Manage Career Interests

1. Navigate to the Profile Icon > View Profile. Your Employee

Profile page displays.

2. Click your Related Actions icon .

3. Select Talent > Edit Career Interests.

4. Click the prompt icon to select a Career Preference.

5. Enter your career interests.

6. Click Submit.

7. Click Done to complete the Submission step.

Manage Travel Preferences

1. Click your Related Actions.

2. Select Talent > Edit Travel Preferences.

3. Select the appropriate response for the “Are you willing to travel?”

field.

4. Enter additional information, if needed.

Manage Job Interests

3. Select one or more Job Profiles from the prompt.

Getting Started: Identify Your Place in the Organization Employee

Locate Your Place in the Organization

Workday displays the reporting structure of your department. This

can help you understand your place within the organization.

From the Home page:

1. Click your Profile Icon > View Profile.

2. Click the Job tab.

3. Click the Management Chain tab. Information about your

management chain displays.

Locate Your Organization

From the Home page:

1. Click your Profile Icon > View Profile

2. Click the Job tab.

3. Click the Organizations tab. Information about the organizations

you belong to displays.

Review Your Job History

From the Home page:

1. Click your Profile Icon > View Profile.

2. Click the Job tab.

3. Click the Manager History tab. Your job history displays.

Manager history includes information about your prior job titles,

managers, start dates, and end dates.

Locate Your Org Chart

From the Home page:

1. Click your Profile Icon > View Profile.

2. Click the View Team link.

Your Org Chart includes information about your team, HR support,

and your manager’s manager.

Purpose of the Inbox

Your Inbox includes notifications of tasks, approvals, due dates, etc.,

that are sent to you as part of your organization’s business processes.

View Your Inbox

1. Click your Profile Icon in the upper right hand corner.

2. Click Inbox to expand your viewable options.

3. Click the Actions tab to view your business process tasks,

approvals, and to dos.

4. Click the Archive tab to access the process status of any business

process you have been involved in.

Delegate Your Inbox

From the Actions tab:

1. Click More > My Delegations.

2. Click Manage Delegations.

3. Enter the Begin Date and End Date for the delegation.

4. Select a user to delegate your tasks to in the Delegate field.

If you are only delegating Inbox tasks, leave the

Start On My Behalf field blank. This option is for

delegating the initiation of business processes.

5. In the Do Inbox Tasks on My Behalf field, select whether to

delegate all business processes, specific business processes, or

none of the above.

6. Mark the Retain Access to Delegated Tasks in Inbox check

box to view and modify your Inbox while delegated.

7. Select a Delegation Rule if you are delegating a business

process.

8. Click Submit. A confirmation displays. Depending on your

organzation’s security settings, additional approvals may be

required.

9. Click Done.

Access Your Worker Profile Page

Click your Profile Icon > View Profile. Your Worker Profile page

displays.

All instructions in this job aid start from the

Worker Profile page.

Add or Change Your Contact Information

1. Click the Contact tab. The Contact link is selected.

2. Click Edit. Enter or modify any information.

3. Click Submit.

Add or Change Emergency Contacts

1. Click the Contact tab.

2. Click the Emergency Contacts link.

3. Click Edit. Enter or modify your emergency contacts.

4. Click Submit.

Modify Your Personal Information

1. Click the Personal tab. The Personal Information link is selected.

2. Click Edit.

3. Click the Edit icon to change existing information, or the

Add button to add new information. You can also click a field to

open it for editing.

4. Click Submit.

View Your Identity Paperwork

1. Click the Personal tab.

2. Click the IDs link. You cannot make changes to this information;

you can only view it.

Change Your Legal or Preferred Name

1. Click your Related Actions .

2. Select Personal Data > Change My Legal Name.

3. Enter your new information, including any required information.

4. Click Submit.

5. Click To Do to submit proof of name change or Done to submit

later.

6. Click Done.

Add or Change Your Photo

1. Click your Related Actions > Personal Data > Change My

Photo.

2. Click the Attachment button to locate and upload your image.

3. Click Submit.

The supported file formats depend on your

organization’s configuration. Typical formats

include .png, .jpg, and .gif.

Add and View Your Social Networks

1. Click your Related Actions > Personal Data > Maintain Social

Network.

2. Click Edit to edit an existing network, or Add Social Network

Account to add a new network. You can maintain up to four

networks.

3. Enter the social network and user name or web address you want

to add. You can only add one account for each social network.

4. Click OK > Done.

Delete a Social Network

1. Click your Related Actions > Personal Data > Maintain Social

Network.

2. Click Delete next to the appropriate network.

3. Click Submit > Done.

View Transaction History

View your transaction history to see when you enrolled in benefits,

changed personal data, etc.

1. Click the Job tab.

2. Click the Worker History link. Your business process history

displays.

3. Click View Worker History by Category. The data is

segmented into different tabs to make it easier for you to review

your history.

Import Your Profile from LinkedIn

1. Click the Job tab.

2. Click the Professional Profile link.

3. Click the Import from LinkedIn button. You will be prompted to

sign in to LinkedIn before your LinkedIn information can post to

your worker profile.

4. Review each page of information and click the Edit icon to

make any edits.

5. Click Next to progress through all of your LinkedIn information.

6. Click Submit > Done.

Change a Business Title

1. Click your Related Actions > Job Change > Change My

Business Title.

2. Enter the Effective Date.

3. Enter the proposed Business Title.

4. Click Submit > Done.

Depending on your organization’s security

protocols, this may be routed to another

department for approval.

Manage Professional Profile Information

1. Click the Professional Profile link.

2. Click the +Add link next to an area on the Professional Profile and

enter the appropriate information. From here, you can add your

own information and/or edit existing information imported from

LinkedIn including your experience, education, skills, and projects.

3. Click Submit > Done.

Navigate the Home Page

The Workday Home page displays worklets that provide access to tasks and reports. Because

the Home page is highly configurable, your organization may display different worklets.

Configure Worklets

Additional worklets can be added to your Home page, if allowed by your organization.

From your Home page:

1. Click the Settings icon in the upper right corner. The Configure Worklets page displays.

2. Click the Add icon to add a new worklet.

3. Click the Prompt icon to select from the list of existing worklets.

4. Click the Minus icon to remove a worklet from the dashboard.

5. Click the Up Arrow or Down Arrow to reorder the worklets on the page. To move a

worklet to the first or last position, use the Move Row to Top or Bottom arrows .

6. Click OK > Done.

Error and Alert Messages

Error and alert messages display in the upper right corner of the

page. They typically identify a specific field(s) where information is

missing, entered incorrectly, or in conflict with a rule established by

your organization.

Errors prevent you from completing a task until the error is fixed.

Alerts notify you of potential problems on a page, but do not prevent

the task from being completed.

Use Related Actions and the Profile Icon

The Profile icon contains links to the Home page, dashboards, and

documentation (if configured).

The Related Actions displays next to an object when there are

relevant actions. For example, the Related Actions next to your

name accesses tasks and data relating to your worker record.

Options beginning with “View” are view-only actions.

As an option, you can detach the menu from the

Related Actions icon by clicking and dragging the icon

at the top of the Available Actions menu.

Navigate Using Search

Workday makes it easy to search for people, tasks, reports, and

business data using the Search field.

For example, to find a worker, type the name into the Search field

and press Enter. If you click People, you can filter the results to only

display workers in your organization. Search categories are used to

filter your search for faster, more accurate results.

Keep in mind that searches only find exact matches. If you misspell

the search text, you will not see any results. You can use abbreviated

terms to find more matches. Use longer search terms to improve the

accuracy and reduce the time to return results. For example, if you

are searching for the Maintain Project Worker Roles task, the

search string “main pro work” returns more results than the search

string “Maintain Project.”

Search prefixes restrict the search results to a particular type of

Workday object. Search prefixes are lowercase letters, followed by a

colon (:). For example, “bp:” returns all business processes

definitions. To see a list of all search prefixes available to you, enter a

questions mark (?) in the search box.

In addition to the search box, there are Find pages where you can use

filters to narrow down the results. For example, use the Find Workers

report to search for employees and other workers by city, skillset,

cost center, etc.

You can use the faceted search boxes in Find pages to customize your

search by specifying any combination of the operators and, or, or not.

When you use not, you must enclose the term inside parentheses.

When the search results provide what you are looking for, you can

either initiate an action using the object’s Related Actions , or

click the link to see more information.

Change Your Account Settings

You can easily change your account settings in Workday from your

Workday Home page. Click the Profile icon in the top right corner

and then select My Account. From here, you can change your

password, account preferences, and manage your account’s challenge

questions. You can also use this to switch accounts if you are a

delegate.

View Time Off Balances

From the Time Off worklet:

1. Click the Time Off Balance button under the View section. The Time Off Balance task displays with today’s date in the As Of field.

2. Click OK to view your balance as of today’s date.

To view past or future balances, change this date. Workday will re-calculate based on how you accrue time off.

3. Depending on the type of time off plan, balances are tracked either in days or hours. Select any of the Accrued Year To Date values to view

more details.

Submit Time Off Requests

From the Time Off worklet:

1. Click Time Off under Request.

2. Select the day(s) you wish to take time off. Click on a selected day to deselect it.

3. Click Request Time Off. The number of days you requested dynamically displays on the button to help confirm your request.

4. Enter the Type of time off requested.

5. Enter the number of hours requested per day in the Daily Quantity field. Your status of salaried or waged and state and federal laws may limit

what you can add in this field.

6. Attach any appropriate supporting documents by dragging them to the Drop Files Here field or clicking the Attachments icon.

7. Click Submit.

Cancel a Submitted Time Off Request

Submitted requests that have not been approved can be canceled. Once approved, you must correct the request before you change it.

From the Profile icon:

1. Click the Inbox link.

2. Click the Archive tab.

3. Click the Time Off Request task you want to cancel.

4. Click Cancel.

5. Enter a comment. This step is required for a cancelation.

6. Click Submit. No approval is required.

Modify Previously Submitted and Approved Requests

From the Time Off worklet:

1. Click Time Off Correction under Request. If you have no approved requests, you will receive an error message.

2. Click the approved time off request on the calendar. Select the day(s) you want to correct. Enter an adjustment to requested hours. Remove

hours by entering “0” (zero). The projected balance at the top automatically updates once you leave the field.

3. Enter comments, if necessary.

4. Click Continue.

Request a Leave of Absence

The criteria for a leave of absence may vary depending on the reason

for the leave, and any state or federal laws that define a leave of

absence. These instructions are intended to show you Workday

functionality, not to replace or supersede the advice of your Human

Resources department, your doctor, or the law.

From the Time Off worklet:

1. Click Leave of Absence.

2. Enter the dates in the Date fields.

3. Select a Leave Type reason.

Workday allows your organization to link its Leave

Policies from this page. Consult your organization

policies and your Human Resources representative

if you have questions about your Leave of Absence

request.

4. Click the Attachments icon to upload any supporting documents

that your organization requires.

5. Click Submit.

Submitting the leave request initiates a business process that includes

approval steps. Subsequent required steps display automatically. Any

errors or warnings also display, and may require corrective action.

You can click the Details and Process Arrow to view more

information.

Dashboards are pre-configured pages related to specific functional

areas within Workday. They are populated with worklets that target

areas of interest to managers. These worklets display topic-specific

calculations, and are customizable. Create custom worklets to add

to dashboards using the report writer.

Dashboards simplify managers’ access to information including

Compensation and Benefits, Talent Management, Workforce

Planning, and Financials. Reports display in a simplistic format.

Configure Your Dashboard

From any dashboard:

1. Click the Settings icon .

2. Click the plus icon to add a new worklet.

3. Click the prompt icon to select from the list of existing

worklets.

4. Click the minus icon to remove a worklet from the

dashboard.

Generate Reports

There are a several types of reports you can generate within

Workday. These reports are listed under the View column for the

worklets that provide reporting functionality. Reports are labeled with

names that describe the information they display.

From your Home page:

1. Navigate to the worklet you want to view.

2. Click the buttons in the View column to access reports on various

topics.

Access Reports within Business Processes

Some business processes have embedded reports. This is

identified with a View Related Information icon on the

worklet. This icon is gray by default but turns blue when clicked.

To access an embedded report, click the View Related

Information icon. The worklet displays information specific to the

step in the business process. For example, in the case of

compensation, the worklet may display a base pay proposal

suggestion.

Viewing Reports

Several icons display over the top right corner of a report. The Export

to Excel icon allows you to export the report into Excel. The Filter

icon allows you to filter the data from each column in the same way

as in Excel. You can also click on the Print icon to view the report

as a printable PDF. Note that the above options are contingent on

your organization’s Security Permissions configurations.

Check the Status of My Processes

To review or check the status of a process:

1. Navigate to your inbox.

2. Click the Archive tab. Here you will see the last 30 days of your

business processes.

3. Click a task in the left-hand column to see the details, process

history and related links of the selected business process.

Compare My Team

Use the Compare Team task to analyze key worker attributes. From

the Compare Team task:

1. Click the Organization prompt icon to select the organization

to compare employees. Your security settings determine which

organizations you can access.

2. Click OK to compare the employees’ Job, Base Pay, Bonus, Stock,

and Performance information.

Access Analytics During a Process

Embedded analytics are available on select business processes. To

access analytics during a process:

Transactions or Request Compensation Change.

2. Click the View Related Information icon in the upper right

hand corner of the task or data.

Change Business Titles

From the My Team worklet:

1. Click Business Title Change.

2. Enter the employee’s name.

3. Click OK. Notice the employee’s current Job Title.

4. Enter the employee’s new title in the Business Title Field.

5. Click Submit.

6. Navigate to the employee’s profile to view the title change.

About the Compensation Worklet

There are many options for a manager within the Compensation

worklet. They can request Base Salary Changes, new Bonus Plan

Assignments, One-Time Bonuses/Payments, and Stock Grants.

There is also a wealth of compensation-related reports at the

manager’s disposal.

View Compensation via the Compensation Worklet

From the Compensation worklet, click the Details >> button. A

compensation report displays information for employees.

View Compensation

From the My Team worklet:

1. Select the employee.

2. Click the Compensation tab on the employee’s profile page.

Assign a New Allowance Plan to a Direct Report

From the My Team worklet:

1. Click the employee’s Related Actions .

2. Select Compensation > Request Compensation Change.

3. Enter an Effective Date.

4. Select a Reason for the adjustment.

5. Click OK.

6. Scroll down to Allowance and click the Add button.

7. Select the appropriate plan. Eligible allowance plans display,

allowing you to make changes if needed.

8. Click Save.

9. Add any supporting comments.

10. Click Submit.

Request a One-Time Bonus for a Direct Report

From the employee’s Related Actions:

1. Select Compensation > Request One-Time Payment.

2. Enter the Effective Date and One-Time Payment Plan reason.

3. Click OK. The Payment Details display, allowing you to make

changes and provide additional information if needed.

4. Click Submit.

The Amount field auto-populates with a default value,

based on the One-Time Payment Plan selected. You

can modify the default amount, but additional

approvals may be required.

Request a Stock Grant for a Direct Report

From the Compensation worklet:

1. Click Stock Grant.

2. Enter the Effective Date, Employee, and Stock Plan.

3. Click OK.

4. Select a Reason for the requested grant.

5. Enter the optional fields in the Stock Grant Details section in

Accordance with your organization. This includes items such as

Amount Granted, Vest From Date, and any Additional

Information.

6. Enter comments if needed.

7. Click Submit > Done. The request is now routed for approval.

Request a Base Salary Change for a Direct Report

From the My Team worklet:

1. Click the employee’s Related Actions.

2. Select Compensation > Request Compensation Change.

3. Enter the Effective Date.

4. Select a Reason for the adjustment.

5. Click OK.

The employee’s related information window displays.

Review Employment History or other relevant details.

To open a window manually, click the View Related

Information icon in the upper right corner of the

screen.

6. Click the Edit icon to open the Compensation Plan for

Salary.

7. Enter a new Amount, Amount Change, or Percent Change.

Updating one field will auto-populate the other fields.

8. Click Save.

9. Add any supporting comments.

10. Click Submit.

Transfer, Promote and Change Job

If a promotion or other job change is within the same department, it

is a one-person task. If it involves a transfer between departments, it

is a two-person process.

The manager in the outgoing supervisory organization initiates the

transfer of the employee.

The manager in the incoming supervisory organization performs

another set of actions to receive the employee.

From the targeted employee’s Related Actions :

1. Select Job Change > Transfer, Promote, or Change Job to

display the Change Job page.

2. Click the Edit icon to enter or modify the information. Red

asterisks denote required fields.

3. Click Start. A progress bar displays at the top of the page to help

guide you through the process.

4. Click Next to move through the various sections or click

Summary to edit using a single page view.

5. Once all edits have been made, click Submit.

6. Click the Details and Process Arrow to view next steps in

the Change Job business process. The Status field indicates

whether there are any required actions or steps to complete.

You can also manage employee job changes by

navigating to the My Team worklet and clicking the

Transfer, Promote or Change Job or Change

Location buttons under the Actions section.

View Open Positions in Your Organization

From the Employee Changes worklet:

1. Click the Open Positions button in the View section.

2. Choose your Organization. If you want to view all subordinate

positions instead, mark the Include Subordinate

Organizations checkbox.

3. Click OK to run the report.

Terminate an Employee

From an employee’s Related Actions:

1. Select Job Change > Terminate Employee to display the

Terminate Employee page.

2. Complete the required termination information. Here, you will

enter a termination date and reason. The employee is still

considered active until midnight of the termination date.

3. Indicate whether the position is to be closed or available for

overlap after this termination. Position overlap allows a

replacement worker to be hired into the same position before the

current worker leaves.

This option is only available if your organization

uses the Position Management staffing model.

4. Click Submit.

You can additionally terminate an employee by

navigating to the My Workers or Employee Changes

worklet and selecting the Terminate action.

Change Contingent Worker Details

From the My Team worklet:

1. Select the contingent worker’s profile.

2. Click the Contract Details tab. Here, you view details such as

Contract Length and Pay Rate.

3. Click the worker’s Related Actions .

4. Go to Job Change > Change Contingent Worker Details.

Create a New Position

From the Hiring worklet:

Create and Hire a Pre-Hire

From the Hiring worklet:

1. Click the Hire (Create Pre-Hire) button.

2. Select the Supervisory Organization into which the pre-hire will be

hired.

3. Select Create New Pre-Hire.

4. Click OK.

5. Complete required fields in the Legal Name Information tab.

6. Enter at least one piece of contact information in the Contact

Information tab.

7. Click OK.

8. Enter all job information to complete the hire. Fields marked with

an asterisk are required.

9. Click Submit > Done.

10. To check the status of the hire process, use the Profile Icon to

navigate to your inbox. From the Archive tab, you can view all of

the processes you have initiated.

If a position has already been associated with a

pre-hire, this information will populate in the

record. If not, enter positions that the applicant is

being considered.

Locate an Existing Pre-Hire

1. Enter the pre-hire’s name into the Search box.

2. Click the pre-hire’s name in the search results. If necessary, select

People from the Categories section to filter the search results.

3. To initiate the hire process, click the pre-hire’s Related Actions

> Hire > Hire Employee.

Associate a Pre-Hire with an Open Position

From the pre-hire’s Related Actions :

1. Select Job Application > Edit Pre-Hire Profile.

2. Click the Add Row icon in the Consider for Positions table to

add rows under the Consider for Positions section.

3. Enter the position(s) for which you want the pre-hire to be

considered.

4. Click the position’s Related Actions to view more about the

position.

5. Click OK.

View Pre-Hires for a Job

From the Hiring worklet:

1. Click the Pre-Hires button.

2. Click the Considered for prompt to view a list of positions

from which you can select a pre-hire.

3. Click OK. A list of pre-hires displays based on your selections.

4. Use a pre-hire’s Related Actions to view more information.

Assign Interviewers to a Pre-Hire

From the pre-hire’s Related Actions:

1. Select Job Application > Edit Pre-Hire Profile. The pre-hire’s

profile page displays.

2. In the Interviewers column of the Consider for Positions section,

enter or search for people who will interview the pre-hire.

3. Click OK.

Enter Interview Comments

From the Hiring worklet:

1. Click the Enter Interview Results button.

2. Complete the Pre-Hire and Considered for information.

3. Click OK.

4. Complete the My Interview Results section for the pre-hire.

5. Click OK. The pre-hire’s record updates with the interview results.

processes. Workday also offers Create

Applicant functionality. This is

generally used by recruiters and not

About the Time Off Worklet

Time Off Requests always require approval. The approval task is

normally routed to the Manager’s inbox so that the manager can

either approve or deny the request. If you have assigned tasks that

are not yet complete, the Inbox holds those tasks until the manager

addresses them. To view these tasks, click the Inbox link.

Approve, Deny, and Send Time Off Requests Back

1. Click the Profile icon.

2. Click the Inbox link.

3. Click the Time Off Request.

4. Click Approve, Send Back, Add Approvers or More. From the

More menu you can select Deny, or Cancel.

5. Add a reason.

6. Click the Detail and Process Arrow to view the employee’s

Time Off Summary.

About the Team Time Off Worklet

The Team Time Off worklet is where a manger would enter or correct

time off for an employee.

Enter Time Off for a Direct Report

From the My Team worklet:

1. Hover over the employee for whom you want to enter time off.

2. Click the Related Actions icon next to the employee.

3. Select Time and Leave > Enter Time Off.

4. Select the day(s) for the time off.

5. Click Request Time Off button.

6. Enter the Type of time off requested. The Daily Quantity field

may default with the employee’s daily scheduled hours based on

how it is configured. If so, it is usually editable.

7. Click Submit to save.

Correct Time Off for a Direct Report

In order to correct time off for a direct report, you must have the

correct permissions enabled for the task.

From the Team Time Off worklet:

1. Click Correct Time Off under Actions. This option only works

after a time off request has been submitted and approved.

2. Select the affected employee.

3. Click OK.

4. Click a time off entry to open the details.

5. Select the days off you want to correct.

6. Correct a previously approved time off entry by entering the

correct number of hours per day. Enter “0” to remove approved

time off days.

7. Enter a comment if needed.

8. Click Continue.

9. Click Submit.

Place an Employee on a Leave of Absence

From the Team Time Off worklet:

1. Click Place on Leave.

2. Select an employee to place on leave.

3. Click OK.

4. Enter the First Day of Leave, Estimated Last Day of Leave,

and Leave Type. The impact of the leave on your organization is

displayed.

5. Expand the Leave Impact section and select the appropriate items

impacted by this employees leave.

6. Click Submit to initiate the leave process for an employee.

Return an Employee from a Leave of Absence

From the Team Time Off worklet:

1. Click Return from Leave.

2. Select the employee on leave.

3. Click OK.

4. Enter the First Day Back at Work.

5. Enter the Actual Last Day of Leave.

6. Click Submit.

7. Click Done.

View an Employee’s Leave or Pending Leave

From the Team Time Off worklet:

1. Click On Leave under View.

2. Enter your organization in the Organizations field.

3. Click OK to run the report.
