documentation for the DFE for its maximum page range.

Selecting the Job Type

If the selected printer supports this feature, two options appear in the Job Type field. Select one of the following:

• Standard: Prints the job images sequentially on single sheets of paper.

• Signature: Prints two images, side by side, on a single sheet of paper. Signature is useful for booklet or tabloid jobs. Make sure that, when creating a document for a signature job, the page images are half the size of the paper stock you plan to use.

Specifying the Print Options (Printing or Saving)

Use the Print Options on the Files tab to print, save, or print and save a job or background form, depending on printer capabilities.

1. On the Files tab, select one of the following options from the Print Options drop-down menu:

• Print: Prints the job file and does not save it. This is the default setting.

• Save: Saves the print file, including the current job ticket, on the print server, but does not print the job.

• Print and Save: Prints the job file and saves the file, including the job ticket.

• Save as Background Form: Saves the print file, including the current job ticket, as a background form. The job is not printed.

• Print and Save as Background Form: Prints the job file and saves the background form, including the job ticket.

Note that different printers save the print job in different ways. You should familiarize yourself with how each printer saves a job.

2. If you select Save or Print and Save, a dialog box opens and requests a save location for job. Type the path to the directory or printer where you want to save the job, and click OK.

NOTE: The above procedure may include additional steps if a DocuColor printer is used.

The file is not created until after it has been processed by the print server or controller. If the print job is placed in a hold queue, the print job is not processed and the file is not created until the job is released to the printer.

3. If you select Save as Background Form or Print and Save as Background Form, the form document is sent and saved to the printer when you click the Submit button.

Specifying Job Setup Parameters

The following sections describe the options that may be available for job setup, depending on the printer.

Selecting the PDL Type

The PDL Type is the page description language (PDL) format for the document. Specify the document type by doing the following:

1. From the Job Settings window, click the Files tab.

2. In the PDL Type area, click Change.

3. The PDL Type window appears. From the PDL Type drop-down menu, select one of the following available PDL options: Printer Default, Unknown, PostScript, PDF, PCL, ASCII, or TIFF.

4. Depending on the selection you make, the window displays additional options to specify.

a. From the Orientation drop-down menu, select Printer Default, Portrait, or Landscape.

b. From the Font Name drop-down menu, select the font for the document.

c. In the Font Size area, clear the Printer Default check box and type the font size desired in the Font Size text box.

d. Click OK to save the changes.

Specifying the Sides Imaged

On the Job Setup tab, use the Sides Imaged drop-down menu to specify whether the document is printed on one or both sides of the paper. The following options are available:

• Printer Default

• 1-Sided: Prints the document on one side of each sheet.

• 2-Sided: Prints the document on both sides of each sheet.

• Head-To-Toe: Prints the document in calendar format. Both sides of the page are printed, but the images on the front and back of each page are oriented in the opposite direction. Head-to-toe is also known as “tumble printing.”

Selecting a Finishing Option

Use the Stapling / Finishing option on the Output tab to select a finishing option for the printed document. The finishing options depend on the selected printer.

Custom finishing is available for some Xerox printers. If a connected printer supports a printer capability file, a pop-up button is available. When you select that button, the available custom finishing devices display.

NOTE: When using a Macintosh system, turn on the Help Balloons option by selecting Help. This provides additional descriptive help when selecting finishing features.

Specifying Collation

Use the Collate option on the Output tab to specify the sequence in which the finished prints are stacked in the output tray. The following options are available:

• Printer Default

• Collated: Prints the pages of a document in numerical sequence.

• Uncollated: Prints the requested number of copies of the first specified page of a document before printing the next page.

Specifying the Image Rotation

The Rotation option is available on the Image Adjustment tab. From the Rotation drop-down menu, select Printer Default, None, or 180 degrees to rotate the page image on the printed sheet.

Specifying an Image Shift

Use the options in the Image Shift field on the Image Adjustment tab to offset the printed image from the vertical or horizontal edges of the sheet. Shifting the image is particularly useful for finished jobs that require drilled stock and for preprinted forms.

NOTE: Use the FreeFlow Print Manager Preferences to specify whether the image shift is in inches or millimeters See “General Preferences” on page 5–43 for more information.

1. From the Job Settings window, click the Image Adjustment tab.

2. In the Image Shift area, click the drop-down menu and make a selection.

3. If you select Independent, use the arrow buttons to enter the amount of shift in the desired direction for Side 1 and Side 2. The Side 2 settings are available only if 2-Sided or Head-to-Toe is selected on the Job Setup tab.

NOTE: When the Image Shift option is set at 0 (zero), the image is not shifted.

• X (Horizontal) image shift: Moves the image horizontally on the portrait or landscape page. The up arrow shifts the image toward the right edge of the page and the down arrow shifts the image toward the left edge of the page.

• Y (Vertical) image shift: Moves the image vertically on the portrait or landscape page. The up arrow shifts the image toward the top of the page and the down arrow shifts the image toward the bottom.

• Independent Side 2 image shift: Some printers support independent Side 2 image shifting. If Sides Imaged is set to 2-Sided or Head-to-toe, the image shift values for X and Y on Side 2 may be available.

• Image shift for Head-to-toe printing: For Head-to-toe printing, side 1 and side 2 image shifts work as follows:

– For Side 1, a positive x value shifts the image to the right and a positive y value shifts the image up.

– For Side 2, a positive x value shifts the image to the left and a positive y value shifts the image down.

4. Other image shift options are available if Sides Imaged is set to 2-Sided or Head-to-toe and the printer supports independent side 2 image shift.

• Independent: Independent vertical or horizontal shift for the images on both Side 1 and Side 2.

• Mirror X: A horizontal-only shift that moves the images on both sides in opposite directions. This leaves the vertical shift independent for both sides.

• Mirror Y: A vertical-only shift that moves the images on both sides in opposite directions. This leaves the horizontal shift independent for both sides.

• Mirror Both: A horizontal and vertical image shift that moves the images on both sides in opposite directions from each other. Mirror Both is best used for two-sided jobs.

• Mirror X, Tandem Y: A horizontal shift that moves the images on both sides in opposite directions from each other, and a vertical shift that moves both of the images in the same direction.

• Mirror Y, Tandem X: A vertical shift that moves the images on both sides in opposite directions from each other, and a horizontal shift that moves both the images in the same direction for both sides.

• Tandem X: A horizontal shift that moves the images on both sides in the same direction. This leaves the vertical shift independent for both sides.

• Tandem Y: A vertical shift that moves the images on both sides in the same direction. This leaves the horizontal shift independent for both sides. Tandem is best used for Head-to-toe jobs.

• Tandem Both: A horizontal and vertical shift that moves the images on both side 1 and side 2 in the same direction.

• Printer Default

5. When the image shift programming is complete, move to another tab or click File > Save Job Ticket, or click the Save icon to overwrite the default job ticket file. If you want a different name (for a non-default job ticket, for example), click File > Save Job Ticket As and type a new job ticket name and select a job ticket format (Xerox Job Ticket or Job Definition Format). View the Image Shift settings by clicking View > Job Properties and looking at the Image Adjustment section.

NOTE: Any image shift set in the Image Shift dialog box may interfere with any binding offset set by the application in the document file.

Specifying a Background Form

Background forms are available on supported printers. Typically, a form is saved to the printer to use in a print job and then recalled when needed.

1. From the Job Settings window, click the Image Adjustment tab.

2. In the Background Forms area, clear the Printer Default check box and click Setup.

3. The Background Form window appears. In the Form Name text box type the exact name of the form to be used in the print job.

NOTE: This form should already be available on the printer.

4. Select one of the following from the Apply Form Pages area:

a. Throughout Job: Use the form throughout the print job.

b. Once: Use the form once in the print job.

c. Once, Then Repeat: Use the form once in the print job and then repeat starting at the indicated page in the From Form Page box.

5. Click OK to save the changes.

Selecting an Output Location

You can select an output location in the Output tab of the Job Settings window. Ensure that the stock and finishing types you select are compatible with the output location selected. The available output location selections vary depending on the printer.

Specifying Halftone

Use this feature, available on the Image Quality tab, to specify the halftone screen used when the job is rendered. Select a halftone that most closely represents the frequency you desire.

Specifying Tone Reproduction Curves (TRC)

Use this option, available on the Image Quality tab, to select a set of four intensity functions for cyan, magenta, yellow and black. The TRC drop-down menu contains a list of transfer functions created at the controller.

NOTE: If no Tone Reproduction Curves have been defined at the controller, the only option available for this setting will be Printer Default.

Specifying Anti-aliasing

Use the Anti-aliasing option on the Image Quality tab to alleviate any aliasing problem in an image. Aliasing refers to an inaccurate rendering of line width and position, which causes a jagged appearance on the image edges. If you enable anti-aliasing, the system uses intermediate levels of imaging intensity to improve the accuracy of line width and reduce the jagged effect.

To enable anti-aliasing, clear the Printer Default check box and then mark the Anti-aliasing check box.

Entering Job Notes

Click the Job Notes tab to open the Job Notes window, where you can enter print job information. This information is available to the printer operator and prints on the banner sheet with the job. Only the Job Name and Recipient Name fields are required.

The fields available on the Job Notes window depend on the destination printer.

• Job Name: Type the name of the document you want to print.

To place a document file name automatically in the Job Name field whenever this window is opened, follow these steps:

a. Click Options > Preferences from the top menu bar.

b. The Preferences window opens. Click the Job Notes tab.

c. Select Use the document name as the job name.

d. Click Save.

• Account: Enter the name of the billing account for the current job. If you select Printer Default, the account name is assigned by the printer.

DocuTech 135 and DocuTech / DocuPrint 90 restrictions: On these systems, the Account field must contain a minimum of three characters. Use only the following characters in the Account field:

• Uppercase letters A through Z

• Numerals 0 through 9

NOTE: The first character in the account field may not be a space character.

• Sender Name: Indicates the name of the document sender. The network login name of the current workstation user appears in this text box as the default. You can enter a different name if you uncheck the Use the login name as the sender option in the Print Manager General Preferences (See “General Preferences” on page 5–43).

• Recipient Name: Indicates the intended recipient of the document. The network login name of the current user appears in this text box as the default. You can enter a different name if you uncheck the Use the login name as the recipient option in the Print Manager General Preferences (See “General Preferences” on page 5–43).

• Banner message: In this field, type a message to appear on the banner page of the job. This field is available only when the Printer Default check box is cleared.

• Special instructions: In this field, type job instructions that are forwarded to the operator at the start of the job. This field is available when the Printer Default check box is cleared.

• Additional Accounting Data: In this field, type any accounting data to be forwarded to the operator at the start of the job. This field is available when the Printer Default check box is cleared.

Specifying Stocks for the Job

You typically specify stocks for a job on the Job Setup tab. You can also specify stocks by clicking either the Stock Library icon on the FreeFlow Print Manger icon bar, or by clicking the Stocks button. The Stocks button is available on the Job Setup tab and under sections of the Special Pages tab.

On the Job Setup tab, the Main Paper Stock area allows you to select the stock settings that will be sent to the printer and used to print the current job. If you don’t make a selection, the default stock currently in the printer will be used to print the job. When you change stocks, the changes appear in the Main Paper Stock area.

Below the Main Paper Stock area is an ID drop-down menu from which you can select the main paper stock. A check mark beside a stock indicates that the stock is being used for this job. The stocks displayed in the drop-down menu are set as favorites in the stock library.

You can use the ID drop-down menu to select the main paper stock in the following ways:

• To select a programmed stock from the stock ID menu.

• To specify the properties of a stock that you want as the main stock for this job only. This type of stock is a transient stock and has attributes set specifically for a single job on a specific printer. This stock is not saved in the stock library.

Stock categories

The FreeFlow Print Manager software organizes the stocks that it detects in job tickets into the following categories:

• Printer stocks: Stocks loaded on the printer. Properties for printer stocks are entered at the printer controller user interface screen. You cannot change the properties of these stocks from a FreeFlow Print Manager dialog box, nor can you delete them from the stock library.

Printer stocks are listed in the Printer Capabilities file, which you create on systems that run FreeFlow Print Manager and copy to other systems. Refer to Creating a Printer Capabilities File, later in this chapter.

• User stocks: Stocks that a user defines and adds to the stock list. You can edit the properties of these stocks, and you can add new user stocks or delete stocks at any time.

User stocks are saved in the User Preferences file. If no user stocks have been saved, a default list of user stocks is displayed.

Selecting a Stock

The stock selection procedure allows users to select paper stock from a stock library.

1. In the Job Settings window, click the Job Setup tab.

2. Under the Main Paper Stock area, click the ID pop-up menu and either select a defined stock or select New to specify the properties for a new stock.

If you select a defined stock, a check mark appears in front of the selected stock ID on the pop-up menu. Stock that is available currently on the target printer is identified with a paper tray icon.

If you select New, the New stock dialog box appears displaying the values of the currently selected stock. You can accept these values, change them, or select Printer Default to use the default printer values.

TIP: If you pause the cursor over a stock in the pop-up menu, a window appears that describes the stock’s attributes.

3. If a stock does not currently exist, choose to add to the library or to create the stock as a transient stock that will only be available for this print job.

4. When finished specifying stocks, move to another tab to complete the job specification or save the job ticket.

Modifying an Existing Stock

1. Perform one of the following:

• Click View > Stock Library.

• Click the Stock Library icon on the toolbar.

• From the Job Settings window, click the Job Setup tab and under the Main Paper Stock area, click Stocks.

2. The Stock window opens. From either the Stocks Used in Job or Stock Library windows, select the stock to modify and click Properties.

3. The Stock Properties window opens. Make changes to the specifications in the property fields as desired.

4. When finished making changes, click OK.

Adding a stock to the Favorite List

You can add stocks that will appear in the stock ID pop-up.

1. Perform one of the following:

• From the Job Settings window, click the Job Setup tab. Under the Main Paper Stock area, click Stocks.

• Click View > Stock Library.

• Click the Stock Library icon on the toolbar.

2. The Stock window opens. From the Stock Library window, select the check box in the Favorite column next to the stock you want to appear in the Favorite list. Clear the check box next to stocks you want removed from the Favorite list.

3. When you are finished, click Close.

Deleting a Stock

1. Perform one of the following:

• From the Job Settings window, click the Job Setup tab and under the Main Paper Stock area, click Stocks.

• Click View > Stock Library.

• Click the Stock Library icon on the toolbar.

2. The Stock window opens. From the Stock Library window, select the stock to remove and click Delete.

3. The Delete Confirmation window appears. Click Yes.

4. The selected stock is removed from the library. Click Close to exit the Stock window.

NOTE: The Delete button is not available unless a user stock is selected from the stock library menu.

Creating a New Stock

Use the New Stock property sheet to define and save the descriptions of stocks.

NOTE: You can select any value for any stock attribute, even if the value or attribute displays is not valid for the current printer.

A new stock for the Stock Library is created by clicking Stocks. When the Stock window appears, click New to open a New Stock window. Since this stock will be kept in the library, there is a more complete set of specifications required before the stock can be used.

When you select New, the New stock dialog box appears displaying the values of the currently selected stock. You can accept these values, change them, or select Printer Default to use the default printer values.

There are no limits to the number of stocks in the stock library, nor are there limits to the number of stocks used in a job.

TIP: To create a stock for the Stock Library based on an existing stock, click on the existing stock and click New. The attributes of the existing stock will be transferred to the new stock.

Specifying the Stock Identifier

Specify the identifier of the stock. If the identifier is not modified, the system will assign a number to the newly created stock.

1. Select either Specify stock by attributes or Specify stock by identifier.

2. Click inside the Stock Identifier text box and type a new identifier.

NOTE: For DocuSP, if you select Specify stock by Identifier, and the identifier does not match a stock on the printer, the job will not fault, but will use the default stock.

Specifying the stock size

Specify the size of the stock on the New Stock or Stock Properties dialogs.

1. From the Size drop-down menu, select a standard stock size or Custom. A size may be already selected if this new stock is based on an existing stock.

2. If Custom is selected, type the Width and Height of the stock in the appropriate text boxes.

3. If it is necessary to input the custom measurements in millimeters, click Cancel and then close the stock windows. From the main FFPM window, click Options > Preferences. On the General tab, in the Custom Paper Size Units area, select Millimeters and click Save. Reopen the custom stock and type the measurements in millimeters.

Specifying the stock color

Specify stock color in the New Stock or Stock Properties dialog.

From the Color drop-down menu, select a stock color or enter a custom name in the Color text box. A color may be already selected if this new stock is based on an existing stock.

NOTE: Type up to 30 characters for the color name. If you are using a DocuPrint NPS printer, you can enter a name with up to 27 characters. Do not use spaces when entering the color name.

Specifying the stock type

Use the Stock Properties sheet to specify the stock type.

1. From the Type drop-down menu, select the stock type. A type might be selected already if this new stock is based on an existing stock.

2. Depending on the printer, the following options may be available:

• Printer Default: The default stock available in the printer.

• Standard: Opaque paper

• Transparency: Clear, plastic sheets (8.5 to 9 inches / 213 to 225 mm wide). You can usually select this option with any stock color; however, on some systems you might have to select clear for the stock color.

• Envelope: Envelope stock

• Label: If the label stock type is an ordered stock, select the Ordered check box to display the Sequence field. Enter an order count of 1 to 254.

• Preprinted: Stock on which a form, logo, etc., has been printed.

• Fullcut Tab: Stock on which tabs span the length of one edge of the sheet.

• Recycled: Stock containing recycled content. If the label stock type is an ordered stock, select the Ordered check box to display the Sequence field. Enter an order count of 1 to 254.

• Precut Tab: Paper stock on which tabs are cut in incrementally spaced positions along the length of the sheet, with one tab per sheet.

– If you select the Precut Tab option, a Sequence text box displays. Enter the desired number of tab positions, from 1 to 254.

NOTE: An error will occur if 2-sided printing is programmed for precut tabs or drilled precut tabs. Printing on these stocks must be 1-sided.

• Custom: For stock types not listed, type a custom name in the Type text box. The stock type name may have up to 30 characters. Do not use spaces when entering the custom stock type name.

Specifying a stock name

In the Name text box, type a name for the stock. The name might contain up to 255 characters. A name may be selected already if the new stock is based on an existing stock.

Specifying the stock weight

In the Weight (gsm) field, type the stock weight in grams per square meter (g/m2). This field is only active if the Printer Default check box is cleared.

NOTE: For the Nuvera 100 / 120 / C/P printers, weight is selected by weight category. The weight categories are normal, medium, or heavy.

Specifying drilled paper

Select Drilled if the stock for the print job has drilled holes.

Specifying coating

Select which sides of the paper have a coating from the Sides Coated drop-down menu. Selections are Printer Default, Uncoated, One Side, or Two Sides.

From the Coating Type drop-down menu, select the type of coating on that side of the stock. This drop-down is active only if you selected One Side or Two Sides from the Sides Coated drop-down menu. Possible options include Printer Default, None, Any, Glossy, Semi Gloss, High Gloss, Matte, and· Satin.

From the Uncoated Finish drop-down menu, select the surface on which the coating is applied. Select Printer Default, Smooth, Regular, or Rough.

Specifying Full-Color Parameters

The Color tab allows you to specify job submission attributes for optimal color print quality. You can select Grayscale or Printer Default (if you do not select either of these options you will get color).

Settings in the Color Window

Specify the following in the Color window:

• Print as Grayscale: Selects color or monochrome (grayscale) printing for the job. Clear this check box to print in color. This check box is not available unless Printer Default is cleared.

• Trapping: Compensates for misregistration occurring at the printer. When color planes are not registered, white gaps and regions of shifted hue can appear at object boundaries. Mark the Trapping check to turn Trapping on. Click Setup to open the Trapping Setup window. Make adjustments to the Cross Feed and Feed directions values and click OK. The Printer Default check boxes must be cleared before you can enter values in the direction text boxes.

• Black Overprint: Prevents the background of a black object from being removed when being printed over color. When there is misregistration, this background removal causes a band of white to appear at the edges of the black objects that are printed directly onto colored areas. Select Black Overprint to eliminate this white space. The Printer Default check box must be cleared before the Black Overprint check box becomes available.

• Lightness: Use the slider to select a value for the lightness or darkness of the printed output. Clear the Printer Default check box before using the slider.

– A value of -100 causes the output to appear black.

– A value of 100 causes the output to appear white.

– A value of 0 (zero) causes no change in the output.

NOTE: The output resulting from these selections may be affected by the content of the original image.

NOTE: In the Creo Server user interface, the Brightness slider varies from -15% to +15% in 5% increments. Use the slider to increase or decrease the Brightness.The Brightness setting in Creo is the same as Lightness in FreeFlow Print Manager.

• Contrast: Use the slider to increase or decrease the variation between light and dark areas of the output. Higher contrast values increase the light and dark contrast; lower values decrease it. Clear the Printer Default check box before using the slider.

– A contrast value of -100 causes the output to appear a solid midtone gray.

– A contrast value of 100 causes the output colors to use either full color or no color for cyan, yellow, magenta, and black, depending on the content of the original image.

Example: If a color such as a pastel is below a threshold level, it may print as no color if you select a contrast value of 100.

NOTE: In the Creo Server user interface, the Contrast slider varies from Less to Normal to More. Use the slider to increase or decrease the Contrast.

• Saturation: Use the slider to specify the amount of color to be used to print the output. Clear the Printer Default check box before using the slider.

– A value of -100 causes the output to appear in grayscale.

– A value of 100 prints the output to appear in all bright colors.

– A value of 0 (zero) causes no change to the output.

• Color Cast: Use the slider to select a color cast to apply to all input colors. Clear the Printer Default check box before using the slider. You can adjust three color ranges:

– Cyan – Red: -100 specifies the maximum cyan cast supported by the system, and 100 specifies the maximum red cast.

– Magenta – Green: -100 specifies the maximum magenta cast supported by the system, and 100 specifies the maximum green cast.

– Yellow – Blue: -100 specifies the maximum yellow cast supported by the system, and 100 specifies the maximum blue cast.

Specifying source color profiles

The Color window also contains an Expert Color button, which opens the Expert Color window. From this window, you can identify the correct source for color in the document. Each field contains drop-down menus from which you can select an Images and a Text and Graphics profile for the following color spaces:

• RGB (red/green/blue)

• CMYK (cyan/magenta/yellow/black)

• Grayscale (monochrome)

The menus contain profiles provided by Xerox, plus additional profiles added by the system administrator at the controller.

Perform the following to select a source profile

1. From the Color window, click Expert Color.

2. The Expert Color window opens. From the Images or Text and Graphics drop-down menus in the desired Color Space field, select either Printer Default or one of the source profiles loaded on the printing system at the controller screen.

3. Make additional profile selections as desired from the menus in the other fields on the Expert Color window.

4. Click OK to save any changes and to return to the Color window.

To return to the Color window without saving any changes, click Cancel.

Specifying output color parameters

Click the Expert Color button in the Color window to open the Expert Color window. Use the following fields to modify colors in the Expert Color window:

• Profile: Select either Destination or Emulation.

• Rendering: Specify a rendering intent, which is a method for adjusting colors for images, text, and graphics during printing.

Images, Text, and Graphic menus: Use these pop-up menus to select a rendering effect for Images, Text, and Graphics. You can select the following for each item:

– Printer Default

– Saturation: Adjusts the print colors to preserve the amount of color saturation.

– Perceptual: Also called “photographic rendering.” Adjusts the print colors to make full use of the range of colors the printer supports while preserving the color relationships. This rendering produces the most realistic appearance.

– Relative Colorimetric: Adjusts the print colors to account for the viewing illumination and for the level of whiteness of the stock.

– Absolute Colorimetric: Adjusts the print colors to account for the viewing illumination only (not the media whiteness). This selection provides exact output color matches from one printer to another.

– Pure: Same as Saturation rendering intent, but with a bias against half toning colored text.

– System Specified: Selects the printer defaults for all rendering parameters. If you select System Specified, the system will select all rendering options.

• PANTONE Color Processing: Enables the use of PANTONE Color mappings.

NOTE: This feature is currently available only for sending to printers using LPR with the Xerox ASCII Job Ticket protocol. If a job ticket is loaded for a printer that does not support the PANTONE Color feature, a printer limitation is displayed.

Perform the following to specify output color parameters

1. On the Color window, click Expert Color. The Expert Color window opens.

2. Select the Output Color tab and make any desired selections in the Profile, Rendering, and Pantone Color Processing areas.

3. Click OK to save any changes and to return to the Color window.

To return to the Color dialog box without saving changes, click Cancel.

Setting Highlight Color Parameters

For printers that support highlight color, the Highlight Color Setup window allows you to specify the highlight color, the mismatch action that will be taken by the system if the preferred color is not installed at the printer, the extraction color, and the rendering algorithm for printing the colors specified in the job.

Specifying the highlight color

Select a highlight color from the Highlight Color drop-down menu.

If the job specifies full color, the system provides a conversion of full color documents to highlight color by mapping each color to a shade or a tint of the selected highlight color.

Specifying the mismatch action

From the Mismatch action drop-down menu, select the action the printer will take if the preferred highlight color is not installed in the printer.

The options are:

• Printer Default

• Use Loaded Color: The document is printed using the color that is installed in the printer. This selection is appropriate when the actual highlight color is not important.

• Hold Job: The document is held at the printer until the specified color is installed.

• Cancel Job: The document is not printed and the print job is cancelled if the specified color is not installed in the printer.

Specifying the Highlight Mapping Color

When a highlight color printing system receives a color job, the job is printed in the ink color loaded in the printer using solid color and a variety of shades (color plus black) and tints (color plus white).

Highlight mapping color determines how the existing color of text, shading, or graphics contained in a job will print on your printer, and which color will print in the solid highlight ink color. All colors other than the highlight (printer ink) color print in a shade or tint of the color loaded in the printer.

To specify the color in the document you should print in the solid highlight color, select the desired color from the Highlight Mapping Color drop-down menu.

All other colors in the document, including composite colors using the highlight mapping color, are printed as shades or tints of the printer color.

Selecting the Mapping algorithm

The mapping algorithm allows you to select the qualities of a three-dimensional color application that are most important when printing in highlight color.

The choices are:

• Printer Default

• Pictorial: Maintains the pictorial quality of the images as follows:

– Colors with a hue that matches the map color are printed unchanged.

– Colors with a hue close to the map color are printed at a lower saturation level.

– Colors with a hue that is complimentary to the map color are printed as shades of gray

• Presentation: Distinguishes between different colors. Presentation is a good choice for charts and diagrams that use distinctly different colors. Be aware that pictorial material may not print as desired. Uses preset color tables to map the colors. The color tables apply to red, green, and blue inks only.

• Automatic: The pictorial algorithm is used for embedded graphics and the presentation algorithm for text, lines, and fill areas. This option is the default.

• Color to Highlight: Discards the hue information and preserves the saturation and value of the color application. Fully saturated input colors are printed as solid highlight color. This choice is useful for documents that use highlight color for emphasis.

• Monochrome: colors are mapped to a monochrome or grayscale color.

Specifying Covers

The Special Pages tab allows you to specify covers, exception pages, and page inserts. This tab allows you to select different paper stock and printing options for a front cover, a back cover, or both.

The following procedures assume that the Special Pages window is open.

Specifying covers

Both a front and / or a back cover can be added to the print job.

1. From the Special Pages window, select the Add Covers icon.

2. The Covers window opens. Select the Front Cover and Back Cover check boxes. The Paper Stock and Printing areas display for both covers.

3. From the Use Job Setting drop-down menu, select the stock number for each cover. The properties for the previously selected stock with that number display in the Paper Stock list box.

4. To select a different stock ID or to specify different properties for the stock number, click Stocks to open the Stock window. See “Specifying Stocks for the Job” on page 5–13 for more information on specifying a stock.

5. From the Printing drop-down menus, select the sides of the covers to print. Available options are None, Print on Side 1, Print on Side 2, and Print on Both Sides.

6. Click OK to save the covers programming and return to the Special Pages window. The covers you specified display on the page.

If you made an error, select the cover and click Edit to make changes, or click Delete to delete the cover.

Specifying Exception Pages

Use the Exception Pages window to select different paper stocks for specified pages or page ranges in the print job.

NOTE: If you submit more than one job to print at the same time, all the jobs will include the exception pages you specify.

Adding an exception page

You can add up to 250 exception page ranges, but not more than 1000 page exceptions.

Perform the following to add exception pages

1. From the Special Pages window, click the Add Exception Pages icon.

2. The Exception Pages window opens. In the Page Range text box, type the range of pages you want to program. Ranges are indicated by hyphens and different ranges are separated by commas (with no spaces). For example, 22-24,38-39,55-65.

If the range is one page, type the page number by itself. For example, 22,38,55.

3. Specify the other properties of the exception pages from the available options, as appropriate.

General Tab

• Stock: Specify the stock for the exception pages. See “Specifying Stocks for the Job” on page 5–13 for how to select the desired stock.

• Sides Imaged: Select Use Job Setting, 1-Sided, 2-Sided, or Head-to-toe printing from the drop-down menu.

Image Adjustment Tab

• Image Shift: To shift the page image on the exception pages, follow these steps:

a. From the Image Shift drop-down menu, select a setting. Descriptions of these settings are detailed in “Specifying an Image Shift” on page 5–9.

b. Type the desired image shift parameters. Refer to “Specifying an Image Shift” on page 5–9 for an explanation of these parameters.

c. Click OK to close the Exception Pages window. The specifications you entered display on the page.

Image Quality Tab

• Anti-aliasing: To reduce the appearance of jagged lines and edges in exception page images, clear the Printer Default check box beneath Anti-Aliasing, and select the Anti-aliasing check box.

• Halftone: Use this feature to select the halftone screen to be used when the job is rendered. Select a halftone that most closely represents the frequency desired.

• Tone Reproduction Curves: Use this option to select a set of four intensity functions for cyan, magenta, yellow, and black. The TRC pull-down menu contains a list of transfer functions that were created at the controller.

• Color: If the printer supports full color printing and color source and printing parameters need setting for the exception pages, do the following:

a. Clear the Use Job Setting check box in the appropriate area where change is required.

b. Make any desired color parameter specifications. Refer to “Specifying Full-Color Parameters” on page 5–19 for an explanation of the color fields.

c. Click OK to close the Color window and return to the Special Pages window, or select another tab.

Source Color Tab

• Set Image and Text and Graphics profiles for RGB, CMYK, Gray, and Pantone color spaces.

Output Color Tab

• Set the Destination Profile, Emulation, and Rendering for images, text, and graphics from this window.

4. Click OK to return to the Special Pages window. The changes you made to the exception page display.

5. Repeat steps 2 through 4 to program additional exception pages, if desired.

Viewing or changing an exception page

If you want to modify or view an exception page, use the following procedure.

NOTE: If you submit more than one job to print at the same time, all the jobs will include the change to the exception pages you specify.

Perform the following to view or to change an exception page or range of exception pages

1. In the Special Pages window, click the Add Exception Pages... button.

2. Enter the Page Range for the exception pages.

3. Configure the Paper Stock for the exception pages.

4. Click OK to return to the Special Pages window.

Deleting an exception page

If you want to delete an exception page, use the following procedure.

CAUTION: The exception page is deleted immediately without a confirmation window. Make sure you are deleting the correct exception page.

Perform the following to delete an existing exception page

1. From the Special Pages window, select the exception page to delete.

2. Click Delete. The selected page is removed from the list box.

Specifying Page Inserts

Click the Add Page Inserts icon to open the Page Inserts window, from which you select the blank pages you want to insert into the current document. You can specify the page numbers after which blank pages will follow, the number of blank pages to insert, and the stock you want to use for the blank pages. You can insert multiple sets of blank pages in the print job.

Adding an insert

NOTE: If you submit more than one job to print at the same time, all the jobs will include the page inserts you specify.

Perform the following to add a blank insert page to the job

1. From the Special Pages window, click the Add Page Inserts icon.

2. The Page Inserts window opens. In the Insert After Page text box, type the page number after which the insert will be placed. Select Insert As First Page to insert a page before the first page in the job.

3. In the Quantity text box, type the number of blank pages to insert.

4. Specify a stock for the blank page inserts. See “Specifying Stocks for the Job” on page 5–13 for information on how to select the desired stock.

5. Click Apply to apply the change and remain on the Page Inserts window. You can continue to insert pages.

6. When you are finished, click OK. The page number, type, and setup information for the insert pages appear in the Special Pages window.

Click Cancel to cancel the changes.

NOTE: DocuSP allows you to insert multiple pages and to insert a page after page 0 (before page 1). However, the DocuTech 135 does not allow these functions.

Changing a blank insert

If you want to change a blank insert, use this procedure to update the specification.

NOTE: If you submit more than one job to print at the same time, all the jobs will include the page inserts you specify.

Perform the following to change a blank insert

1. From the Special Pages window, click the Insert page that requires a change. Click Edit.

2. The Page Inserts window opens. Make any desired changes to the insert and then click OK. To remove the changes made, click Cancel.

3. The Special Pages window refreshes. Note that the change is made and appears in the window.

Deleting a blank insert

Use this procedure to delete a blank insert.

Perform the following to delete a blank insert

1. From the Special Pages window, click the Insert page you want to delete. Click Delete.

CAUTION: The insert page is deleted immediately without a confirmation window. Make sure you are deleting the correct insert.

2. The Special Pages window refreshes. Note that the blank insert has been deleted and no longer appears in the window.

Specifying VI Container file settings

When a VI Container file has been loaded into the document list, the VI Container settings for the file are enabled under the Job Setup tab. The operator can select a VI Container file and then define the set or range of sets for print submission.

NOTE: VI Containers can only be loaded from the local file system.

NOTE: The settings for this feature are enabled only when database VIPP or PPML files are loaded in the document list.

Perform the following to specify the VI Container settings

1. Click the Job Setup tab.

2. Select a VI Container file from the VI Container Settings For drop-down list. The settings for the Document Set Range contained in the selected file will be loaded.

3. Select one of the following radio buttons:

• All: Select this option to submit all document sets for the selected VI Container file.

• From/To: Select this option to submit an operator defined document set range for the selected VI Container file. Enter the set range in the From and To fields.

Managing Job Tickets

You can save, modify, and retrieve job tickets.

Saving a Job Ticket

You can save the settings for a job ticket. You can save the settings as the default job ticket settings for Print Manager, or you can save the settings under a different file name.

Perform the following to save a job ticket and overwrite the default job ticket

1. On the FreeFlow Print Manager menu, click File > Save Job Ticket.

2. The saved job ticket settings are now the default settings for FreeFlow Print Manager.

CAUTION: You are not warned that you are overwriting the existing default job ticket settings. Changes are immediate.

Perform the following to save a job ticket for later retrieval

1. Click File > Save Job Ticket As in the FreeFlow Print Manager menu.

2. The Save Job Ticket As window opens. Perform one of the following:

• Click the Local tab to save a job ticket to the local fixed drives.

• Click the Repository tab to save a job ticket to the document Repository Management System. You may be required to supply a valid username and password to access the repository.

NOTE: The settings for accessing the document repository are configured using the FreeFlow Print Manager Preferences dialog. See “Repository Preferences” on page 5–47 for more information.

3. Click Save.

The saved job ticket settings are now available for retrieval and use with other jobs.

Save a Job Ticket With option

This option allows the operator to create a job ticket and then associate it with a repository document (for example, a document stored in a DocuShare or SharePoint repository) or a VI Container file on a local file system.

NOTE: The settings for accessing the document repository are configured using the FreeFlow Print Manager Preferences dialog. See “Repository Preferences” on page 5–47 for more information.

The associated job ticket can be retrieved when the operator loads the document and then loads the associated job ticket.

Perform the following to associate a Job Ticket with a file

1. Enter the Job Ticket settings in FreeFlow Print Manager.

2. Click File > Save Job Ticket With.

3. Perform one of the following:

• For VI Container files: Click the Local tab. Then navigate to the document location. Highlight the document and click [Save].

• For Repository files: Click the Repository tab. Navigate to the document location. If necessary, enter the appropriate log in information to access the repository server. Highlight the document and click [Save].

NOTE: VI Containers in document repositories are not supported.

Opening a Saved Job Ticket

You can open a saved job ticket.

CAUTION: When opening a job ticket on a workstation with the Macintosh OS X, do not select an alias. This will cause the “In Progress” bar to remain open indefinitely.

Perform the following to open a saved job ticket

1. Click File > Open Job Ticket in the Print Manager menu.

2. The Open a Job Ticket window appears. The window lists the last location where a job ticket was saved. Perform one of the following:

• Click the Local tab to find a job ticket saved to the local fixed drives. Select a job ticket from the list and click Open.

• Click the Recent tab to examine other recently used job tickets. Select a job ticket from the list and click Open.

• If the job ticket is saved on the network, click the File Path tab, type the full path to the file, and click Open.

• Click the Repository tab to find a job ticket saved to the document Repository Management System. You may be required to supply a valid username and password to access the repository.

– Select a job ticket from the repository and click Open.

NOTE: The settings for accessing the document repository are configured using the FreeFlow Print Manager Preferences dialog. See “Repository Preferences” on page 5–47 for more information.

An In Progress window appears while the settings are being loaded.

3. Confirm that the settings are correct before proceeding.

Opening the Default Job Ticket

You can reopen a default job ticket after using a saved job ticket.

CAUTION: When opening a job ticket on a workstation with the Macintosh OS X, do not select an alias. This will cause the “In Progress” bar to remain open indefinitely.

Perform the following to open the default job ticket

1. Click File > Open Default Job Ticket.

2. The New Job Ticket window appears. Click Yes to reset to the default job ticket values.

3. Confirm that the settings are correct before proceeding.

Opening an Associated Job Ticket

Some documents that are selected for printing have an "associated job ticket." This is a job ticket that has been saved with a document with the intent of having that ticket used when the document is printed. When a document has an associated job ticket, the operator has the option of using the associated job ticket to print the job or using the "current job ticket" defined by the values on the Job Settings tabs.

The Documents list contains two columns to the left of the document name. The first column will indicate if the document contains an associated job ticket. The second column will indicate if an associated job ticket is being used. When the mouse pointer hovers over an icon, a tooltip describing the meaning of the icon will be displayed. The table below describes the icons:

Documents with associated job tickets can be found in two places. VI Container files found on the local file system can have an associated job ticket. Print-ready documents found in a document repository can have an associated job ticket.

NOTE: VI Containers stored in document repositories are not supported.

Perform the following to select a document with an associated job ticket

1. From the Job Settings window, click the Files tab.

2. In the Document area, click Browse, or select File > Load Document. The Load a Document window appears.

• For VI Container files: Click the Local tab. Then navigate to the document location. Highlight the document and click [OK].

• For Repository files: Click the Repository tab. Navigate to the document location. Highlight the document and click [OK].

If a single document with an associated job ticket was selected and it is the only document being loaded into the Documents area, you will see a Warning dialog asking if the associated job ticket should be loaded and replace the current job ticket. Answering [Yes] will cause the document's associated job ticket to become the current job ticket, replacing any values that had previously been set.

If more than one document was selected or the document selected is being added to the existing document list, you will not be prompted to replace the current job ticket with an associated job ticket.

The selected documents appear in the name field of the Documents area. The Document column icon will indicate if there is a job ticket associated with the file. By default, documents with an associated job ticket will be set to use the associated job ticket and documents without an associated job ticket will be set to use the current job ticket, as indicated by the icon in the Job Ticket column.

3. To change which ticket a document with an associated job ticket will use, click the down arrow button to the left of the document name and select either Use Associated Job Ticket or Use Current Job Ticket from the drop-down menu.

Perform the following to load an associated job ticket as the current job ticket

1. Select a document in the Documents area that has an associated job ticket

2. Click the Load Job Ticket button to have the associated job ticket loaded as the current job ticket, replacing any values that had previously been set.

Perform the following to submit documents using an associated job ticket

If there are no changes required to the associated job ticket, you can press the Submit button and the job ticket settings that had originally been saved will be used to print the documents that have been set to use their associated job tickets.

If changes to the job settings in the associated job ticket are required before the job is submitted, the job ticket must be modified as follows

1. Load the associated job ticket to make it the current job ticket. This may already have been done if only a single document is loaded in the Documents area.

2. Modify the job ticket using the tabs in the Job Settings window.

3. Perform one of the following:

• Change the job ticket column to use the current job ticket instead of the associated job ticket and submit the job.

• Save the modified job ticket with the document as its new associated job ticket (see “Save a Job Ticket With option” on page 5–31 for more information). Submit the job.

Opening a JDF Job Ticket with a referenced PDL document

The operator can open a JDF job ticket that has a referenced PDL file (such as a PDF or PostScript document) into the document list. The operator will not have to separately load the referenced PDL file with this feature.

NOTE: The default behavior for FreeFlow Print Manager is not to load a referenced PDL file. The preferences must be changed to enable this feature. See “General Preferences” on page 5–43 for information on changing the default behavior.

NOTE: When loading a JDF job ticket with a referenced PDL document, the PDL document will replace any other documents previously loaded into the document list.

When the FreeFlow Print Manager preferences are set to load referenced PDL files, all JDF job tickets will be checked for PDL references. The PDL reference must be a valid URL for the operating system that the FreeFlow Print Manager application is running on.

If the PDL file cannot be accessed, an error message will be displayed.

CAUTION: When opening a job ticket on a workstation with the Macintosh OS X, do not select an alias. This will cause the “In Progress” bar to remain open indefinitely.

Selecting a Print Queue

Click the Administration icon to display the Queues area, which displays a list of the available print queues.

Perform the following to select a queue

1. Open the FreeFlow Print Manager software.

2. Perform one of the following:

• Select Printer > Change Queue, and from the list presented, select the print queue to use. The selected print queue is displayed beside the printer icon on the main FreeFlow Print Manager window.

• From the Printer menu, select Change Printer and select a new printer and queue. Click Set Print Path.

• Click the Administration button on the left side of the interface. The Print Monitor tab appears. In the Queues area, right-click the desired queue. From the pop-up menu, select Set Print Path.

NOTE: Several unconnected printer queues always appear in this list. The unconnected printer options allow you to set up and save job tickets on your desktop without access to the printer.

Selecting One or More Files or Directories to Print

NOTE: If you select a directory to print, only the files in that directory level are sent to print. FreeFlow Print Manager does not print files in subdirectories of the directories you select.

To select one or more files or directories to print, use any of the following methods:

• Use a Directory window to locate and select any number or combination of files or directories.

• Use Windows Explorer to select any number of files and drag and drop the file(s) onto the FreeFlow Print Manager application.

NOTE: Drag and drop file selection applies only to workstations using Windows operating systems.

• Use the command line.

• Select the file from the File menu, which displays the four most recently opened files.

Drag and Drop

All Windows systems support “Drag and Drop” to automate the printing process. If a “shortcut” or “alias” has been created on the desktop for the FreeFlow Print Manager program, appropriate document files and/or directories can be “dragged” and then “dropped” onto the program icon. FreeFlow Print Manager then opens with the selected files loaded. You can drag and drop a job ticket with the files to print the files using that job ticket, or you can load a job ticket or create another job ticket to finish the printing process. If one of the files selected is a job ticket file (.xpf or .jdf), that job ticket will be used in place of the default job ticket. The file(s) will be sent directly to the printer if “Automatically submit dropped document files” has been selected.

You can also configure this option to drag and drop multiple files to the document list. See “General Preferences” on page 5–43 for more information.

Selecting a print server file

1. If the file you want to print is a remote file, click Change in the Remote Printing area.

2. The Remote Printing window appears. Select Print Server File, make a selection from the Save Job Repository drop-down menu, and type the Save Location.

3. Click OK to return to the Files window.

Printing Documents or Directories

When you have selected the settings for the job ticket, click the green Submit button on the interface, or click File > Submit to send the job to the printer.

NOTE: FreeFlow Print Manager does not know how many pages are in a print job; therefore, it does not display an error if you select Stapling for single page job or a job that is too large to be stapled.

Previewing a file for print

The document preview feature is intended to allow users to confirm the correct document is selected for printing, or verify the selected page range in a document is correct.

NOTE: This feature will only preview PDF format documents.

To preview a PDF document

Users can preview PDF only documents before they are printed.

1. In FreeFlow Print Manager, select the Files tab.

2. Highlight the PDF document you want to preview in the Documents list.

3. Click the Preview button.

The configured PDF file viewer will open with the document loaded.

NOTE: If a viewer has not been configured, the Select PDF Viewer dialog will appear when you select the Preview button. You can navigate to the executable file for the third party viewer and configure it using this dialog.

Reprinting a Saved Job

Use Reprint to print a saved job.

NOTE: This option is only available when printer to a DocuSP controller.

NOTE: You cannot use this function to reprint a job that has already been printed. You can “reprint” only a saved job. By specifying Reprint, you are actually printing a saved job for the first time.

You can reprint a saved job in one of the following ways:

• Without changing any of the saved job ticket parameters

• By changing one or more saved job ticket parameters

NOTE: Different network software modifies the reprint job name to fit various naming conventions. In most cases, if you want to reprint a job from a DOS or Windows client, the Save Preferences on the DocuSP controller must have the File Server Type set to [PC]. Refer to the Print Service Operator Guide for more information.

Reprinting without Changing the Job Ticket Parameters

When you save a job, the job ticket is created and saved. All parameters selected in the job ticket when you saved the job are part of the saved job ticket. When you save the job ticket, a .jt extension is added to the end of the file name. If the Files of Type drop-down menu is set to [PC File Server Type], the job decomp.ps is saved as DECOMP.jt.

1. Click Change in the Remote Printing area on the Files window.

2. The Remote Printing window appears. Select Reprint. Type the file name to be reprinted in the Save Location text box. If the Save Job Repository is the default save location set at the DocuSP controller, then you do not need to enter the source directory. If you selected a source directory that is different from the default save directory, enter the directory path to the save location.

NOTE: The source directory and file names are case sensitive and must be identical to the name of the file you submitted to be saved. Note that some network gateway software changes the case to all lowercase or all uppercase.

3. Click OK. The title bar changes to reflect that this is now a reprint job.

NOTE: When you select Reprint in the FreeFlow Print Manager window, all the job ticket parameters are set to either the system defaults or to Printer Default.

4. Ensure that the number of copies that will be printed matches the number of copies that were specified for the reprint job, and click OK.

5. Click Print. The job is sent to the printer for reprinting.

Reprinting with Different Job Ticket Parameters

When you save a job, the associated job ticket is saved with it, but the job may be reprinted with different job ticket parameters.

You cannot change the saved job ticket. You may submit the job for reprinting with new parameters, but the new parameters do not affect the saved ticket.

You can change all the job ticket parameters except the PDL Type, which is set to Printer Default.

Checking the Status of a Print Job from FreeFlow Print Manager

There are several ways to check job properties and the status of a print job in FreeFlow Print Manager:

• Click the Administration icon, click on a job in the Jobs area, and select Administration > Properties to view the job’s properties, message details, and defaults; to cancel a job; and to update a job’s status.

NOTE: You must select a printer, queue, or job before the Administration > Properties option becomes available.

• Click the Administration icon, and then right-click on a print job in the Jobs area to cancel a job, view a job’s message details, view a job’s properties, and determine the status of a print job (such as pending, printing, and completed).

• Select View > Job Properties from the menu options to view the properties of the job that you are currently programming.

• Click the Administration icon, and select the printer to which the job has been sent in the Printer area. When the screen has refreshed, the print jobs for that printer appear in the Jobs area.

NOTE: If you do not select a printer, the jobs for all printers appear in the Jobs area.

• Click the Show Active Jobs drop-down menu and make a selection to see other jobs. Click Refresh to see the current status.

Setting the FreeFlow Print Manager Preferences

Use the Preferences window to customize the way users interact with Print Manager.

Perform the following to set the FreeFlow Print Manager preferences

1. From the Options menu, select Preferences.

2. The Preferences window displays. You select preferences in six tabs:

General Preferences

Use the General tab to select general settings.

• Default Job Ticket: Browse to locate the default job ticket, or select Use printer defaults.

• Job Notification: Enables the workstation from which a job was sent to receive job status information. Automatic job status must be enabled for the printer so that notification can be received when a job has been completed. Consult the system administrator for further information.

– Select the Display the job submission success message check box to display the Job Submitted window after each job is successfully submitted.

NOTE: Job notification does not apply when using TCP/IP.

• Drag and Drop: Enables drag and drop printing. Select the Automatically submit document files dropped on icon check box to drag and drop files onto the FreeFlow Print Manager icon or window for immediate printing using the current job ticket and the selected or default print queue.

– The normal Print Manager behavior is to replace any files in the document list with the file dropped onto the interface. Select the Add dropped document files to existing document list checkbox to add files to the list without replacing files already in the document list.

• Custom Paper Size Units: Choose Inches or Millimeters. The measurement unit you select causes custom paper size references in FreeFlow Print Manager to appear in that unit.

• Image Shift Units: Choose Inches or Millimeters. The measurement unit you select causes image shift unit references in FreeFlow Print Manager to appear in that unit.

• JDF Ticket: Select the Load referenced document files to document list check box to load a referenced PDL file (such as a PDF or PostScript document) into the document list when selecting a JDF job ticket. This option saves the operator from having to separately load the document after opening the JDF job ticket with a referenced PDL document.

Job Notes Preferences

Use the Job Notes tab settings to control the way FreeFlow Print Manager automatically completes fields in the Job Notes window. Select from the following:

• Use the document name as the job name

• Write the account when saving the Job Ticket

• Require the account when submitting a job

• Use the login name as the sender

• Use the login name as the recipient

Printers Preferences

Use the Printers tab to control the way printers interact with and display in FreeFlow Print Manager.

• Print Monitor Display Order: Select the order in which the print monitor displays printer, queue, and job lists.

• Maximum Number of Jobs Displayed per Queue: To change from the printer default number, clear the Use printer default check box and type the maximum number of jobs to display.

NOTE: The printer returns the oldest jobs first. If you want to see all the jobs in a queue, you must increase the number of jobs you want displayed up to the number of jobs allowed by the printer.

• Printer Discovery: Use this area to control whether unconnected printers are displayed and the location of the printer Discovery File. To change the printer Discovery File, click Browse and navigate to the new file. Select the file and click Open. The Printers page refreshes and shows the new file location.

Mark the Use saved discovery list at startup check box to allow queue changes via the Printer menu. All queues and printers previously saved in the discovery list are selectable by clicking Printer > Change Queue from the main menu. Select the printer desired and the queue where the job will be sent. This is a short-cut accelerator to improve performance by allowing you to rapidly change queues.

If a printer is not available on the list, or you have added or deleted queues have been since the discovery list was last saved, click Printer > Refresh from the main menu.

NOTE: On systems running the Red Hat Linux operating system, if you make changes to the list of registered printers while the FreeFlow Print Manager application is open, you will need to restart FreeFlow Print Manager and then select the Refresh option.

• Stock Library: You can set FreeFlow Print Manager to display all printer stocks available, or just those that are currently in trays on the printer. Select one of the buttons to choose what FreeFlow Print Manager displays.

NOTE: This feature does not hide user created stocks.

• Job Ticket Printer Reference: You can set the location of the printer reference file using this option. Enter the path to the reference file or click Browse to navigate to the file location. Click the Write the printer address when saving the job ticket check box to add the printer’s network address information to the job ticket.

Press SDK Preferences

Use the Press SDK tab to determine whether FreeFlow Print Manager operates in Press Mode, and where the Input, Success, and Fail folders are located.

When press mode is disabled, if there is a document location specified in a JDF file it will be ignored. This avoids overwriting a previously selected PDL because in this mode job tickets and PDL files are not linked together.

Press mode is intended for use with an external system for generating job sets. When press mode is enabled, if there is a document location specified in the JDF, FreeFlow Print Manager will attempt to locate the file and set it as the document to print.

When press mode is either enabled or disabled, FreeFlow Print Manager will not include the original document’s path when writing out a JDF ticket.

• Press Mode: Select from one of the following:

– Disabled: FreeFlow Print Manager will not operate in Press Mode.

– Input Folder Active: FreeFlow Print Manager will operate in Press Mode but only the Input Folder is active.

– All Folders Active: FreeFlow Print Manager will operate in Press Mode with all folders active.

• Folders: Use the Folders area to set the location of the folders used for Press Mode. If either Input Folder Active or All Folders Active is selected, click Browse to locate the appropriate folder. Select the appropriate folder and click Open to set the folder location.

When Press Mode is enabled the following will apply:

• The job files that completed submission remain when the input folder path includes symbolic link.

• When a JDF job ticket is used, the customer document will be deleted.

Repository Preferences

Use the Repository tab to configure the document repository specific settings. Examples of document repositories include DocuShare and SharePoint.

NOTE: Before you configure the FreeFlow Print Manager Repository Preferences, it is necessary to first configure the FreeFlow Administration Tool located on the workstation hosting the document repository. The procedures for configuring the FreeFlow Administration Tool are found in the Online Help for the application.

Once the FreeFlow Administration Tool has been setup, all the repositories that have been configured on the workstation running the FreeFlow Administration Tool will be available to FreeFlow Print Manager.

a. Connect to a FreeFlow computer that has one or more repositories: Select this check box to enable or disable connection to a repository.

b. Computer name or IP Address: Enter the computer name or IP address for the Repository Management System (RMS) server. This is the server that you used to configure the FreeFlow Administration Tool. The drop-down menu contains a list of the previous entries.

c. Repository Service Port: Enter the port number for the RMS server. The default value is 8090.

NOTE: The port number should match the port for the Repository Service, not the port for Sharepoint or DocuShare web service.

d. Preferred Job Ticket Format: Select the preferred format when loading Job Tickets associated with documents in the repository.

Preview Preferences

This feature uses a third party PDF file viewer (such as Adobe Acrobat) to view the selected file. You need to specify the location of the viewer before you preview a PDF file for printing. You can also use this procedure to specify a different view than the one currently configured.

• Click Browse and navigate to the location of the viewer executable file.

3. Click Save to save any changes and to return to the main FreeFlow Print Manager window.

Click Cancel to return to the main FreeFlow Print Manager window without saving any changes.

Creating a Custom User Interface

If you want a different user interface customized to a different workflow, you can create a new interface from within FreeFlow Print Manager.

Perform the following to create a custom user interface

1. From the FreeFlow Print Manager menu, click Options > Custom UI or click the Custom UI icon below the FreeFlow Print Manager menu.

2. The Custom UI window opens. The options available are as follows:

a. Add: Click Add to add a new UI. Once the name is established, click Modify to change it.

b. Rename: Click an existing UI name and Rename to change an established UI name.

c. Copy: Click an existing UI name and Copy to copy the UI for later modification. The new UI name cannot be the same as any existing UI name.

d. Delete: Click an existing UI name and Delete to remove a UI.

e. Import: Click Import to open and browse for a Xerox User Interface (*.xui) file.

f. Export: Click Export and then select UI names to export. Click Next and type a file name for the file. Browse to where you want to save the file and click Save.

3. Click Add.

6. The Modify window appears with the name of the new UI in the window header. The window is divided into three parts. The first part is the Tabs area, which lists the tabs available on the UI. The second part is the Layout area, which specifies how the tabs and features will appear onscreen. The third part is the Features area in which you select features to include on tabs. Click Add.

7. The Add window appears. Type the name of the tab in the Tab name text box. If this is a Special Pages tab, mark the check box. Click OK.

8. The Layout section activates. Make a selection from the following:

Hot Folders allows you to use pre-defined programs to:

• submit files to printers for printing

• submit Job Tickets for processing

• submit file or Job Tickets and create status log files on job success or failure

The Hot Folders tool periodically queries directories and passes to a predefined program the files in those directories.

The Hot Folders tool does not do any clean up. The launched program or script has the responsibility to delete original and temporary files after processing the job.

There are no restrictions on how the files are entered into the hot folder. Files can be copied locally, moved by NFS or FTP, or saved to the folder by an application.

How the Hot Folders Application Receives Jobs

A Hot Folder is a directory or folder on a networked drive where users can deposit documents. FreeFlow Print Manager (FFPM) watches hot folders, and when a document is deposited, it is turned into a FFPM job.

Hot Folders Interface Components

The Hot Folders interface allows you to view hot folder instances, create or delete hot folders.

These tasks can be performed from the menus or from the buttons on the window.

Hot Folder Menu

The Hot Folder menu has commands that allow you to create, open, delete or close hot folders.

View Menu

The View menu has commands that allow you display Summary or Details windows, filter the Detail view, and manage the workspace.

Stop button

Select this button when you want to stop a hot folder from processing. Selecting this button will cause a confirmation dialog to appear:

Click Yes to confirm that you want to stop the folder.

Click No to cancel.

Delete button

Select this button when you want to delete a Hot folder. A confirmation request appears when you are about to delete a hot folder.

Click Yes to confirm that you want to delete the folder. The folder will finish processing any files currently being processed. All files will then be deleted along with the folder.

Click No to cancel.

Hot Folder Summary Window

The Summary window provides a one line summary of each hot folder on the system.

Hot Folder Window

Each hot folder has its own window that allows you to control the jobs in the processing queue and change the settings for that folder.

This section describes the icons and features found in the window. Instructions for setting up and using hot folders are found in the section “Using Hot Folders” on page 6-4.

Hot Folder Icons

The window for each hot folder has a status area that displays icons and messages indicating the current state of the hot folder.

File View Tab

In a hot folder’s window, there are two tabs. The File View tab lets you view the files in the folder that are being process by the folder or that have completed. Files that will not be processed are not seen in the File View even if present in the folder. Files that have not started process (when using “snap”) are not visible.

NOTE: The File View tab can only display a maximum of 100 items. When the list is full, the oldest item will be removed from the list.

The tab also has controls for changing the processing order of files and removing files from the folder.

Setup Tab

In a hot folder’s window, there are two tabs. The Setup tab allows you to configure the folder and set processing options.

Using Hot Folders

This section covers the use of the Hot Folders application. Configuring third-party processing applications and developing custom scripts is outside the scope of this document.

Creating a Hot Folder

A hot folder is a directory that the Hot Folder application watches. Files placed in the folder are transferred to the processing application you assign to the hot folder.

CAUTION: Each Hot Folder should be associated with a different directory in the file system. Hot Folders sharing a file system directory will cause unpredictable behavior.

NOTE: In order for Hot Folders to function, you must assign a printer queue to the Hot Folder. If necessary, define the queue using the Printer Registration Tool before you create the Hot Folder. See “Printer and Queue Setup” on page 2-4 for more information.

To Create a Hot Folder

1. Using the computer’s file system, create a folder for the jobs to be placed in. If necessary, be sure the folder is accessible from the network.

NOTE: DO NOT create the Hot Folder directory in the My Documents or Program Files folders or sub-folders. A Hot Folder will fail to function in these locations.

2. Select Start > Programs > Xerox Applications > FreeFlow Print Manager Tool Suite <version> > Hot Folders.

3. From the Hot Folders menu, select New. A new hot folder window appears.

4. Click the Setup tab.

5. Type a Folder Name.

6. Set the polling interval by selecting the Minutes and Seconds.

7. Type the path to the Hot Folder Location or navigate to it by clicking the Browse button to open the file dialog box.

8. Select a Processing Program Associated with Hot Folder.

9. You must define a queue in the Optional Parameter text box. Click the Queues... button and select an available queue from those listed. Enter any additional command line options for the processing program into the Optional Parameter text box. For more information see “Optional parameters” on page 6-12.

NOTE: The available queues are defined using the Printer registration tool. If the desired queue is not listed, define the queue using the Printer registration Tool.

10. Click the Advanced... button to configure the following:

• Poll By options. For more information see “About “Poll By” Options” on page 6-13.

• Submission Order options. For more information see “Changing the Job Submission Order” on page 6-8.

• The Number of Files in Snap to set how many files are processed at one time by the Hot Folder. For more information see “Filtering the Details Window” on page 6-14.

11. Choose a Start Up State option.

12. Choose an On Job Error option.

13. Click Apply.

Deleting a Hot Folder

Since there is no limit to the number of hot folders, the reason for deleting any would be that they are no longer needed.

Deleting a hot folder also deletes all files in that hot folder. If the files are being processed, the processing will be completed before the hot folder is deleted. The processing application associated with the folder is not affected.

To Delete a Hot Folder

1. From the Hot Folder menu, select Delete.

2. Click the name of the folder that you wish to delete. The Delete Hot Folder Confirmation message appears.

3. Click Yes to confirm the deletion. Click No to cancel.

Opening a Hot Folder

A hot folder does not need to be open to be processing. Having the folder’s window open allows you to:

• see what files are in the queue

• make changes to the folder

• change job priority

• start or stop the folder

• remove jobs from the processing queue

To Open a Hot Folder

1. From the Hot Folders menu, select Open.

2. Click on the name of the folder you wish to open.

Closing a Hot Folder or Summary Window

Close windows you are not using to clean up your workspace. Closing an individual hot folder window does not stop the hot folder: It will continue receiving and processing jobs regardless of whether its window is opened or closed.

To Close a Hot Folder or Summary Window

This command affects the currently active window only.

1. Click on the window you wish to close to make it active.

2. From the Hot Folders menu, select Close.

Starting a Hot Folder

Hot folders are initially either started or stopped based on the Start Up State option on the folder’s Settings tab.

A folder must be started in order for the Hot Folder application to poll it for jobs. Jobs can be submitted to a stopped folder, but they will not be transferred to the processing application while the folder is stopped.

To Start a Hot Folder

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. In the Folder’s window, click Start.

Stopping a Hot Folder

Hot folders are initially either started or stopped based on the Start Up State option on the folder’s Setup tab.

A stopped folder is not monitored by the Hot Folder application. You can still place jobs in the folder, but they will not be transferred to the processing application until the folder is started.

To Stop a Hot Folder

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. In the folder’s window, click Stop.

4. When the confirmation dialog box appears, click Yes to stop the hot folder.

Changing Job Priority

Jobs are processed according to the Submission Order you selected on the folder’s Setup tab.

You can manually increase or decrease a job’s order in the processing queue.

To Change Job Priority

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. Click the folder’s File View tab.

4. Click the job you wish to change.

a. To move the job to the top of the queue, click Process Next.

b. To increment the job’s position one position at a time, click Move Up repeatedly until the job is in the desired position.

c. To move the job down in position, click Move Down repeatedly until the job is in the desired position.

Removing Jobs from the Processing Queue

Removing a job from the processing queue prevents the Hot Folders application from transferring the job to the processing application. The job remains in the folder, however. Hot Folders does not delete the files.

To Remove Jobs from the Processing Queue

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. Click the folder’s File View tab.

4. To remove a single job from the processing queue:

a. Select the job to remove.

b. Click Remove.

5. To remove all jobs from the processing queue, click Remove All.

Hot Folder Settings

The settings for each hot folder are controlled from the folder’s Setup tab.

Changing the Folder Polling Interval

The polling interval determines how often Hot Folders checks the folder for new jobs. The list is displayed on the File View tab.

To Change the Folder Polling Interval

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. Click the folder’s Setup tab.

4. Under Poll Folder Every, type the Minutes and Seconds.

5. Click Apply.

Changing the Job Submission Order

Jobs can be submitted to the processing application on a First In First Out (FIFO) basis, or in alphabetical order. First In First Out is the default.

TIP: If you have a series of files that must be assembled together in a specific sequence, you can control the sequence by naming the files in alphabetical order and selecting the Alphabetical option for Submission Order.

To Change the Job Submission Order

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. Click the folder’s Setup tab.

4. Click the Advanced... button.

5. Under Submission Order, select a submission option:

a. To process jobs in the order received, select the First In First Out (FIFO) option.

b. To restrict job processing to a specific order, select the Alphabetical option.

6. Click OK.

7. Click Apply.

Assigning a Processing Program to a Folder

The user has the option of selecting one of four processing programs. The processing programs are divided into two groups: file based submission and ticket based submission. These two groups are sub-divided into status reporting and non-status reporting. Below is a description of each processing type:

• Print File: any file found in the Hot Folder will be sent to the printer. No status information will be generated.

• Print File (use status folders): any file found in the Hot Folder will be sent to the printer. Pass and fail folders will be created and status files will be written to these folders. See “Status file error codes” on page 6-11 for the meaning of the error codes.

• Print Ticket: supported tickets found in the folder will be used to print the job. Supported tickets include XPF and JDF.

• Print Ticket (use status folders): supported tickets found in the folder will be used to print the job. Supported tickets include XPF and JDF. Pass and fail folders will be created and status files will be written to these folders. See “Status file error codes” on page 6-11 for the meaning of the error codes.

NOTE: When you select either of the Print Ticket options, you must specify the job ticket type as XPF or JDF. See the procedure below for more information.

NOTE: Using the pre-defined programs included with FFPM will delete the PDL files and Tickets moved into a hot folder. The status files inside the pass and fail folders will not be deleted.

To Assign a Processing Program to a Folder

1. If you are using a 3rd party processing application, install the processing application on the server according to the software manufacturer’s instructions.

2. From the Hot Folders menu, select Open if the folder is not already open.

3. Click on the name of the folder you wish to open.

4. Click the folder’s Setup tab.

5. Select a processing application in the Processing Program Associated with Hot Folder pull-down menu. If one of the Print Ticket options is selected, perform the following:

a. Click the Advanced... button.

b. Select the File Name radio button.

c. Enter one of the following into the text box to the right of the radio button:

• Enter *.xpf to configure the Hot Folder to process XPIF job tickets.

• Enter *.jdf to configure the Hot Folder to process JDF job tickets.

6. Click OK then Apply.

Status file error codes

Text status files are created for Print File and XPF Print Ticket submissions, but not for the JDF Print Ticket option. JDF Tickets submitted create JDF status files with “Completed” or “Aborted” status only.

Print File and XPF Print Ticket submission text based status files contain status codes that indicate when there is a problem. The error codes are written on the first line of the status file. The following table lists the error codes.

Configuring the Default Processing Program Template

FreeFlow Print Manager provides a processing program template that can be used to submit a job to an Print Manager queue. The template file is called “simplejobsubmit.bat” for Windows and “simplejobsubmit.csh” for Solaris. They are found in the templates directory within the Print Manager scripts directory.

To Configure the Default Processing Program Template

1. Using your server’s file system, copy and rename the template.

2. Follow specific instructions in the template file.

3. Install the new file into the <users home directory>\.JxdsUIRootInfo\HF\scripts\hotfolders directory. Scripts found in this directory will be displayed in the Processing Program pull-down menu.

Optional parameters

Users can add command line additions for specifying optional parameters for the processing program.

To aid the user in specifying a particular queue, the Queue button will invoke a dialog listing all the available queues. Selecting a queue from this dialog will automatically fill in the optional parameters text box with the highlighted queue name.

NOTE: In order for Hot Folders to function, you must assign a printer queue to the Hot Folder. If necessary, define the queue using the Printer Registration Tool before you create the Hot Folder. See “Printer and Queue Setup” on page 2-4 for more information.

To specify optional parameters

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. Click the folder’s Setup tab.

4. Enter the processing parameters into the Optional parameters text box.

• Specify a queue by clicking the Queues... button. Highlight a queue from the list in the popup dialog and click OK.

5. Click Apply.

Setting Start Up and Error Options

Folders can be started or stopped when Hot Folders is opened. Folders can be set to either stop or continue processing jobs when a job error occurs.

TIP: If the order in which jobs are processed is critical, you should set the folder to Stop Processing when an error occurs.

About “Poll By” Options

The Poll By feature determines which files submitted to a hot folder are actually selected for processing. The default option is All Files. The options are:

• All Files: All files within the folder will be processed.

• File Name: Only files with a certain string of characters in their names will be processed. You can use wildcards.

• User Permissions: Only files with the exact permissions you have selected will be processed.

To set the “Poll by” options

1. From the Hot Folders menu, select Open if the folder is not already open.

2. Click on the name of the folder you wish to open.

3. Click the folder’s Setup tab.

4. Click the Advanced... button.

5. Select a polling option in the Poll By area.

6. Click OK.

7. Click Apply.

Viewing the Summary Window

The Hot Folder Summary window displays a table of the hot folders you have created. The table lists:

• the name of each hot folder

• the number of files in each folder

• the number of files grabbed for processing, called the “snap”

• the status of the snap

• the path to the folder being polled

• the processing script associated with the folder

To View the Summary Window

1. From the View menu, select Summary.

Viewing the Details Window

Each hot folder has a Details window that allows you to view and manage the priority of files in the folder, and configure options for the folder.

To View the Details Window

1. From the View menu, select Active Folders Only if you wish to view the details for active folders. Otherwise, a detail window will be opened for every hot folder you have created.

2. From the View menu, select Details.

Filtering the Details Window

You can control how and which files are processed by each hot folder. This is done using the Poll By options, setting the number of files in each snap, and setting the Submission Order.

To Filter the Details Window

1. Click the folder’s Setup tab.

2. Click the Advanced... button.

3. To limit the snap to specific files, change the Poll By option.

4. To limit the number of files in each snap, change the Number of Files in Snap.

5. For files which must be processed in a specific sequence, set the Submission Order.

6. Click OK.

7. Click Apply.

Saving the Workspace

To spare you from having to reconfigure the workspace, opening and closing Detail and Summary windows, every time you open the Hot Folders application, you can save your workspace once you have it configured to your satisfaction.

This feature allows multiple users to each customize their own personal workspace.

To Save the Workspace

1. From the View menu, select Save Workspace.... The Save dialog box opens.

2. Type the name of the workspace.

3. Click OK.

Deleting a Workspace

Saved workspaces that are no longer needed can be deleted.

To Delete a Workspace

1. From the View menu, select Delete Workspace....

2. From the list of workspaces, select the one you wish to delete.

3. Click Delete.

Opening a Workspace

Opening a saved workspace rearranges the Hot Folders window to match the saved configuration.

A. Hot Folders with Heidelberg Prinect Printready

This chapter describes how to configure FreeFlow Print Manager 5.0 Hot Folders for use with Heidelberg Prinect Printready 3.0 and the Heidelberg Digital Connector for Xerox.

Before you perform this procedure, the following prerequisites must be met:

• Free Print Manager 5.0 is installed.

• Xerox printer is installed and operational.

• Xerox printer is configured in FreeFlow Print Manager Printer Registration.

• Heidelberg Printready 3.0 and the Heidelberg Digital Connector for Xerox are installed.

Install the Xerox Printer

Each Xerox printer and print queue must be installed in the Heidelberg Digital Connector for Xerox prior to configuration of FreeFlow Print Manager Hot Folders.

Installing a Xerox Printer in Heidelberg Digital Connector for Xerox

To install the Xerox printer:

1. Launch FreeFlow Print Manager.

2. Select the target Xerox printer and queue

3. Create a "Printer Capabilities File" by selecting Generate Printer Capabilities File... from the Printer menu.

NOTE: The file name selected for the "Printer Capabilities File" will be the name for the Xerox printer that is displayed in the Heidelberg Digital Connector Xerox GUI.

4. Copy the new "Printer Capabilities File" into the Heidelberg Digital Connector for Xerox Capabilities upload directory:

The following sections describe the steps necessary to configure the Hot Folders.

Creating the FreeFlow Print Manager status folders for the Heidelberg Digi-tal Connector

Heidelberg Digital Connector for Xerox uses specific folder locations to submit jobs and receive status from FreeFlow Print Manager Hot Folders.

To enable Free Flow Print Manager Hot Folders to use the necessary folder locations a Hot Folder properties file is used to override the default location of the "Success" and "Fail" status folders.

To setup the override folder location create a text file named "PassFail.Properties" in the Windows User home directory. For example: A windows user with a login name of "XeroxUser" would create "PassFail.Properties" in the folder: C:\Documents and Settings\XeroxUser.

If FreeFlow Print Manager is installed on the same computer as the Heidelberg Digital Connector for Xerox then the contents of the file are set to the following:

For example: Heidelberg Digital Connector for Xerox is installed on a computer with a network name of "Xerox-PR". A network drive "X:" is mapped to "\\Xerox-PR\FFPMConfig\FFPMPressSDK". The contents of "PassFail.properties" are:

Creating the Hot Folder in FreeFlow Print Manager

To enable automated submission of print jobs from Heidelberg Printready 5.0 to a Xerox printer queue a FreeFlow Print Manager Hot Folder is created as follows:

1. Select Start > Programs > Xerox Applications > FreeFlow

Print Manager Tool Suite <version> > Hot Folders.

2. From the Hot Folders menu, select New. A new hot folder window appears.

3. Click the Setup tab.

4. Type a Folder Name.

5. Set the polling interval by selecting the Minutes and Seconds.

6. In the Hot Folder Location text box enter the location of the Heidelberg FFPMPressSDK folder.

• If FreeFlow Print Manager is installed on the same computer as Heidelberg Digital Connector for Xerox then the location of the FFPMPressSDK folder is:

"C:\Program Files\Heidelberg\Xerox Link\FFPMConfig\FFPMPressSDK\Input\<MyQueue>”

where "<MyQueue>" is the name of the printer as it appears in Heidelberg Printready.

• If FreeFlow Print Manager is not installed on the same computer as Heidelberg Digital Connector for Xerox then a network drive is mapped to the Heidelberg FFPMPressSDK folder and that is entered in "Hot Folder Location".

For example: Heidelberg Digital Connector for Xerox is installed on a computer with a network name of "Xerox-PR". A network drive "X:" is mapped to "\\Xerox-PR\FFPMConfig\FFPMPressSDK". In FreeFlow Hot Folders the "Hot Folder Location" is set to:

"x:\input\MyQueue"

7. In the Processing Program Associated with Hot Folder, select the Print Ticket (use status folders) option.

8. In the Optional Parameter text box, select the target Xerox Printer and queue.

9. Click the Advanced... button to configure the following:

• In the Poll By options, select the File Name radio button. Enter *.jdf in the text box to the right of that option.

10. Select the Started radio button for the Start Up State option.

11. Choose an On Job Error option.

12. Click Apply.
