1-3 DAYS AFTER YOUR TRAVEL SHOW: Now that your travel show has ended, follow up with your attendees via
e-mail and phone calls, and remind them of the deposit deadline.
5 DAYS AFTER YOUR TRAVEL SHOW: Take advantage of our FREE marketing material, including customizable

STEP 2 POST-SHOW FOLLOW UP
9 MONTHS PRIOR TO DEPARTURE: Continue to market your group until deposits are due! Create a monthly
weekly newsletter with information about the destination and “fun facts,” like recipes that fit the destination, a
“countdown” to departure, etc.
7 MONTHS PRIOR TO DEPARTURE: Again, keep marketing your group until deposits are due! Don’t forget to
keep your Facebook page updated and your Tweets up-to-speed. Get your group excited about GOING!
121 DAYS PRIOR TO DEPARTURE: Follow up with your targets and travel show attendees again – remind them
that tomorrow is the last day to take advantage of this opportunity!
180* DAYS PRIOR TO DEPARTURE: Final deposits are due. For details, call your Account Manager at

STEP 3 KEEP IN TOUCH
91 DAYS PRIOR TO DEPARTURE: Call and e-mail your deposited clients reminding them final payment is due the
next day—don’t let these clients slip away!

THE PERFECT TRAVEL SHOWYour travel show just may be the most important part of your group planning process. This will be your best
opportunity to promote your trip, get your group excited, and secure deposits. So if you’re not willing or able
to plan a travel show – stop and consider:
• Are you serious about making this group materialize – are you willing to do the work?
• Can your Sales Team help by conducting a show with you?
• Do you know of a proven tactic that has worked for you in the past besides a travel show? Let’s talk!
#1LOCATION
Select a location for your event that is:
• Known to the community
• Easy to get to, with ample parking
• Spacious enough to allow for food and beverages, a seating area for the expected
number of attendees, and space for a PowerPoint presentation
• Ideally, already familiar to your group—for example, the group’s church (for Religious
vacations); a local restaurant that fits your destination (such as an Italian restaurant if
you’re traveling to Italy); a school or senior center; a winery; etc.

#2 DATE AND
TIMING
The ideal time for your show will depend on your audience and departure date:
• Be sure to schedule your show as far in advance of the deposit deadline
as possible—the further out, the better!
• Younger audiences who may have children or work full-time: Choose weekday
evenings, after 6pm, preferably on a Tuesday or Thursday.
• Older audiences: Choose a weekday morning or mid-afternoon.
• Friends and families: Choose a weekend morning or early afternoon.
• Bank groups: Choose a weekday afternoon and include a light lunch.
• Religious groups: Choose a Sunday afternoon or evening, following a Service.
#3 THEME
Always include a theme for your event, it keeps the show fun and interesting:
• Tailor the theme to your destination. For example, if you’ve booked an Italian vacation,
host the event at an Italian restaurant, serve Italian food, include Italian flags and other
decorations, etc.
• Your door prize, food, and beverages should all match your theme as well.
• Bring whatever you have on hand to add to the theme—personal photos, maps, music, etc.
#4 INVITATIONS
• Once your show has been planned, send invitations to your audience.
• If you’re in contact with past travelers, invite them to attend and share their experience.
• Ensure your invitations include all necessary event info, such as date, time, location,
directions, and parking information. Let invitees know the presentation will last
about 30 minutes, followed by a short Q&A session. Remind them food and drinks will
be served!
• If you’re mailing invitations, allow more time for printing and delivery.
• If you’re e-mailing invitations, less lead time is required—and remember, invitations sent
via e-mail allow you to follow up with reminders! Send invites at least twice.
• Consider creating a Facebook event page for your travel show too—and send them
Facebook invites for the event.

provide to your group—if they deposit the day of the event!
• Remember to bring door prizes—they keep people engaged, and should be tailored to
fit your theme.
• Sign-up sheets: Don’t forget to collect your attendees’ contact information so you can
follow up with them.
#6 THE
PRESENTATION
• A PowerPoint should always be presented to your group. Reach out to your Sales Team
for your customizable PowerPoint template.
• Your presentation should include lots of photos (not text) to keep your group
interested and excited about the trip, as well as an itinerary and destination tips
(such as information about the weather, culture, etc.).
• Depending on your vacation, a video may be available for your use. Reach out to your

• Be sure to do your homework beforehand, and practice your presentation in advance.
• Remind your audience about what makes this trip special! Point out included features,
our quality hotels, experienced tour directors, the real value of this trip, and more.
• Follow your presentation with a question & answer session while attendees enjoy
snacks and drinks.
• Remember to keep your presentation fun and informal—after all, you’re promoting a
vacation!

note the next day.

UP
• As the show winds down, this is your BEST opportunity to secure deposits for the
trip—so don’t forget to ask for them!
• Remind participants of the limited-time book incentive you’ve arranged—they can

• Create a sense of urgency by reminding your group of the deadline if they can’t
deposit on site.
• Don’t forget your sign-up sheet with your attendees’ contact information, so you
