A4 Admission for Trade Visitors Free admission for professionals, trade and business visitors by invitation and registration only. All trade visitors will be required to complete a registration form before admitted to the exhibition. Only those related to the industry will be allowed entry. Minors and member of the general public will not be admitted. The Organisers reserve the right to refuse admission or to remove any person without giving reason. This applies also to the build up and dismantling periods. Exhibitors are advised to encourage their (prospective) customers to pre-register before 18 April 2014 through our website at www.asianpapershow.com (Asian Paper 2014) so as to save valuable time upon arrival at the exhibition centre. Visitor invitation cards can be acquired through Trade Visitor Invitation Tickets Form (FORM 5). Pre-registered trade visitors may collect their badges at the pre-registered trade visitor counter upon their arrival at site. Please note that this is a trade exhibition, minors under the age of 18 will NOT be admitted during the build-up, show days and tear-down of the shows (21 – 26 April 2014). Exhibitors are requested to co-operate by inviting only relevant and qualified buyers, specified and trade to their booths during the show days.

A6 Exhibitor Badges & Registration Exhibitor Badges Exhibitor will be issued one (1) badge for 3 sqm of exhibit space contracted. Badges allowing Exhibitors and bona fide members of their staff to enter the exhibition hall throughout the build-up, exhibition opening and dismantling periods will be issued free of charge within their entitlement. Additional badges required will be charged at S$20.00 per badge. Badges will be prepared according to the list of names provided on FORM 6 by 1 March 2014 and can be collected on 22 April (Tuesday) from 1000 hrs – 1700 hrs. Exhibitors are reminded to wear their badges at all time during the exhibition. During the show hours, any company member of an Exhibitor without badges will be required to purchase additional Exhibitor Badge for admission. Exhibitor badges are strictly for staff manning the stand only. No other personal should be wearing the Exhibitor badges. Replacement of lost badges will be treated as additional badges and charged at S$20.00. Exhibitor Registration All exhibitors should register at Exhibitor Registration Counter on arrival at the exhibition centre to collect their badges and exhibitor information kit. Necessary information including special functions will be included in the information kit. A7 Temporary Contractor Badges & Registration Temporary Contractor Badges For the purpose of stand construction and the moving of exhibits, badges will be issued by the Organisers permitting those approved contractors and their workmen to enter the exhibition hall during the build-up and dismantling periods only. Please complete and submit FORM 10 before 23 March 2014. Where a contractor has a valid reason to be present during the exhibition period (e.g. maintenance or remedial purposes), a limited number of standby badges will be issued at Organiser’s discretion. For security reasons, contractors and their workmen are to wear their badges when in the exhibitions hall at all times. B1 Show Directory Listing Prior to the exhibition, an official Show Directory will be published. This directory will be made

available to all visitors and delegates to the exhibition and conference. It is also used as an important buyers' reference guide after the exhibition. Listing in the directory is provided free to Exhibitors. To benefit from this service, please complete Form 1 and submit to the Organiser by the stipulated deadline.

B2 Show Directory Advertising & Sponsorship Opportunities Advertising during the show (as well as prior to) has proven to be an excellent avenue to

enhance your corporate identity and presence during the event. Specifically suited for this purpose is the Show Directory. This is a good way to attract the visitors to your stand as they read up on your company, the latest developments and other activities taking place that day. Please refer to Show Director Advertising Form 3 & Sponsorship Opportunities Form 4, please contact Jennifer Lee at [email protected] for further details.

B3 Trade Visitor's Invitation Tickets Each exhibitor will be given 100 Trade Visitor's Invitation Tickets for distribution to your business

associates/clients to visit your stand at the exhibition. Please refer to Trade Invitation Tickets Form 5 for further details. When used correctly, invitation tickets are one of the best promotional tools available to you. They will not only attract your clients and prospects to the show, but will specifically encourage them to visit your stand. Here are some guidelines to follow when using invitation tickets:

Personal letter When sending the invitation ticket, always include a personal letter inviting your customer or

prospects to the show. We advise you to print or stamp your company name and stand number in blank space on the back of this invitation ticket.

Use your telephone Inform your contacts that they have been sent free invitation tickets by phone. Use this

opportunity to pencil an appointment with them during the show – precise details can be arranged later when you are in a better position to decide how much time you want to spend on each customer.

Use your Sales Force/Regional Offices Make sure you order enough tickets for your local sales representatives.

B5 Press Office

The Press Office is the first stop for editors and reporters. They review press kits, examine information on Exhibitors' products and services, and decide which Exhibitors to visit. It is important that your company be represented in the Press Office through your company/product press kits. A specially designated area of the Press Office will be set aside solely for press kit distribution. Press kits should include product news releases, photos and other pertinent information and to be given to the Organiser onsite. Please prepare 20 sets of press kits for your company and forward to our staffs at the Organiser office during build-up days (22 April 2014).

B6 Exhibiting for the First Time ?

If your answer is “Yes”, then please pay especially close attention to this manual. Should you feel that you have nothing specifically new to launch or to mention to the press then you could consider one of the following activities to attract media coverage: Organise a competition and offer gimmicks to attract interest Arrange a press conference for any company news to announce. Invite a recognised VIP/government official to visit your stand. Consider a prize for the “1000” visitor to your stand.

B7 How To Assemble A Press Kit A press kit should include all materials that can essentially answer any questions that an editor

could ask for your company. Your folders should include the following items:

Company profile, fact sheet and NOT sales literature

Captioned photograph (or bromide) of CEO, products etc.

Note: 1. No late work is permitted. Individual stand fitting contractors must complete their work according

to schedule listed. Overtime work may not be permitted, and if permission is sought from the Organiser. Overtime and electrical charges will be imposed by Organiser.

2. Move in/out of any exhibit or decorating items with trolleys are allowed at the back door (loading door) of the exhibition halls only. This applies to build up, show days and tear down period.

C2 Demonstration of Heavy / Large Working Exhibits Exhibitor intending to demonstrate equipment on his stand: a. Must provide the Organisers with full details (type of machinery - dimensions, weight,

electrical/water requirements) by completing Form 9. b. Must give proper consideration to the conditions under which the equipment will be

demonstrated. Precautions must be taken for protection of the public, and legible signs displaying "DO NOT TOUCH" must be placed on any working exhibit to warn the visitor to stay a safe distance.

c. Must cause no annoyance to visitors or other Exhibitors. Where a high level of noise or other

objectionable factors are involved, demonstrations may only take place at timings stipulated by the Organisers, who reserve the right to disallow a demonstration at any time.

d. Must not bring in or use at the exhibition site dangerous and hazardous goods and equipment

such as poisonous gas, fuel, kerosene, noxious materials, inflammables, and equipment using such inflammable materials as gas stoves, kerosene stoves and electric stoves without the prior written consent of the Organisers. Even if consent is given, it will be subject to adequate precautionary measures being taken.

e. Must not carry out any fire hazardous operation work. f. All pressure vessels or equipment under pressure must conform to the safety standards &

regulations. Approval for its use is required. g. Moving machinery must be fitted with safety devices when the machines are in operation. These

safety devices may be removed only when the machines are disconnected from the source of power.

h. Exhibitors, their agents or contractors are responsible for the early installation of their heavy or

large exhibits according to the move-in schedule provided by the organisers. When stand structures are erected, it may not be possible to move in.

Please note that where mechanical handling within the exhibition halls is required, the official freight forwarder may be appointed. Forklifts, cranes and pallet trucks from other forwarders will not be allowed to work inside the exhibition halls.

If any heavy or large exhibits arrive on site requiring mechanical aid on site installation, the organisers will appoint an official forwarder to be the site installation contractor on exhibitor’s behalf, and all costs incurred will be born by the exhibitor.

i. Must keep their booths clean. Precautionary measures must be taken to prevent leakage of cutting fluid lubricant and oil or any staining. The Organisers reserve the right to charge the cost of cleaning the stains to the Exhibitor.

j. No motors, engines, contrivances or power-driven machinery may be used without adequate

protection against risk of fire.

C3 Standard Shell Scheme Stand Fitting Regulations Exhibitor may employ a contractor of his choice to enhance the Standard Shell Scheme stand

and install any additional stand display or fittings that he may require the name of the contractor must be given to the Organisers by completing Form 10 and that contractor must abide the following regulations:

a. The permitted stand height is 2.5m. Any design for a structure exceeding 2.5m in height is

subject to approval by the Organiser. Please refer to C4 (a). If approved, this high structure will be restricted to a maximum height of 5m, no wider than one third (1/3) of each side of stand area and to a distance of 1m away from neighbouring stand. The back part of such high structure must be properly covered up.

b. The walls have white laminate finish. Hence, no nailing, drilling or paintings to these walls

are allowed. Panels can be affixed to these walls with the use of double-sided tapes or with brackets rented from the Official Contractor.

c. The following charges will be imposed on:-

Usage of airspace for hanging of banners S$150 per sqm (max. 9 sqm) from the ceiling (based on surface area) (excluding labour & set up cost) Usage of airspace for hanging of frameworks S$250 per sqm from the ceiling (subject to organiser approval) (excluding labour & set up cost) Usage of airspace for flying helium balloons S$1500 perballoon(max2.0m diameter)

Design and size of booth/banners/balloons/frameworks need to be submitted to the Organisers by 8 March 2014 for written approval.

d. Contractors, other than the Official appointed contractors, carrying out Shell Scheme interior

decoration must deposit a refundable Performance Bond of S$60 per sqm with the Organiser before commencing work.

e. All stand contractors, other than the Official Contractor, are required to pay a non-refundable

administrative fee of S$10 per sqm to UBM ASIA TRADE FAIRS PTE LTD prior to move-in, in addition to the Refundable Performance Bond.

f. Exhibitors who engaged their own contractor for interior decoration of their stand must ensure

that the decoration fittings are self-supporting and not attached to the standard stand panels which belong to the Official Contractor’s property. Should damages be found on the existing

panels, cost of making good will be borne by the respective Exhibitor or their appointed contractor.

g. No part of any structure or exhibit may extend beyond the boundaries of the site allocated.

h. No false ceiling will be approved, unless, the material used will allow water to flow freely (e.g.

egg box or mesh netting). Approval of the Organisers and the Fire Safety Bureau must be obtained in writing, if a portion of a booth is to be covered for a video presentation.

i. Neon or flashing lights/signs will not be permitted, unless it forms an integral part of an

Exhibitor's product. Sequence-lit displays may be used subject to the Organisers’ approval and the rate of light change.

j. Aisle ways indicated on the floor plan must be kept clear of all exhibition goods or decoration

materials in order to facilitate traffic. k. Exhibitors occupying corner stands have the choice of a wall or an open side on the aisle. The

wall must not obstruct the stands around them. l. Materials for construction or decoration of the booths shall have a minimum flame spread rating

of Class 2. Evidence and proof may be required for on-site inspection by the Fire Safety Bureau. All precautions must be taken by the Contractor or the Exhibitor against fire and to protect the public.

m. Exhibitors and/or Contractors must clear out items not for display purposes (e.g. containers,

packing items) the day before the exhibition opens and remove all exhibits and decoration materials immediately after the exhibition period according the schedule listed under C1. The Exhibitors will have to pay the Organisers for the cost of removing such articles from their booth if they fail to do so.

n. Keep the washroom clean and dry. Cleaning of paint containers or any other dirty items in the

washroom is prohibited. o. No financial credit will be given by the Organisers for package items not utilised. p. No painting or sawing may be done to the exhibition centre fittings. The Exhibitor will be

held responsible for any damage caused to the exhibition centre fittings by their staff or contractor.

C4 "Special Design" Stand Fittings Regulations Exhibitors having "Special Design" stands are advised to use the services of the Official

Contractor appointed by the Organisers to undertake the job as this will facilitate convenient installation. Otherwise, Exhibitors are required to obtain consent from the Organisers before any of their own contractors are commissioned to work onsite and are subject to the following rules and regulations. The Organisers reserve the right to reject any contractor and design they deem inappropriate.

The services of official contractors are for the convenience of exhibitors, and the organisers will

accept no liability in respect of any contract between exhibitors and such contractors for the negligence or default of any such persons, their servants and agents.

Exhibitors are responsible and liable for their appointed contractor’s observance of all rules and

regulation. a. Exhibitors are to submit name, address and contact details of the appointed contractor, as well

as stand layout plan and design (front, plan & perspective view) in duplicate, to the Organisers no later than 23 March 2014 for approval. (Please refer to Form 10). A copy of the drawings will be returned, authorising the commencement of construction if the design is approved.

Failure to obtain written approval can result in costly alteration onsite such as when designs or installations contravene fire and safety, stand height and boundary or any space contract rules and regulations.

b. Before permission is granted for a contractor to work at the Exhibition and the necessary passes

issued, the contractor is required to place a refundable Performance Bond of S$60 per sqm (minimum of S$500 and a maximum of S$5,000) with UBM ASIA TRADE FAIRS PTE LTD and sign a written Undertaking to guarantee conduct, proper schedule of production and observance of the Exhibition and Hall Regulations.

Only when this Performance Bond is received and the Undertaking signed, will the contractor be allowed to bring their materials onto the site or commence work. The contractor will also have to bear any charges levied by the venue owner for damages caused to their property, flooring, or for debris not cleared away. Provided the booth is completed on time, and no damages are caused, the Bond will be returned to the Contractor in full after the exhibition.

c. All stand contractors are required to pay a non-refundable administrative fee of S$10 per

sqm to UBM ASIA TRADE FAIRS PTE LTD prior to move-in in addition to the Refundable Performance Bond.

d. Stand structure may go up to 4m high maximum depending on stand design and

location. Written approval must be obtained from the Organiser on all special design stands.

The maximum stand high for stand structure at Main Foyer are will be 3m.

e. All partition walls should not be covering more than 50% in each length and/or width, unless

the partitions are constructed against the actual walls of the hall, and not obstructing the products on display on the other side of it. The Organiser reserves the right to request the Exhibitor to change, modify, lower or shorten any back wall and sidewall proposed if, in the opinion of the Organiser, such back wall or sidewall obstruct the reasonable exposure of any adjacent exhibition stands.

Back walls must be provided, except in the case of an island or peninsular booth. Booths with adjourning neighbours should also be provided with the necessary sidewalls.

g. The Name and Stand Number of the Exhibitors must be prominently displayed. If this is not

h. A suitable floor covering, such as carpet, must be provided for all booths. i. Where a 'Special Designed' booth is located adjacent to a 'Shell Scheme' stand, the wall of the

'Shell Scheme' stand is considered rented by that exhibitor and may not be utilised by the 'Special Designed' stand.

j. All exposed rear surfaces of designs and structures must be decorated unless it is against the

actual walls of the Exhibition Halls. k. No part of any structure may extend beyond the boundaries of the site allocated. l. Materials for construction or decoration of the booths shall have a minimum flame spread rating

if they need electrical power during the build-up or breakdown of the Exhibition. No generator and/or oil drum are to be placed on any surface without a metal drip tray with raised lip to prevent oil leaks or spillage.

q. Exhibitors are reminded that it is the responsibility of their appointed stand fitting contractor to

clean and vacuum the booth upon completion of construction, before handing over to the Exhibitor.

r. Keep the washroom clean and dry. Cleaning of paint containers or any other dirty items in the

washroom is prohibited. s. Contractor's admission: Passes enabling temporary contractors to enter the exhibition hall

during the build-up and tear-down periods for construction and dismantling purposes will be issued only upon application to the Organiser’s Office (Please refer to Form 10).

The Organisers reserve the right to reject any contractor and design they deem inappropriate.

t. In the event of a dispute, the Organisers’ decision will be final. u. Lighter than air (Helium) balloons are permitted in Exhibition Hall only.

C5 Operation of Stand a. The stand must be staffed and operational at all times during show opening hours. The

Exhibitor's staff must wear Exhibitor badges issued by the Organisers for identification. The Exhibitor shall be responsible for the good conduct of all his staff, agents or representatives.

b. No business activity shall be conducted by the Exhibitors and/or his staff outside their booth

boundaries. c. As this is a trade exhibition, ‘Over the Counter” sales are not permitted without approval. d. No activity, which in the opinion of the Organisers are tantamount to inconvenience or

annoyance to the public or other Exhibitors, shall be caused by Exhibitors within the vicinity of the Exhibition. Examples include the noise level of equipment demonstration and audio-visual presentations.

e. No Exhibitor may use air compressors or pressurised containers without prior approval of the

Organisers. Please complete Form 14 and submit for approval. f. The weight of all exhibit items shall not exceed the floor loading limit. g. All precautions must be taken by the Exhibitor against fire and to protect the public. Exhibitors,

who, because of the nature of their exhibits, require specific fire protection, must make arrangements, at their own cost, for the provision of such equipment.

h. Without the special permission of the Organisers, no exhibits can be taken into the booth once

the Exhibition has been officially opened, nor removed from the booth before the close of the Exhibition.

i. No stage shows will be permitted. j. Unauthorised photo/video shooting in the venue is not allowed. k. Exhibitors are asked not to place stickers, signs or posters anywhere in the halls other than

within their own stand. Likewise, exhibitors’ representatives may not distribute brochures, invitations, etc. along the gangway nor near the entrances/exits. This is unfair to other exhibitors and any inconvenience to visitors.

l. Fire & Safety regulations require that no goods or packing materials may be stored in access areas behind or between booths. Exhibitors should design proper storage areas with adequate access within their own booth or approach the Official Freight Forwarders for storage.

m. Each Exhibitor is responsible for indemnifying the Organisers and their agents against liability to

the owners of the exhibition premises, and public authority or department of Singapore Government and each and every other Exhibitors in respect of any action, cost, claim and demand of whatever nature consequential to any act or omission of the Exhibitor, his staff or agents.

n. The Exhibitor shall be responsible for any damages to the structure, floor, walls, pillars and any

part of the Exhibition Halls, the Property of the Organisers, and any other Exhibitors caused by his staff in transportation, removal of exhibits, refuse and/or decoration works.

C6 Electrical Contractor and Installations Electricity will be supplied through the Organisers only. The Official Contractor has been

appointed to carry out all electrical work (wiring and connections, lighting, etc) on all stands (Shell Scheme and Special Design) at the exhibition and the exhibitor thereof shall pay all charges. For safety reasons, no other electrical contractor will be permitted to carry out electrical work onsite.

a. The number and type of additional electrical fittings and installations required must be indicated

by the Exhibitor on Electrical Supplies Form 13. A quotation will be submitted on receipt of this form for unscheduled fittings or installations.

b. No electrical installation may be suspended from the roof of the exhibition hall or affixed to any

part of the building structure. No fitting may project beyond the boundaries of the installations and must be adequately protected against excess current.

c. Any design or plan of electrical installation must be submitted to the Organisers for approval

before the deadlines indicated. No installation work shall be carried out without the written permission of the Organisers. The Organisers reserve the right to disconnect electricity supply to any Exhibitor whose installations either violate the Organisers' regulations or is deemed dangerous or is likely to cause annoyance to visitors or other Exhibitors.

d. Exhibitors requiring special arrangement (e.g. different voltage and frequency or special

connections to equipment) must arrange for their own transformers, converters, etc. e. All electrical equipment must be tested by Organiser’s appointed licensed engineers prior to

turning on the electricity supply. f. NO MULTI-PLUGS ARE ALLOWED. All sockets are for machine operation only and not for

lighting. For safety reasons, please use one socket for one machine only.

C7 Delivery of Exhibits a. Before Show Commences

Cargoes which are moved directly to the exhibition site should NOT arrive at the exhibition hall earlier than 21 April 2014 or before the build up period. Please refer to the Timetable for Site Operations (Item C1). Exhibitors, and their agents or contractors are responsible for the early installation of their heavy or large exhibits according to the move-in schedule provided by the Organiser. When stand structures are erected, it may not be possible to move-in.

b. During Show Days

Delivery of exhibits and other exhibition stocks will not be permitted during the show opening hours. Delivery of stock replenishment may only be carried out one hour before the show opening hours or immediately after show closes.

C8 Removal of Exhibits a. During Show Days If exhibitors wish to remove any display item from the Hall, a "Clearance Form" which can be

obtained from the Organiser’s Office must be completed and submitted to the security personnel on duty. This shall apply at all times.

b. On Show Closure Exhibitors are strongly urged to remove valuable and portable exhibits from the exhibition hall as

soon as possible after 1715hrs on the final day of the exhibition. In order to reduce the possibility of theft, it is strongly recommended that at least one person

remain in the booth to oversee the process of moving-out of your exhibits. While the Organisers will maintain security surveillance at all times, Exhibitors are reminded that goods will be most at risk at this time and that stands

should not be left unattended until all portable items have been removed and hired items and/or equipment collected by the appropriate suppliers.

No work will be permitted after 2200hrs on the last day of the exhibition.

The removal of exhibits requiring mechanical assistance as well as the dismantling of stand

fittings and electrical installations will commence after 1730hrs on 25 April 2014.

Note: Electricity supply to booths will be terminated ½ hour after the exhibition is closed on the final

day of the exhibition. Exhibitors who need electricity to turn off or lock their machines must arrange it within this period otherwise they will have to pay re-connection charges for electrical supply.

C9 Onsite Freight Handling AGILITY CO., LTD. has been appointed the Official Freight Forwarder for this event and is

responsible for the movement of all exhibits in the hall. No other freight forwarders will be allowed to work onsite.

Please refer to Section D for shipping tariff. You may wish to contact the Official Freight Forwarder directly should you require a set of the Shipping Manual.

IMPORTANT: NO MOVING-IN OR REMOVAL OF EXHIBITS TO AND FROM THE STAND IS ALLOWED

DURING THE OPENING HOURS OF THE EXHIBITION.

C10 Security and Insurance Security

Every reasonable precaution will be taken by the Organiser to ensure the security and safety of the Exhibition Hall and adjacent areas and the contents thereof. However, the Organiser cannot be held responsible for any loss or damage, which may befall the person or property of the Exhibitors from any, causes whatsoever. Exhibitors and their staff will not be allowed in the exhibition hall after official hours. All personnel in the exhibition halls must wear identification badges at all times. Badges are available at Organiser office on site. Form 6

If your displays are very valuable or sensitive and you wish to hire security personnel to attend to

your stand exclusively for off show hours, please contact the operations dept for more information. Please not that you must NOT use your own staff or personnel from any other security agency.

For security and safety reasons, exhibit movement in or out of the halls during show hours is

strictly prohibited. Insurance While the Organiser is insured for Public Liability, it is the responsibility of the Exhibitors to take

up insurance cover in respect of:

a. Exhibits and contents of stand against lost and damage by theft, fire and any other natural calamities, or any cause whatsoever.

b. Expenses incurred due to abandonment or postponement of the exhibition.

c. Body injury or illness to their representative or agent, or visitors in their booth area. d. Any other liability due to the negligence, inadvertence or misbehaviour of the Exhibitor

and/or their workmen, staff, representatives or agents.

C11 Film/Audio-Visual Demonstration Exhibitors who intend to make demonstrations and presentations during the exhibition

shall ensure that such demonstration and presentation must not interfere with the conducting of business of other exhibitors in term of sound, nor cause any smoke or fume. The Organiser reserves the right to require any audio-visual presentation, which, in their opinion, is detrimental in such a manner to be discontinued.

Speakers are not allowed. Any speaker to be used during the exhibition must get approval from the Organisers. The Organisers reserve the right to request exhibitors to remove or dismantle speakers if they cause inconvenience or annoyance to the public or other exhibitors within the vicinity of the exhibition Any promotional activity involving the demonstration of games, organised competitions or quizzes will need an advance permit from Organisers.

C12 Fire Precaution Exhibitors, who because of the nature of their exhibits require specific fire protection, must make

arrangements at their own cost for the provision of such equipment. Any person, on seeing an outbreak of fire, however slight, must make immediate use of the fire

alarm system, and subsequently make every endeavour to extinguish the outbreak or to confine it by the use of fire extinguishers and/or removal of goods in the vicinity.

C13 Storage & Waste Materials Arrangements for the safe-keeping of storage facilities in the hall for packing cases, surplus

materials or other properties of the Exhibitors must be made with the Official Freight Forwarder. For fire & safety regulations, Exhibitors are not permitted to store their empty cartons or packing materials behind or between booths.

During the build-up and tear-down periods, passageways in the exhibition hall must not be

obstructed with packing materials, construction materials or debris. Contractors are responsible for removing their own debris each day of build-up and tear-down.

Exhibitors are requested to place their debris in the aisle, from where it will be removed by the

cleaners at the end of each show day. The Organiser reserves the right to charge Exhibitors for the cost of removal of excessive packing materials and discarded crates or cartons.

C14 Damages Exhibitors are responsible for the cost of making good or replacing any damages or

dilapidation’s to the exhibition premises, whether caused by themselves, their agents, contractors or by any person or persons employed or engaged on their behalf by such agents or contractors.

Exhibitors occupying Shell Scheme stands are also responsible for the cost of making good,

restoring or renewing any damages or dilapidation to their shell stand structures, floor covering, light fittings, and/or any part thereof, whether caused by themselves or their agents, contractors or by any persons employed or engaged on their behalf by such agents or contractors.

The cost of making good any damages will be assessed by the Official Contractor and charged

to the Exhibitor. The Organiser, together with the hall owners, will inspect the hall before and after the exhibition.

C15 Exhibitor information Pack All exhibitors should register at Exhibitor Registration Counter on arrival at the exhibition centre

to collect their badges and exhibitor information pack. Necessary information including special functions will be included I the Information Pack

C16 Groups and National Groups

Organisers of groups and national pavilions are responsible for ensuring that all exhibitors on their stand are fully aware of and agree to abide by these rules and regulations.

C17 Force Majeure

In the event the exhibition is postponed, shortened or extended due to any cause whatsoever outside/beyond the control of the Organiser, the Organiser shall not be held responsible for any losses incurred by the Exhibitors, directly or indirectly, attributable to the elements of nature, force majeure or orders and directives imposed by any government authority. Under such circumstances, the money paid by the Exhibitors, or any part thereof, is refundable at the sole discretion of the Organisers.

The Organiser shall be responsible for and be entitled to act as the owners of the premises

throughout the tenancy period. The decision of the Organiser in any problem or dispute will be final.

C18 Venue Rules and Regulations With your cooperation in adhering to the guidelines listed below, we can all benefit from maintaining the highest possible standards of cleanliness and quality for your event. Restricted Area For your safety, Fire Hoses, Exits, Lifts, Ramps and Public Areas must

remain clear of any obstruction at all times. Lease Area Construction work should be done within the area specified in the lease

agreement.

Floor Covering For the protection of the QSNCC’s carpeting, appropriate materials are needed to cover areas where painting and construction occur. Our staff will be happy to assist you with this important matter.

Paint Spraying Paint spraying is prohibited in the building. Electrical Equipment For your safety electric saws, wielding and drilling equipment which emit

sparks are not allowed to be used in the building. Identification For the security of your event, all organisers, contractors and

subcontractors must have identification. Please consult with the show organiser for assistance.

Working Hours Construction work and dismantling time must be in accordance with the

lease agreement. Please refer to C1. Forwarding Construction equipment is allowed to be transferred to the building only

on set-up and tear-down days. Foods/Drinks Food and drinks are not allowed into the center unless approved by NCC

M&D. Co. Ltd. Please contact show organiser or our staff for details. Smoking The QSNCC exhibit halls are non-smoking areas. Smoking Zones will be

provided. Please ask our staff for smoking zone locations.

All exhibitors and contractors are requested to abide by the venue's rules and regulations. N.C.C

Development & Development Co., Ltd. has all the rights to stop, suspend and/or charges for any

damages caused by the construction when exhibitors or contractors overrules.

We are pleased to advise that AGILITY CO., LTD. has been appointed as the sole Official Freight Forwarding and On-Site handling Agent for Asian Paper 2014. They are able to offer a comprehensive package including customs clearance, transportation and on-site handling operations under the supervision of their highly trained staff. No other company may supply exhibitors with mechanical lifting equipment (pallet trucks, forklift and crane) within the show halls. We recommend that you engage the services of their overseas offices and agents for a complete ‘door-to-door’ package from your country up to positioning the exhibit on your stand in Thailand.

D1 Temporary Importation For Exhibition Goods

1. Goods are allowed to be imported into Thailand for trade exhibitions as temporary importation. Goods must be re-exported within 2 months for air cargo and 3 months from sea cargo from the date the goods arrive in Thailand.

2. Thai customs request for bond guarantee for importation bond (Amount will be based on access C.I.F. value.) The bond shall be in Cash, Bank Guarantee, Letter of guarantee from Government agency or Embassy and ATA CARNET.

3. For smooth clearance of exhibitor’s exhibition goods, the organiser has appointed AGILITY CO., LTD as the official freight forwarder to serve their professional services.

4. Exhibitors are suggested to contact AGILITY CO., LTD for details of shipping instruction and handling rates for clearance of exhibition goods.

CONTROLLED ITEMS

Please note that cosmetics & toiletries, food, radio, equipment, medical equipment, measuring equipment, medicine, motorbikes, used cars, weapons and all dangerous goods are subject to Import & Export License prior to their importation into Bangkok for exhibition purpose. The exhibition goods must be re-exported at the end of exhibition. Exhibitors are to furnish to us the details of the items such as brand, ingredients or materials made of for each item that you intend to import into Thailand at least 45 days prior to the arrival of shipment.

5. Please do not consign the exhibition goods to organisers or exhibition venues as it

will cause delay and extra expenses for customs clearance. For air freight consignments, telex/fax pre-alert shall be sent to freight forwarder indicating the flight numbers, Airway Bill numbers, number of packages, weights and dimensions upon uplift of goods.

D3 On-Site Handling Rates and Services The organiser has appointed AGILITY CO., LTD as the official on-site handling contractors to

perform all site handling of exhibition goods. To avoid any damage and congestion in exhibition hall, the Organiser will not allow other freight forwarders to move in/out exhibition goods with their own handling equipment. Exhibitors are required to contact the on-site official freight forwarders for their services.

D4 Insurance

As the Official Freight Forwarder’s charges are computed on the basis of volume or weight and has no correlation with the value of exhibits, it follows that the cost of insurance cover is not included in their charges. It is the responsibility of each exhibitor to arrange Marine (Transport) Insurance covering transport to the exhibition, during the exhibition, and the return of exhibits to domicile, including the period the exhibits are handled by the Official Freight Forwarder, and also ensure that Transport Insurance is arranged for exhibits sold locally. The Insurance shall include a waiver of subrogation against AGILITY CO., LTD. and its agents and/or its sub-contractors.
