Emergency Closings District administrators will decide whether to close schools based on weather conditions and predictions for times when children will be traveling to school. Information is collected from weather services and transportation operators to assess travel conditions and to determine if temperatures are safe. Employees can receive authoritative information about school closings in the following ways:
1. Listen to school closing announcements via radio WKRS 1220 AM, WGN 720 AM, WBBM 780 AM and 96 FM, WLS 890 AM and 94.7 FM, WUSN 99.5 FM, WXLC 102.3 FM. On television via Fox Network, and CLTV. It can also be found on the district website – www.gavin37.org.

3. The Emergency Alert Automated Phone System. It is your responsibility to make sure your information is current in ERMA for the Sky Alert System to work correctly.
School Hours
Teachers must work a total of 7 hours and 10 minutes per school day. You must be on campus at least 10 minutes prior to student start times. Additional time must be put in before and/or after school.

Personnel
Professionalism Dress Code Professional dress is required of all staff on Monday through
Thursday. Blue jeans that are not worn, frayed and free of holes may be worn on Casual/Spirit Day Fridays, SIP days, Tuesday College Days, and field trip days. Short shorts, halter tops, spaghetti straps, worn jeans, work out type sweatshirts, sweat suits, jogging suits, beach flip flops, hats, and/or t-shirts are considered inappropriate for school. If you are a P.E. teacher, Art teacher, or classroom teacher that is doing something that requires casual clothes on a different day, (ex. Messy art project, outdoor activity, self-taught gym class) you may wear the clothes that are appropriate for your activity.
Professional may look different between primary, elementary, and
junior high classrooms. Any day that you will be meeting with parents, please dress
professionally. You must wear your badge/school ID so it is visible at all times.
Daily Responsibilities Student agendas/planners will be used daily in grades 1-4 in every class.
Teachers shall not leave school during the day without notifying the office. Stress quiet in the common areas, especially while other classes are in session. After recess, before school, after school and during passing periods, teachers should be in the common areas when the students are returning to the building.

Attendance will be taken daily. It is the responsibility of the teacher to enter the information into the computer after morning announcements. If a teacher suspects truancy, he/she should contact the office and building principal. Leave your room in good order at night. Be especially careful to see that clothing, shoes, pencils, and paper are picked up. Get your students in this habit early. The Pledge of Allegiance must be included in every school day’s work. Check your e-mail, mailbox and voice mail before students arrive
to ensure you are up to date with necessary information. The use of social network sites (ie: Facebook, Twitter) is not
allowed except during lunch or after school, except for curriculum integration.
Communication There will be a building newsletter to which teachers may
contribute articles.
No information should be released to the press unless it is first approved by the administration.
School phones are primarily for school business. Personal phone calls must be limited to before and after school hours, or during your duty free lunch. Cell phone usage of a personal nature is not allowed during instructional time or when students are present. Conversations among staff members about students should be
done in a professional manner and are confidential. Discussions and/or conversations among staff members should not be shared with parents of the community. Please keep in mind that offices and public spaces are not confidential areas.

Meetings All efforts will be made for staff meetings to be held no more than 2 per month and lasting no more than 1 hour per meeting. Staff meetings will be pre-scheduled when possible. Teachers need to notify the building principal if he/she is unable to attend the staff meeting. It is the responsibility of the teacher to get the information from the staff meeting. Staff meetings may be cancelled if there is no need to meet. Also, a memo may be used in place of a staff meeting. This memo will need to be read and acknowledged via e-mail. Grade level team meetings may occur during common planning
times or an agreed upon lunch time. Please give your administrator an overview of what was discussed in your meetings.
General Information Smoking is not allowed anywhere on school grounds. This
includes parking lots and playgrounds. Teachers shall leave lesson plans, current seating chart, basic
classroom procedures, and overview of school discipline policy for a substitute in case of absence.
The Student Handbook is available on the District Website. Teachers must familiarize themselves with fire/disaster and crisis procedures. Emergency kits are provided with each teacher. It is your responsibility to notify the nurse if you used any items and need more for the kit. In the event that a student is bleeding, please remember to put on the protective gloves in the kit. Movies rated other than ―G‖ need approval first from the principal
and then written approval from the parents. Students who do not receive parental approval will be given an alternative assignment or activity.
Upon approval from your building principal, you may leave
the building during your plan time.

Abused / Neglected Children Reporting A school district employee who has reasonable cause to suspect that a student may be abused or neglected shall report such case to Illinois Department of Children and Family Services (DCFS). Traditional considerations of confidentiality shall not constitute grounds for failure to report such cases. The employee must notify the Social Worker, Superintendent or the Building Principal that a report has been made to DCFS. The Superintendent or any other school district administrator may not, in any instance, change any report of child abuse or neglect made by an employee to DCFS or make any attempt to interfere in the making of a report to DCFS. Employees beginning school employment on or after July 1, 1986 shall sign a statement on a form prescribed by DCFS to the effect that he/she has knowledge and understanding of the reporting requirements of the Abused and Neglected Child reporting Act. The Superintendent shall provide the employee with the form and implement a procedure for the form to be signed and placed in the employee’s record on or before the first day of employment.
Sick Day and Absence Procedures When a teacher needs a substitute, he/she will call or log on to Aesop by 6:30 a.m. on day of absence. If you need a substitute after this time, you will need to enter it into AESOP AND call your building principal and grade level team to let them know. AESOP will call substitutes between 5:30-9:30 a.m. and 5:00-9:00 p.m. If you know you will not be able to work the following day, enter it as soon as possible in order to receive one of your preferred substitutes. Teachers needing a sub should follow the procedures listed below or the flow chart near the end of this handbook.
The phone number is 1-800-942-3767 (1-200-94-AESOP). Follow the prompts given. The website is http://www.aesopeducation.com. Your ID number is your phone number, but you will also need your PIN number that was given to you at the beginning of the year. Once

you are logged on, click on create an absence. Fill in the details-date of absence, reason, notes, and you can upload your lesson plans if you wish. Then, click on the green Create Absence button. After any sick day absence, teachers need to log on to ERMA and enter the sick leave information. It must be done in a timely manner to ensure that your balance of sick days remains accurate. If you are out 3 or more days, you will need a doctor’s note. If you need to take a personal day, workshop day, jury duty leave, or an extended leave of absence, you must enter a Request for Leave in the ERMA system. In order for your leave to be approved, it must be submitted to the administration one week prior to the request, except in the event of an emergency. This request will need approval from all levels of administration. You will receive an e-mail informing you of the approval or denial of your request. YOU must arrange for a substitute. Please do this right after you submit your request in ERMA. Personal days (leave) MAY NOT be taken the day before or after a holiday. Please refer to your teacher contract, Article VII, Sections 7.1-7.8 for all Leave requirements and rights. All teachers are encouraged to check his/her ERMA information to make sure it is accurate.
Attendance of Staff’s Children at Gavin Children of staff members will be permitted to attend school with their parent/guardian as long as, prior approval of their attendance has been requested of the building principal so that identification badges may be prepared
After Hours Access to Buildings Teachers and other staff wanting access to their building after hours and on weekends to work must arrange a meeting with their building principal or Mark Lindem to be trained on the process to enter the building after hours.

Maintenance Requests All requests for repairs to your classroom should be done by e-mail to Tom Lynk or your building secretaries. Please include your name, building, room number, date, and what you want done.
Paper usage
Gavin is working to reduce the amount of paper that is used in the district. Please make sure you post items to the website when possible. Parents may request to receive either paper copies or online copies of items during registration. Please limit the items sent home using paper such as newsletters and reminders to only the parents that have requested paper copies. The district and offices at each building will also be following this guideline. If you have an item that needs to be posted for either the whole district or school, please contact building or district office secretary for posting instructions. Please also encourage recycling in your classroom. The recycling boxes will be emptied regularly.
Special Education Staff Per the Special Education Coordinator’s approval, paper work days will be granted as needed per case load.

Salary/Benefits/Financial
Compensation: Paydays, direct deposit, deductions
Payroll Dates: Checks are issued on the 15th and the 30th of the month. If a regular pay date during the school year falls on a day when school is not in session, employees will receive their checks on the last work day prior thereto. Direct deposit: Employees who select the direct deposit option have their net pay automatically credited to their checking or savings account, replacing a paycheck. Pay is credited to the employee account and ready to use on payday. To sign up for this service, fill out the direct deposit authorization form and attach a voided check. This form can be obtained from the business office. Pay will be credited to the account listed on the check. Employees are encouraged to select a paperless option. Contact the business office to elect this option. Deductions: All employees must have federal and state taxes and Medicare payments withheld from their paychecks. Teachers will also have other mandatory deductions, such as TRS and union dues. In addition, some employees have deductions related to voluntary programs they have opted to participate in, such as flexible spending plans, AFLAC, and tax-sheltered annuities. See business office for a list of current providers.
Insurance Eligibility: An insurance package that includes health coverage (choose between HMO and PPO), dental insurance, vision insurance, and life insurance is available to teachers working .5 part-time equivalent or above. Full-time staff members are required to take either the HMO or the PPO plan offered through the district. For more information, contact the District Office.

Health and Safety
Student Supervision All staff members are expected to be at their classroom door or in the hallway when children enter the building in the morning. Ask your neighboring teacher to supervise if you have to leave your class in an emergency. A teacher does not have the authority to send a pupil home, nor can a teacher give a pupil permission to leave the school grounds. If a pupil is to go home for lunch, he/she must have written permission from the parents. This should be kept on file in the classroom and in the office. Control of students’ conduct in common areas and on school grounds is a duty of all staff regardless of grade or room involved. All students who are kept after school must be supervised. Parents who pick children up early must send a written request or make a personal request at the office. Send all ―pick-up‖ notes to the office. Children will be put on the bus if the office has not received a note or a phone call by dismissal time. Do not dismiss students at the end of the day until dismissal time. Teachers will be assigned to a door duty supervision schedule. All teachers are expected to be in the hallways to supervise students at the end of the day.

supervision schedule. During scheduled bus duty time staff members should be supervising the arrival and dismissal of children at designated door areas. Teachers on door duty supervise children starting at 7:25 a.m.
Behavior Management No student will be sent to the office for disciplinary reasons unless he/she has a fully completed behavior referral, or be accompanied by a staff member. Behavior referrals are available in the office. You are expected to fill out all sections of the referral. Due to confidentiality rights, please use ―peer, student, staff, and/or teacher‖ labels instead of specific names on the referral form.
Gavin South School PBIS has been implemented for all students. Work with your grade level teams and the PBIS team on proper implementation based on your grade level.
Gavin Central School Lessons involving the 4 RESPECT ―GOTCHA‖ (respect self, others, property, and learning) items and the BEHAVIORAL MATRIX should be taught on a continual basis.

Medication Delivery Policy Classroom teachers will be given a list of students specific to their classes with health concerns at the beginning of the school year. Parents are encouraged to administer medications at home, whenever possible. If a medication must be administered at school, whether prescription or over-the-counter, a School Medication Authorization Form must be signed by the doctor and parent. The medication must be in the original labeled bottle. If possible, medication administered at school should be handled by the school nurse. However, in their absence, student medication may be administered by a certified staff member. No child shall possess or consume a prescription or non-prescription medication on school grounds, or at a school-related function, without a school official or parent present. Consult with the health aide in advance of each field trip when a student will need to be administered medication during the trip. Also, staff members should consult with the health aide about student medications they may need to carry on a field trip in the event of an allergic reaction, asthma, or some other chronic medical condition. Contact the building health aide with questions. On a field trip the teacher will pick-up, administer, and return medication for students. Parent chaperones may not handle medications unless it is for his/her child. Medication may be self-administered by the student under the direct supervision of a school health aide, principal, or principal’s designee. The self-administration of medication may also include medication taken by a student in an emergency situation without the supervision of the school health aide, principal, or principal designee. Self-administration medications include Epinephrine pen and/or Asthmatic inhaler for which a ―Permission to Carry Form‖ is on file for that student. A student will not be allowed to possess asthma medication or and EpiPen unless the ―School Medicine Form‖ and ―Permission to Carry‖ forms are completed and in the health office.

Public Act 92-0401 allows public and private school children to carry and self-administer prescribed asthma and EpiPen medication.
Blood-borne pathogen policy and procedures The District follows OSHA guidelines in training staff about blood borne pathogens, disposing of hazardous wastes (including blood), and in handling incidents of exposure. All bloody or hazardous waste should be disposed of in the biohazard waste container kept in the nurse’s office. Everyone must complete the online training related to this policy every year. Contact the health aide (or a health aide in another building if the building nurse is not available) immediately in the event of an exposure to biohazard material. As a general rule regarding universal precautions, all staff should treat all bodily fluids as if contaminated and should use a barrier (i.e. gloves) between the staff member and the bodily fluid.

Accidents/Injuries/Incidents/Illness Students are to be supervised at all times when on school property. Supervisors should be pro-active so as to prevent accidents and injuries. A two-way communication device should be carried at all times when students are outside in case of emergency. In the case of a true emergency, when a child is choking, unconscious, or has fallen and is unable to move, the closest supervisor should ensure that the school office and health aide are notified immediately. The office will call 911. The health aide will come to give directions for aid for the student until the ambulance arrives. A written report should be made immediately and placed in the proper file of any accident that occurs while students are under your jurisdiction and appears to call for a doctor attention. Include such things as where you were, what the class was doing at the time, and how the accident occurred. This is for your own protection, especially in the event of litigation. Forms are available in health office. The form needs to be filled out by an adult witness and health aide. When a child is not feeling well, the teacher should refer that child to the school health aide with a ―Health Referral to Nurse/Office‖ form filled out completely. The health aide will decide whether that child should return to class, rest in the health aide’s office, or be sent home. When a staff member sustains an injury, common sense should prevail as to how to proceed. The health aide will ask that a report be completed describing the details of the incident. All employees should take responsibility for ensuring the school buildings are safe and hazard-free. Concerns about potential hazards should be reported to the principal or building secretaries.
Automated External Defibrillator An AED is an electronic device, usually portable, that analyzes and treats cardiac arrest by re-establishing a regular heart rhythm. It applies an electric shock to your heart muscle, allowing the rhythm of

the heart to resynchronize. Only staff that has gone through training may use the AED. Once the box is open, an alarm will go off and has to be reset by emergency services. (If you would like training on this device please contact your building’s principal.) Outdoor athletic activities will have a portable AED available. There is one available in the health office of each school.
Workers’ compensation: How to file for disability claims
Employees are eligible for workers’ compensation for an on-the-job injury when the injury is determined to be compensable by an independent organization of professionals. The process to apply for workers’ compensation is to report the details of a work related injury to your immediate supervisor, first. Next, call the Company Nurse Injury Hotline at 855-921-9518. (Employer—Gavin School District #37 and Search Code—CLIC) The claim will be submitted to the independent group, which reviews the accident information and makes a determination as to the appropriate coverage.

Curriculum/Instruction
Extracurricular Programs Both schools have a selection of optional extracurricular activities available for students before and/or after school. Often, staff members are paid stipends to lead clubs or activities. Contact the building principal to learn of extracurricular program openings. All teachers must follow the extracurricular eligibility requirements.
Field Trips
A field trip provides students an opportunity to have learning experiences outside of the classroom. Field trips are designed to extend a classroom topic of study. To take students on a trip, teachers must follow these steps:
1. Teachers must first seek approval from their building administrator, and include the educational purpose for the trip as part of the request.
2. Teachers must receive a written consent (permission slip) from a parent or guardian of each child on the trip.
3. If a field trip slip is not returned then a student needs to be sent to the office to confirm the registration card is marked for field trips. A phone call permission may be used only if the registration card is signed for field trips.
4. If the field trip requires bus transportation, a bus request form must be fully and accurately completed and submitted at least 20 days prior (30 days prior in the month of May) to the trip. Since buses are limited, teachers are encouraged to submit field trip requests as early as possible to ensure transportation will be available. (See appendix for a copy of the Field Trip Request Form).

Children Helping in Other Classrooms Prior mutual agreement between teachers for an occasional event is allowed as long as the office is notified on where the students will be.
Student Services Team/Problem Solving Response to Intervention (RTI)
When lDEA (special education law) was reauthorized, it changed the way students can be identified with a specific learning disability. Response to Intervention is a multi tiered process that involves research and data based interventions within a prescribed academic setting. Each identified student will receive their targeted intervention and be monitored according to their individual intervention plan. As we continue to modify and adapt the district plan to meet the requirements of this law any changes will be given to the staff as soon as possible. The RTI committee will continue to meet to make sure we stay in compliance. All forms and processes related to RTI will be kept in the office. Any questions regarding the process of RTI should be directed to your building principal.

Record Keeping The school district maintains both a permanent and a temporary record for each student. These records are housed in the school that the child attends. Cumulative records are kept in the office file room. These records must not be taken from the office unless they are signed out. Grades that are to be recorded as a permanent record must be assessed and entered by the teacher or instructional assistant. This is confidential information and should be kept so. The permanent record is commonly referred to as the cumulative file and includes basic identifying information, report cards, attendance records, accident reports, and health records. The temporary record includes standardized testing data and reports, as well as information pertaining to disciplinary information, screening data, special education evaluations and/or reports submitted by outside evaluators and/or providers. All files should remain in the school at all times. Information placed in a student’s file is available for parents/guardians to inspe ct and copy. Parents who have questions regarding their student’s permanent or temporary school files should speak to the building secretary or principal. New teachers will be trained on all record keeping procedures and software as close to the start of school as possible. Skyward grades need to be entered promptly and be kept up-todate.

Contract Committees
Handbook Committee
The handbook committee will meet every spring to update and review the current handbook. The handbook committee will produce a handbook to be posted online prior to the teachers at the 1st teacher institute day in August. The committee will also present the changes to the staff on the institute day.
Insurance Committee
The insurance committee will meet throughout the year to evaluate the insurance plans and providers for the district. They will also monitor current trends and law changes, which might affect the plans offered by the district. The insurance committee will also help track the amount of money that is in the insurance reserve account established in the contract.
RTI Committee
The special services committee will work with the staff on Response To Intervention (RTI). They will meet as often as necessary to help the district create a plan for RTI. The committee will also help the staff understand the process for RTI. The committee will also be available as resources when staff is in need of help with the process. Please see your building office for the RtI forms.
Building Leadership Team
Each building has a leadership committee. The committees will meet throughout the year to discuss curriculum, procedures, and staffing. Members of the committee will be included in the interviewing process for new teacher hires.
