General Information
To guarantee the success of your function at the DoubleTree by Hilton Burlington, we feel the following information will prove
beneficial:
Flexibility in our banquet space, coupled with our experienced service staff, offers the ability to handle a gala theme party for
up to three hundred (300) in our Garden Ballroom or an intimate board meeting for eight (8) in our Moulton Boardroom.
To confirm function space on a definite basis, a group must provide the hotel with written authorization on a DoubleTree by
Hilton Burlington contract or confirmed catering event order. The DoubleTree by Hilton Burlington reserves the right to
release function space if written confirmation and deposit have not been received. Function space is assigned according to
the anticipated guaranteed number of guests.
If there are fluctuations in the number of attendees, the hotel reserves the right to reassign the banquet function room
accordingly.
The DoubleTree by Hilton Burlington is designated as a Green Hotel in the Green Mountain State and is proud to offer some
green meeting services. The lighting in our function space uses LED bulbs, our heating and cooling system uses special
program to avoid overuse and waste, and we provide recycling at all registration tables and in all meeting rooms. The
DoubleTree by Hilton Burlington and Trader Duke’s are Vermont Fresh Network Partner Members, forging a partnership with
Vermont farmers and producers to use the freshest, local ingredients. Please ask our catering professionals about special
menu items and options containing these fresh, Vermont products.
The enclosed menus are ideas and guidelines from which to choose, however, we will be more than happy to customize any
menu that would better suit your needs. We request that your menu selections and event details are completed with the help
of our catering professional no less than a minimum of 4 weeks prior to your event. All menu selections shall be considered
definite at the time and are not subject to change. Once event setup details are confirmed on the event order, a reset fee (up
to $250) will be incurred if changes are requested day of event.
All menu prices are subject to change due to market fluctuations and will be confirmed three (3) months prior to the
scheduled function. A nineteen percent (19%) service charge and Vermont rooms and meals tax of nine percent (9%), and city
of South Burlington of one (1%) or current tax rate, applies to food and beverage orders. Alcoholic beverages are charged
eleven percent (11%) tax.
Groups requesting tax-exempt status must submit a tax-exempt certificate thirty days (30) prior to the scheduled function, or
tax will be applied to the bill and will be non-refundable.

Confirmation of the number of attendees to any food and/or beverage function must be submitted three (3) business days in
advance to the Catering Department. All charges will be based upon the guarantee, or the actual number of guests served;
whichever is greater. If a guarantee is not submitted, as required, the original attendee figure will be considered the
guarantee. Guarantee for events on Monday will be required by 12:00 noon on Wednesday of the previous week. If the hotel
is unable to make contact with the Meeting Planner, it is the responsibility of the Meeting Planner to contact the Catering
Sales Office in a timely manner to confirm the guarantee.
If a scheduled event extends beyond the contracted time, the hotel reserves the right to charge an additional fee for
extended use of the room and/or to confirm with the guest that the space is no longer available for their use and must
adjourn at the time.
Liquor Service: All bars will be subject to federal, state and local laws and taxes.
Open/Host Bar – Charges incurred in relation to bar sales will be responsibility of the group or individual hosting the party.
Cash Bar – Guests purchase drinks individually. A portable bar, glasses, ices and garnishes are provided at no charge.
Full Bar Fee – There is a bartender charge of $75.00 per bar unless revenue exceeds $250.00 per bar. Applicable to open/host and cash bars.
Limited Bar Fee – There is a bartender charge of $30.00 per bar unless revenue exceeds $150.00 per bar. Applicable to open/host and cash bars.
Cocktail Server Fee – There is a charge of $30.00 for groups requesting cocktail service/cocktail server.
Loss or damage to group’s display, decoration or other property brought into the hotel premises will be the sole responsibility
of the group. The hotel will assume no liability. The group is responsible for the conduct of all persons in attendance, along
with any damages incurred upon the hotel or its individuals associated with or representing the group’s organization.
The hotel requires security for all groups whose size, program or nature indicates such need. The acquisition of security
personnel is at the discretion of the group, but the hotel management must approve a reputable, licensed guard or security
agency.
DoubleTree by Hilton Burlington will, unless otherwise instructed, post your daily program on the daily events schedules
located in various areas in the hotel. Other signs or banners may not be placed in public areas without permission of the
hotel.
New accounts requesting to establish a direct bill status with our Accounting Department can do so by completing a direct bill
application. You must allow a minimum of twenty-one (21) days prior to your function for approval. Some applications may
take longer. For large social events, full payment is required a minimum of three (3) business days prior to the function if
direct billing is not established. The hotel may require an advance deposit to confirm your event.
The hotel will supply all food and beverage served in the hotel. Food and beverages may not be removed from the property.
DoubleTree by Hilton Burlington must first approve any requests to bring in food prior to confirming your contract.
Approval from hotel management is necessary before affixing anything to walls, floors or ceilings. Confetti, glitter and rice
may not be thrown or used as decorations on hotel premises. A minimum of $250.00 will be charged to the function sponsor
for any damage or soiling of hotel facilities.
The aforementioned policies explain the basic guidelines for our hotel and will assist you in the planning stages of your event.
Specific details pertaining to menu selections, registration desks, room, table arrangements, entertainment and other matters
will be discussed and established prior to the event. Every effort will be made by management of the DoubleTree by Hilton
Burlington to ensure a successful event!
